the logistical organization and smooth rental of the additional

To ensure that the maximum potential of renters is met.

students, and internal and external clients on an on-going basis.

L' q5 f' R4 `& [+ H· To develop and maintain promotional materials, the Horowitz
! a4 N Q9 U9 Q) ^$ qTheatre and SU Venues home page, newspaper and other advertising; to * s2 N% V; C' k) `
take advantage of other internal and external advertising
5 O" K( }5 G& V8 Y* Y' z7 n# Zopportunities; and to develop press releases and other promotional
0 ]* |9 t# r. F% l; Tliterature on an ongoing basis.
; n3 K: r1 d) O: T· To coordinate tours of the venues for potential renters.2 P; o+ Z! h, Q! P! ~+ y) e. I
· To promote upcoming events in the Horowitz Theatre through the 3 m, V# i& ]( k% [
use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities
( a! @9 E" o4 g
) t/ u; b3 Z7 }: Ua. To ensure, at all times, that the venues are adequately and cost- ! z0 t9 A- v% P: d- J4 c( T
effectively staffed, and that the staff utilized by or within the : z6 d7 |* T* ]) Z% R
venues meet the appropriate standards, requirements and needs, and 8 U p' t' q* ^/ }5 y) D
contribute in a positive way to the smooth operation and success of
8 ?' M9 c0 n6 n6 g# ^3 fthe renter´s events. This includes, but is not necessarily limited
; Z) ~+ N- E% c F8 p* b/ ]8 B; B! X0 Cto, the following:3 ^3 M( O- J3 o3 Y4 b X- H9 x7 g
· To be responsible, under the direction of the Manager of Venues $ A# U# s* v3 C! \/ Y) m# D M$ J
and Programming, for all staff issues including hiring, disciplining,
9 f0 i% A, X' M$ Y( hevaluating and terminating, as necessary., [% { v# o* A0 t% _' j7 D
To ensure that the Horowitz Theatre is adequately supervised at 4 \+ h- K1 {# _* a
all times, this includes the development and implementation of such
; @3 h: x$ t8 h1 d3 ]3 yschedules and rosters as may be necessary to ensure the effective and
( d! M: E7 i& z/ _, w Mcost-effective supervision of the venues at all times during which it
1 {. b3 R9 O) \ {is in operation or needs to be in operation.
" R! s" D4 ~9 {: H7 o· To work with the Technical Director, when necessary, to ensure 1 w, h3 O2 ]% X9 ~, f4 |; H; n
that an adequate and appropriate level of part-time staff exists to
( y( y a! ~: U+ e: \' i/ Pfacilitate the smooth operation of the venues and to ensure all
; r/ O _& I; J, R3 q. Vrenters needs are met.# G! j: S/ U5 p
· To work with the Technical Director to ensure that the skills
: }; o- H/ c3 r7 u C/ Tand attitudes of all subordinate staff are appropriate in light of
+ \4 T: I- {; k3 W2 Gthe roles they must perform. This includes providing adequate and 1 V- W8 k$ u. @+ q. k. M6 M
effective training (and re-training) in all applicable and , w3 f& G# ]4 n- R8 B
appropriate areas, and ensuring that the Policy and Procedures manual 7 j/ G6 u" V9 Z% ^8 s
is kep up-to-date at all times.9 U$ F$ i |8 r% m! k( l
· To ensure all staff are trained in and committed to providing

scheduling. To handle payroll related matters, under the guidance

· Working with the Manager of Facilities and Operations to ensure $ {) Z$ ?! g: I3 F7 N
the appropriate setup/tear down of each venue.4 x% f+ D" |) u# j$ u9 _; r
· Working with the Manager of Programming and Venues to ensure " P3 [7 Q! t' m& H% S, G4 m
that additional requests such as licensed receptions are arranged.* L f# N: A) @/ W0 b4 }

4. Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative ; T/ q6 H5 y# o6 o/ j1 i
systems and processes utilized by or within the venues meet the ( Q* _- F9 w+ }, ~' N. n
appropriate standards, requirements and needs, and contribute in a
H, i) Z$ t4 L8 Cpositive way to the smooth operation and success of the venues. This . O/ b; [8 S$ j# M# f0 G1 E
includes, but is not necessarily limited to, the following:- y F2 ~/ @$ `! E+ t5 \# N$ |
To provide input and expertise in the formulation of appropriate
0 H& R: X C- L! r( qoperating budgets covering the venues to the SU´s Manager of
& K; L9 [& h, |0 O e2 OProgramming and Venues and to discuss and refine those budgets
. n3 C7 I, |! w: u1 ~' E+ zManager of Programming and Venues, and Manager of Finance &
5 W) e D* e# r& @1 AAdministration prior to their submission for final approval.3 E% Y3 l. r1 V2 ]
· To manage the venues in a manner which adequately and effectively
# s4 p7 r0 `. treflects the budgets approved for the venues and/or which reflects
6 t4 l( O( S# y, N; c3 P3 r& _the best interests of the venues and the Students´ Union.
* b& m5 P* s0 u" u; v· To function as the key player in the submission of financial and
% z$ ^. z, |+ b' h- x) u' ]administrative documentation covering the venues to be used in the
2 Y4 h/ O' c( e+ ~4 zcompilation of monthly and annual financial statements, and such 1 ^2 h7 D8 s; @# @; v( _5 r7 r

· To discuss those financial statements and other reports, together

Administration with a view to determining and implementing action 3 s3 y. `! f2 c
aimed at improving the financial and/or functional effectiveness of ( ]' N+ o# N9 \8 N$ ], ~3 {
the Horowitz Theatre.3 N; X* K! s3 X; t) m A. v- A
· To ensure the existence of adequate, effective and accurate job ' m9 q, a. ~4 c) X) t: j
costing systems to be used in connection with the determination and 7 ^: E3 @, {" ~: m0 H0 j! w
setting of appropriate prices for rental and staffing rates for 2 w- l7 M* @: P i1 Q7 u, Y* U
events held in the Horowitz Theatre.
+ K+ M9 {) n B' j) @% u+ X" A: L· To develop accurate documentation to be used in connection with F F& ^. _ f- }
the billing clients, and to forward such documentation in a timely
5 F2 h4 L: X4 F2 z% c; l2 fmanner to the Accounting Department.( d3 X: H& H/ ^$ m) n+ m
· To recognize, address and handle all matters relating to financial 1 d1 v( v/ T: v0 x9 I; t
and administrative procedures and systems in a manner which reflects & e8 F# r* d# _) |; V( }
the requirements of the SU´s Manager of Programming and Venues and
9 d/ H" H5 A2 z7 ?# X3 vManager of Finance and Administration, and in a manner which
: \2 G3 h! j( H5 k: V+ _$ bcontributes positively to the smooth operation and success of the

a. To ensure, at all times, that the systems and processes used in : Z# c8 G$ Z8 y4 W3 c
renting the venues meet the appropriate standards, requirements and
$ ?. v0 e* q: rneeds, and contribute to the smooth operation and success of the ! j! K. t6 L, [% k0 z! C6 ]+ z
venues. This includes, but is not limited to, the following:
) h5 O, E* t% f. b, e$ B& b, K% _+ L! y9 F/ d3 h1 j
· To recognize, develop and set in place such rental procedures as , x5 n- P/ [9 m: x* k
may be necessary to ensure the smooth operation of the venues, this
6 y/ e2 r# l2 a( @1 b/ Dis to include but not necessarily be limited to systems and processes - y9 D0 H0 y+ J- ~) M
in the areas of contracts, inventory management, contract evaluation,
% E, w3 c& Y7 _. gpricing, costing, equipment usage, rental/contract invoicing, 8 A. }( y% I! R! a' f# N W: r
together with such other systems and procedures as may be necessary
, ]0 r1 d4 S8 p* @+ G2 zto ensure the smooth, secure, efficient, cost-effective and 7 o' c1 K& `1 W
functionally-effective operation of the Horowitz Theatre." Q2 w5 k+ q- z2 a3 n6 \, v
· To recognize, develop and set in place such operational procedures ( i W, Z3 o& y4 ~. s4 q
as may be necessary to ensure the smooth, efficient and cost-

· To negotiate rental lease agreements (contracts) relating to
. ~: N, h/ Z. a& h; `dates, rates, staff and miscellaneous charges.. q0 m! m7 j( y- L# }/ W5 o' e
· To ensure that adequate inventory is available at all times and
, D+ S. ]* Q9 R) `) ithat such inventory is stored and issued in effective and secure ways.4 `' J- a4 u7 n7 ~: C/ N9 ^& A) A
· To consult with renters as to facility issues in producing their
/ L: K6 d" ?1 `* G0 \* Aparticular event in the venues.
3 W) {' |0 {4 f7 y" Z* w, W· To provide the venues on-site staff with such documentation and
/ e& j4 H* F! J: f0 l8 Jsupporting information as it may need to effectively fulfill the + G: _" L9 O8 @& _# v
roles they are to perform to ensure the success of the renter´s event., T$ g, v# m. `: H% {0 N- Y
· To produce quotes in respect to staffing costs for a particular ! U5 S6 H( {, y M0 X4 y
rental with consultation with the Technical Director.
) P# b% B' J% R7 ?- T, B' g" b/ X· To ensure that all queries raised with the venues whether from the
( T9 K. C& P/ S! v6 C& l- WSU or renters, are promptly and effectively handled and adequately
. y' Z9 y( ~% r/ T8 qanswered, and to ensure that such action as may be necessary in
; r3 c& A$ w6 g" Q& }follow-up to such queries is taken in a timely manner.' k3 I0 }6 F( S' T& k
To ensure that the venues and its capabilities are adequately,
( t- }+ t" H+ U; ^ V' yeffectively and cost-effectively advertised and promoted, and that 8 B. Z) @* _' L. X' \ b
the cost of such endeavors does not exceed the budgetary provision
. J( T% S; C; @' ?( xmade for them unless prior approval is given by the Manager of * t6 g9 P: f( R3 K1 ^5 H
Programming and Venues.8 N3 a. M( `2 H
· To act as an informed and knowledgeable resource in the case of
( q5 ]0 v$ \6 E& I0 G5 i% P4 w- osignificant challenges and/or problems surrounding the tasks of
6 a6 B& P/ d. X+ d$ b+ ?marketing, administration, operations, and any such other matters as
' x+ X/ ~! O* _7 P/ z4 Ymay provide such challenges and/or problems.9 R6 x8 c2 I) k' A L% m7 A
· To attend such meetings as may be required to support the smooth . O# a" D, X* s) y
operation of the venues or the Students´ Union as a whole.

secure operation of the venues.

operations in a manner which reflects the requirements of the SU´s
