1. Space Roles and Responsibilities

a. To ensure, at all times, that the venues listed below meet the

· To ensure the day-to-day compliance of the venues with existing

2. Marketing and Promotion

focuses upon advertising and promoting the venue to faculty, + r4 w4 D( M; A) V9 n7 B; X, x. U
students, and internal and external clients on an on-going basis. . r: Q3 J9 f3 P+ q* T
This strategy will include implementing and/or delegating the following:
( [) _+ A T' C. r· To develop and maintain promotional materials, the Horowitz
4 J H# x/ r: d& \. OTheatre and SU Venues home page, newspaper and other advertising; to ; D6 _" ~/ T; a: I/ ]* z5 w
take advantage of other internal and external advertising & G2 }/ `, f2 h& K( x
opportunities; and to develop press releases and other promotional
1 a8 E0 _6 M7 H7 F: y0 Bliterature on an ongoing basis.
" ?4 ?2 i$ u1 B1 q0 K· To coordinate tours of the venues for potential renters.
& u. F9 m, A1 v, u3 c* s5 U· To promote upcoming events in the Horowitz Theatre through the

: t8 k) A& w z8 a( R3. Staff and Supervisory Roles and Responsibilities# X3 F" h1 q$ t. P; l

a. To ensure, at all times, that the venues are adequately and cost-
a+ k s+ s) k% n6 V" G0 neffectively staffed, and that the staff utilized by or within the 4 _3 y% e0 U5 W: z% k: t
venues meet the appropriate standards, requirements and needs, and
+ H9 C( B, n* Icontribute in a positive way to the smooth operation and success of
. _4 N6 b" J. I; n$ \7 t$ s/ ^; R& sthe renter´s events. This includes, but is not necessarily limited * I) k4 M& l1 \) U/ ?- W
to, the following:9 P' D }' S# F9 v8 l! i4 d, f
· To be responsible, under the direction of the Manager of Venues ( B. m5 r% Y4 m# ]* f2 |' z
and Programming, for all staff issues including hiring, disciplining,
7 \) b. O( n% O9 I: e- Tevaluating and terminating, as necessary.8 a. v) }* x# q% z$ \
To ensure that the Horowitz Theatre is adequately supervised at
; G5 v3 i$ B' w/ n$ b b4 d: f& \. m3 Tall times, this includes the development and implementation of such
' e6 t* Q% }/ ?3 v, Yschedules and rosters as may be necessary to ensure the effective and
. @2 @, l- a) C# acost-effective supervision of the venues at all times during which it 4 e* p( s; B0 m5 z0 U
is in operation or needs to be in operation.
6 Q' e& j* b' ?· To work with the Technical Director, when necessary, to ensure
( R6 O7 X ?2 Dthat an adequate and appropriate level of part-time staff exists to
t0 R6 R: t* y$ }+ Pfacilitate the smooth operation of the venues and to ensure all 7 b( _$ Z' d6 o3 O# H: }" w" D
renters needs are met.& I2 n4 ^% C- I
· To work with the Technical Director to ensure that the skills
& o& C7 x7 b7 k5 m8 b/ T2 D7 |and attitudes of all subordinate staff are appropriate in light of
" `- x* i6 c2 O, t: E, m3 D) tthe roles they must perform. This includes providing adequate and $ Z0 _! j' c8 D: X2 j/ c& q1 |
effective training (and re-training) in all applicable and / O, B$ m- `4 |$ g
appropriate areas, and ensuring that the Policy and Procedures manual
% L! ~! j* Q' e4 cis kep up-to-date at all times.
) w$ ]4 i' B' c. W: _) N· To ensure all staff are trained in and committed to providing 4 A8 {) F; [2 j. E5 x! b: ^( y
excellent customer service to all renters.1 @2 t, J8 j4 I$ B: b5 z
· To work with the Technical Director to arrange staff 6 f5 e% l, G, I
scheduling. To handle payroll related matters, under the guidance

% }# y$ T$ D4 G# `$ Fthe staff of the venues.

the appropriate setup/tear down of each venue.7 M- }5 f! t' x% G
· Working with the Manager of Programming and Venues to ensure

4. Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative
; v" s+ Z2 g5 T! M" S! Nsystems and processes utilized by or within the venues meet the + V( s9 w2 u2 e7 [& t( f
appropriate standards, requirements and needs, and contribute in a A" m2 M" k' v% x1 v/ z% K
positive way to the smooth operation and success of the venues. This / J; b: R. `$ v1 w# a$ Y
includes, but is not necessarily limited to, the following: U, ]1 ]7 y' T6 K
To provide input and expertise in the formulation of appropriate
! a p: o. n c* foperating budgets covering the venues to the SU´s Manager of
w8 Y, P/ ]2 F6 d( {% D$ bProgramming and Venues and to discuss and refine those budgets
# W9 J H3 X' Q5 d! |Manager of Programming and Venues, and Manager of Finance & % Y; w( K( c% ^( e2 k3 j+ n$ x
Administration prior to their submission for final approval.! d# n5 }0 k. [9 u- P: A. o5 F
· To manage the venues in a manner which adequately and effectively 2 m2 g) @5 m; u$ Y" C
reflects the budgets approved for the venues and/or which reflects 3 }5 P t( {! g
the best interests of the venues and the Students´ Union.8 v+ ]/ W1 \% u1 J. {9 d8 O- e
· To function as the key player in the submission of financial and
/ E& Q _/ F/ `9 [' ] o8 Gadministrative documentation covering the venues to be used in the
+ B- z7 w( o) h+ o+ mcompilation of monthly and annual financial statements, and such 3 M) [( U7 a7 l7 a9 t# e/ ]) s

· To discuss those financial statements and other reports, together 0 X- w/ o- }& M4 O# |

· To ensure the existence of adequate, effective and accurate job % P7 X2 k; O8 a6 s* B
costing systems to be used in connection with the determination and
) ?: A& w; V( n$ H3 m2 Gsetting of appropriate prices for rental and staffing rates for
+ @* s- ]' Q% {0 G+ F5 ?events held in the Horowitz Theatre. o2 ~7 p) g$ F- R9 t: ?
· To develop accurate documentation to be used in connection with
& e) `+ y: \) D; rthe billing clients, and to forward such documentation in a timely 2 ^# ~# y: n9 c! B( z- B4 h8 K: B0 f
manner to the Accounting Department.0 L! ?; x% G1 u6 ]
· To recognize, address and handle all matters relating to financial ; p* o- ~3 \3 Z
and administrative procedures and systems in a manner which reflects + A& B3 m- S0 h
the requirements of the SU´s Manager of Programming and Venues and
" l; G: _ r0 V' N+ L- A' t" AManager of Finance and Administration, and in a manner which
" k+ K) J3 a( a* _( `/ ~contributes positively to the smooth operation and success of the

a. To ensure, at all times, that the systems and processes used in
( D7 B& J; U1 _- i: R: S" i3 prenting the venues meet the appropriate standards, requirements and " R2 F& h" H/ U" |% k
needs, and contribute to the smooth operation and success of the
5 K% z1 M, w# w: [venues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as
, a& ^: {, Y4 Y+ W; omay be necessary to ensure the smooth operation of the venues, this - {9 O- \ ^0 W
is to include but not necessarily be limited to systems and processes
! f5 y: T0 W/ s& _in the areas of contracts, inventory management, contract evaluation,
6 i/ F3 t& t0 |" m# Dpricing, costing, equipment usage, rental/contract invoicing, & _8 y0 y) ?% ^
together with such other systems and procedures as may be necessary 8 b9 t" F1 l' i0 m2 J* M
to ensure the smooth, secure, efficient, cost-effective and / R- \) V2 `2 z
functionally-effective operation of the Horowitz Theatre./ A4 t- D& s' i, a
· To recognize, develop and set in place such operational procedures 7 b9 R. w1 V3 Z6 ^
as may be necessary to ensure the smooth, efficient and cost-
& X h5 o# X) G6 r x6 d% t, F% eeffective operation of the venues.0 p3 j4 {4 s; A* `
· To negotiate rental lease agreements (contracts) relating to
; x8 q2 Q9 c; l" V9 _$ i3 Qdates, rates, staff and miscellaneous charges.! L& w2 F' u! B' R0 P
· To ensure that adequate inventory is available at all times and
+ b0 y$ [. {5 ^that such inventory is stored and issued in effective and secure ways.! W, g+ u8 L& U: z/ R
· To consult with renters as to facility issues in producing their
& q2 \1 }/ E6 E% `9 a& O- Nparticular event in the venues.
( x& |2 h" N3 p. p* e. q7 w2 `· To provide the venues on-site staff with such documentation and
; n4 c d7 E( s+ T( X5 Z" jsupporting information as it may need to effectively fulfill the
6 X; F7 `- }/ {8 U. ^0 Qroles they are to perform to ensure the success of the renter´s event.5 M( c% R4 O; K& H* Y
· To produce quotes in respect to staffing costs for a particular
$ `7 _/ T; Y; i/ ^5 U' Y }rental with consultation with the Technical Director.: |$ b: Q: K* x$ S4 ]
· To ensure that all queries raised with the venues whether from the
- q# j& u% l% X/ pSU or renters, are promptly and effectively handled and adequately ) B, F7 V9 |, t K; q
answered, and to ensure that such action as may be necessary in % E; b& e1 g# F8 c) o5 c, K: ]
follow-up to such queries is taken in a timely manner.
' D- `8 u4 \) x To ensure that the venues and its capabilities are adequately,
* ^0 s- G- \% h1 D: [" _ @7 `effectively and cost-effectively advertised and promoted, and that
/ k' m6 O) J+ M) Q- ^the cost of such endeavors does not exceed the budgetary provision
( e- r( j9 G& }$ \; O$ J0 |8 lmade for them unless prior approval is given by the Manager of
3 }6 D* |7 i3 g F3 _Programming and Venues." z! x' O8 I: n& {& W
· To act as an informed and knowledgeable resource in the case of
5 H: A' l+ z5 [4 ?' M) ]significant challenges and/or problems surrounding the tasks of
- w- b/ T- g8 d( bmarketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth 6 G9 G6 w$ i6 p7 U$ `2 t' h! z. o

· To perform other job-related duties as may be required by the
