Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.* ]5 I& `, A3 J# L# z

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.2 S  X/ i% \/ Y$ T& ?

Key administrative duties:

2 x8 E4 w; ]+ Q9 h1 u• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.8 o& m6 a2 b& a3 Q4 m

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.& m0 G" ~9 R4 r6 [/ f( u

! D# r1 c- I, i9 f3 l• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.0 S8 \( N! E! D! b7 y

: c  ^+ E+ ~; ~" d• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.: S3 e  e( x7 c" b) B, i

• Perform financial administrative duties as required.

! X8 W0 y* b+ V3 p) e* e: e: c• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

1 K7 s$ ~8 E2 R• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.9 v! B# _9 j' w/ a8 p

• Provide administrative support for public engagement events and mail outs.* p0 x6 x. X( m  f3 n5 n

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.; X5 z" e) T; d. J' n! j; k7 w  v

8 r* z1 K' O& ?0 d+ W' i• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.% L9 C4 {* L: B6 }- X# S

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.7 S& f0 u# J7 a% @9 n3 }. f0 G( u8 J: w; u

• Support logistical work required for CFCA’s Annual General Meeting

/ Q' {- d8 m5 a* {$ R- S8 ^• Assist in administrative tasks related to donor recognition and event reconciliation as required.! [- h3 D) q7 t8 l+ l' r

7 ^! F" z9 d" L! BSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
