direct line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES
' M- v% C/ ?+ v: e& o, `The duties of the Operations Manager - SU Venues are diverse and  % s' U- E! B0 I- c* g
extensive, and are targeted at the all round smooth operation and  ) X( J  P& \/ Z( n
financial and operational success of the Horowitz Theatre as well as  
+ l' q/ }- w% L$ `1 e, C; @the logistical organization and smooth rental of the additional  . E3 Y7 c7 A! J
venues within the realm of the Students´ Union.  In the light of that  / O) q* s: ?. L. x
breadth and complexity, it is not possible to fully define or  ! H# J; X; M" d. i/ x6 a" u
describe all roles and responsibilities in a document of this kind.   
2 @8 V1 x: ]. N* c: [1 T. T: \. C# kHowever, the main roles and responsibilities of the Operations  : g0 [8 C; D/ U' z- r" Z( K% p

a.   To ensure, at all times, that the venues listed below meet the  
+ O4 |6 E& d0 ?+ ]8 G' q/ k, kappropriate standards, requirements and needs, and contributes in a  
1 U# q2 v( m1 Dpositive way to the smooth operation and success of the individual  
- g0 f" M1 h. H1 erenter.

4 j9 A) b3 P% T+ s& i·     Dinwoodie Lounge* _& e& L9 w1 [
·     SUB Stage

b.   This includes, but is not limited to, the following:* G8 k. R1 E$ R: h2 _( @5 C
·     To plan the capital and supply expenditures to meet the  
* S5 K8 C* M+ P- {* M/ pproduction and facility requirements.! X# _) M# k, e% I4 G
·     To ensure the day-to-day compliance of the venues with existing  2 |8 g. {7 ~; e9 g8 ~7 E
safety regulations and building policies.
- j, z2 V+ V# [$ A' UTo ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
- D$ l, ]% @1 l- d! @0 @0 Q' ~
* W* a3 j. q8 u3 K& g$ E+ Ka.   To develop and implement a marketing plan for the venues that  
4 ?; k9 K: }% a' hfocuses upon advertising and promoting the venue to faculty,  ' C* l7 w0 ?3 i0 f- P/ b, g
students, and internal and external clients on an on-going basis.  ) v* a9 H: P9 A' m
This strategy will include implementing and/or delegating the following:
+ E3 G; [5 M5 _9 `# X8 r9 x; |·     To develop and maintain promotional materials, the Horowitz  0 v% B% a3 {. D% z
Theatre and SU Venues home page, newspaper and other advertising; to  & w/ d$ M* a. F% C
take advantage of other internal and external advertising  
, }/ g& e& ?* x8 iopportunities; and to develop press releases and other promotional  ; w  e  D6 v1 F+ U& g; u
literature on an ongoing basis.4 _# u5 z2 T1 P4 s1 U6 Z- f: ]
·     To coordinate tours of the venues for potential renters.
. l0 m1 f& U: j  Z( O·     To promote upcoming events in the Horowitz Theatre through the  
1 E/ m0 x. y" `* Ruse of the Horowitz Theatre Home Page and the SU Events Calendar.8 P8 x0 n% Z" Y# g- f3 r/ z; c
·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities
3 s: N- t% v6 `* q. W* ~( \9 _: j, u' V+ b6 K7 A8 M( n: n
a.   To ensure, at all times, that the venues are adequately and cost- + F4 V3 E) X: l; x1 h9 `& n4 O! }
effectively staffed, and that the staff utilized by or within the  
- R1 I7 b& P& E7 ~' ivenues meet the appropriate standards, requirements and needs, and  
  [# W) W1 G& r9 Ocontribute in a positive way to the smooth operation and success of  
* p( l% M/ ^+ A" ?/ ithe renter´s events. This includes, but is not necessarily limited  ! y9 Z8 p8 G/ l- c; |) r" Q
to, the following:6 l: z2 p* e2 R" Z
·     To be responsible, under the direction of the Manager of Venues  3 G5 E6 u- ]5 A$ a
and Programming, for all staff issues including hiring, disciplining,  
  N' o! N1 |1 d# p% l/ @evaluating and terminating, as necessary.
% s0 k2 n3 w5 O5 O. Y- K To ensure that the Horowitz Theatre is adequately supervised at  3 ^1 r  _* w" G9 w
all times, this includes the development and implementation of such  7 `4 ~1 |1 s$ S: \: V
schedules and rosters as may be necessary to ensure the effective and  5 b7 a( ], ?/ `& b2 r7 p, _! W
cost-effective supervision of the venues at all times during which it  3 U7 G& R4 Y* k& z9 B$ f! r  O
is in operation or needs to be in operation.
8 l- Y' V, J& w' R. {·     To work with the Technical Director, when necessary, to ensure  
& c$ w" a8 P, `$ d" H) }$ gthat an adequate and appropriate level of part-time staff exists to  
) O. B+ v3 g: a: R# G' p' F. Vfacilitate the smooth operation of the venues and to ensure all  
; u3 h4 u# c/ C8 R1 k8 n& lrenters needs are met.
6 o1 [! r& \  ~5 E$ M6 ?1 f/ P·     To work with the Technical Director to ensure that the skills  1 S. c, Y0 c: s; e: h7 u
and attitudes of all subordinate staff are appropriate in light of  
1 `7 F/ ^( A6 i' L$ Gthe roles they must perform. This includes providing adequate and  * Y1 ~* N% D0 w, x8 \+ D
effective training (and re-training) in all applicable and  3 a  S9 J% g+ \$ `. Y
appropriate areas, and ensuring that the Policy and Procedures manual  
; w1 y4 |  Z  N* B1 g6 Wis kep up-to-date at all times.
. s! F! p9 Q# t, R" \·     To ensure all staff are trained in and committed to providing    D$ E+ R5 A& @8 }
excellent customer service to all renters.5 C- P$ E( \! `
·     To work with the Technical Director to arrange staff  ! G1 o7 s7 p1 j( g. w4 m
scheduling.  To handle payroll related matters, under the guidance  ) P4 K: {, E- b: J+ U+ F% q  L
and direction of the Manager of Venues and Programming, concerning  
/ O8 O# a- C+ i$ z  M2 Tthe staff of the venues.
, }8 o/ a" g' a9 H# t; B·     Working with the Manager of Facilities and Operations to ensure  
2 z: F$ g5 Q% z% T' U4 d3 _$ Gthe appropriate setup/tear down of each venue.9 p0 P; Y) c* O6 i" w
·     Working with the Manager of Programming and Venues to ensure  
, }' C+ t" s+ ^5 g  athat additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance
8 n! d7 f  o9 e% b8 c- a2 @# o$ m- o( {2 z( r. U
a. To ensure, at all times, that the Financial and Administrative  
0 Y. [& m1 W5 O; |! k& R6 t7 Csystems and processes utilized by or within the venues meet the  ! n" z2 ]: O" q4 a6 W8 G
appropriate standards, requirements and needs, and contribute in a  
7 n0 P; `& r7 npositive way to the smooth operation and success of the venues. This  ! \! R% s* A8 ^3 W
includes, but is not necessarily limited to, the following:/ H& y8 s3 g: H. j- B
To provide input and expertise in the formulation of appropriate  
, {" M: i- ]6 o/ o  P' Qoperating budgets covering the venues to the SU´s Manager of  7 C8 \# B: {+ I' u
Programming and Venues and to discuss and refine those budgets  
. h3 t2 t+ I! {Manager of Programming and Venues, and Manager of Finance &  
4 t! W- i2 O) Y! xAdministration prior to their submission for final approval.; r" f4 [. ^3 Z( W
·  To manage the venues in a manner which adequately and effectively  
; E+ S) {9 o6 M# Y# u1 H: creflects the budgets approved for the venues and/or which reflects  " H8 O1 q, l+ d. l' x0 b
the best interests of the venues and the Students´ Union.
" q1 w: y  }: y6 p- _/ j·  To function as the key player in the submission of financial and  
; D1 R8 s% @  e! q* }1 @( _administrative documentation covering the venues to be used in the  
# I" v- ?& R4 H7 F8 }3 u* Ecompilation of monthly and annual financial statements, and such  5 X2 e0 }5 z$ d7 E/ P& L0 M
other reports as may be necessary., E+ W; K) u6 o* k% J7 U4 I& s  L
·  To discuss those financial statements and other reports, together  # o# {1 \2 P2 |& G
with all financial and administrative procedures, with the SU´s  
! z$ h- u* Q  L: ~/ v" fManager of Programming and Venues and Manager of Finance &  ) S7 J  C( K$ ~  ?% m
Administration with a view to determining and implementing action  9 M; l0 }+ E2 K: n
aimed at improving the financial and/or functional effectiveness of  # N/ Z+ H  C% h2 K; E
the Horowitz Theatre.$ v$ f4 [  l9 d+ g& h" W
·  To ensure the existence of adequate, effective and accurate job  " d! E: B, \4 p4 u
costing systems to be used in connection with the determination and  . X6 U2 s' O, K* b% t
setting of appropriate prices for rental and staffing rates for  2 C( n& g3 G: k/ ?  i
events held in the Horowitz Theatre.
- C! d9 A5 ^7 O' K: o: i·  To develop accurate documentation to be used in connection with  ! A/ Z0 c% Y6 X2 c7 B$ x/ @8 N
the billing clients, and to forward such documentation in a timely  : }  h. n, J/ t
manner to the Accounting Department.
- B, K% h* L% I0 ~$ e# r·  To recognize, address and handle all matters relating to financial  
" a3 {6 J7 n6 i  Q1 F+ Zand administrative procedures and systems in a manner which reflects  8 @) B3 j3 x6 m
the requirements of the SU´s Manager of Programming and Venues and  + \  f6 r+ I8 u, C5 Y8 Q
Manager of Finance and Administration, and in a manner which  ; o/ ]% F7 w" y. b: }7 a
contributes positively to the smooth operation and success of the    x1 H5 r% X8 A! Y' v& h) W) }
venues.
; y4 d- D* _. C7 `$ y. Z# ~2 H5 \, Q$ Y- M2 U
5.          Overall Roles and Responsibilities
: O, g" [$ W/ O8 ?" R. T6 Za.   To ensure, at all times, that the systems and processes used in  
- q4 u# t4 b/ [$ w: N% Prenting the venues meet the appropriate standards, requirements and  
0 l$ {2 F3 n' u" L- Z4 @6 Yneeds, and contribute to the smooth operation and success of the  , ]6 k: w( O5 @9 N9 O
venues. This includes, but is not limited to, the following:
( f2 T6 V  Q. V( }9 S7 x- d  L) o7 m1 g/ m, I, {
·  To recognize, develop and set in place such rental procedures as  $ J% W6 }; R3 A) Z3 m( A- B$ D* T6 _$ C
may be necessary to ensure the smooth operation of the venues, this  , g/ Z3 R; Z! a3 [+ F' K6 x; l
is to include but not necessarily be limited to systems and processes  
: P1 h2 l/ A/ a( Nin the areas of contracts, inventory management, contract evaluation,  7 Z: Y  O* L  Y# T7 A9 N
pricing, costing, equipment usage, rental/contract invoicing,  
) W* l  M) s$ ?$ r" r6 Dtogether with such other systems and procedures as may be necessary  ( }& J5 g2 F6 J, [& K- c1 a) ?
to ensure the smooth, secure, efficient, cost-effective and  5 W: m  o" P, m  }9 V6 ?
functionally-effective operation of the Horowitz Theatre.
) L( S8 O7 M6 v  x: y·  To recognize, develop and set in place such operational procedures  ( _) p5 P( x- C' Y& T1 r
as may be necessary to ensure the smooth, efficient and cost-
* Q# J  x" Y5 _" y3 K! [" D. l8 `effective operation of the venues.  r" z+ l3 `$ O2 w3 S7 g8 g7 R
·  To negotiate rental lease agreements (contracts) relating to  
) Z3 T% l* u0 p% y$ vdates, rates, staff and miscellaneous charges.
+ y+ E3 j6 q& n/ w4 P7 G' `. z·  To ensure that adequate inventory is available at all times and  
0 Z6 N1 ~# V, P6 A% z$ I! r5 q$ c+ \. _that such inventory is stored and issued in effective and secure ways.5 t7 V- o: T- E$ I. u
·  To consult with renters as to facility issues in producing their  3 ~% |$ f2 `$ ?, n
particular event in the venues.5 [+ u1 {# D* D4 j
·  To provide the venues on-site staff with such documentation and  ; `5 Q8 h  ^1 Q. n+ S# O
supporting information as it may need to effectively fulfill the  3 j' Y% p  R9 ]' b4 [5 R
roles they are to perform to ensure the success of the renter´s event.1 n: d. u+ S" B) i" ^' h8 {& i
·  To produce quotes in respect to staffing costs for a particular  
2 M- L% t2 t5 frental with consultation with the Technical Director.
/ R: [& X# Y4 Q9 P/ w·  To ensure that all queries raised with the venues whether from the  
% N7 R% s5 I% R1 N" I2 k7 M8 `$ qSU or renters, are promptly and effectively handled and adequately  + ]; a' E& O  b8 C, _% h8 ^
answered, and to ensure that such action as may be necessary in  
: i# e2 c$ `, a( @7 q" G8 ^follow-up to such queries is taken in a timely manner.2 l8 v1 I' W! ?7 {" }' c0 Y
To ensure that the venues and its capabilities are adequately,  
& Q8 J* Z9 r$ _3 s6 Yeffectively and cost-effectively advertised and promoted, and that  
" E" y9 A# T4 T; S) ?' s2 l! dthe cost of such endeavors does not exceed the budgetary provision  - G2 d! r2 b8 a( `0 k, p
made for them unless prior approval is given by the Manager of  9 ~& K" n$ q! Y2 k% @/ y
Programming and Venues.; f2 L0 B* J1 _1 ~, h
·  To act as an informed and knowledgeable resource in the case of  
. B( F& N. K+ [/ \0 @' Xsignificant challenges and/or problems surrounding the tasks of  : E4 m) q0 A: ]: n
marketing, administration, operations, and any such other matters as  7 t8 `, O* v) D# m5 r
may provide such challenges and/or problems.( J4 a5 Z- _0 K9 S$ C# t0 @
·  To attend such meetings as may be required to support the smooth  1 v  y# }9 W# p$ h( d
operation of the venues or the Students´ Union as a whole.
2 @5 Q9 A1 v$ n6 A·  To perform other job-related duties as may be required by the  ' t5 E# m$ ~$ B9 [
Manager of Programming and Venues in order to ensure the smooth and  6 f, `( q- ]3 {; @9 p0 M3 d! r8 m
secure operation of the venues./ Q; d5 m6 c0 c
·  To recognize, address and handle all matters relating to overall  ; N2 G! A) [! o& E
operations in a manner which reflects the requirements of the SU´s  
7 h  D3 n- p; `! O# M! HManager of Programming and Venues, and Manager of Finance and  
4 H# v9 [2 D& ?" t" y' ]+ ]% SAdministration, and in a manner which contributes positively to the  
+ \: w8 Z* }! u" e: i- _$ Rsmooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:' L: Z$ I9 \+ o% g6 N1 T, J% l
1)             Minimum two years related post secondary education, or  % C6 l, p% g; P0 n
an acceptable combination of education and experience.5 f! _( f- A" Q0 [
2)             Supervisory experience.
) S" l3 G/ ^& y' w3)             Ability to create new initiatives with little or no  
* f( M4 |5 v9 r) C9 Ssupervision.  [" J& p! x7 A" d( Q7 u" f( J* Q& v) x  h
4)             High level of creativity
