Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.) H. S$ k- b' K4 v- \) v8 `

Key administrative duties:

6 V6 B( W* i0 p7 e, d$ ]2 p2 V9 B• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

0 A( u1 z  k7 |5 X• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

, n1 O1 b$ i: i; c2 |4 o• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.  A' l$ P* V, \; U

• Manage office technology software licensing and hardware maintenance.

# Q8 P9 G/ ]% D( P• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.* |* ~4 E8 E8 t% {( ?" y9 v

• Manage mail outs for fund development or education purposes with support of Program Managers.9 U/ j! n" C. q

Key program support duties

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

8 V7 p5 @0 j) z6 W• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

( Q- W. a! {/ ?# F• Compile information packages for fundraising and promotional purposes.1 Q! G; v; p5 j( v3 @8 C% U4 ]4 j

• Manage database and support distribution of print publications.! N2 d3 L2 q5 _; g; d3 x

( C+ }. A; E) x& e• Provide administrative support for public engagement events and mail outs.

6 ?- F$ }& A0 W$ H) ^• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

8 P8 V! [. t' Q9 U* g• Provide logistical support for key fundraising events such as silent auctions/ P1 g2 G* {4 w$ ?8 K% d

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

* O, ~4 |0 t( d7 Y! d4 H! C• Assist in administrative tasks related to donor recognition and event reconciliation as required.

* X- U& ^% f* m' @9 `: @Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
