The duties of the Operations Manager - SU Venues are diverse and # Q) |4 d: c3 a, J8 B# n ^) v
extensive, and are targeted at the all round smooth operation and 4 J! ^& A B) g
financial and operational success of the Horowitz Theatre as well as 4 `. e5 K/ y+ d6 c
the logistical organization and smooth rental of the additional 2 u* ?7 E' V+ B. _( G: ?0 k
venues within the realm of the Students´ Union. In the light of that

However, the main roles and responsibilities of the Operations

1. Space Roles and Responsibilities

appropriate standards, requirements and needs, and contributes in a 7 p9 Z8 g) Q3 [. b
positive way to the smooth operation and success of the individual ; q3 F5 F+ {. T7 h
renter.

To ensure that the maximum potential of renters is met.

a. To develop and implement a marketing plan for the venues that 0 N$ m" F! x3 |1 G: y w( B5 `# J
focuses upon advertising and promoting the venue to faculty, ( U* o% W8 R4 j. a: F( y
students, and internal and external clients on an on-going basis. # K4 M2 a# V1 ^: @
This strategy will include implementing and/or delegating the following:$ Y4 S$ R6 ?7 q1 i1 X& d0 J
· To develop and maintain promotional materials, the Horowitz
. {8 o' B0 x, }: H5 h$ VTheatre and SU Venues home page, newspaper and other advertising; to 4 V1 q1 O$ K. ^0 X4 \# Y9 \# M
take advantage of other internal and external advertising ! T( `. D/ Z$ q2 S+ V5 S$ W
opportunities; and to develop press releases and other promotional # q1 x: _0 j. H
literature on an ongoing basis.
- g( ~* E- l8 R, O0 G3 M" L· To coordinate tours of the venues for potential renters.

use of the Horowitz Theatre Home Page and the SU Events Calendar.* [7 o, O- N, `+ d# h

% Y# \0 I9 W# G! X/ e4 F2 na. To ensure, at all times, that the venues are adequately and cost- & D) x6 G, c; X- t* O! Y
effectively staffed, and that the staff utilized by or within the : M! z; c+ }& Y+ ]& Q% z- T
venues meet the appropriate standards, requirements and needs, and - B, `9 ^, O2 [4 G! P
contribute in a positive way to the smooth operation and success of
) o2 j. z! ~! g; a2 S% P3 uthe renter´s events. This includes, but is not necessarily limited
9 Q8 Y( W" Q+ ?/ K3 `+ H5 r% _to, the following:
7 \# q( O/ X9 V y; Y% d· To be responsible, under the direction of the Manager of Venues
) U7 G2 e8 \8 ^, o0 @$ Iand Programming, for all staff issues including hiring, disciplining,
) H( e. r' S4 |/ s9 N7 Y$ Zevaluating and terminating, as necessary.
$ J- q; E2 z+ w To ensure that the Horowitz Theatre is adequately supervised at
+ }/ P2 C5 j# Q. \4 eall times, this includes the development and implementation of such
; d( z" w Z6 F5 A/ t6 Tschedules and rosters as may be necessary to ensure the effective and
5 r- g+ t# `# A6 d! F- @cost-effective supervision of the venues at all times during which it
/ D7 K8 C. L q: a9 K$ vis in operation or needs to be in operation.
. q* _: r$ | d7 I) v& v· To work with the Technical Director, when necessary, to ensure ! g0 C+ i y2 C3 P. Y; L
that an adequate and appropriate level of part-time staff exists to 1 n% c3 Y9 n) M0 d2 v u; x
facilitate the smooth operation of the venues and to ensure all
Z' O/ i, V9 K; Qrenters needs are met.
8 g0 n, L: q4 ^: g" }) S· To work with the Technical Director to ensure that the skills
$ J2 {6 r, a5 b; }/ Vand attitudes of all subordinate staff are appropriate in light of
& f% L. a0 N/ X9 H* ~the roles they must perform. This includes providing adequate and
3 ]& `6 U, e2 J3 u/ K; k+ ?$ b' neffective training (and re-training) in all applicable and
1 F( s% W: U3 \( f- F0 y, eappropriate areas, and ensuring that the Policy and Procedures manual % o* J& K6 X( K
is kep up-to-date at all times.3 I- p2 _/ _$ b# j
· To ensure all staff are trained in and committed to providing
) J. i$ Y$ g! {excellent customer service to all renters.
( \6 F' P x$ A) i! V9 M, v· To work with the Technical Director to arrange staff
L- d8 `( ~; ?; B5 F& P5 @scheduling. To handle payroll related matters, under the guidance / d% U- D; w% i5 J9 u! {4 ]
and direction of the Manager of Venues and Programming, concerning ( f. G. |' {9 y& b( t

· Working with the Manager of Facilities and Operations to ensure / t! h' F- P, `" z
the appropriate setup/tear down of each venue. N; l9 n' q: ]4 B5 j" J6 h: K- k: V
· Working with the Manager of Programming and Venues to ensure
* I! S$ w) ]$ W, Z1 i- q3 tthat additional requests such as licensed receptions are arranged.! E! p9 @- P/ l# B @! p

; Z* E. R; m; O4 p4 Nappropriate standards, requirements and needs, and contribute in a ! [1 k8 I9 I& X- y
positive way to the smooth operation and success of the venues. This % `( U4 g7 V% v* K8 s" E- q
includes, but is not necessarily limited to, the following:

operating budgets covering the venues to the SU´s Manager of
! s1 Y$ M, Q% x$ H* ~# R2 |2 SProgramming and Venues and to discuss and refine those budgets
* Q( E0 R* @4 h1 lManager of Programming and Venues, and Manager of Finance &
* V( ^. A- i' k! zAdministration prior to their submission for final approval.
* \: L y9 I/ p$ X! A- l9 [1 c· To manage the venues in a manner which adequately and effectively
; u e: Q+ Z: p( [# sreflects the budgets approved for the venues and/or which reflects
$ w+ \' J$ T/ d, `the best interests of the venues and the Students´ Union.) _( N; @& Q0 e% o
· To function as the key player in the submission of financial and $ N' f* P' p* h2 j: U
administrative documentation covering the venues to be used in the : z4 J! S/ D8 w6 i# B1 @. L
compilation of monthly and annual financial statements, and such # Z! u4 w7 f4 S j! }4 [* M9 Y
other reports as may be necessary.8 n! R1 ?' f4 [2 a
· To discuss those financial statements and other reports, together 0 I! g2 z; ^+ ~5 \! {+ c
with all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action ( k9 U9 Q/ T2 ?" J/ F( K
aimed at improving the financial and/or functional effectiveness of
0 H/ {# O. K6 a. d$ rthe Horowitz Theatre.
6 A* V1 }, }0 H1 s· To ensure the existence of adequate, effective and accurate job 1 r7 a! w& @, k5 }/ `6 I
costing systems to be used in connection with the determination and 9 U) G9 A4 g7 \# @& Y5 [1 Q
setting of appropriate prices for rental and staffing rates for
# A9 j u0 l, q# sevents held in the Horowitz Theatre.
, k( K# r- [) K& ]· To develop accurate documentation to be used in connection with % L' h6 ^& G# ?! a% b( p
the billing clients, and to forward such documentation in a timely
9 f3 G, g0 Z1 w( wmanner to the Accounting Department.

a. To ensure, at all times, that the systems and processes used in
& A" Z! t7 l" A0 grenting the venues meet the appropriate standards, requirements and
$ u5 |7 r3 }# l; {; B9 V) ineeds, and contribute to the smooth operation and success of the * O) F9 ^& y1 [1 ^
venues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as 0 p2 d1 q3 i5 v' `
may be necessary to ensure the smooth operation of the venues, this ( \' `4 R; n8 [ {6 @5 y6 Y$ b) E7 R2 Z
is to include but not necessarily be limited to systems and processes
8 L7 Y2 ~& D2 H, yin the areas of contracts, inventory management, contract evaluation, 1 w) Y/ [- L0 n6 ^0 V
pricing, costing, equipment usage, rental/contract invoicing,
+ \. H/ t5 U& R8 A/ m- V9 _" Otogether with such other systems and procedures as may be necessary
: q. s# S# ~9 i5 Ato ensure the smooth, secure, efficient, cost-effective and
7 y: J( L& u% u4 Lfunctionally-effective operation of the Horowitz Theatre. v5 g; @% W6 a; N7 b% }
· To recognize, develop and set in place such operational procedures $ z- K$ S/ X& A1 S0 n
as may be necessary to ensure the smooth, efficient and cost-
* \. G" t: x0 z O/ p2 ieffective operation of the venues.2 e1 Z+ W- B5 [
· To negotiate rental lease agreements (contracts) relating to
! X1 p' _; ?) _' e$ r0 Sdates, rates, staff and miscellaneous charges.8 q0 e( h: Y/ S/ I! |
· To ensure that adequate inventory is available at all times and
0 |4 B/ l; \4 F; u3 ?1 L3 ^+ Qthat such inventory is stored and issued in effective and secure ways.2 P4 s" t9 e I' v& q l
· To consult with renters as to facility issues in producing their

· To provide the venues on-site staff with such documentation and
% \* G; u$ v1 K1 h: osupporting information as it may need to effectively fulfill the 0 v. e! l6 t1 B. M+ @
roles they are to perform to ensure the success of the renter´s event. y0 h5 d+ }0 |
· To produce quotes in respect to staffing costs for a particular ; s' P: x. R' u8 B% |3 G
rental with consultation with the Technical Director.

( q( K8 x0 \0 e F; c" ~4 q* ~SU or renters, are promptly and effectively handled and adequately ' V3 [. A; }# s( e3 n8 ^ \
answered, and to ensure that such action as may be necessary in
+ f4 p# _, f2 R O, R- zfollow-up to such queries is taken in a timely manner.
" r' F4 T- i$ X' W To ensure that the venues and its capabilities are adequately, 5 o9 Y S1 m0 `; G
effectively and cost-effectively advertised and promoted, and that
; p; H, `" g- i7 E+ nthe cost of such endeavors does not exceed the budgetary provision
" {0 w6 ^( B3 v; L$ x- Smade for them unless prior approval is given by the Manager of - ? @$ `3 g/ I# }2 H* j
Programming and Venues.
7 ~' K% P" Q/ h3 C# g; S· To act as an informed and knowledgeable resource in the case of
. y4 ?8 M2 {, p l1 c. {significant challenges and/or problems surrounding the tasks of
" h# g" a" C/ Y% \: f2 ]6 Ymarketing, administration, operations, and any such other matters as
6 Z& B. a, D7 G# [' \may provide such challenges and/or problems.2 h4 f( q5 y$ K/ g' l0 }
· To attend such meetings as may be required to support the smooth
" ?( C( T" Q* u$ soperation of the venues or the Students´ Union as a whole.& B- t# y) V# I- Q( y) _
· To perform other job-related duties as may be required by the

QUALIFICATIONS:
