Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

1 {& n' h* M) l' }CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns./ F3 ~, \( S9 U0 ^9 s% t

- Z1 T8 K$ c/ i; D( SKey administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.( s8 u# u0 o  R3 ?+ Q1 A- n

• Complete data entry in various programs.

, G7 E6 C; }  n  q! w" t• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.6 x) G1 `! k4 x# h' |4 ^+ N3 Q

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual., b( z& X" }: r  P, M

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.& y' t) U( w0 t7 s5 I

  m! h( h3 Y* q, k2 T& ]! y2 y• Support effective internal communication by recording and distributing all meeting minutes.

* D$ o& H. b3 |1 W• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.) B3 b+ Y* A9 v! `+ o

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Support management of online publicity and communication tools.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.9 i6 ^. h8 o& }% J1 n

• Manage database and support distribution of print publications.

) ~& ?# y6 t. {& U+ R* O9 n5 }• Provide administrative support for public engagement events and mail outs.

$ l# l% f7 K+ ?: A• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.& i0 V+ c3 d: f* Y+ H3 k

Fund Development+ K3 X: @- _% V$ J1 V1 E: d

% r1 \8 M# @$ Z+ }• Provide logistical support for key fundraising events such as silent auctions3 Z  T6 ]! [/ z' L, a% @

9 a% G" a, C) Z0 K• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
) V# V2 W$ J3 `1 i& Y; q
7 m7 u' y9 x2 A6 @9 f• Support logistical work required for CFCA’s Annual General Meeting

1 I7 s* c0 s- u6 z• Assist in administrative tasks related to donor recognition and event reconciliation as required.( v  B5 P( E2 B' I4 v7 m: G( G4 t4 o4 R

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009., O7 \9 _& q+ ~- H
