Job Duties / Responsibilities
9 i1 d7 \. R" o- d; H/ ?% F; M, l• Preparation of meeting agendas and taking minutes as required." F; q2 H' N/ f7 o$ x- |
• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.
5 U* a( H3 J3 V; v9 K; S• SAP match reporting and monthly management
) k6 U7 J8 \! V3 H! M+ [5 k• Responsible for coordination and organization of office needs and supplies.2 W+ Y* p, U, r& D  L9 H
• Organization of company functions/luncheons as required.7 g0 d7 G# R5 W8 B0 Q# l
• Coordinate network ID / requests for new hires, internal orientations.* A$ j" h$ b$ B" ]. ]3 u
• Train new Visa card holders ¿ Visa Administrator.
: x5 U1 h1 e, R' c' u' G( \• Preparation of Monthly Visa Statements.
9 k) |  A8 z7 X' K• Order business cards as required., N' C2 S' F. O4 Q
• Maintain contact list, employee files (including expenses)
( J+ a2 r2 k# O; E• Prepare travel approvals, books accommodations / meeting rooms / luncheons.
/ t0 t0 ~3 F/ k/ Q+ Y2 d0 l7 K2 i• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking.$ n1 @4 h) I& D  p; H; g; M& U
• Vacation relief for other administrative staff.  G8 m7 X1 T) W2 Q1 _
• Preparation, organization and record keeper for Maintenance Department training
* Z3 B! M6 u8 B
( g/ N- V, u# b3 m# W" E6 D2 |* |8 t# X0 p
Education / Experience$ J1 R% [+ h) D9 Q/ u
• Grade 12 or equivalent
# a' I# M/ ~/ B• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)1 \/ u# p  Z- w) J& t
• 3-5 years of related administrative experience5 i/ n, n5 r, [( H
• Keyboarding Skills ¿ 50 w.p.m or greater
  k: W; K/ O. p6 R• A high level of discretion, confidentiality, and reliability is essential. . H3 \0 ^* t0 o: |
• Attention to detail is required.
4 k+ h/ F' X5 l( S: W! L3 f• High level of customer service skills is a must.
& g  z8 H, ~7 o• Good planning and co-ordination skills.- C; q5 }4 k% W# O6 q3 L* F
• Shorthand/Word processing skills.
7 |! \  [! i, W) N• Business Administration Diploma or relevant certificate would be considered an asset.
