Position Title: Administrator

General administrative, clerical and operational support for the branch - broken down into the three categories below.% A2 M* J B' a/ T8 N" v
2 X( Y/ ]( N/ Q5 S r3 w
Accounting and Admin:) V8 ~6 W I8 v0 M; r, P$ ?
o Assist with generating new S.O.s, W.O.s and P.O.s.* N4 I% w8 {9 g& x4 n
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
4 d1 ?+ i; m% w9 \# |7 k* r2 U: Do Receive P.O.s in Glovia.
5 C) @1 s, f" C: ?o Timesheet data entry for Glovia and payroll, on a daily basis.
. j4 ^. @) V5 `' E; }( |o Coordinate the processing of new employees with assistance from HR department.& n' u9 B/ J+ w
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
0 a9 p! j1 @, _: s5 No Forward supplier invoices and backup detail to A/P for processing.
' B1 W" ?! f1 s2 a0 io Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.( j0 s" `8 c* m5 C" h6 U; A
o Processing of Visa and/or MasterCard payments.9 N2 W. u& h/ Y. L( |* T
Operational:
# L; C2 i) M. s+ I9 B/ Y: b, Z2 ~6 M: `o Maintain a customer database for use by all branch staff.! C* K7 k1 L7 b% Z% [& K. D
o Input customer data into Goldmine (when Goldmine is implemented).
& Z. Y# d4 @; h1 J8 _9 J8 Ho Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer., _: Z) I* P% i' ~' b/ M
o Maintain service records and maintenance schedule for all company-owned vehicles., B e, {8 f) H% `
Clerical:5 m, ^. `! u! _- o$ P+ `) `
o Telephone and reception.5 T0 b, f; q! _
o Back up tapes, weekly, for branch server.+ }- a8 z- ^* R2 \0 w$ f
o Hotel and travel bookings.
- f" B: A0 f2 n* c" ^o Maintain inventory of office supplies and replenish as necessary.& x' c# R1 y+ ]# f9 P
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

Qualifications:

r3 x/ x4 }' R• Experienced in MS Office software, general office equipment.
# w" S3 g& R7 J' j• Excellent interpersonal and listening skills.3 M- V+ ]8 y2 a1 x
• Must be able to communicate effectively and professionally both verbally and written.& z9 K- V; ~& R7 {: Y
• Organization and multi-tasking skills.
