The Operations Manager - Venues and Programming will operate with a

and Venues.

ROLES AND RESPONSIBILITIES
( z8 r- \3 U5 L# G/ UThe duties of the Operations Manager - SU Venues are diverse and  + _7 w; w/ g5 y
extensive, and are targeted at the all round smooth operation and  
9 ^+ c+ ]& M6 P" A/ a2 Q: ^financial and operational success of the Horowitz Theatre as well as  5 |$ V/ W8 |! F4 c9 I. n8 Z% j
the logistical organization and smooth rental of the additional  
+ O( e2 b# e- [' x8 gvenues within the realm of the Students´ Union.  In the light of that  7 ?4 A+ w; I- K, C* i
breadth and complexity, it is not possible to fully define or  
3 \# V$ n: l, y: edescribe all roles and responsibilities in a document of this kind.   
8 ~. w. z% k2 p  KHowever, the main roles and responsibilities of the Operations  & T. J) K1 Q% L" |6 {9 {

5 g1 _5 A2 Y/ D) V1 }# fa.   To ensure, at all times, that the venues listed below meet the  " W& M: S! {6 t8 [
appropriate standards, requirements and needs, and contributes in a  . ~9 D( r6 _5 _
positive way to the smooth operation and success of the individual  
$ L& X! S) _1 s3 s( Z4 @3 grenter./ K" ?0 B+ x6 i1 g. Y, H
·     Myer Horowitz Theatre
  d( i9 w: H6 Y- e* B·     Dinwoodie Lounge
  q0 j# u) Q5 ?8 w$ M' c' z·     SUB Stage  g, K: h6 d! C7 T6 j  v7 }2 o; F

b.   This includes, but is not limited to, the following:' I3 F- W( T1 z, j0 u# Z3 X! G# @2 f9 V$ a
·     To plan the capital and supply expenditures to meet the  
/ k# q% F* A' X( Lproduction and facility requirements.) O1 I( ^/ `1 J+ {, C
·     To ensure the day-to-day compliance of the venues with existing  
2 ]/ E: V: W$ s3 s5 ^2 E) \safety regulations and building policies.

2.        Marketing and Promotion9 V" O1 U/ _) h3 p/ P& L
- M2 d' B( ?" D3 b; O/ a2 j
a.   To develop and implement a marketing plan for the venues that  
& o9 f* O1 `) f1 [* zfocuses upon advertising and promoting the venue to faculty,  
1 L4 W' z$ ^& _9 _! Nstudents, and internal and external clients on an on-going basis.  4 [0 ]" P# F! G1 q
This strategy will include implementing and/or delegating the following:1 R/ H2 m9 z+ g' n" I# X' A% ?8 @
·     To develop and maintain promotional materials, the Horowitz  ! M" w" Q9 P; w  C# m* u! w
Theatre and SU Venues home page, newspaper and other advertising; to  7 y2 c2 I/ F: J
take advantage of other internal and external advertising  - e0 z; Z  ]4 H5 x- ^+ r" [
opportunities; and to develop press releases and other promotional  & u' R- h# {+ U. @/ f. M0 M1 [
literature on an ongoing basis.
1 G; y* t1 C) W. R·     To coordinate tours of the venues for potential renters.& A' F; \! K* Y
·     To promote upcoming events in the Horowitz Theatre through the  ! W; L8 m& q* c8 n$ d
use of the Horowitz Theatre Home Page and the SU Events Calendar." X- S( X, ]0 s. o: o5 J
·     To develop new external clients for the venues.' V; a; X; f7 l5 r4 e3 A$ |

) ^0 l6 ^- |; u8 h( @  `2 X% O# {6 w, O/ K8 U0 Z: e. e
3.        Staff and Supervisory Roles and Responsibilities
7 g5 d' t1 p4 O) E3 C4 X" v/ ]7 J' B) F
a.   To ensure, at all times, that the venues are adequately and cost- / n2 [+ @1 h7 a+ p! q) f: E: w0 ~
effectively staffed, and that the staff utilized by or within the  
1 K$ c  G- I/ vvenues meet the appropriate standards, requirements and needs, and  + V$ P- [' K" C: M) O; q+ I. H! I6 S
contribute in a positive way to the smooth operation and success of  
: k6 |4 Q& }9 a6 ^2 X1 ithe renter´s events. This includes, but is not necessarily limited  * X8 |9 w; z) e  q3 e7 b
to, the following:4 {. \4 R' a) ]; x4 C% L
·     To be responsible, under the direction of the Manager of Venues  
. o; X6 q+ r: N& vand Programming, for all staff issues including hiring, disciplining,  8 G4 z% y6 s7 b1 Y, z; ^6 G
evaluating and terminating, as necessary.
3 @" }: g1 r( y' m To ensure that the Horowitz Theatre is adequately supervised at  $ K2 `. m9 k9 s  i
all times, this includes the development and implementation of such  ) |, |8 D) z9 f
schedules and rosters as may be necessary to ensure the effective and  
# P2 d5 f- Z; a, ~( ?% tcost-effective supervision of the venues at all times during which it  
4 g  `) o/ l9 u8 O7 G3 Ais in operation or needs to be in operation.
3 K6 b/ l) W6 ?* f) K3 D5 S·     To work with the Technical Director, when necessary, to ensure    U# f6 n( O+ {
that an adequate and appropriate level of part-time staff exists to  " B+ h/ o# O9 v4 A8 N  w
facilitate the smooth operation of the venues and to ensure all  
: q! T  y( o& A3 }8 j# Yrenters needs are met.+ d- L) L, q2 T4 J2 m
·     To work with the Technical Director to ensure that the skills  4 B! D; w" l' G. m
and attitudes of all subordinate staff are appropriate in light of  
+ g' m" A( C1 O& O0 [, |: h: vthe roles they must perform. This includes providing adequate and    m$ X. b. ~! z# r: J2 |
effective training (and re-training) in all applicable and  : I9 A- D* s3 n) E3 G
appropriate areas, and ensuring that the Policy and Procedures manual  4 b# s8 C5 j# |
is kep up-to-date at all times.  _, q" t/ F+ @% T2 I6 `
·     To ensure all staff are trained in and committed to providing  
+ ]" e" N0 ~' a7 v3 Q, Aexcellent customer service to all renters.+ {2 ?4 N% I8 @" V2 ]
·     To work with the Technical Director to arrange staff  ' F2 O9 g/ q5 L
scheduling.  To handle payroll related matters, under the guidance  
3 T: X" M. k/ hand direction of the Manager of Venues and Programming, concerning  
1 D/ ^/ j0 \( Gthe staff of the venues.
- Y! `7 d$ ?% _·     Working with the Manager of Facilities and Operations to ensure  4 j* k9 r7 }& _4 L: k) ?( r
the appropriate setup/tear down of each venue.+ K  W! h8 }# N( `2 d" ?! \& m
·     Working with the Manager of Programming and Venues to ensure  7 B% b0 B6 Q0 V9 h) g. Q9 B
that additional requests such as licensed receptions are arranged.
& _) g9 y" [1 }& a+ U- \' m% P; P

9 P# M0 O  T- Q! K) e4.          Overall Financial Performance4 G5 t! n( Y  K$ ?& f& y4 c0 u

; c$ s1 X2 j+ O+ I" xa. To ensure, at all times, that the Financial and Administrative  
! i0 i, h& j# q" h' R1 Qsystems and processes utilized by or within the venues meet the  - [9 ]' U5 d  r3 ]- J$ `- J% R0 J
appropriate standards, requirements and needs, and contribute in a  
1 D) Q, Z. o, M/ g' q! l) Z! upositive way to the smooth operation and success of the venues. This  
, G" C7 X/ O  S+ l2 Kincludes, but is not necessarily limited to, the following:: K; Y2 l% w+ }
To provide input and expertise in the formulation of appropriate  
3 O* S. V7 J& Ooperating budgets covering the venues to the SU´s Manager of  
. B, e4 n6 x. P' ~) H; e2 AProgramming and Venues and to discuss and refine those budgets  
; R1 O" Y& C, o7 l0 HManager of Programming and Venues, and Manager of Finance &  
3 I/ }. D- Q$ y7 r7 J+ K" aAdministration prior to their submission for final approval.
, p# F7 r4 Y" b/ `+ K: _1 @·  To manage the venues in a manner which adequately and effectively  9 b( M# u7 b/ O; l
reflects the budgets approved for the venues and/or which reflects  
9 x9 u6 @! K- @" l. z1 j# _6 ithe best interests of the venues and the Students´ Union.
/ t5 r) R6 }: K3 }* M) q·  To function as the key player in the submission of financial and  
3 }6 j$ ~! l; T. {administrative documentation covering the venues to be used in the  
# t- M" `0 ^, }1 A  icompilation of monthly and annual financial statements, and such    O# F- x* W1 l' C1 R: X4 `
other reports as may be necessary., B1 x: P" n& g, C; g* X
·  To discuss those financial statements and other reports, together  
3 M& Y$ J2 V! a8 v. lwith all financial and administrative procedures, with the SU´s  + j0 C" Z# m3 k% I4 `& `! [: S
Manager of Programming and Venues and Manager of Finance &  
1 P2 j* i) P3 H6 I4 N9 u3 ZAdministration with a view to determining and implementing action  7 l& D- s5 q- }/ U9 H
aimed at improving the financial and/or functional effectiveness of  - ?+ H; C) C8 ?! b: \/ p+ M5 ^
the Horowitz Theatre./ x( c% y0 O2 W& o
·  To ensure the existence of adequate, effective and accurate job  : a2 z3 B3 ~0 a6 C- ^' ?
costing systems to be used in connection with the determination and  
1 ?0 i* r" Z: s* H5 b+ Wsetting of appropriate prices for rental and staffing rates for  7 H! N( d* E0 g" t8 F
events held in the Horowitz Theatre.
& l) X, D& l4 R·  To develop accurate documentation to be used in connection with  
& K" ^1 }9 j& m0 t! Fthe billing clients, and to forward such documentation in a timely  
* P) v8 y5 r9 q( ~5 D# `' {: r1 a0 ^) Kmanner to the Accounting Department.
# o) N; X+ F* X. O7 P·  To recognize, address and handle all matters relating to financial  . S- V, U0 J; l& h! _
and administrative procedures and systems in a manner which reflects  
. a& u8 u( x, I" @" J% |the requirements of the SU´s Manager of Programming and Venues and  
! L& J  E6 H2 kManager of Finance and Administration, and in a manner which  . Z. {! b3 W' O
contributes positively to the smooth operation and success of the  7 i  [5 A) E/ D; @5 X  v
venues.1 X8 T) d6 C& H; x8 L

9 C9 u; G0 b  E5.          Overall Roles and Responsibilities: X" W1 w+ V% x( L/ i: s8 ?3 ~$ R- }
a.   To ensure, at all times, that the systems and processes used in  3 V6 f% r" D1 a: U
renting the venues meet the appropriate standards, requirements and  " L  b. W5 _4 {  Z7 V, r' {- m
needs, and contribute to the smooth operation and success of the  3 }1 z" T, A9 B3 s) w) Z5 y
venues. This includes, but is not limited to, the following:
" T" f4 i$ |& V- ^. h" S/ i9 c# o3 N/ I/ m: y
·  To recognize, develop and set in place such rental procedures as  
" P; g! z& R3 H7 v8 M( r; Tmay be necessary to ensure the smooth operation of the venues, this  " Y; ~- G* @. |# S9 o# m, c2 c
is to include but not necessarily be limited to systems and processes  % i, O& `9 h9 @: r' ]  c" d" F
in the areas of contracts, inventory management, contract evaluation,  
2 Y! \6 m2 F# f, ~& ?* V7 l9 gpricing, costing, equipment usage, rental/contract invoicing,  
8 @. h# Y0 O( v; gtogether with such other systems and procedures as may be necessary  4 J4 W7 j. v8 M: \* p
to ensure the smooth, secure, efficient, cost-effective and  : e' q2 C5 T  M+ g7 Q
functionally-effective operation of the Horowitz Theatre.9 w$ M/ ]! y1 H& G! n% N
·  To recognize, develop and set in place such operational procedures  ( W# W! p1 z* u+ }
as may be necessary to ensure the smooth, efficient and cost-
7 A- n( J6 E" M- meffective operation of the venues.. o  p: [  x1 I+ C: [; R$ ?( a, |
·  To negotiate rental lease agreements (contracts) relating to  
/ G$ x" y; T& j  I8 Edates, rates, staff and miscellaneous charges.) w; J0 s; N& t. J/ ]: @
·  To ensure that adequate inventory is available at all times and  
7 n  W9 U6 d/ ?that such inventory is stored and issued in effective and secure ways.! o. N0 N1 f2 h5 j
·  To consult with renters as to facility issues in producing their  7 F8 b4 d$ N1 ~; c
particular event in the venues.
' T& _) i) G0 J·  To provide the venues on-site staff with such documentation and  ; A4 Y( O1 a0 _9 M* c, C
supporting information as it may need to effectively fulfill the  9 e1 n9 [! }) [+ ~
roles they are to perform to ensure the success of the renter´s event.0 u9 t% w" s) Z" ]
·  To produce quotes in respect to staffing costs for a particular  
7 H4 r* r) f) s! ]( U" Krental with consultation with the Technical Director.
+ Y) E0 ^1 X9 r( F·  To ensure that all queries raised with the venues whether from the  + t) z7 W5 t9 i) p1 m' n& ^
SU or renters, are promptly and effectively handled and adequately  
- I% B, ^; u# M/ a+ \answered, and to ensure that such action as may be necessary in  ; _( K. Z& d' T, r
follow-up to such queries is taken in a timely manner.
4 U" v& h* Y9 C3 j: Z0 e$ H. w To ensure that the venues and its capabilities are adequately,  * l9 ?6 N& ?+ c, a8 |
effectively and cost-effectively advertised and promoted, and that  7 z# k4 I3 Y9 W
the cost of such endeavors does not exceed the budgetary provision  6 l0 b/ r6 Z# {5 [/ y( v7 [
made for them unless prior approval is given by the Manager of  0 _1 C% [/ [9 k: S, t$ F3 |
Programming and Venues.! \0 e) S+ N  p3 X
·  To act as an informed and knowledgeable resource in the case of  
, i# J% x" H& g; a+ ]: [% {significant challenges and/or problems surrounding the tasks of  
5 s; y- Y+ X. x& p2 Emarketing, administration, operations, and any such other matters as  
2 l% l0 V  \2 F( i% Lmay provide such challenges and/or problems.
% }3 V4 g* H5 M5 F2 t* [# w) [: E·  To attend such meetings as may be required to support the smooth  ( Q1 o' {- }6 M3 a7 C8 b
operation of the venues or the Students´ Union as a whole.5 w; _9 t$ R  P4 G! `$ F8 Q9 {8 h
·  To perform other job-related duties as may be required by the  2 j) Z- |% x  \
Manager of Programming and Venues in order to ensure the smooth and  
# w/ v7 j+ y  \. }& B) Msecure operation of the venues.* B4 X1 }8 ^/ J- x( O+ N
·  To recognize, address and handle all matters relating to overall  / |$ R! g4 p/ K
operations in a manner which reflects the requirements of the SU´s  
3 L  q* C6 o$ `Manager of Programming and Venues, and Manager of Finance and  
6 d( B+ Z% x. c) O: vAdministration, and in a manner which contributes positively to the  , j) H) i( y  c" P
smooth operation and success of the Horowitz Theatre.

1)             Minimum two years related post secondary education, or  
! u8 t) {9 Y/ \  }& V2 E0 o1 yan acceptable combination of education and experience.
2 @+ {3 W' }+ }# Q2)             Supervisory experience.7 s$ I+ E$ X0 U) }% q7 H; f
3)             Ability to create new initiatives with little or no  # H' {; I/ z* w, _6 U
supervision.
