The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.+ D- v( }4 W1 A* g b

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.+ s4 p9 w0 `5 w3 w+ _: C

OPERATIONS
N/ \* B0 |, n% E• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.$ a5 M P4 J+ u/ e
• Assist in development and implementation of policies and procedures for volunteer services.
8 p6 V+ j4 V7 n# B% d6 o• Maintain the volunteer files and update the database using Raisers Edge9 k9 N( `- O0 b% D
• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.0 U2 s% K. F, {9 s3 C
• Develop and implement a comprehensive volunteer recognition program.+ `0 Y+ L* S1 l3 i; v. S
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.; K' u* }3 r' f
• Identify and implement best practices in regards to volunteer development.
7 U+ [9 }. f4 p• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
6 |4 u! f, t$ q4 C1 n* f• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required. r7 h) d* ]0 n$ @% G5 a# X3 ^

• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
# Z! ^/ L1 [" `' R• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up- i/ m# I |* [) g1 y; p4 P

• Develop and maintain job descriptions for each volunteer position; j/ _/ S& H; _" m# \
• Maintain secure volunteers files in accordance with privacy legislation
9 r0 w1 q5 W" U• Provide feedback on volunteers’ performance, as appropriate
; {" |$ j3 s0 k3 s I8 Y6 D/ H+ u• Ensure Human Resource policies and procedures are adhered to within the department* ~+ ]: F5 [/ i6 M, F ?
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
- a4 h! [* q8 O8 t• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency5 w8 u# y1 d3 g6 k
• Develop resource and orientation materials for Volunteer Services

• Prepare a regular monthly program report: t) t0 X6 ~* C* F& d S

• Ensure the program operates within approved budget and be familiar with potential variances
) e Q& u! T6 W, E& G* Q2 ~• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

INTERNAL/EXTERNAL RELATIONS5 Y2 }* q5 r, j7 \8 R5 R
• Act as liaison to the Y-Knit group of volunteers. b' m0 O/ D4 b1 l& A& v P+ |
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)' a& G( l% Z8 r
• Follow up with correspondence to outside agency volunteers as appropriate " r' {) m5 ^% |6 F+ h
• Attend external functions such as volunteer fairs, trade shows, and special events as required: w0 h+ u8 M3 Z4 m: }

$ k! T& o+ a- P( h% R2 U1 A, a
• Minimum 2 years experience in Volunteer Coordination; \( N/ c% s! Q; G2 j; K; d% N/ ?
• Excellent organizational skills and multi-tasking ability
. J7 V% x0 h& p8 T' W# e8 m6 K• Demonstrated superior volunteer supervision skills& _+ ]/ O1 j4 ]- s7 D$ I
• Collaborative working style and excellent interpersonal skills ' d9 f" l! I1 ~: G$ X
• Ability to work to meet deadlines and to work under pressure
8 L6 v j& w- Q& W7 e; F8 n+ b, ?1 X• Ability to work in a team-based environment, with cross-functional work teams on projects
) x: e) X5 A9 }# W3 V• Sound judgment and ability to maintain confidentiality
