The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

# C" V4 }3 ?8 q4 `4 ~, c• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
' y2 z" Y' y: r! z6 P) w# A2 u• Assist in development and implementation of policies and procedures for volunteer services.
; B8 b. W/ q3 h6 d" x: p) I: T& S• Maintain the volunteer files and update the database using Raisers Edge
8 _/ Y( a0 `/ m) V' t- j" z- K5 E• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.+ Y) n0 R1 |2 J f8 W+ |3 n
• Develop and implement a comprehensive volunteer recognition program.
* e! }8 T; r! ^8 u) X4 N7 o$ k• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.3 E* W& n1 e- R6 k
• Identify and implement best practices in regards to volunteer development.
/ A/ r1 y* S9 ?• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities, |3 L. A1 Q5 ^4 g3 f% D/ r
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required% j8 Y! H1 n8 g+ r9 f4 }

SPECIAL EVENT PLANNING
% N0 \6 K! J, T- m6 i• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
6 s5 W. R- r6 X$ C* `1 f• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up3 ^3 N/ J: Y% S

ADMINISTRATION
$ z0 z: S/ l) r# f8 t" m% {) j& @• Develop and maintain job descriptions for each volunteer position
. x7 F! w% t# \$ m* Y- C% }! T• Maintain secure volunteers files in accordance with privacy legislation
7 e& ^( R: f; d& o3 X• Provide feedback on volunteers’ performance, as appropriate
" R; z7 Y9 B e# M- q• Ensure Human Resource policies and procedures are adhered to within the department
. E3 T9 j; w4 ^6 R/ h; c1 Z• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
* e3 ^) u& A+ u8 c5 q• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency# M& d5 j7 ?( R* P! n! ^$ \1 _9 k
• Develop resource and orientation materials for Volunteer Services2 q4 {9 |- D( a S
• Maintain monthly and yearly volunteer statistics for reporting purposes& ?" E* u0 }! i9 q( l" a
• Prepare a regular monthly program report

• Ensure the program operates within approved budget and be familiar with potential variances
0 `4 N. I. D' {0 J• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required3 j, d% R; Z, ]4 q
( g. L- V2 Q! P; T+ nINTERNAL/EXTERNAL RELATIONS4 H6 J, y8 ^' j/ {1 e
• Act as liaison to the Y-Knit group of volunteers
8 e2 m, K9 m! I; @7 K• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)' x6 H# j" [8 H1 Y# F
• Follow up with correspondence to outside agency volunteers as appropriate
" S7 X+ N5 [/ X4 _0 _• Attend external functions such as volunteer fairs, trade shows, and special events as required, p+ c. k1 V0 X6 k2 I

, n6 d: p; `" ]! J2 ]9 P V• Minimum 2 years experience in Volunteer Coordination$ X( f+ ? m0 ?$ A0 V
• Excellent organizational skills and multi-tasking ability
; U* L4 | l5 s% p6 l( s8 n• Demonstrated superior volunteer supervision skills f9 }8 U' i+ D7 e- b9 Z4 w
• Collaborative working style and excellent interpersonal skills
9 s% K4 ^1 J4 P• Ability to work to meet deadlines and to work under pressure; N% L, A, c ~
• Ability to work in a team-based environment, with cross-functional work teams on projects 1 ]; R6 x$ l, _- j' [
• Sound judgment and ability to maintain confidentiality/ g+ `# E+ \6 D3 D9 w+ C# n
• Knowledge of Raisers Edge software would be beneficial
