financial and operational success of the Horowitz Theatre as well as 8 s0 s$ y/ x' O: F4 c4 O) }
the logistical organization and smooth rental of the additional # W, {4 O1 Q+ Z. i
venues within the realm of the Students´ Union. In the light of that ' W$ Y# S3 W+ v& V$ o5 Z- l0 k, {

describe all roles and responsibilities in a document of this kind.

appropriate standards, requirements and needs, and contributes in a

# x8 h" \- s+ e0 la. To develop and implement a marketing plan for the venues that 6 e3 Q' s% K* J: v; m
focuses upon advertising and promoting the venue to faculty,
5 _- ]7 ]3 z& K8 p( Pstudents, and internal and external clients on an on-going basis.
$ Y+ U$ `6 D4 ]4 ]6 tThis strategy will include implementing and/or delegating the following:) A Y0 G7 P- r' N
· To develop and maintain promotional materials, the Horowitz
8 _) Y) i6 p$ D5 g* x" ?Theatre and SU Venues home page, newspaper and other advertising; to , V3 r+ G8 }# b$ L2 K6 r0 @# n
take advantage of other internal and external advertising % N9 Z# H0 ^1 Y2 k
opportunities; and to develop press releases and other promotional 7 {6 G) h* k9 B, C% q
literature on an ongoing basis.

· To promote upcoming events in the Horowitz Theatre through the ! u. ~0 g& E. g7 k
use of the Horowitz Theatre Home Page and the SU Events Calendar.
' J/ I& D& z- e& E· To develop new external clients for the venues.

7 S- I/ [1 U i9 n* S0 w y' U3. Staff and Supervisory Roles and Responsibilities

% C! G8 e; U' V+ `a. To ensure, at all times, that the venues are adequately and cost- ! Q+ _& {5 b2 b% K3 N1 \* _
effectively staffed, and that the staff utilized by or within the " z1 O) A( Y; B3 q
venues meet the appropriate standards, requirements and needs, and
' N: L0 P* ~% w5 M/ G! R6 gcontribute in a positive way to the smooth operation and success of & C7 l O6 l6 p! i) x. ~' d, _
the renter´s events. This includes, but is not necessarily limited
$ l7 R) ~3 ~/ m- dto, the following:0 r- b: w% Q5 R" G( m
· To be responsible, under the direction of the Manager of Venues
" a {$ f! ` w6 I: D, c) Mand Programming, for all staff issues including hiring, disciplining, 5 M% t% {1 D: w
evaluating and terminating, as necessary.( N* H. ]: S4 y
To ensure that the Horowitz Theatre is adequately supervised at
6 r+ N, ]5 C$ m* Gall times, this includes the development and implementation of such * w7 }% g0 f& v) [
schedules and rosters as may be necessary to ensure the effective and
9 }6 D$ Y* l3 Ecost-effective supervision of the venues at all times during which it + e# \- q0 S4 b
is in operation or needs to be in operation.
& v# g; Y ~- J* ^· To work with the Technical Director, when necessary, to ensure 9 W9 r5 j* k& h3 u, r! q/ I
that an adequate and appropriate level of part-time staff exists to
3 \( v* j9 s: `! I6 zfacilitate the smooth operation of the venues and to ensure all ; ^% b2 v2 ?' S
renters needs are met.1 M& u( y: Y. C; K+ G/ u
· To work with the Technical Director to ensure that the skills $ C W% b& S; n4 y* W4 d( F
and attitudes of all subordinate staff are appropriate in light of + t2 @, E: t; J
the roles they must perform. This includes providing adequate and
' H, W" ~$ N5 @4 ~# v% u& A+ y" [effective training (and re-training) in all applicable and
2 w' {4 n8 P* i2 ]! A. aappropriate areas, and ensuring that the Policy and Procedures manual * [! F$ p6 `6 H# a
is kep up-to-date at all times.
9 J/ @; w! r/ b! n2 L* _2 L2 B· To ensure all staff are trained in and committed to providing 3 i# l9 o4 ^( F) c5 {! C: f6 {
excellent customer service to all renters.! a# z6 m) g( H
· To work with the Technical Director to arrange staff ( x8 I2 g0 k& d( u- t3 u
scheduling. To handle payroll related matters, under the guidance
2 s$ v6 {2 x$ @and direction of the Manager of Venues and Programming, concerning % F" n I' R# @5 K+ J9 Y4 r# U
the staff of the venues.7 ]" {( q3 g) v4 p1 d
· Working with the Manager of Facilities and Operations to ensure
4 Q: \) {# V4 m0 uthe appropriate setup/tear down of each venue.

- v4 U' }: ?: c* J9 R6 U2 rthat additional requests such as licensed receptions are arranged.

) q6 E; r+ ^0 Q- fa. To ensure, at all times, that the Financial and Administrative
+ v8 d$ r( c( ~systems and processes utilized by or within the venues meet the ( y) @. c1 k. u) ~/ y) h, Z
appropriate standards, requirements and needs, and contribute in a
) ^: z- v3 }5 U4 P: L$ e8 l- Npositive way to the smooth operation and success of the venues. This

operating budgets covering the venues to the SU´s Manager of 6 a: N, @9 V0 L+ W& g
Programming and Venues and to discuss and refine those budgets

· To manage the venues in a manner which adequately and effectively

· To function as the key player in the submission of financial and 7 ` B/ K8 Y3 Z3 o1 W6 u$ {5 u
administrative documentation covering the venues to be used in the
& O5 C' j) L( g z! W1 n7 V" A0 Pcompilation of monthly and annual financial statements, and such & B& g9 |& z9 F1 @( O
other reports as may be necessary.4 D6 }' m5 V. v" n. z
· To discuss those financial statements and other reports, together # M0 n. i4 W7 A% }2 b. ]$ H
with all financial and administrative procedures, with the SU´s

( \8 X% f% @' [Administration with a view to determining and implementing action 7 y7 I% \4 Q* \& Z& w- D+ g0 L7 r
aimed at improving the financial and/or functional effectiveness of
6 N+ a, Z- H* v& t4 g1 g3 ^7 U0 @the Horowitz Theatre.
. D, p! `9 l1 S· To ensure the existence of adequate, effective and accurate job
2 {, N1 {' v) Gcosting systems to be used in connection with the determination and
9 ^/ X8 `- J) D& a- M, @3 a- fsetting of appropriate prices for rental and staffing rates for 0 L0 p$ m' ^: |* h, e! M6 n
events held in the Horowitz Theatre.7 E! c1 Q# h7 }* y) v4 k
· To develop accurate documentation to be used in connection with
( U- J5 U/ y5 m/ ^" b5 P% jthe billing clients, and to forward such documentation in a timely % |6 N$ j% A' g4 N) B
manner to the Accounting Department.

( u [8 B) w @7 [" k- Gand administrative procedures and systems in a manner which reflects
+ E/ ]! U$ V Kthe requirements of the SU´s Manager of Programming and Venues and % b. i! g' E6 t5 `, g' }* s1 i5 F
Manager of Finance and Administration, and in a manner which ' j" r0 r5 p' q. c
contributes positively to the smooth operation and success of the

a. To ensure, at all times, that the systems and processes used in

needs, and contribute to the smooth operation and success of the " W; h! q6 h z1 e# T. ^" e3 e
venues. This includes, but is not limited to, the following:6 s8 n! x& ~5 o: [5 H* h1 ]4 }
% W/ r: |0 o6 }+ J5 E· To recognize, develop and set in place such rental procedures as / N, _$ ~+ W! l [5 C+ ^7 z7 H) R- c
may be necessary to ensure the smooth operation of the venues, this
- R3 f+ N3 x! l. M) \. ]is to include but not necessarily be limited to systems and processes $ H# E! E4 I, ]% W# k1 a" o5 Q
in the areas of contracts, inventory management, contract evaluation, 7 q* Z9 _5 _9 v
pricing, costing, equipment usage, rental/contract invoicing,
. i; z0 m: \, C" k1 s9 itogether with such other systems and procedures as may be necessary , O/ r# B, |7 V: f2 H. N
to ensure the smooth, secure, efficient, cost-effective and
7 K! |$ B. K$ e3 u; C% zfunctionally-effective operation of the Horowitz Theatre.% ?; F# N0 b5 e6 l J4 c+ v
· To recognize, develop and set in place such operational procedures
* G6 t5 E" a* p" u5 b: jas may be necessary to ensure the smooth, efficient and cost- - v5 @$ q5 u. \! M) Q, [, I3 o
effective operation of the venues. f2 [$ y ?& ~. S9 e; ^0 a: b2 k: X$ s# T
· To negotiate rental lease agreements (contracts) relating to
% ]* n9 O i% ?) P5 Idates, rates, staff and miscellaneous charges.
: E, O2 A- J9 ^· To ensure that adequate inventory is available at all times and
) h V7 `/ E: K; Qthat such inventory is stored and issued in effective and secure ways.
3 s! a0 c0 f1 @" c. l* X· To consult with renters as to facility issues in producing their
2 ]; a0 Z3 p( `- d& Mparticular event in the venues.+ G' X# H0 ~/ o0 D: o
· To provide the venues on-site staff with such documentation and / K# x. V& t# f+ J
supporting information as it may need to effectively fulfill the
6 \) f- e9 b3 ~; eroles they are to perform to ensure the success of the renter´s event.
" _/ ^# |3 F+ R; a& K· To produce quotes in respect to staffing costs for a particular
$ h) O( ], r6 e6 s$ k2 t n. U, M! c$ jrental with consultation with the Technical Director.
3 V9 X. Z2 M* m$ p: ?: k! d· To ensure that all queries raised with the venues whether from the " s: @9 @ A( B, G" U \2 o
SU or renters, are promptly and effectively handled and adequately
2 l3 f" N) x' Q9 G" b; v# ?answered, and to ensure that such action as may be necessary in % m* i4 B( W, ?9 z5 Z2 |
follow-up to such queries is taken in a timely manner.
/ D- }, R; D: b" h& B8 S1 n To ensure that the venues and its capabilities are adequately,
# Z4 B7 \% P' B* }effectively and cost-effectively advertised and promoted, and that
2 z, |8 }, a' X5 @1 s3 z* Qthe cost of such endeavors does not exceed the budgetary provision . x# A6 w$ }1 ]% U2 [- N
made for them unless prior approval is given by the Manager of
: ~5 V% _; g0 ]3 S0 X, H7 E4 ?Programming and Venues.
# J+ F! ?! t1 y7 L3 W* P" g9 j. F· To act as an informed and knowledgeable resource in the case of ( U5 s p8 P% M: [, H! [+ ]) n
significant challenges and/or problems surrounding the tasks of
; L) c" ]$ Y$ l" m# Z% s. Imarketing, administration, operations, and any such other matters as
% u* ^8 |% |+ j" smay provide such challenges and/or problems.
0 h3 m7 S% U4 v· To attend such meetings as may be required to support the smooth
