The Operations Manager - Venues and Programming will operate with a  5 J( C/ l5 v/ @# Y! e
direct line reporting relationship to the SU´s Manager of Programming  ! g8 ~& W' z5 G  C

The duties of the Operations Manager - SU Venues are diverse and  : }, c0 Y4 S% ^+ G6 I
extensive, and are targeted at the all round smooth operation and  / v* K* ~9 ]& ?- j5 z. v& Z
financial and operational success of the Horowitz Theatre as well as  
! ?4 t$ b  j1 U2 e9 G# }the logistical organization and smooth rental of the additional  1 W% y" _3 B) C, y( |$ y; P( m  |* ~6 p
venues within the realm of the Students´ Union.  In the light of that  
0 t: c- w0 |, E1 r# Rbreadth and complexity, it is not possible to fully define or  
2 O0 Y3 R5 Z$ A. f. ?, O! `8 idescribe all roles and responsibilities in a document of this kind.   
5 B$ I! R0 B& C7 X5 {$ jHowever, the main roles and responsibilities of the Operations

) q( F! d0 _' q; u9 P  c9 dappropriate standards, requirements and needs, and contributes in a  
6 x9 i* l, o# P# k4 F9 V! Kpositive way to the smooth operation and success of the individual

·     Myer Horowitz Theatre

·     To plan the capital and supply expenditures to meet the  ( V& s  J2 s  B/ U2 Y& b% L
production and facility requirements.
* V& b% Y+ e/ c4 j) b0 K·     To ensure the day-to-day compliance of the venues with existing  
+ c) Y& q5 L6 Z* F& x& Fsafety regulations and building policies.# L' x$ U5 `  |  U
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
# A) E7 d5 Y! x4 F' O3 D, {/ U# e2 {, p4 X1 j, f
a.   To develop and implement a marketing plan for the venues that  
( |' _7 F, N5 hfocuses upon advertising and promoting the venue to faculty,  
0 l: M* p1 ~% ]2 Y, kstudents, and internal and external clients on an on-going basis.  
7 C6 |- D( [6 W! a. N" A0 u, K0 [This strategy will include implementing and/or delegating the following:* B; s) t! ^' W, ?* J: E! m/ e
·     To develop and maintain promotional materials, the Horowitz  ; A: d6 m8 O$ O1 H. N7 ~
Theatre and SU Venues home page, newspaper and other advertising; to  8 P! X0 Y2 W' \4 ~5 W7 ^% O* _# U
take advantage of other internal and external advertising  1 u- |1 `5 Q' q8 ^& i- F* ]
opportunities; and to develop press releases and other promotional  
) w4 {% Z+ t8 s  k) H/ t$ Q3 W( B) gliterature on an ongoing basis.0 h3 n( U5 N" W
·     To coordinate tours of the venues for potential renters.9 N& K+ ]9 y9 ?: ^" I0 G" j
·     To promote upcoming events in the Horowitz Theatre through the  
7 v) Q' _. O* Z: Zuse of the Horowitz Theatre Home Page and the SU Events Calendar.
5 U, q4 i/ S! V; {·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities
% k) s2 V# y6 A) |- ?# V8 ^  o4 o. c% |- Z# t
a.   To ensure, at all times, that the venues are adequately and cost- 9 N! h/ w* t9 `( C$ X: _
effectively staffed, and that the staff utilized by or within the  4 ^- K" \3 j3 }- x% V8 F7 v! C
venues meet the appropriate standards, requirements and needs, and  ( o/ a$ F  }* E  e: K
contribute in a positive way to the smooth operation and success of  / a& a: r5 m! A$ i, c# M9 U0 c
the renter´s events. This includes, but is not necessarily limited  ! _- B/ N9 o+ L: C: C* i- V
to, the following:2 i+ i- T! `* [# M& C2 h0 J
·     To be responsible, under the direction of the Manager of Venues  
( G$ F3 }2 y) N4 O( |8 j; a5 zand Programming, for all staff issues including hiring, disciplining,  
, s5 S9 B. Z& {6 c$ C9 D6 Y2 f, ^/ Eevaluating and terminating, as necessary.7 y0 R. G/ g7 e0 P3 P# `: W
To ensure that the Horowitz Theatre is adequately supervised at  - A) x6 ~! F1 R
all times, this includes the development and implementation of such  * t$ z+ O/ j+ R' I' d! {
schedules and rosters as may be necessary to ensure the effective and  
4 x" a. `4 W2 }5 E; |- @cost-effective supervision of the venues at all times during which it  
* ~4 u( n3 \# I6 [/ S8 bis in operation or needs to be in operation.
' H% _4 x( ?- h0 O·     To work with the Technical Director, when necessary, to ensure  - U3 o9 Z6 m3 H) l
that an adequate and appropriate level of part-time staff exists to  $ ?  H2 @! K  _+ a& M4 F
facilitate the smooth operation of the venues and to ensure all  
5 D" i" [8 q/ C0 H$ {* jrenters needs are met.
& X% L  P4 p! q·     To work with the Technical Director to ensure that the skills  
# u: _7 c, M- l! w0 ?and attitudes of all subordinate staff are appropriate in light of  
+ [6 n2 h3 U5 L! x# z, g( zthe roles they must perform. This includes providing adequate and  ) A1 h, ~! P7 w
effective training (and re-training) in all applicable and  # U8 K7 `( ~- Q9 }
appropriate areas, and ensuring that the Policy and Procedures manual  - y) C  X' Q  s2 ^/ k$ Q
is kep up-to-date at all times.- P, U+ P* v- V6 C4 X) g8 x& A+ M
·     To ensure all staff are trained in and committed to providing  
5 w* d1 L3 R  @: Mexcellent customer service to all renters.
" P4 v& c1 d: O5 F. a, I8 b6 c8 n( U·     To work with the Technical Director to arrange staff  & m/ t* ]5 W+ b  Z* k$ i0 }. Y
scheduling.  To handle payroll related matters, under the guidance  2 `5 _+ g8 t. d) b
and direction of the Manager of Venues and Programming, concerning  4 P1 v8 \0 P9 j( ]' b
the staff of the venues.
  o+ `' O" m+ K( }( u·     Working with the Manager of Facilities and Operations to ensure  
. \1 h, |3 k" y, e  l; [the appropriate setup/tear down of each venue.9 i1 R+ I& v# ?, K
·     Working with the Manager of Programming and Venues to ensure  - z; \6 U1 [# Y8 j/ a0 n
that additional requests such as licensed receptions are arranged.

/ ~3 q* ^5 p% S4.          Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative  . @  p: q: w; L; j
systems and processes utilized by or within the venues meet the  
3 d1 W. o3 ~% N# O/ U/ o2 z7 m; i7 rappropriate standards, requirements and needs, and contribute in a  
3 [! n1 j4 n( _  c: q+ U- _5 G0 M1 ppositive way to the smooth operation and success of the venues. This  1 \0 f+ ^* [/ ]8 o# e
includes, but is not necessarily limited to, the following:$ _8 D0 g1 x; O; ]
To provide input and expertise in the formulation of appropriate  
) y0 Y) U0 X4 a  A+ Qoperating budgets covering the venues to the SU´s Manager of  
8 D" E8 j0 O) M6 `7 O& fProgramming and Venues and to discuss and refine those budgets  8 I/ ~0 L% b" M( F4 \4 d
Manager of Programming and Venues, and Manager of Finance &  $ m) e" N- e3 ?4 Z, z: g
Administration prior to their submission for final approval.
" F; I" ^$ f3 n/ F) x; p9 `# p·  To manage the venues in a manner which adequately and effectively  
; E! y3 V# |7 @% l0 R+ c# Rreflects the budgets approved for the venues and/or which reflects  
. e' l" z$ ~/ x& rthe best interests of the venues and the Students´ Union.' Q1 o* g9 p8 g* T) S0 r
·  To function as the key player in the submission of financial and  
& D0 f& f; S+ ~& n0 A% D3 Yadministrative documentation covering the venues to be used in the  5 p+ f" f: x# M
compilation of monthly and annual financial statements, and such  3 {0 O" C) u! b8 A; c& Y. C
other reports as may be necessary.
/ V6 @7 b* S+ F·  To discuss those financial statements and other reports, together  % O1 a4 }3 b9 c9 s
with all financial and administrative procedures, with the SU´s  " T) f7 g0 O: C4 h
Manager of Programming and Venues and Manager of Finance &  " p& Q6 c9 ^+ q5 F! U
Administration with a view to determining and implementing action  
! `: y4 l, R& @7 q) Raimed at improving the financial and/or functional effectiveness of  8 i6 C( U6 s$ j7 l; @9 e
the Horowitz Theatre.
+ q. k+ C4 }9 \5 s0 G, k·  To ensure the existence of adequate, effective and accurate job  $ R" ^+ }( y  q0 Y9 F8 k
costing systems to be used in connection with the determination and    j/ u; Z: m1 p& G1 \" x5 s* I
setting of appropriate prices for rental and staffing rates for  # ]! R) ]" q/ |) ~3 N3 j6 T
events held in the Horowitz Theatre./ u  R2 l. [  }
·  To develop accurate documentation to be used in connection with  
: a; [( M/ W# a  Fthe billing clients, and to forward such documentation in a timely  
! z/ P2 g: p1 B: x# W( cmanner to the Accounting Department.
' b+ r% G1 S6 Q' y& ~  \0 }5 g·  To recognize, address and handle all matters relating to financial  
3 ^! |, c1 i. o% q" V8 `1 x% |% dand administrative procedures and systems in a manner which reflects  
+ A% {7 k2 u2 k* f9 ^- ]the requirements of the SU´s Manager of Programming and Venues and  
8 O$ b1 W1 ^1 k9 E5 y5 gManager of Finance and Administration, and in a manner which  
% y- [  U- j3 C. G3 `7 S# y, Ccontributes positively to the smooth operation and success of the  2 T! R/ H) {4 q9 G
venues.

3 l' }  h; Z% \7 e+ k  c% j- T5.          Overall Roles and Responsibilities9 C! B( H. o  X$ f) B
a.   To ensure, at all times, that the systems and processes used in  
. a) r; P  g/ Y; E5 w6 Lrenting the venues meet the appropriate standards, requirements and  
5 ~4 w1 a' x9 r: aneeds, and contribute to the smooth operation and success of the  / P: N3 f- M1 r0 q2 z/ e
venues. This includes, but is not limited to, the following:" e, w- e5 f  Y  v  _5 [

8 J) \% C8 t! h! I·  To recognize, develop and set in place such rental procedures as  # x1 G% p! y7 `- X/ i
may be necessary to ensure the smooth operation of the venues, this  # P6 H1 M2 C6 F
is to include but not necessarily be limited to systems and processes  
5 U& F2 c% Q  q9 z8 P! `in the areas of contracts, inventory management, contract evaluation,  $ _6 x) Q" H* q& j) q
pricing, costing, equipment usage, rental/contract invoicing,  
& a  k+ P! s! {. Qtogether with such other systems and procedures as may be necessary  
* Z  [- ^: Q+ F' w' {to ensure the smooth, secure, efficient, cost-effective and  
9 _0 j# V3 p! vfunctionally-effective operation of the Horowitz Theatre.' t4 z' k( H  p3 M% }) O  i
·  To recognize, develop and set in place such operational procedures  
; b! D  [7 ]4 o: t- kas may be necessary to ensure the smooth, efficient and cost- 2 C6 B) k5 z2 }+ ~$ x2 D2 N: Q
effective operation of the venues.) a. Q1 w: {3 K% T
·  To negotiate rental lease agreements (contracts) relating to  ' z9 I+ {/ i7 A3 E
dates, rates, staff and miscellaneous charges.
5 k: E* U# s; |. a9 {·  To ensure that adequate inventory is available at all times and  
$ N1 O/ G& V: hthat such inventory is stored and issued in effective and secure ways.
1 R0 e  \# a  C( j·  To consult with renters as to facility issues in producing their  ; k3 K+ G& |: l1 \8 n4 [$ ]) ~
particular event in the venues.
; [) q4 b+ c+ O) m0 {6 c·  To provide the venues on-site staff with such documentation and  ' j! b  `! O' h7 R* |
supporting information as it may need to effectively fulfill the  ; _; t: O5 z  @; S' ~6 |
roles they are to perform to ensure the success of the renter´s event.
$ j9 Y- S& B/ ~·  To produce quotes in respect to staffing costs for a particular  " p' _4 o6 l  J* v) Z" I1 N) }
rental with consultation with the Technical Director.
- k0 f  e1 D$ }1 Q·  To ensure that all queries raised with the venues whether from the  
/ o9 w  @! `$ |( O# C- U5 PSU or renters, are promptly and effectively handled and adequately  
, @; S6 b( `4 m" A2 `" @3 p. ?& g* {answered, and to ensure that such action as may be necessary in  
8 }1 R) t( P1 q: l$ Jfollow-up to such queries is taken in a timely manner.
( h0 l+ J. A3 c- e& _ To ensure that the venues and its capabilities are adequately,  
1 h/ A( |- J( J' t6 g8 r% weffectively and cost-effectively advertised and promoted, and that  ; T2 X8 ]2 A- g3 K
the cost of such endeavors does not exceed the budgetary provision  
* y; [* t1 |4 w8 K  Gmade for them unless prior approval is given by the Manager of  
! h, u& q& J$ ]! n. Q4 T. F) LProgramming and Venues.1 h3 E1 u6 n! V0 Z6 g1 |
·  To act as an informed and knowledgeable resource in the case of  
* w* t7 J6 Z- X) ^0 o% K* s, S8 r! vsignificant challenges and/or problems surrounding the tasks of  
) A& k1 l3 ?3 `3 N* Imarketing, administration, operations, and any such other matters as  
8 F! y" q2 w/ p6 ~" amay provide such challenges and/or problems.# f+ |5 U; W" t3 d+ F" ~+ O5 C
·  To attend such meetings as may be required to support the smooth

Manager of Programming and Venues in order to ensure the smooth and

1 p+ S' j3 M. ^! H2 roperations in a manner which reflects the requirements of the SU´s  
# e: n; ]4 \- tManager of Programming and Venues, and Manager of Finance and  
7 u  A. ]% g7 W3 j0 E; i  W1 H6 y5 nAdministration, and in a manner which contributes positively to the  
7 F+ o" }' e# ]* }smooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:
; M) s$ N; Z+ U( J# @- f1)             Minimum two years related post secondary education, or  
% `; T" ~1 ^6 J; Z8 S6 ~4 Aan acceptable combination of education and experience.
