describe all roles and responsibilities in a document of this kind.

1. Space Roles and Responsibilities

a. To ensure, at all times, that the venues listed below meet the

renter.

a. To develop and implement a marketing plan for the venues that & p9 z$ e8 \! G) \; P
focuses upon advertising and promoting the venue to faculty, ) c8 p: \- |3 Y" s. A8 U6 \
students, and internal and external clients on an on-going basis. % a/ ~. N9 W$ R# C
This strategy will include implementing and/or delegating the following:
7 S1 q# t& v! y0 j· To develop and maintain promotional materials, the Horowitz 9 k# E3 P; y# l, |! U
Theatre and SU Venues home page, newspaper and other advertising; to
) C; A# G0 W v# L, utake advantage of other internal and external advertising 1 L+ R1 H5 ^7 S9 J4 o: [
opportunities; and to develop press releases and other promotional
5 o @( V3 j9 N N0 t: ]) H! Eliterature on an ongoing basis.
3 C1 L4 [, m# S& s6 E· To coordinate tours of the venues for potential renters.
7 h) k* G' F" R9 D" A' q· To promote upcoming events in the Horowitz Theatre through the

· To develop new external clients for the venues.( i0 d' Q- |4 V! i

3. Staff and Supervisory Roles and Responsibilities5 ^: s, \0 `: X9 P; P
& I& p" }5 _# l* b, }
a. To ensure, at all times, that the venues are adequately and cost-
. D6 y5 ]/ m: peffectively staffed, and that the staff utilized by or within the
1 [: ^3 K; ^; p1 `1 ^4 o6 {' rvenues meet the appropriate standards, requirements and needs, and
* e+ D# P0 u: P: Ucontribute in a positive way to the smooth operation and success of
* i6 i( `. C! q8 O3 mthe renter´s events. This includes, but is not necessarily limited
! G& I9 x2 M! j# m. l" @6 ito, the following:
5 k1 Y/ [3 f5 U+ @1 N2 y O0 f+ U· To be responsible, under the direction of the Manager of Venues 7 `) Z# |1 L* W% ~
and Programming, for all staff issues including hiring, disciplining,
. R0 n0 a6 K3 h% t D# Y0 O4 pevaluating and terminating, as necessary.' f# A8 {+ O* X
To ensure that the Horowitz Theatre is adequately supervised at ( _4 m- j1 M" ~/ M' }
all times, this includes the development and implementation of such # i/ I2 I1 }2 o: j% W) b |! q
schedules and rosters as may be necessary to ensure the effective and
1 {2 N* U1 E% a. I3 Lcost-effective supervision of the venues at all times during which it ! ?4 q, h/ a7 W% M# T
is in operation or needs to be in operation.
: V8 j8 ?8 a$ u& ~. R· To work with the Technical Director, when necessary, to ensure # i. M/ \2 S& ]: j9 D, Z; }
that an adequate and appropriate level of part-time staff exists to " x5 m% Q3 \$ p6 ^$ w0 d: g# I# x+ i8 @
facilitate the smooth operation of the venues and to ensure all ; R% T3 Q# t: e. [9 ^( }; g
renters needs are met.+ c2 y9 s) \2 D5 s2 R& E% l
· To work with the Technical Director to ensure that the skills 1 [% q! }& R( A& p
and attitudes of all subordinate staff are appropriate in light of & q ^% f/ r- Q& O7 C; T
the roles they must perform. This includes providing adequate and ! p: r: O2 L" C9 _
effective training (and re-training) in all applicable and
/ Z8 M9 X( C/ S+ Cappropriate areas, and ensuring that the Policy and Procedures manual 4 _9 h- ~3 i6 }& X7 ?) R4 t
is kep up-to-date at all times.
4 Y: Q' n& M! C% \# A· To ensure all staff are trained in and committed to providing

· To work with the Technical Director to arrange staff . R. E. E. u& b# j* s
scheduling. To handle payroll related matters, under the guidance / S J2 V: B2 a1 `4 |$ ^
and direction of the Manager of Venues and Programming, concerning 4 ]* u* c( g C8 H5 B% e

· Working with the Manager of Facilities and Operations to ensure

· Working with the Manager of Programming and Venues to ensure Q" r$ q+ H; w2 Q
that additional requests such as licensed receptions are arranged.! V, i; T/ B$ |8 u% y6 z

4. Overall Financial Performance; a n. H# e( ~- d# J

systems and processes utilized by or within the venues meet the
8 i3 Z; m3 i2 M$ A4 Qappropriate standards, requirements and needs, and contribute in a
( g5 v" p1 f! d0 _: j0 M9 Wpositive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate 6 l, X n/ f1 z# a% u" {
operating budgets covering the venues to the SU´s Manager of
" {! ~* \& R/ nProgramming and Venues and to discuss and refine those budgets . C0 N0 }! y k+ a h- h
Manager of Programming and Venues, and Manager of Finance & / G: U( A( d' a1 j* x2 |! a
Administration prior to their submission for final approval.
4 n* q. b+ a# `4 q· To manage the venues in a manner which adequately and effectively
- x% R& @& ]! Vreflects the budgets approved for the venues and/or which reflects " v/ N" m' X1 C: a" {" n/ I
the best interests of the venues and the Students´ Union.

administrative documentation covering the venues to be used in the ! W# g! A; c9 Y/ i% V: V" b' h
compilation of monthly and annual financial statements, and such
( V; s% V" R- y. Q! R' Q4 t/ }' n0 dother reports as may be necessary.
4 R j$ h6 m; e· To discuss those financial statements and other reports, together
& e# Z4 q' L1 d: x9 swith all financial and administrative procedures, with the SU´s
$ m5 [" W" ]0 Q/ s) X: U7 L4 WManager of Programming and Venues and Manager of Finance &
; Y% p1 H) X( f9 S- cAdministration with a view to determining and implementing action
3 O' ~ q0 }9 b; V, ?aimed at improving the financial and/or functional effectiveness of
! G& ]; M* ^+ {0 rthe Horowitz Theatre.
2 D. C3 B3 O! `6 s H· To ensure the existence of adequate, effective and accurate job
" t" J! m2 S* R: @- ^4 m6 O: gcosting systems to be used in connection with the determination and 6 |6 Y* P. A& ~6 S2 g& I# V* I9 u
setting of appropriate prices for rental and staffing rates for
/ \7 ~7 g2 x9 P& K$ ~+ v% v, J! _events held in the Horowitz Theatre.
6 E3 p3 N" J+ ]; j! d' t0 W6 S8 V· To develop accurate documentation to be used in connection with
& [5 `5 k! x f' Qthe billing clients, and to forward such documentation in a timely
/ }! X P$ U4 [& |" j* E( `' B' a' {manner to the Accounting Department.8 v- F; v7 R8 w* ?) T# c
· To recognize, address and handle all matters relating to financial ; s6 X5 ^# j" e: B0 {+ Z
and administrative procedures and systems in a manner which reflects

needs, and contribute to the smooth operation and success of the 0 ]) S4 T1 ?3 W: ^( \: P# f
venues. This includes, but is not limited to, the following:, s0 }5 _7 x5 f0 T2 [* k- d
. F, X/ Z q6 a· To recognize, develop and set in place such rental procedures as

is to include but not necessarily be limited to systems and processes
2 V v9 p( d2 |% Z9 vin the areas of contracts, inventory management, contract evaluation, $ _& x, _& T, Q# I' q6 [& w
pricing, costing, equipment usage, rental/contract invoicing, ( q6 [) \% q) B" g$ c
together with such other systems and procedures as may be necessary
( D8 t2 G# K$ S' n% I. f @5 nto ensure the smooth, secure, efficient, cost-effective and
" F" U+ y& E) I( {. ?, Dfunctionally-effective operation of the Horowitz Theatre.
2 N$ p, `! _( \/ w( A" n) d· To recognize, develop and set in place such operational procedures . |1 v! g# o$ W) E% I" C
as may be necessary to ensure the smooth, efficient and cost-
" o! s5 D4 ~9 N3 o' W$ ` Beffective operation of the venues.
9 D2 d* t8 s u# w- c· To negotiate rental lease agreements (contracts) relating to 0 A. v! J) K% s
dates, rates, staff and miscellaneous charges.8 i; F4 `* u- r" R7 k
· To ensure that adequate inventory is available at all times and 2 C1 W) Y( b, N. g' m. e
that such inventory is stored and issued in effective and secure ways.

5 R$ b. m4 Y N. n, }. f2 Bsupporting information as it may need to effectively fulfill the
8 Z, V# W' U% N' Qroles they are to perform to ensure the success of the renter´s event.& g+ d- ?2 p5 K- d& _
· To produce quotes in respect to staffing costs for a particular
5 ^9 t' H5 `+ W7 Z* u$ j7 ~* @rental with consultation with the Technical Director.
, X1 m0 ]6 k6 e3 r$ b2 a) B7 q· To ensure that all queries raised with the venues whether from the
- A" |7 E) ?; o# rSU or renters, are promptly and effectively handled and adequately
0 z Y( X/ V k( B+ C& p9 F9 `! `$ yanswered, and to ensure that such action as may be necessary in ! S, z! y6 I P) V
follow-up to such queries is taken in a timely manner.$ B# L9 U3 _/ |6 A& {( q- v, m" K; Z( x
To ensure that the venues and its capabilities are adequately, 9 h( M! D0 |1 q
effectively and cost-effectively advertised and promoted, and that
" _. S4 D! X/ f+ A) ^the cost of such endeavors does not exceed the budgetary provision $ a9 @, y; A$ U3 W v e! k2 a h- Q
made for them unless prior approval is given by the Manager of
' ~8 n4 f% @1 } K6 nProgramming and Venues.
0 o! p$ [1 t/ r0 X' O& @· To act as an informed and knowledgeable resource in the case of 8 i$ G" Y+ c! q* G, [, e7 l
significant challenges and/or problems surrounding the tasks of 5 @! ^" ]6 L, L* u2 u
marketing, administration, operations, and any such other matters as - ^; C! T! U, i1 S& E/ }9 n
may provide such challenges and/or problems.# T3 B( ~, [5 ?$ z& A+ }5 R d$ t
· To attend such meetings as may be required to support the smooth
, u/ f0 k3 t0 P3 Hoperation of the venues or the Students´ Union as a whole.

Administration, and in a manner which contributes positively to the

1) Minimum two years related post secondary education, or
