Position: Position: Administrative Assistant, Member Relations & Communications / Salary: Competitive / Closing date: September 25, 2008.

Abstract: reporting to the Manager, Member Relations & Communications, the Administrative Assistant will provide administrative support to the Member Relations & Communications Team through timely distribution of materials and merchandise, support in event registrations, onsite event assistance, database maintenance, invoice maintenance, and reception relief. 4 V7 w4 K$ |' X8 r* _; N+ I

5 v! o) R) L* \) W/ `8 T+ `Key duties include: Volunteer Program; coordinate kits for volunteers; manage lists of potential volunteers/updating Dbase; provide administrative support (logistic for meetings, agendas, minutes and distributing materials) for various committees and; coordinate targeted mailings. $ C7 e; f) s$ q% k* E

5 f* q/ h" a. G# s" H( D2 ARecognition Portfolio: manage lists of targeted individuals/update Dbase; assist with assembling materials for nominations for community awards and coordinate targeted mailings.

General Support: assists onsite with events; provide reception relief; coordinate kits for staff, new members & transitional CAs; receive, organize and maintain communication materials/photos.

Website: coordinate/distribute emails; maintain the Employment Opportunities, Referral Service and Volunteer Opportunities portion of the ICAA website

2 b$ f, _5 S' w* a" \Spot light Magazine/Invoicing: receive/organize invoices for various activities; coordinate invoicing process and organize filing system for invoices.

) Z1 l7 o' m- N  {; IQualifications: a diploma in office administration combined with some work experience. Additional administrative experience will be considered in lieu of formal post secondary education. 5 {& L" c3 Z( z, \  K# [6 F4 a4 I$ S6 k5 S

The successful candidate will be knowledgeable and have experience with a variety of software, including MS Word, Excel, Outlook, and the internet. In addition good oral, written, interpersonal and communications skills and the ability to work within a team setting are required.
