: m: ~+ ~) I, A' O7 h0 Q2 XChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.0 {; f% d9 X' E; ?7 U

Key administrative duties:

; q5 g( ^3 u) L% v/ Q$ Z, b• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.: v' P# f$ J+ G% X7 e# c+ J

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Support effective internal communication by recording and distributing all meeting minutes.1 J5 ~0 Q1 ]1 a9 r/ {0 B

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.# N6 ~( v2 v+ P. l2 g+ M9 B& o7 M' g

. o- N. {" b) K7 E1 ^6 b• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.. I4 F/ Z0 v. p5 ^1 S

• Support the management of requests for CFCA information and resources at public events.8 a4 t% i5 n# M. ]4 B3 L8 R. H. _. m

• Provide administrative support for public engagement events and mail outs.: q6 l* p" x5 m, g( E$ B$ I

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.5 K. E% r* j$ O  U$ \

Fund Development
6 B) N, L% `0 u5 C) B% c5 n- ~' M+ J' V/ l* ^8 i
• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.0 T* d3 T0 ^, p: D

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

/ n# `/ [! h; e. p• Assist in administrative tasks related to donor recognition and event reconciliation as required.

9 s6 y) d% \6 x0 b! oSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
