The Operations Manager - Venues and Programming will operate with a  
* ?* e+ i% b1 Y' ^! x6 d# ddirect line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES1 ]# M7 n- d! U- F. P- E$ \; f8 t
The duties of the Operations Manager - SU Venues are diverse and  , ~" w5 s. J6 X
extensive, and are targeted at the all round smooth operation and  & I2 x, y- T! J; H) d
financial and operational success of the Horowitz Theatre as well as  
' B0 K( F0 V' B+ L( V5 `the logistical organization and smooth rental of the additional  9 |2 F- T* `* D3 ]
venues within the realm of the Students´ Union.  In the light of that  
' f. y' b7 I0 O* t$ L4 wbreadth and complexity, it is not possible to fully define or  $ b6 ]& L' Y1 q9 x7 ^$ n- o
describe all roles and responsibilities in a document of this kind.   ! c2 B2 j# c4 p0 P$ ?" a" s
However, the main roles and responsibilities of the Operations  
+ R3 o4 I* S2 }2 HManager are as follows:+ W4 A# o. Q0 R8 t- u$ o

1.        Space Roles and Responsibilities- p' c) P$ d% d: a

/ M/ y- K* t7 G1 A# d+ O1 z) ha.   To ensure, at all times, that the venues listed below meet the  1 B8 f6 Z# N8 \* H3 N* q$ O) {4 N
appropriate standards, requirements and needs, and contributes in a    \  v: R% r5 t7 _4 G$ z/ z& R
positive way to the smooth operation and success of the individual  
7 d/ l7 e; S3 y9 d8 irenter.+ O5 k! b; j" H
·     Myer Horowitz Theatre
: `) }2 ~0 H& {  M$ M; N( x·     Dinwoodie Lounge, ?( v* ?/ M/ _3 f' m3 h
·     SUB Stage; W' D  b* ?2 ^  p& C. T& `
' Y" f* I0 O  g
b.   This includes, but is not limited to, the following:
5 z2 r: b* e! U* p" s$ P4 C·     To plan the capital and supply expenditures to meet the  . p6 q0 O( v" c$ x
production and facility requirements.
8 y) q- U. A3 ?* z2 L·     To ensure the day-to-day compliance of the venues with existing  
6 \" r& N7 a; {' h: \safety regulations and building policies.% B4 @4 L3 b) b
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion, l4 H$ L9 y6 W5 c1 h2 R
9 _$ L" k3 q' L4 k* p
a.   To develop and implement a marketing plan for the venues that  ) C0 q9 x1 R- G/ a- o+ @4 `
focuses upon advertising and promoting the venue to faculty,  8 y8 v. ?8 O" O' F. v$ k  @8 }, m
students, and internal and external clients on an on-going basis.  & ^5 {/ s+ d" H* M& n
This strategy will include implementing and/or delegating the following:' O8 T6 t6 p' c/ g
·     To develop and maintain promotional materials, the Horowitz  
+ v6 F6 K: J; H+ tTheatre and SU Venues home page, newspaper and other advertising; to  & S/ T9 n4 b- \
take advantage of other internal and external advertising  - k: i" O+ D+ z$ q0 j% ~0 b' [& m
opportunities; and to develop press releases and other promotional  : N" @1 I. B% V3 a7 N" y
literature on an ongoing basis.
; X. v% r, @4 G·     To coordinate tours of the venues for potential renters.
/ A8 B+ \( t6 E; U# x8 `·     To promote upcoming events in the Horowitz Theatre through the  
8 `, L% p: `8 L; guse of the Horowitz Theatre Home Page and the SU Events Calendar.' A# }8 J3 O5 E* \- G& o9 |  s+ m
·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities
' z* y  X8 b# X, Q8 C. `) F6 m4 Y& n
a.   To ensure, at all times, that the venues are adequately and cost-
% k" Y! ~) X5 teffectively staffed, and that the staff utilized by or within the  
9 N# O8 d* S+ F. \venues meet the appropriate standards, requirements and needs, and  
- _0 v* D  L# s% c+ X% C* e0 u( acontribute in a positive way to the smooth operation and success of  
4 C- ?3 f  z- [. N% h" zthe renter´s events. This includes, but is not necessarily limited  
; ^3 ]9 R  Y$ v% t" U8 q. e$ |to, the following:
4 b9 N0 \7 b) B/ S; b·     To be responsible, under the direction of the Manager of Venues  
: _4 w) C  O( o! P2 kand Programming, for all staff issues including hiring, disciplining,  ( A$ f" r1 s4 S- B
evaluating and terminating, as necessary.
; A" L! Z1 E5 G To ensure that the Horowitz Theatre is adequately supervised at  6 @/ q0 {+ R5 l. L, |2 w
all times, this includes the development and implementation of such  9 T3 o3 [) t$ Q
schedules and rosters as may be necessary to ensure the effective and  + g0 ]/ D) ?# v" E4 z& I+ b; X, u
cost-effective supervision of the venues at all times during which it  
% a3 B& _  ?4 s8 k$ x! c9 N) cis in operation or needs to be in operation.3 g: A: V* }! x  u. x( M, ?
·     To work with the Technical Director, when necessary, to ensure  ' ?& j7 _, c6 v$ v2 e
that an adequate and appropriate level of part-time staff exists to  
% B: \1 U, {  V* M. [facilitate the smooth operation of the venues and to ensure all  * ]% F+ n- [7 \- W' n0 e4 B
renters needs are met.4 E4 U; m$ {  |. I* d5 R! L
·     To work with the Technical Director to ensure that the skills  ( ]$ h5 |  j" g: N' k; k1 U
and attitudes of all subordinate staff are appropriate in light of  
: @: @' f3 d( `+ x# I! fthe roles they must perform. This includes providing adequate and  
+ L( q' u. D3 E' ~3 O/ ^effective training (and re-training) in all applicable and  
( d3 [. v9 z4 ^7 {2 U5 U; Yappropriate areas, and ensuring that the Policy and Procedures manual  . U0 |- h  V9 j1 E# c
is kep up-to-date at all times.. y( [/ r5 _+ P' f) K& B3 v
·     To ensure all staff are trained in and committed to providing  " B# d3 [, ^$ n7 }! G% U
excellent customer service to all renters.& \, v1 f" H: `. U
·     To work with the Technical Director to arrange staff  
6 ~( `6 O* F  L4 ]scheduling.  To handle payroll related matters, under the guidance  : M4 n, x6 A- s) F) m# T
and direction of the Manager of Venues and Programming, concerning  4 _  N3 A2 }# C, B
the staff of the venues.8 t! f, `2 V9 E" F1 \( v
·     Working with the Manager of Facilities and Operations to ensure  
! `6 O, {7 M0 S" Vthe appropriate setup/tear down of each venue.- H$ [' r) U' x9 ]" _2 w
·     Working with the Manager of Programming and Venues to ensure  
  R" ]+ o8 A& [  s/ p6 C; W; |that additional requests such as licensed receptions are arranged.; V0 ^1 a4 r0 q$ g/ L2 `. e* f/ e

4.          Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative  $ u+ d! U7 n) t) d& N$ J+ ]
systems and processes utilized by or within the venues meet the  
( m! c' ~' `3 t! z' m/ Vappropriate standards, requirements and needs, and contribute in a  " I) C# V6 t/ ]& g! z- ?
positive way to the smooth operation and success of the venues. This  
; J' c+ j$ ~& X5 w/ R8 u: Vincludes, but is not necessarily limited to, the following:
4 J" q9 ?# z5 y, Z( h- q7 p4 [ To provide input and expertise in the formulation of appropriate  6 D) _: A0 p# [5 D
operating budgets covering the venues to the SU´s Manager of  & S- m, c) T2 G& `$ Z0 {
Programming and Venues and to discuss and refine those budgets  
- h1 J1 B4 @; z, V3 c' [# dManager of Programming and Venues, and Manager of Finance &  0 t, N) K3 M- C# \  ?$ P
Administration prior to their submission for final approval.6 e# ?( I: ^  Z! \6 H
·  To manage the venues in a manner which adequately and effectively  6 ~2 l) d8 Z# W1 L* ]2 Z9 }* ]9 `
reflects the budgets approved for the venues and/or which reflects  * h1 }3 r- [) t3 _! d' ^
the best interests of the venues and the Students´ Union.
* z# H! q4 Z" }·  To function as the key player in the submission of financial and  
, t- {2 g% c/ W) @3 F* W9 S; F* ~administrative documentation covering the venues to be used in the  . c  G' `# M. h3 N- K' k
compilation of monthly and annual financial statements, and such  
$ t7 b/ _; d0 t* J/ G% l% Wother reports as may be necessary.# K  V& o* v7 i) O8 ]/ L; @$ j
·  To discuss those financial statements and other reports, together  
7 q: c8 Q' O; _1 b/ I. V' Dwith all financial and administrative procedures, with the SU´s  
# l' J5 q# B5 ^5 \Manager of Programming and Venues and Manager of Finance &  
. X3 A; F! `  R7 vAdministration with a view to determining and implementing action  
9 B9 Z$ z( w) C( @: }7 E0 g. d" Kaimed at improving the financial and/or functional effectiveness of  $ d7 [( j4 \; A  e5 e9 J
the Horowitz Theatre.! u1 S3 Y3 [- S. f$ Z
·  To ensure the existence of adequate, effective and accurate job  5 v4 f8 W, k, G  u2 Y% z: X8 l# {5 u( p
costing systems to be used in connection with the determination and    J/ n0 c: h- _; Q9 d. C
setting of appropriate prices for rental and staffing rates for  
! g; o; P) E; e% U5 Ievents held in the Horowitz Theatre.
  \6 B7 q; c1 u, I  O" h·  To develop accurate documentation to be used in connection with  
8 n, j- ]9 t2 O% c- xthe billing clients, and to forward such documentation in a timely  
/ F3 r& G7 r9 Y8 j' J6 c5 zmanner to the Accounting Department.+ j9 f$ B+ c2 T! a; U$ c9 T5 T5 n, k
·  To recognize, address and handle all matters relating to financial  
$ a: ?( L1 W% p) B, G7 }1 ?and administrative procedures and systems in a manner which reflects  0 S. b0 J) T! j. {  B( O
the requirements of the SU´s Manager of Programming and Venues and  
: I9 G- J4 z9 F. E- b" jManager of Finance and Administration, and in a manner which  $ `0 O' P: y5 R
contributes positively to the smooth operation and success of the  3 C7 K$ d7 J5 S
venues.% b+ [7 `5 X# ]( R4 r6 k; e

! i7 U( W* X3 b5.          Overall Roles and Responsibilities# h( p4 a3 p- H6 X# Q
a.   To ensure, at all times, that the systems and processes used in  
2 t4 T6 ?* O; U8 b* f: J# t' Grenting the venues meet the appropriate standards, requirements and  
# o8 R; v; o% ~. Y# oneeds, and contribute to the smooth operation and success of the  
/ }1 _- }4 c) H, ?1 A) i5 x: O- Zvenues. This includes, but is not limited to, the following:- Q* s. g" f% I2 M$ y6 T
% D6 g% x. Y- v6 K8 {3 S3 G4 B
·  To recognize, develop and set in place such rental procedures as  
* ~6 F7 l9 Q5 ~) M- e: \. [" D/ omay be necessary to ensure the smooth operation of the venues, this  
! V& G3 S1 U; mis to include but not necessarily be limited to systems and processes  
5 W5 Z0 g6 h! h3 [- g3 w" K- Ein the areas of contracts, inventory management, contract evaluation,  , |( J! V! n2 T0 f( L% D! c" H
pricing, costing, equipment usage, rental/contract invoicing,  , A; E$ V; o! W( S. }
together with such other systems and procedures as may be necessary  $ T: k; W! U2 m- \' c9 W/ H" _7 b
to ensure the smooth, secure, efficient, cost-effective and  
! F- [  q: A! q; qfunctionally-effective operation of the Horowitz Theatre.
! f1 v6 D7 D+ i  u4 l7 y, U·  To recognize, develop and set in place such operational procedures  
) M: W9 g  w1 B! T" [as may be necessary to ensure the smooth, efficient and cost- % N0 I! v  T, L# Y: j+ O& J0 P; P
effective operation of the venues.! R1 z/ |5 R9 ^* @. E
·  To negotiate rental lease agreements (contracts) relating to  
1 a* C4 ^; e+ s, g7 Q7 q- Xdates, rates, staff and miscellaneous charges.
/ Y( N! W, \1 Y2 [·  To ensure that adequate inventory is available at all times and  
8 m3 s2 P1 @8 d" Z5 L% Bthat such inventory is stored and issued in effective and secure ways.
$ T3 c* z7 v: U- \- l  a, M  ~5 d·  To consult with renters as to facility issues in producing their  ) c. u% Z0 c/ T0 N! u0 A
particular event in the venues.
/ e- v* b6 v' W5 K+ E·  To provide the venues on-site staff with such documentation and  
. X; ^2 E# c6 a) _; Y) ~supporting information as it may need to effectively fulfill the  
. @  t( R4 p2 G" Kroles they are to perform to ensure the success of the renter´s event.4 f( G  s* M4 M- h& G8 M1 }
·  To produce quotes in respect to staffing costs for a particular  6 u+ t6 P9 M3 L- I4 ]* C: z
rental with consultation with the Technical Director.# c: Y4 [' [1 Q" J
·  To ensure that all queries raised with the venues whether from the  3 Y" \) k& @9 L
SU or renters, are promptly and effectively handled and adequately  
6 r) I9 p% C. I1 m! |3 F/ Eanswered, and to ensure that such action as may be necessary in  
9 n$ _0 R2 ?$ ~' e2 gfollow-up to such queries is taken in a timely manner.
5 y* q( `% T' l To ensure that the venues and its capabilities are adequately,  
1 R. t! D' I# w# |/ K% r' n0 Ieffectively and cost-effectively advertised and promoted, and that  
- }& r0 M, h0 V( r* I! X/ _5 }the cost of such endeavors does not exceed the budgetary provision  3 q8 {7 L$ A2 _
made for them unless prior approval is given by the Manager of  
1 P" `/ [/ t- S* Q, VProgramming and Venues.
) U+ w  l( P$ [·  To act as an informed and knowledgeable resource in the case of  & t5 y5 I3 }6 M! V  B, m
significant challenges and/or problems surrounding the tasks of  
: n9 T8 w5 _3 C8 c* J. Zmarketing, administration, operations, and any such other matters as  
9 a" y& a& |9 ^- i7 Q! tmay provide such challenges and/or problems.
8 P/ I: D" p3 z* K8 T& n) M& p·  To attend such meetings as may be required to support the smooth  ( v9 w2 a5 S1 j- `9 t
operation of the venues or the Students´ Union as a whole.9 e7 O+ J. ^" Z8 L3 r) A' ]
·  To perform other job-related duties as may be required by the  
, P" s5 Q  I, w" f7 Z% BManager of Programming and Venues in order to ensure the smooth and  # G/ b/ x. s- N+ A
secure operation of the venues.

operations in a manner which reflects the requirements of the SU´s

Administration, and in a manner which contributes positively to the  
& N5 s' ~4 _# n( t# osmooth operation and success of the Horowitz Theatre.

1)             Minimum two years related post secondary education, or  
6 N; V7 S: x: W* d7 J0 tan acceptable combination of education and experience.8 a! S8 t2 ]' W  E# ]
2)             Supervisory experience.
! Y2 ^, w% @1 L3 Q& L3)             Ability to create new initiatives with little or no  
4 |# y. Z1 m3 @0 n4 l8 R# x% k- s- c$ osupervision.
