The duties of the Operations Manager - SU Venues are diverse and ( v4 u2 l1 f1 O7 E8 d: J' a1 V
extensive, and are targeted at the all round smooth operation and # w6 G$ a! d5 x! p% M
financial and operational success of the Horowitz Theatre as well as
2 f0 ]& A- n7 zthe logistical organization and smooth rental of the additional
& P0 m' p) y V0 jvenues within the realm of the Students´ Union. In the light of that - k" w Q7 j, l2 n5 V: z
breadth and complexity, it is not possible to fully define or 6 p% n* R! o+ G" D
describe all roles and responsibilities in a document of this kind. 2 o$ b: t# A3 ?0 W; D: N
However, the main roles and responsibilities of the Operations

a. To develop and implement a marketing plan for the venues that

students, and internal and external clients on an on-going basis.
; f7 w+ s M8 ~9 x6 F" [( qThis strategy will include implementing and/or delegating the following:
" n1 A6 m, M! f! |' Z6 G( C· To develop and maintain promotional materials, the Horowitz 1 q p: Y/ C0 W" a& B: Y" C: @% P
Theatre and SU Venues home page, newspaper and other advertising; to 5 B' U$ r% }( U) U
take advantage of other internal and external advertising $ ^" q+ M& F: G* X) v8 V
opportunities; and to develop press releases and other promotional
; `( S: b3 `# U: a; `literature on an ongoing basis.

· To promote upcoming events in the Horowitz Theatre through the ! p6 S8 P: D/ A' g+ Q) m2 o
use of the Horowitz Theatre Home Page and the SU Events Calendar.

a. To ensure, at all times, that the venues are adequately and cost-
6 E1 ~! r* O8 A2 ~( Ueffectively staffed, and that the staff utilized by or within the
& ~' @( X* Z! i( a, L \venues meet the appropriate standards, requirements and needs, and
( a7 B. o/ ~* M4 Ucontribute in a positive way to the smooth operation and success of
% P9 a* P; _" _6 P( t! f4 tthe renter´s events. This includes, but is not necessarily limited
4 u% o0 \4 H" }/ U2 tto, the following:
" w0 b. ~0 O, J5 q1 }· To be responsible, under the direction of the Manager of Venues
! u. B% ]$ C1 u! ^5 M/ nand Programming, for all staff issues including hiring, disciplining, B) w: S. _: F+ t, b9 p5 B
evaluating and terminating, as necessary." }; ]- c* d4 e" R$ a1 y
To ensure that the Horowitz Theatre is adequately supervised at
: Q8 B6 {6 L4 i: K2 lall times, this includes the development and implementation of such
+ }; `% W! l/ O9 ^7 q: C+ {schedules and rosters as may be necessary to ensure the effective and
- S; V9 c& _. z& g3 S' D0 y* Q' ]cost-effective supervision of the venues at all times during which it
2 X) P" v- m0 i! pis in operation or needs to be in operation., v. ^# q% ?* K# Q
· To work with the Technical Director, when necessary, to ensure % z' ]) n+ Q( T% `" W
that an adequate and appropriate level of part-time staff exists to
; I, I. @1 e* E4 e" hfacilitate the smooth operation of the venues and to ensure all $ @6 F% X2 i' V; g+ @, P4 x
renters needs are met.
7 G: Z# h% B8 B: I% G! ]5 g· To work with the Technical Director to ensure that the skills
& x$ o5 h% z3 b6 X: Kand attitudes of all subordinate staff are appropriate in light of
. Y' N9 a- a, I+ B( H, S: F' J$ hthe roles they must perform. This includes providing adequate and
) E8 \& P9 d& Xeffective training (and re-training) in all applicable and ! Y$ j6 O* w* o' ^: d
appropriate areas, and ensuring that the Policy and Procedures manual 0 M) f+ g% w/ ^( P, ^9 w
is kep up-to-date at all times.* w3 u6 N4 o2 D3 p. y5 |' Y; `
· To ensure all staff are trained in and committed to providing 2 L4 p4 o% K/ g6 I
excellent customer service to all renters.( e2 D2 G" i. s$ ?. n* N
· To work with the Technical Director to arrange staff
: j2 y! Y N$ Q9 w6 Uscheduling. To handle payroll related matters, under the guidance + p0 A6 A; p' n: L6 b
and direction of the Manager of Venues and Programming, concerning

6 U0 E% A# c$ v# J/ @· Working with the Manager of Facilities and Operations to ensure Z5 }! J) w$ q. G+ {8 w+ Y
the appropriate setup/tear down of each venue.

0 g y' P: D9 ~7 C3 _2 ythat additional requests such as licensed receptions are arranged.

4. Overall Financial Performance

( M9 p6 |2 p6 s3 ?a. To ensure, at all times, that the Financial and Administrative
5 q7 M1 J3 b; J0 h) W4 ]systems and processes utilized by or within the venues meet the
7 o& A' E+ E- `0 u) vappropriate standards, requirements and needs, and contribute in a ) R- y4 w9 w s' r. H, M
positive way to the smooth operation and success of the venues. This
2 Q+ N4 B' z/ Qincludes, but is not necessarily limited to, the following:3 d2 \5 w: c8 `4 V# e2 D
To provide input and expertise in the formulation of appropriate
6 G9 \3 P+ e3 ~% j4 v" Qoperating budgets covering the venues to the SU´s Manager of
* D, r' M2 x, jProgramming and Venues and to discuss and refine those budgets
z) D" _9 w; ]' p0 _, kManager of Programming and Venues, and Manager of Finance & 9 D6 L! u8 ~1 M, D% K' q
Administration prior to their submission for final approval.- G0 Q. \; s: i! [
· To manage the venues in a manner which adequately and effectively 0 m" N- G O$ F+ z8 w9 R
reflects the budgets approved for the venues and/or which reflects
9 H3 [& c$ @- K/ a9 ythe best interests of the venues and the Students´ Union.8 G2 g% P- J) c) s" X1 v7 ~4 c
· To function as the key player in the submission of financial and ! j8 l) R" Z( M! c& T9 E: L6 \! J
administrative documentation covering the venues to be used in the
* E( ]3 J; o5 Z2 S d/ ucompilation of monthly and annual financial statements, and such * A" `# G' A j/ m* V/ r# n
other reports as may be necessary.

( M5 i4 v$ B0 x" gcosting systems to be used in connection with the determination and
8 |$ p' w) n: b# A- Rsetting of appropriate prices for rental and staffing rates for
' a# d; t5 R. ~' _* U; mevents held in the Horowitz Theatre.( k% J2 k+ O0 N! R: K
· To develop accurate documentation to be used in connection with
/ c1 a6 H9 h5 _* c+ a @0 T1 T% a6 bthe billing clients, and to forward such documentation in a timely
! R6 S- d+ [" o& I* Imanner to the Accounting Department.

and administrative procedures and systems in a manner which reflects . Q* m0 ]/ y& S2 T
the requirements of the SU´s Manager of Programming and Venues and 9 z( j U W, g( v Z/ j; m4 o' i
Manager of Finance and Administration, and in a manner which

a. To ensure, at all times, that the systems and processes used in
' L. {+ j5 [2 o% N9 N: C+ i$ L3 ?/ ?renting the venues meet the appropriate standards, requirements and # V+ U. a( `: Q2 o2 _( |7 Y! z
needs, and contribute to the smooth operation and success of the
: \# M" F: D* b6 Bvenues. This includes, but is not limited to, the following:& i9 i/ p+ |' c2 b2 R

· To recognize, develop and set in place such rental procedures as
. G0 {* {" V$ { e6 tmay be necessary to ensure the smooth operation of the venues, this ) d5 Y# M$ {. l( d
is to include but not necessarily be limited to systems and processes
7 m+ ]; o0 b0 F+ ^$ p/ }in the areas of contracts, inventory management, contract evaluation, ; Y( ~0 R* y1 H8 n% C. i
pricing, costing, equipment usage, rental/contract invoicing,
9 u8 ^$ h2 Y& D* |$ jtogether with such other systems and procedures as may be necessary 5 I0 x @$ z/ a7 l
to ensure the smooth, secure, efficient, cost-effective and

· To negotiate rental lease agreements (contracts) relating to 7 T3 y0 o, [/ h
dates, rates, staff and miscellaneous charges./ m9 b& k/ _6 |. g1 l: {( w# h c
· To ensure that adequate inventory is available at all times and 6 p5 a$ L2 a: S6 g, b/ |9 c0 e# l
that such inventory is stored and issued in effective and secure ways.; y4 V$ t y! W$ @% P+ J
· To consult with renters as to facility issues in producing their * }, s9 i/ M) I1 T
particular event in the venues.

; `5 z$ s7 \& z3 c1 }+ ~; csupporting information as it may need to effectively fulfill the 8 K$ J1 P0 R" p( Z$ Y
roles they are to perform to ensure the success of the renter´s event.- ? Z# z! K# a& ]. Z* I
· To produce quotes in respect to staffing costs for a particular : u% a" j' T* T
rental with consultation with the Technical Director." g5 Y% f1 y. |/ \- P7 \8 o6 ^
· To ensure that all queries raised with the venues whether from the k: M0 ~+ d8 e2 Q) C' U# j
SU or renters, are promptly and effectively handled and adequately 8 J I* p9 o/ A. O) a
answered, and to ensure that such action as may be necessary in ( Q! k+ h! ~; h( R' S7 I
follow-up to such queries is taken in a timely manner.; @; A3 U3 c9 q" d" R# [' Q6 F
To ensure that the venues and its capabilities are adequately, ; s+ q( _6 N( V/ ^6 b( Y8 _
effectively and cost-effectively advertised and promoted, and that 4 R+ _$ l. k' H0 _- h( p
the cost of such endeavors does not exceed the budgetary provision * h4 j; w" C3 h" N% @& f* D
made for them unless prior approval is given by the Manager of 5 j" ^4 s7 @* i$ [
Programming and Venues.% x& p+ @- W2 i9 u
· To act as an informed and knowledgeable resource in the case of * A" S( @$ F3 F% M% p0 [
significant challenges and/or problems surrounding the tasks of
) a, l0 o) M9 e6 F) W% Jmarketing, administration, operations, and any such other matters as
! [" y6 X% o0 D: ^7 jmay provide such challenges and/or problems.
# A) d& [7 r4 U3 P4 s0 C0 t4 ]· To attend such meetings as may be required to support the smooth ' i# G0 f- \2 E+ F
operation of the venues or the Students´ Union as a whole.

operations in a manner which reflects the requirements of the SU´s
