extensive, and are targeted at the all round smooth operation and

the logistical organization and smooth rental of the additional + H5 N; o. h, _; K# {3 }0 v5 Z1 v
venues within the realm of the Students´ Union. In the light of that

a. To develop and implement a marketing plan for the venues that 3 B: O, K" W2 B1 \
focuses upon advertising and promoting the venue to faculty, 2 W, D, V6 z0 S$ _ w
students, and internal and external clients on an on-going basis.
( a G1 m) n7 w. ? L; DThis strategy will include implementing and/or delegating the following:8 q3 B. F7 b, {' Y: {( n
· To develop and maintain promotional materials, the Horowitz
% x1 y0 `# C1 r9 V1 HTheatre and SU Venues home page, newspaper and other advertising; to
0 N3 T( ~' x2 |3 K" K- Itake advantage of other internal and external advertising / J$ S$ r* g/ V; v( W
opportunities; and to develop press releases and other promotional + _& r! u2 x- I; l1 M
literature on an ongoing basis., T- C- U, i: C, m
· To coordinate tours of the venues for potential renters.2 A+ A3 L# T1 j( }& m- N' K
· To promote upcoming events in the Horowitz Theatre through the
- o7 f; }$ g& N# B4 Q+ |use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities6 ^ U4 c7 V: F! D4 S

a. To ensure, at all times, that the venues are adequately and cost-
& ~4 `' \ ]9 ?* m5 ueffectively staffed, and that the staff utilized by or within the & C0 Q% m: k) d/ f
venues meet the appropriate standards, requirements and needs, and + P8 x2 C o/ ?+ k' N
contribute in a positive way to the smooth operation and success of 6 G& {, ]- r! O% t' |6 g
the renter´s events. This includes, but is not necessarily limited
) l0 N0 v! w2 K% r4 Tto, the following:
* e$ S$ q/ I2 S& }! n. D& f· To be responsible, under the direction of the Manager of Venues
6 r. `- C" V$ Q* m0 x( W1 Xand Programming, for all staff issues including hiring, disciplining, 2 O( g8 e6 ?# I- S* G: ] w
evaluating and terminating, as necessary.
% x# t0 r% P8 u; _. {6 I To ensure that the Horowitz Theatre is adequately supervised at $ M8 w; m' `# S* [: j
all times, this includes the development and implementation of such
, f( b3 p- w6 ^6 \schedules and rosters as may be necessary to ensure the effective and 0 l& J/ i# W3 Y# y, ?3 D
cost-effective supervision of the venues at all times during which it
& y1 `1 e1 }+ |/ C, xis in operation or needs to be in operation.# N8 M$ p- Z! v8 ^! m
· To work with the Technical Director, when necessary, to ensure
4 Q3 q- ]/ u; a. c, Y% Vthat an adequate and appropriate level of part-time staff exists to
) e4 |5 p* ~3 ~4 O+ b; f9 R. ^facilitate the smooth operation of the venues and to ensure all 3 C; m2 Q! `8 j, a( _# V
renters needs are met.3 }3 o" w- K9 ^7 o9 o
· To work with the Technical Director to ensure that the skills
+ ~: y' w% D; Mand attitudes of all subordinate staff are appropriate in light of - K5 E: Z. A& Q# N
the roles they must perform. This includes providing adequate and + Y( e7 _; g/ ]1 T( t
effective training (and re-training) in all applicable and
) \% o+ Q( r! L% ? ]7 i4 iappropriate areas, and ensuring that the Policy and Procedures manual
. @) T$ R# R0 N* Q" q. ]7 n* x, Sis kep up-to-date at all times.
) f- d1 F3 m% L( w· To ensure all staff are trained in and committed to providing
w- c8 _7 a5 Gexcellent customer service to all renters.
% C: ^1 j: Z1 z1 J" P7 g· To work with the Technical Director to arrange staff
9 \, }) i8 I! X8 _# p7 sscheduling. To handle payroll related matters, under the guidance / I1 F, m9 a* E H8 H0 n
and direction of the Manager of Venues and Programming, concerning ) k+ ~# b0 H+ Y1 g/ x3 q. c/ |
the staff of the venues.
# Y$ X8 V- ~2 M- R- } ]· Working with the Manager of Facilities and Operations to ensure
. x+ R. B" W/ q _# D5 Sthe appropriate setup/tear down of each venue.
+ K$ _# `! d, K· Working with the Manager of Programming and Venues to ensure % [, l" A x- }8 y" |" F
that additional requests such as licensed receptions are arranged.

4. Overall Financial Performance

systems and processes utilized by or within the venues meet the
# J" A, z8 O9 mappropriate standards, requirements and needs, and contribute in a 2 d( A$ U$ q2 r$ N- }
positive way to the smooth operation and success of the venues. This
* _1 o+ ]* B4 j4 d$ c8 ^7 eincludes, but is not necessarily limited to, the following:" \& @" ^! n% W; Q( m1 C& O! P
To provide input and expertise in the formulation of appropriate 5 {7 f+ N1 l- z. t0 Q
operating budgets covering the venues to the SU´s Manager of
; s/ O, R# u0 ~: B2 W- bProgramming and Venues and to discuss and refine those budgets 3 z6 A9 C4 A3 ~6 c
Manager of Programming and Venues, and Manager of Finance &
% p+ H+ i4 y& s' J6 FAdministration prior to their submission for final approval.
" Z u) o( C8 L t# ^$ q. P3 U* N5 ^· To manage the venues in a manner which adequately and effectively & s* q; ?- Z2 `6 I7 p
reflects the budgets approved for the venues and/or which reflects
, T: o! s# y2 h, A" w5 t2 zthe best interests of the venues and the Students´ Union.

administrative documentation covering the venues to be used in the

· To discuss those financial statements and other reports, together
! W( x9 [, k! y9 H9 X+ s, b5 H- B5 Ywith all financial and administrative procedures, with the SU´s

aimed at improving the financial and/or functional effectiveness of ; l8 ~$ k9 R# G& z

· To ensure the existence of adequate, effective and accurate job 4 B+ _- z, I% g
costing systems to be used in connection with the determination and 7 @5 W9 A4 ^! w. Q6 I+ Z
setting of appropriate prices for rental and staffing rates for & o+ o/ T1 a$ o2 c. B' f+ X
events held in the Horowitz Theatre.- R: b( d: w8 ^/ ]
· To develop accurate documentation to be used in connection with 4 H2 B7 n; o, B& e0 a2 S6 i2 `7 O
the billing clients, and to forward such documentation in a timely , d# q; e6 L1 f
manner to the Accounting Department.) c6 R7 x* y8 R- o9 A' ]9 ?( x* |' R
· To recognize, address and handle all matters relating to financial ) k; S$ s( K' w1 H" p9 `
and administrative procedures and systems in a manner which reflects $ A6 z0 O7 y9 B& C Y' Y0 `
the requirements of the SU´s Manager of Programming and Venues and

contributes positively to the smooth operation and success of the

renting the venues meet the appropriate standards, requirements and * o1 P5 [; q* W! }
needs, and contribute to the smooth operation and success of the

· To recognize, develop and set in place such rental procedures as

# H6 f, A/ j8 |# |+ J5 K- ^in the areas of contracts, inventory management, contract evaluation,
+ q& j3 Q7 Q/ j- e( q/ Wpricing, costing, equipment usage, rental/contract invoicing,
0 g3 O) p! @) \5 y: ]together with such other systems and procedures as may be necessary , P6 f" R6 V. |) v4 J9 |; |5 A
to ensure the smooth, secure, efficient, cost-effective and
& Z; M% d" r2 ]( L. t3 efunctionally-effective operation of the Horowitz Theatre.8 h- N( `: X4 H& `" H
· To recognize, develop and set in place such operational procedures 7 W/ A- @" a- L% s$ v
as may be necessary to ensure the smooth, efficient and cost- . H+ s' b; r' _6 d3 G
effective operation of the venues.2 z$ c& ~7 B/ |1 O/ p( Z0 i
· To negotiate rental lease agreements (contracts) relating to , t& J+ i6 A; L+ h9 }$ _
dates, rates, staff and miscellaneous charges., ]% _) j! g3 {1 R0 [3 m% B
· To ensure that adequate inventory is available at all times and
( J. F: [3 f ]4 P8 E2 @that such inventory is stored and issued in effective and secure ways.9 {7 N) n8 }0 s( o6 s/ r
· To consult with renters as to facility issues in producing their
6 E; d; n8 q% r" b3 P2 g- e$ e5 Zparticular event in the venues./ k$ L! U0 _" ~- S- V. s
· To provide the venues on-site staff with such documentation and
1 y: q: y$ c. @supporting information as it may need to effectively fulfill the
* H4 @% D; j; I: froles they are to perform to ensure the success of the renter´s event.
6 q" u& r( K* o; G @& J· To produce quotes in respect to staffing costs for a particular ; T0 b. A; ?3 }! g% s, Y
rental with consultation with the Technical Director.
# T' N- Y/ K- H; a b· To ensure that all queries raised with the venues whether from the
; P* r9 l5 ]% H, |! A, D( r$ b8 aSU or renters, are promptly and effectively handled and adequately
5 M( N/ |& ?! u: r7 danswered, and to ensure that such action as may be necessary in
! `9 E$ ~9 j0 F5 X- y/ Tfollow-up to such queries is taken in a timely manner.
3 z. A {/ V/ I6 |+ o& E) i, Y7 L8 @& v% M To ensure that the venues and its capabilities are adequately, 9 b+ u5 b$ h' S; Z7 S
effectively and cost-effectively advertised and promoted, and that
2 M8 s6 r% B/ ~the cost of such endeavors does not exceed the budgetary provision
# V5 P6 A$ X Fmade for them unless prior approval is given by the Manager of
+ i4 U! l+ b" Y, O; B5 GProgramming and Venues.
4 G3 S1 l h$ e) o8 p· To act as an informed and knowledgeable resource in the case of
; l& c$ r/ Z. X" Ssignificant challenges and/or problems surrounding the tasks of 2 s% h" |6 e" p* c2 f# t* n+ W8 Z) R
marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth
