Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.# o) z5 k7 p8 G; n9 \

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

5 c& |4 z6 v. w+ b! f# p( Q• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

$ @% ~) }2 b1 \. c• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.& @3 C% M3 i( h! d' B$ J8 Y

$ S# c! x1 ~$ A* J9 H• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

' E7 [+ X5 ]( a* w• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.) I, t! {" }/ k3 o

) u- @. X3 U, y• Manage mail outs for fund development or education purposes with support of Program Managers.

• Maintain inventory of communication materials.  b# Q6 j4 }+ U7 O$ ~

. {3 q. g: \8 h/ H, ~& B6 p• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

+ H6 D1 R, W- a: {  d% X( d5 _• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.7 o- z3 h" ]% W% a- x5 U) a

7 p7 k; [7 I' x9 g9 t• Provide logistical support for key fundraising events such as silent auctions8 w+ R+ \* V, V+ ?/ F2 {' S% x

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

. K7 P) z3 ?: |+ Z% X5 H• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
