The Operations Manager - Venues and Programming will operate with a  
6 A% n8 r9 n7 c) O: X  mdirect line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES4 L: a& y9 K: u& ^
The duties of the Operations Manager - SU Venues are diverse and    j4 S# W& ~! e% G+ J! P
extensive, and are targeted at the all round smooth operation and  
8 O: J2 T: h  e$ D, `, R  _financial and operational success of the Horowitz Theatre as well as  
* c8 S8 A( z& r* O  l* W& p9 |9 m) I8 @the logistical organization and smooth rental of the additional    x" ~- ]) [3 q) s. m+ R* i
venues within the realm of the Students´ Union.  In the light of that  6 W6 U- _9 d$ S2 u
breadth and complexity, it is not possible to fully define or  ) B; x7 \- V$ F0 b4 L3 ^
describe all roles and responsibilities in a document of this kind.   
. [# g9 M( B- t$ W" JHowever, the main roles and responsibilities of the Operations  " D+ d* L1 K* P0 d; E( h
Manager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  6 K5 B5 {* x+ q. s. ?: l
appropriate standards, requirements and needs, and contributes in a  
* F+ \  i2 ~) k* k/ q; v6 R/ gpositive way to the smooth operation and success of the individual  ) z: Y# @0 _; m) U5 l
renter.

7 V" [# _) h/ u" Y' F: Yb.   This includes, but is not limited to, the following:# s7 H* ^3 n. t. Z( Z- T
·     To plan the capital and supply expenditures to meet the  
' R' \; h3 n# eproduction and facility requirements.& H, Z1 q" }2 z' A9 W6 B4 U8 Z7 x# n
·     To ensure the day-to-day compliance of the venues with existing  0 o6 V" W5 k; f
safety regulations and building policies.% l# T4 M7 \: f: W
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
" N! [7 x3 S0 s! L- e5 Z. _' T" W, J$ P3 ]" t0 U
a.   To develop and implement a marketing plan for the venues that  
" e$ s" A' b2 J/ T9 K- afocuses upon advertising and promoting the venue to faculty,  
9 u9 h- E( E7 c& ], s7 D9 Wstudents, and internal and external clients on an on-going basis.  / R2 L% Y1 `. h8 u" @: `* z7 i7 P
This strategy will include implementing and/or delegating the following:+ L9 k3 M% v$ T0 @! [/ P; M# Y3 Y
·     To develop and maintain promotional materials, the Horowitz  ' f3 Z9 e4 t7 j. @$ b$ Y  j# y
Theatre and SU Venues home page, newspaper and other advertising; to  4 a* q; n- G4 D, l/ p
take advantage of other internal and external advertising  
1 b0 ~- P: H/ _opportunities; and to develop press releases and other promotional  / Y' X+ F6 f# ]: g2 F$ ]
literature on an ongoing basis.
, y' v" @2 W8 D7 ^# ^7 {/ n·     To coordinate tours of the venues for potential renters.
/ G& l& H' P; T- m/ L) d: Y·     To promote upcoming events in the Horowitz Theatre through the  * O8 \4 U4 D! v4 Z
use of the Horowitz Theatre Home Page and the SU Events Calendar.
+ F0 g; D1 R, d, f3 {$ H& m) j# v·     To develop new external clients for the venues.# q+ |# w+ q5 b) g) e. G* \) j
% K% D$ N/ Z9 @1 B/ b

- h% _. y' }+ E4 T5 i3.        Staff and Supervisory Roles and Responsibilities  u: r3 _# }+ t" D

7 o; I) R& U% a' xa.   To ensure, at all times, that the venues are adequately and cost- 6 H  F( G7 {5 A4 v8 S
effectively staffed, and that the staff utilized by or within the  
" O4 c( |; R1 ~# T" k% P' uvenues meet the appropriate standards, requirements and needs, and  8 z& Z. v2 B8 v+ u/ K8 Y5 d4 X
contribute in a positive way to the smooth operation and success of  
3 _6 I: N7 @: j/ W& O, zthe renter´s events. This includes, but is not necessarily limited  $ W  c3 ~0 E" O# j4 ~2 [( k% v
to, the following:, h1 G3 f& V$ F' M% h! S% I
·     To be responsible, under the direction of the Manager of Venues  
8 R+ H. L$ M3 J0 j9 aand Programming, for all staff issues including hiring, disciplining,  $ f- `" g! c+ M8 Y
evaluating and terminating, as necessary.# u* }- i4 e7 t( m8 z+ i$ s6 Z  f
To ensure that the Horowitz Theatre is adequately supervised at  
& \: D: }  f* W# T  e1 r, W) aall times, this includes the development and implementation of such  
% ]$ m: D" L8 |* z( I: eschedules and rosters as may be necessary to ensure the effective and  
8 [/ |$ k; V* j8 n1 z& D+ ~! j' Tcost-effective supervision of the venues at all times during which it  9 _: g; F3 T, v$ @; C, H
is in operation or needs to be in operation.
; f  l2 {; t% }$ a·     To work with the Technical Director, when necessary, to ensure  , i% P% g- B) |. q( [
that an adequate and appropriate level of part-time staff exists to  
$ {" k5 o5 y2 }8 r. v' n( l- D* l; ffacilitate the smooth operation of the venues and to ensure all  
$ m. p$ a2 @" i& n8 v! ]( M( Trenters needs are met.
! g0 l7 X$ ]8 P( p4 {9 M7 w6 ]& r·     To work with the Technical Director to ensure that the skills  
9 k+ h& D: s  c# Pand attitudes of all subordinate staff are appropriate in light of  6 u  f( o9 Q8 l: M( Y3 R5 }
the roles they must perform. This includes providing adequate and  0 y. v. q7 T0 ~2 d- f
effective training (and re-training) in all applicable and  
- e  ?! b! r" c7 U) b8 m, }% \appropriate areas, and ensuring that the Policy and Procedures manual  ; I9 V# ]! d- v4 S( u
is kep up-to-date at all times.
" }3 _- V# \; K- O; D* ?7 A5 ^·     To ensure all staff are trained in and committed to providing  3 x  n. L% @/ K+ M5 X9 @
excellent customer service to all renters.% |$ X- M* f# V1 Z4 t
·     To work with the Technical Director to arrange staff  
4 V* F+ X$ l4 I7 ?+ k( L8 d; Sscheduling.  To handle payroll related matters, under the guidance  " Y, i  E$ C3 F$ ]
and direction of the Manager of Venues and Programming, concerning  
' G- t( |0 t. d6 U( m* L9 bthe staff of the venues." U6 x0 k2 _4 |( z# u6 N) z4 p1 _
·     Working with the Manager of Facilities and Operations to ensure  % z0 t9 ~$ s5 G5 t+ ?
the appropriate setup/tear down of each venue.
4 [; L' g  {2 [6 g# k) i·     Working with the Manager of Programming and Venues to ensure  
4 f8 N7 s0 ^) m$ z8 C. ~4 Ithat additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance7 T! B# M& f, {' _! U! g. T

) ]! H( p+ v" m1 {a. To ensure, at all times, that the Financial and Administrative  & N& v$ t/ C/ @! x7 D, i# C; x5 H4 S
systems and processes utilized by or within the venues meet the  
) }1 c( L+ a' a  m' ]3 X: T7 `appropriate standards, requirements and needs, and contribute in a  2 l  _1 f$ r1 u
positive way to the smooth operation and success of the venues. This  7 Y) @# o* b5 P8 G) p
includes, but is not necessarily limited to, the following:
" ^3 Z% y& v* k1 Z5 ~5 q( Q To provide input and expertise in the formulation of appropriate  # Q  u5 k3 ?( q# G" Y
operating budgets covering the venues to the SU´s Manager of  : B3 R, ^+ d0 x: z2 E+ q5 ]
Programming and Venues and to discuss and refine those budgets  1 I* t0 d& Z( V% V
Manager of Programming and Venues, and Manager of Finance &  % N3 a7 b# W$ O
Administration prior to their submission for final approval.
  Y- v5 w8 g$ l8 ?" r·  To manage the venues in a manner which adequately and effectively  
5 [# |' |' Q1 C5 U# z" P+ N/ breflects the budgets approved for the venues and/or which reflects  & @$ Z. y" Y/ T# `; s& ]' |0 b
the best interests of the venues and the Students´ Union.
+ J/ x2 J! _( D6 I- o·  To function as the key player in the submission of financial and  6 \$ z7 f; U! \1 I* j$ h# ^. s  n
administrative documentation covering the venues to be used in the  % }" V& U8 U: x/ }, c2 |9 r
compilation of monthly and annual financial statements, and such  " s0 L' Q, E* E0 T, {$ `
other reports as may be necessary., ~$ p% ?0 ?8 v
·  To discuss those financial statements and other reports, together  
; a2 Z. ^4 |, ]" K5 h# @- owith all financial and administrative procedures, with the SU´s  # q0 ~, |$ K4 J% \
Manager of Programming and Venues and Manager of Finance &  - w2 N2 L' ~/ G
Administration with a view to determining and implementing action  
5 ^. T( q8 @/ O1 M7 _+ haimed at improving the financial and/or functional effectiveness of  
+ i- f( ]/ `6 z' b- g4 w) rthe Horowitz Theatre.0 h* v) u: A1 j; a. ?
·  To ensure the existence of adequate, effective and accurate job  * h: ?0 n: ~8 S) w
costing systems to be used in connection with the determination and  1 d* W$ ]5 d; c; Z+ F, E' n9 C
setting of appropriate prices for rental and staffing rates for  % U8 Q% Y- s, [1 B' p6 }( u
events held in the Horowitz Theatre.
% H1 b6 o; S; J/ \8 H·  To develop accurate documentation to be used in connection with  
( T1 s& F# O: N3 D4 s8 x( i) {7 w/ L: Cthe billing clients, and to forward such documentation in a timely  
5 Y! \* n0 F0 k7 Gmanner to the Accounting Department.
7 b; M9 I0 w7 S3 x% h  V, a8 o·  To recognize, address and handle all matters relating to financial  7 \' H& b8 F9 w5 G' m; |
and administrative procedures and systems in a manner which reflects  
$ M5 Z$ t' h3 o1 Gthe requirements of the SU´s Manager of Programming and Venues and  
* A- [% g3 U, ]3 t" wManager of Finance and Administration, and in a manner which  2 Q" W6 R9 R) t0 Y9 b& e
contributes positively to the smooth operation and success of the  
7 i# }+ q7 _6 M' W- L& d0 z* ~& kvenues.$ S; h& y' S( r6 A

! V/ V* [+ @7 S4 a. \5.          Overall Roles and Responsibilities6 {) v2 b" N5 ~3 g* e
a.   To ensure, at all times, that the systems and processes used in  
; g4 p. @" X) _+ Srenting the venues meet the appropriate standards, requirements and    g; m3 |; m" ?
needs, and contribute to the smooth operation and success of the  ( z7 D7 K" d% s  R
venues. This includes, but is not limited to, the following:
3 Q5 O0 N( \& [4 @5 g0 n" s" Q8 d( R+ B2 V3 _
·  To recognize, develop and set in place such rental procedures as  . ]+ G) \4 D3 V3 W, U) d/ I
may be necessary to ensure the smooth operation of the venues, this  
# u' T- @, ^: t9 T" J5 v! ]is to include but not necessarily be limited to systems and processes  + `' T. q2 F4 {( S
in the areas of contracts, inventory management, contract evaluation,  ; G+ l0 g* F) H3 P. F" ]) ?
pricing, costing, equipment usage, rental/contract invoicing,  
0 m+ ]8 [- w/ p! |* }- A7 ^/ [together with such other systems and procedures as may be necessary  
+ R) `! V6 j9 ^! e9 f2 R& r3 Nto ensure the smooth, secure, efficient, cost-effective and  / \: T+ K5 X+ Z3 }6 s
functionally-effective operation of the Horowitz Theatre.
& m) q' ~9 t$ G2 m8 h·  To recognize, develop and set in place such operational procedures  
% t, Q) }7 X- G; e/ ]) @) kas may be necessary to ensure the smooth, efficient and cost-
" H" x- h% d  Z8 W% _effective operation of the venues.
3 S$ O( y3 [; ]# z; n  }  P3 G2 ]·  To negotiate rental lease agreements (contracts) relating to  
2 c& d; e3 d- b. m' A+ kdates, rates, staff and miscellaneous charges.  E+ ]% @1 U4 [! s4 D* c. C" P
·  To ensure that adequate inventory is available at all times and  0 g% s- [/ r& o) D. z! S
that such inventory is stored and issued in effective and secure ways.
& p$ v- @- l* R6 Z- N6 `5 i·  To consult with renters as to facility issues in producing their  0 j, i, ^! X6 O
particular event in the venues.9 a1 ~6 @0 d) _
·  To provide the venues on-site staff with such documentation and  
% V, ~7 w3 E' ?$ J  d: n$ ^% Vsupporting information as it may need to effectively fulfill the  1 z' ?' u  L' Y  u$ [$ G4 _0 J/ {
roles they are to perform to ensure the success of the renter´s event.
, C- m4 K7 N5 t: J/ k' y·  To produce quotes in respect to staffing costs for a particular  ) V8 O( x. F) i  D" Y9 I; Z) Q) l
rental with consultation with the Technical Director.
% ]  S4 G* p$ b7 R( ^( o! x·  To ensure that all queries raised with the venues whether from the  % E0 e1 C- s; G5 C& f/ c
SU or renters, are promptly and effectively handled and adequately  
3 ?* ?- w4 X5 g' O% n9 nanswered, and to ensure that such action as may be necessary in  - g2 z8 b" n3 d+ ]
follow-up to such queries is taken in a timely manner.
# b1 z7 [8 ^* q To ensure that the venues and its capabilities are adequately,  
5 M4 {& E( V+ n3 _4 ~3 Reffectively and cost-effectively advertised and promoted, and that  : [" m3 t4 E0 S  @. N
the cost of such endeavors does not exceed the budgetary provision  
$ u/ T" P( D8 t& ^7 umade for them unless prior approval is given by the Manager of  
+ f0 x$ z. m# v. Q% w+ Y. fProgramming and Venues.6 _2 ?. h8 m' k$ M# v
·  To act as an informed and knowledgeable resource in the case of  
# f1 b& r& R- X; y, ?significant challenges and/or problems surrounding the tasks of  : q% B8 q5 `) U: Q; d
marketing, administration, operations, and any such other matters as  
) @# h6 @' r! F! R1 cmay provide such challenges and/or problems.
7 ?& t3 |- S; a4 o& Q9 ^8 B8 |/ W·  To attend such meetings as may be required to support the smooth  - R4 ^& N+ f3 S: \
operation of the venues or the Students´ Union as a whole.4 q" }6 o4 r5 R2 J/ E# n8 `/ V
·  To perform other job-related duties as may be required by the  
: p) O2 j) e' Y" v5 c' K; ]$ |Manager of Programming and Venues in order to ensure the smooth and  
: B$ l# u) k* M  rsecure operation of the venues.

( Y/ j/ A7 w) P: x- W9 k- Boperations in a manner which reflects the requirements of the SU´s  3 i0 v# C) P' k$ k' |3 x

QUALIFICATIONS:
5 j0 v& R4 \' X' Y+ w1)             Minimum two years related post secondary education, or  
& {6 w' E" z& D8 e, {an acceptable combination of education and experience.
' \/ h1 E+ f6 U) ~0 P$ j1 k# A2)             Supervisory experience.
5 B1 x8 w, M& ^% ]0 A* r3)             Ability to create new initiatives with little or no  9 Y) B5 \6 x3 o% c% \  E, c7 L
