J9 e6 W% b3 h( L) Z$ BChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

9 b  O0 O( n/ hCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.3 R1 _. N$ P+ ]- d, B

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

' L0 S6 ~% i1 f; s/ T2 y• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.* H. s9 h7 h, E( {

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.7 K; P1 }% S/ }3 i6 d7 a6 k

• Support effective internal communication by recording and distributing all meeting minutes.

) }" V) H9 s2 y; r& G1 L1 f( \  O• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.- O/ \% t1 A% x8 w& r4 a3 j

• Support maintenance of Human Resources records and the development of employee handbook.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.8 ]0 W7 Y5 i' S" C; m4 P

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.5 v& B: l1 E9 x, q) u

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.( B1 \% b( D% A" q/ b; `

. R, Z. O7 v5 E% S) b• Provide administrative support for public engagement events and mail outs.: k# X2 @0 H5 t8 w* L6 y0 Y; o

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

# M5 o* O& G) g7 C/ K2 o1 M" o9 c0 k• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

2 o* Q# M5 g3 L, ^- Q/ Z• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

, s  y( s; Y: I6 W• Support logistical work required for CFCA’s Annual General Meeting- A% l# G: n6 p

; Y& ]9 c/ M# `+ P( y( e• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
