Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

' e* u8 o) N( P2 f  YCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.9 \% W2 ^( U# \6 }

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.0 P- \3 y7 a  f! {

7 o' f: }- ?8 c, w% ^2 `% f• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual./ B1 @0 r5 z. k9 R/ E: E5 K& z- M8 P

! ?: k+ H# B- n6 A% s• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

# j$ x5 p0 @# K+ Z9 e• Support effective internal communication by recording and distributing all meeting minutes.
) K) t1 U+ M7 m0 Z' r* J9 H0 t0 S$ r& G! u2 g
• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.7 N& U. B1 ]; p; ]

• Support maintenance of Human Resources records and the development of employee handbook.

Key program support duties

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.1 o1 b9 H  K, S' y

• Compile information packages for fundraising and promotional purposes./ y  ?8 w9 ?3 x) f8 H# }; L

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.9 j7 b  g$ \& ~% R3 H4 W+ Q

Fund Development
0 P! L. F; A8 z2 [# Y/ A- S) @, v' r" y  R( N) q5 N* k' v
• Provide logistical support for key fundraising events such as silent auctions
! E! P. Z- L% |5 @: k: x/ o* w# t# n1 H8 e+ F
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

; E  n# p4 K  J+ z• Assist in administrative tasks related to donor recognition and event reconciliation as required.

4 e8 B& o  F) P  U; s8 o1 q# v0 X0 wSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
