financial and operational success of the Horowitz Theatre as well as
8 d1 C4 r8 A& i5 ]: I2 Hthe logistical organization and smooth rental of the additional
% ~" ]- D, x* Fvenues within the realm of the Students´ Union. In the light of that ( |- d s" z( c# d# V
breadth and complexity, it is not possible to fully define or

appropriate standards, requirements and needs, and contributes in a ! j7 C! F' q: B5 L
positive way to the smooth operation and success of the individual

· To plan the capital and supply expenditures to meet the

To ensure that the maximum potential of renters is met.

2. Marketing and Promotion1 W1 u9 g; |7 \* d6 o/ k
1 h0 A, ?2 [0 S7 ~a. To develop and implement a marketing plan for the venues that
( \; u, l2 ~% q) ofocuses upon advertising and promoting the venue to faculty,
. X. ?/ N" u: J4 ^0 O8 O& Z" ~0 mstudents, and internal and external clients on an on-going basis.
! E. f {2 u8 \8 ?; K' r; h0 O4 FThis strategy will include implementing and/or delegating the following:( L+ D6 A0 d" h
· To develop and maintain promotional materials, the Horowitz
% X# f- R; n; W, ~Theatre and SU Venues home page, newspaper and other advertising; to
; d* N& `2 I+ c2 V+ T0 f, Itake advantage of other internal and external advertising & T! C4 Y- X$ _ X9 Y' J
opportunities; and to develop press releases and other promotional
* L) ]- @. j& Z* Yliterature on an ongoing basis.
& u# D3 Q# E# x9 P· To coordinate tours of the venues for potential renters.) V" e2 u5 L. i n" J
· To promote upcoming events in the Horowitz Theatre through the 0 R O, L9 D$ k
use of the Horowitz Theatre Home Page and the SU Events Calendar.$ ]+ {1 w7 ]7 }; P0 ^; Q/ d
· To develop new external clients for the venues.$ Q5 F1 \0 B+ Z S1 v+ ^

3. Staff and Supervisory Roles and Responsibilities
+ s u. S% F2 b' ~& R- [& O' t/ K" d3 U, t
a. To ensure, at all times, that the venues are adequately and cost-
: M3 |! V4 i1 S# ^effectively staffed, and that the staff utilized by or within the 3 L8 l! n& E; J* u5 S
venues meet the appropriate standards, requirements and needs, and
* o7 u! L' B" P/ q. E* [contribute in a positive way to the smooth operation and success of 6 q |1 v% }% k9 ^: s n
the renter´s events. This includes, but is not necessarily limited
7 J( ^% A1 E6 o2 E% a0 U4 t6 S ~& [% o6 [to, the following:0 Q- G: I. \: A* ^4 x0 M0 e
· To be responsible, under the direction of the Manager of Venues
8 o* L5 @: X7 Gand Programming, for all staff issues including hiring, disciplining, * D t" G/ |# I8 r! g
evaluating and terminating, as necessary.+ w1 l+ R$ Y$ A" U
To ensure that the Horowitz Theatre is adequately supervised at
7 C/ h7 U6 g) J& H9 Pall times, this includes the development and implementation of such 4 `8 @- Z7 E! U4 I; ~- K7 D/ g
schedules and rosters as may be necessary to ensure the effective and
% @$ m$ {& C/ N5 N; m2 p: ~cost-effective supervision of the venues at all times during which it 3 x6 C4 V' `% q0 C# A0 C. ]
is in operation or needs to be in operation.
5 T- e% I5 T/ v* c" _) H8 E" E· To work with the Technical Director, when necessary, to ensure 3 J7 c, n1 Q7 I* D$ b7 D
that an adequate and appropriate level of part-time staff exists to
' u; M. b/ _) N [( s2 W: dfacilitate the smooth operation of the venues and to ensure all # n8 E6 k6 ~( c$ I W
renters needs are met.
( O6 y; h! H) O4 B% [· To work with the Technical Director to ensure that the skills 9 M" {8 k ` `; a1 k' p
and attitudes of all subordinate staff are appropriate in light of " y7 {7 L( H, t/ l) @7 s4 ]' D3 t
the roles they must perform. This includes providing adequate and
( Q! a+ z0 @. O6 G, p2 F1 @3 feffective training (and re-training) in all applicable and + f* Q0 `' _- @8 S, W0 B) F
appropriate areas, and ensuring that the Policy and Procedures manual 7 R, |9 l+ G: ~2 C1 ]- B) G
is kep up-to-date at all times./ T9 ?5 m4 q) Z, A+ d! m8 o# I: J
· To ensure all staff are trained in and committed to providing 5 U! V2 h* O) f: K; ^+ m2 H# z
excellent customer service to all renters.! `9 j: U6 \2 U( {8 c* ~) x
· To work with the Technical Director to arrange staff
7 y B- L, _! Y6 w+ s d7 @scheduling. To handle payroll related matters, under the guidance . P) B7 w6 i, H
and direction of the Manager of Venues and Programming, concerning , V9 q7 H& ^0 |' p: ?& {

· Working with the Manager of Facilities and Operations to ensure # V8 n" K/ K3 O9 p
the appropriate setup/tear down of each venue." m+ W! p% W# s
· Working with the Manager of Programming and Venues to ensure 4 E+ w+ ?) H/ F6 D9 I
that additional requests such as licensed receptions are arranged.' B# f2 R5 J( i Y

+ X2 J; u% w* |4 s# K( [) _8 @$ m( qa. To ensure, at all times, that the Financial and Administrative
& v0 a% A' y$ t7 O8 c9 y, Gsystems and processes utilized by or within the venues meet the
( I+ h& f& s! m0 g4 R3 ^5 wappropriate standards, requirements and needs, and contribute in a 7 J: ?% \: z9 B
positive way to the smooth operation and success of the venues. This
0 U% m1 z( \! ?7 Q9 g7 x lincludes, but is not necessarily limited to, the following:
o; k0 }8 d) o0 e0 L To provide input and expertise in the formulation of appropriate
! J, I0 o. w: k7 s: s' eoperating budgets covering the venues to the SU´s Manager of * I0 Q0 a5 P" p8 ~* F1 y9 ]
Programming and Venues and to discuss and refine those budgets
* L* Z) |0 Q5 l$ |Manager of Programming and Venues, and Manager of Finance &
4 |8 Y, ?& L" d4 V+ L- D& L7 {Administration prior to their submission for final approval.
6 H9 @! n2 t3 d7 o) U· To manage the venues in a manner which adequately and effectively ( @- ?8 {' L5 @2 y7 \
reflects the budgets approved for the venues and/or which reflects 8 n, Q) r' Z% C4 p4 @( E1 f
the best interests of the venues and the Students´ Union.. l9 y( K- V% m6 y! I
· To function as the key player in the submission of financial and & O F8 C4 N5 h4 _% I" p
administrative documentation covering the venues to be used in the

· To discuss those financial statements and other reports, together ) i/ D; |2 i4 @

events held in the Horowitz Theatre.

5 }( [, _: m( E! R, I: wthe billing clients, and to forward such documentation in a timely

the requirements of the SU´s Manager of Programming and Venues and

contributes positively to the smooth operation and success of the

renting the venues meet the appropriate standards, requirements and : E# Y2 ?* g7 W. V" N, o. T/ i! w
needs, and contribute to the smooth operation and success of the # b( n5 i/ h# s
venues. This includes, but is not limited to, the following:

% r8 t- l2 L( w* w) F· To recognize, develop and set in place such rental procedures as : F4 }4 @+ c/ {& Z$ f/ O6 A& o) e
may be necessary to ensure the smooth operation of the venues, this
" y+ ~/ G4 B+ K2 ^( B; @3 r" T4 Eis to include but not necessarily be limited to systems and processes # L9 b/ m+ h# Y. \% m/ e) @
in the areas of contracts, inventory management, contract evaluation,
* `6 T# Z& z S# m* Kpricing, costing, equipment usage, rental/contract invoicing, 4 C* ?& ]) N1 C q
together with such other systems and procedures as may be necessary 9 L( A/ @! ]. M) k( T# `
to ensure the smooth, secure, efficient, cost-effective and ( E: q# o# D( @/ v ?
functionally-effective operation of the Horowitz Theatre.
) T5 B( I# O4 V/ y$ a( H· To recognize, develop and set in place such operational procedures
6 D; N8 f. ?& T. Eas may be necessary to ensure the smooth, efficient and cost-
7 I9 a- |! Q0 M/ }7 L4 z- keffective operation of the venues.1 S% Q: w: T. n6 d
· To negotiate rental lease agreements (contracts) relating to
+ B6 t! [0 M; y! ?1 ddates, rates, staff and miscellaneous charges.
3 q$ B! x9 Y! \2 p2 ~$ j* t# w· To ensure that adequate inventory is available at all times and 6 @( ^2 r. P" b T" F
that such inventory is stored and issued in effective and secure ways.. ?0 Y- J8 y% g8 C9 |
· To consult with renters as to facility issues in producing their 7 O4 J3 ~ z6 U
particular event in the venues.
0 w# w8 q* d; L* u! P· To provide the venues on-site staff with such documentation and " L6 `) J0 H4 ^3 L0 E9 h
supporting information as it may need to effectively fulfill the " v% M9 X3 K6 ^, }( n% m! J+ _; Q' V
roles they are to perform to ensure the success of the renter´s event.
) m; L/ b8 k$ {+ G4 C· To produce quotes in respect to staffing costs for a particular
# F/ G" w0 D# Mrental with consultation with the Technical Director.
. r2 q( h- ?4 e" E* U0 K· To ensure that all queries raised with the venues whether from the * x8 n3 z9 I+ R5 X; z
SU or renters, are promptly and effectively handled and adequately 7 z4 I1 a1 x- Z0 E9 j x n$ v
answered, and to ensure that such action as may be necessary in ! @/ C- V9 Z5 X
follow-up to such queries is taken in a timely manner.! C0 Y5 s/ Y) I8 P: O7 a
To ensure that the venues and its capabilities are adequately,
' H8 h0 H" d3 z! V4 g) Q5 heffectively and cost-effectively advertised and promoted, and that
. N: A& x- a+ M! hthe cost of such endeavors does not exceed the budgetary provision
+ S6 ^2 J* {0 B6 |made for them unless prior approval is given by the Manager of
# M6 i6 D9 _! }' OProgramming and Venues.
! I/ m' M( r7 d. l/ v2 y% L· To act as an informed and knowledgeable resource in the case of
- _7 z5 D7 H8 f+ f% P& Asignificant challenges and/or problems surrounding the tasks of
3 S6 ?2 t% ~1 Z1 ~marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth 6 I) C S) n# ]- T9 C( B
operation of the venues or the Students´ Union as a whole.
