The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:: L2 @3 w; n* g! J* n* g9 {& m
$ v# ?; x2 j2 V3 c' k( Y: KOPERATIONS+ l/ w5 M p e9 n! o
• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.& M7 U8 Z- z, x9 f- M
• Assist in development and implementation of policies and procedures for volunteer services.; T6 V* Z7 [# I
• Maintain the volunteer files and update the database using Raisers Edge. f+ x4 e, V+ }3 v( f6 w. p
• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
/ U1 n6 F' o2 _) D7 ] M• Develop and implement a comprehensive volunteer recognition program.' G6 l/ Y, V- e3 c' U, p9 B) [; j
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
8 \& S7 Z2 b; }% j$ q• Identify and implement best practices in regards to volunteer development.
$ u/ K4 [1 {# D. d& g8 ]! D3 c) P3 ~• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
9 r2 }. {2 X6 D+ m- ^, i! I• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required- Q& M% [( e( W, c

• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
8 A& d8 q; N4 p: f• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

• Develop and maintain job descriptions for each volunteer position' O" q& M7 `# c2 {5 J3 m3 z& }
• Maintain secure volunteers files in accordance with privacy legislation
6 b9 R& P% v. M6 c* t8 V• Provide feedback on volunteers’ performance, as appropriate
" _7 u2 V3 G; r• Ensure Human Resource policies and procedures are adhered to within the department, l; @9 z$ b1 a* W6 {9 Z" ^
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
# t8 l* S9 ]6 i3 p/ I5 n( T9 }- C• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency

• Maintain monthly and yearly volunteer statistics for reporting purposes, Q% e' o' N. U8 o6 z
• Prepare a regular monthly program report( c) `- r8 @+ m/ f& E

• Ensure the program operates within approved budget and be familiar with potential variances, C# u7 p, ?* M; J
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required) x9 i% o$ P7 E9 X
2 `& x+ J" T8 _* ~8 MINTERNAL/EXTERNAL RELATIONS# D; s" G5 V; H4 u9 Q- H
• Act as liaison to the Y-Knit group of volunteers' c! r; n$ }9 [2 z
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)6 i, b2 B5 @% v6 q! p2 s
• Follow up with correspondence to outside agency volunteers as appropriate
- V+ K6 \( F/ P8 ]4 P• Attend external functions such as volunteer fairs, trade shows, and special events as required# v: H! {5 M8 V( H1 o7 a1 z

Qualifications:. K/ E2 z# q3 u" P; X

• Minimum 2 years experience in Volunteer Coordination$ p( ~9 h- w) g, \! Z! k/ b7 d
• Excellent organizational skills and multi-tasking ability1 P* i3 i7 J0 T6 ~2 e) Y
• Demonstrated superior volunteer supervision skills
9 C( L6 e" V: l' D' k4 C/ K• Collaborative working style and excellent interpersonal skills
1 D8 n) h' }6 J" V• Ability to work to meet deadlines and to work under pressure
/ R) w8 m! j1 m4 K6 U) F2 f• Ability to work in a team-based environment, with cross-functional work teams on projects 3 Q9 S9 ]; i% u8 s
• Sound judgment and ability to maintain confidentiality
