2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that + Y) p0 v! ?3 t' ~
focuses upon advertising and promoting the venue to faculty,
( s" m, k5 ~$ B5 u4 {) s1 Sstudents, and internal and external clients on an on-going basis.
b/ D0 d1 I: u$ R: q1 TThis strategy will include implementing and/or delegating the following:
8 j0 n: ?$ ]4 l% ^! K3 x) Y1 X7 \· To develop and maintain promotional materials, the Horowitz 9 s/ m( I8 v% l+ L, K+ I/ t
Theatre and SU Venues home page, newspaper and other advertising; to ' f, J5 a/ o- P u% |0 D
take advantage of other internal and external advertising
: s! `4 P; x/ {0 D0 c& Y2 vopportunities; and to develop press releases and other promotional + r9 e4 c8 T" B7 ?4 o5 ]
literature on an ongoing basis.
% l: |2 H) `- P2 ] J- Z. A* i9 @· To coordinate tours of the venues for potential renters.
9 L& b) i" ~4 G9 G0 |· To promote upcoming events in the Horowitz Theatre through the
/ Z+ s$ W+ B& ?/ D7 G3 c5 ^! I: ^use of the Horowitz Theatre Home Page and the SU Events Calendar. ?2 ~! J" H8 O- _) y1 j
· To develop new external clients for the venues.

( l7 h$ w& _3 ?5 @4 s ~3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost- 5 r& L1 h5 } b0 i/ b) z( k. L
effectively staffed, and that the staff utilized by or within the
4 l" ^# m: N# g& rvenues meet the appropriate standards, requirements and needs, and
3 m' J0 P! F8 \1 I Rcontribute in a positive way to the smooth operation and success of
1 W9 Y# K& |2 ]- ?the renter´s events. This includes, but is not necessarily limited ; D t) g3 R2 p" R. P# S, n# c( [
to, the following:( A' s4 Y# v0 p6 V
· To be responsible, under the direction of the Manager of Venues + Q. s4 L" A3 |" w) P, o
and Programming, for all staff issues including hiring, disciplining, * H+ j& s7 g; a4 d7 J9 A
evaluating and terminating, as necessary.9 I( L4 ]4 Z0 I' _/ T4 H: ]
To ensure that the Horowitz Theatre is adequately supervised at
v) V4 \8 J* g+ |* ]# qall times, this includes the development and implementation of such
+ R4 y- T# h2 M$ `, _$ D3 F8 R- |schedules and rosters as may be necessary to ensure the effective and # B; B' W; t0 h( J/ R
cost-effective supervision of the venues at all times during which it + t* r" }/ o0 ^2 [" F
is in operation or needs to be in operation./ O% e F: C* r
· To work with the Technical Director, when necessary, to ensure + I7 S+ s5 }; E# R: B. f3 E6 ^
that an adequate and appropriate level of part-time staff exists to
% u4 w# n3 b) [5 @4 O2 p! [facilitate the smooth operation of the venues and to ensure all 4 ? b& j( ^( `# u1 v: v5 r1 p6 C
renters needs are met.
! S4 a! y) Q; b- {3 U- p( S· To work with the Technical Director to ensure that the skills
; v8 D9 T& W& W+ V6 a- L4 Q. [and attitudes of all subordinate staff are appropriate in light of ( r+ \/ Z0 x" E0 W1 H
the roles they must perform. This includes providing adequate and
& L$ a' H c7 c: C2 g% H! v: N# weffective training (and re-training) in all applicable and
9 C5 E6 e( q5 ~* M6 dappropriate areas, and ensuring that the Policy and Procedures manual $ u1 A7 d, B2 E9 e; X+ l
is kep up-to-date at all times.

excellent customer service to all renters.% C% ^1 Z% K4 X9 o/ o- c
· To work with the Technical Director to arrange staff ) m" J- J3 i9 E3 o4 q- H5 L
scheduling. To handle payroll related matters, under the guidance
9 {3 ~+ {6 O* j1 @7 a+ eand direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Facilities and Operations to ensure

that additional requests such as licensed receptions are arranged.

systems and processes utilized by or within the venues meet the
% Q: N6 \* b |; Y S i1 rappropriate standards, requirements and needs, and contribute in a $ M7 n) q5 L4 L% \1 W$ {8 ?
positive way to the smooth operation and success of the venues. This : X' H* m, G9 b8 P, Z* f) i& X( p% o
includes, but is not necessarily limited to, the following:3 Q* W- H* V" n" r' `4 F8 f9 g! B
To provide input and expertise in the formulation of appropriate
% v( y$ k! h; N. Y* r2 R3 g$ `& Qoperating budgets covering the venues to the SU´s Manager of 6 N; R6 A* x0 E; F" k
Programming and Venues and to discuss and refine those budgets
' o# N% D( }/ m! ^# L& \4 SManager of Programming and Venues, and Manager of Finance & & u6 x$ I: R, H
Administration prior to their submission for final approval.$ x. P& D6 g, T' Y; g& N( D
· To manage the venues in a manner which adequately and effectively
! C) |: r+ ^/ y0 Y+ wreflects the budgets approved for the venues and/or which reflects
$ e+ `9 J' u$ Z5 n/ J1 dthe best interests of the venues and the Students´ Union.
7 l% S) {( c+ ]# x3 ?· To function as the key player in the submission of financial and 9 R# r$ I* z8 H$ L. u
administrative documentation covering the venues to be used in the
2 }, L. _/ [5 p! H+ x! K3 V; ~ Y' {compilation of monthly and annual financial statements, and such
# m# N# g1 `. k( yother reports as may be necessary.4 v8 @' [) m! \* N$ ^( l
· To discuss those financial statements and other reports, together 6 C0 y; |. ]0 {+ w
with all financial and administrative procedures, with the SU´s * q/ ]3 n) L; [4 c$ W

aimed at improving the financial and/or functional effectiveness of

· To ensure the existence of adequate, effective and accurate job 0 s3 B+ W0 T; \( L0 L
costing systems to be used in connection with the determination and

% g9 b. l4 m5 H+ C0 [+ Qevents held in the Horowitz Theatre.
' }$ V ]; ?6 h# M" |( I7 B! {· To develop accurate documentation to be used in connection with
, E; D0 Z, t% H( H2 l+ ithe billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial 1 O) g6 I q/ u) j
and administrative procedures and systems in a manner which reflects 1 X& Y( c" r" n! H8 {. D% a
the requirements of the SU´s Manager of Programming and Venues and : V! R( }4 s) P, P4 D
Manager of Finance and Administration, and in a manner which 3 M# Z: \% i# n* `0 B6 j# s/ V
contributes positively to the smooth operation and success of the

5. Overall Roles and Responsibilities! k9 A( T8 n C0 ]
a. To ensure, at all times, that the systems and processes used in 6 U3 B* }7 \/ L! x X% a" F' @( S, \
renting the venues meet the appropriate standards, requirements and
2 g% R5 N& ` v: d6 w7 z1 K+ \, x4 ~needs, and contribute to the smooth operation and success of the 0 g$ p6 z/ E' |8 ~7 ?
venues. This includes, but is not limited to, the following:

4 X1 A% B3 ~/ I# @* m& n, l% a· To recognize, develop and set in place such rental procedures as
2 [8 P& D# x) F# {) }may be necessary to ensure the smooth operation of the venues, this
{ t" K9 f4 |5 W) b. ]is to include but not necessarily be limited to systems and processes ; a) X! M9 D2 M8 ^. G" _6 ^# J
in the areas of contracts, inventory management, contract evaluation,
) ?' S# I- H7 n8 tpricing, costing, equipment usage, rental/contract invoicing,
: W) _9 E/ A' w* k; }; V5 Ctogether with such other systems and procedures as may be necessary ! |4 c/ j' u n9 ]6 J. _
to ensure the smooth, secure, efficient, cost-effective and 9 E% k! u! D% o/ i
functionally-effective operation of the Horowitz Theatre.
( J5 T3 n2 x6 h· To recognize, develop and set in place such operational procedures
* U, } t- K+ | o2 tas may be necessary to ensure the smooth, efficient and cost-
3 p/ ?) X6 o( @# F( X/ {# Ieffective operation of the venues.. ]; B0 B; n+ y* i4 o4 A! g
· To negotiate rental lease agreements (contracts) relating to 2 R& o l$ M$ b7 c: z3 L5 U) U- j
dates, rates, staff and miscellaneous charges.
0 k: ]3 I" @5 T& S* ^( C% ^ l2 Q· To ensure that adequate inventory is available at all times and
v. }- W* {8 `: X- J: qthat such inventory is stored and issued in effective and secure ways.
2 Y- i7 T4 F% I5 ?8 a5 a· To consult with renters as to facility issues in producing their
- z1 j, x& {0 z8 U9 r+ t; J( oparticular event in the venues.
: O/ X7 P. o" @· To provide the venues on-site staff with such documentation and
! `% }. M5 F# ^/ {$ t0 L! Zsupporting information as it may need to effectively fulfill the
0 E$ P- H- m* B3 J- Vroles they are to perform to ensure the success of the renter´s event.# i1 a* W5 W0 O- t& Z, B0 |
· To produce quotes in respect to staffing costs for a particular 7 r* G; S4 B [' U
rental with consultation with the Technical Director.2 O. [2 _6 G9 h6 k% `5 K: T
· To ensure that all queries raised with the venues whether from the
4 }8 `% c! q, _; [SU or renters, are promptly and effectively handled and adequately 3 ^# }4 H0 [8 R# x B% q8 y
answered, and to ensure that such action as may be necessary in 2 D* l7 j& x1 C( F
follow-up to such queries is taken in a timely manner.
6 H7 e% x' `9 b To ensure that the venues and its capabilities are adequately,
0 e. A1 C$ r6 j6 y$ j8 ~/ ` \0 y# | ceffectively and cost-effectively advertised and promoted, and that + n( }$ `) H# _8 a7 k1 W
the cost of such endeavors does not exceed the budgetary provision & c" l' A; [; t0 R, B4 T1 x
made for them unless prior approval is given by the Manager of
; X1 R" T7 S5 S4 j& j' \$ kProgramming and Venues.
: B+ \0 k+ O2 [· To act as an informed and knowledgeable resource in the case of 0 M$ L: T2 A- _! N8 d
significant challenges and/or problems surrounding the tasks of
: i+ ^( k# q0 omarketing, administration, operations, and any such other matters as
0 O$ C& K2 L4 ?$ a8 t) emay provide such challenges and/or problems.7 D: |! q2 ?0 E7 \$ c. a! K# V
· To attend such meetings as may be required to support the smooth
( Y! k- G& a1 G B; H& v1 P, k" y9 Y/ ^operation of the venues or the Students´ Union as a whole.
