The duties of the Operations Manager - SU Venues are diverse and

/ G. K# u% H: z$ [financial and operational success of the Horowitz Theatre as well as ; c8 E9 K5 h3 \7 y( [
the logistical organization and smooth rental of the additional z# ~) X. Q* F6 x' z
venues within the realm of the Students´ Union. In the light of that " m/ z+ Y* B" S4 z# w
breadth and complexity, it is not possible to fully define or
( [5 c6 F' K& Y+ ]. Idescribe all roles and responsibilities in a document of this kind.

renter.

a. To develop and implement a marketing plan for the venues that & k3 s9 Z% T& p, c5 y- \! H
focuses upon advertising and promoting the venue to faculty,

This strategy will include implementing and/or delegating the following:
$ B9 a3 g1 ~+ u2 l0 E· To develop and maintain promotional materials, the Horowitz ( b% \& ~- c6 k2 ^
Theatre and SU Venues home page, newspaper and other advertising; to
3 q) _- {0 }5 ctake advantage of other internal and external advertising
( n0 i+ A* Z0 q& i2 A+ b W5 h; ropportunities; and to develop press releases and other promotional
% i) w% [7 F) Q$ @' e# u! iliterature on an ongoing basis.
& a$ q; X0 m" n6 n9 ^0 ~0 O· To coordinate tours of the venues for potential renters.5 @8 y- k7 p; }, h
· To promote upcoming events in the Horowitz Theatre through the 0 I7 R* A: V% |9 O# ]
use of the Horowitz Theatre Home Page and the SU Events Calendar.

a. To ensure, at all times, that the venues are adequately and cost- ) A- H' L$ `: `! N; m7 f; l
effectively staffed, and that the staff utilized by or within the
+ d/ u4 X, G+ ?# Vvenues meet the appropriate standards, requirements and needs, and
# A& J' c3 M- y U5 vcontribute in a positive way to the smooth operation and success of
; n: L% T w- F4 x3 l7 k1 jthe renter´s events. This includes, but is not necessarily limited 1 g0 U& p/ O5 O. q' O# @# _
to, the following:% M8 T) |7 P( L; K* D0 A/ H
· To be responsible, under the direction of the Manager of Venues % t( S1 f% O: l0 A
and Programming, for all staff issues including hiring, disciplining, 7 ~' X0 e* j" @* `& m2 N$ t4 y
evaluating and terminating, as necessary." _( t" k/ N4 a* ]$ H
To ensure that the Horowitz Theatre is adequately supervised at 2 N8 V8 p* V) l
all times, this includes the development and implementation of such 4 y2 c. J; d! Q
schedules and rosters as may be necessary to ensure the effective and
, t% r3 e, L2 u" |cost-effective supervision of the venues at all times during which it
& p' P& b( J# C7 O8 U/ {is in operation or needs to be in operation.* I) L2 n2 o5 q8 c
· To work with the Technical Director, when necessary, to ensure
" [: ^$ O' b+ {7 Dthat an adequate and appropriate level of part-time staff exists to 8 S2 [4 k% |) J/ a
facilitate the smooth operation of the venues and to ensure all
8 M8 |9 E3 c- H8 k: m% ~) R% Lrenters needs are met.; d1 j" i7 @4 V9 d; |4 t
· To work with the Technical Director to ensure that the skills
! ?8 O8 W! J9 E! F- c+ Vand attitudes of all subordinate staff are appropriate in light of
2 q; e3 _* R% bthe roles they must perform. This includes providing adequate and
' _0 E5 Q7 V2 A% z2 ^8 [effective training (and re-training) in all applicable and
2 Z) m. ?; H/ z( M9 u5 pappropriate areas, and ensuring that the Policy and Procedures manual
# _0 H* _, j2 V3 `, W7 Q- Fis kep up-to-date at all times.5 `0 I$ k4 G/ B; k
· To ensure all staff are trained in and committed to providing
g& C- B- Y9 ?! {0 Iexcellent customer service to all renters.
/ W) A! w _( a0 ?4 N# G· To work with the Technical Director to arrange staff
' @- H9 r! B" V5 W7 uscheduling. To handle payroll related matters, under the guidance * Q: ^; J5 [ E2 c0 V, y
and direction of the Manager of Venues and Programming, concerning % G9 q' n4 u3 R# [2 x
the staff of the venues.
! D8 K6 `. r+ N% ]· Working with the Manager of Facilities and Operations to ensure * x0 Z0 [8 E7 H! M, N; N3 o! [
the appropriate setup/tear down of each venue.

4. Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative / s/ w6 e& w, Z1 F) U1 \
systems and processes utilized by or within the venues meet the 6 ?3 U: ?6 i7 Z; ]" {5 g
appropriate standards, requirements and needs, and contribute in a # U: c, W. b% l# F8 x7 U: f/ _
positive way to the smooth operation and success of the venues. This
2 O3 G! H! l+ wincludes, but is not necessarily limited to, the following:
0 N$ ], x$ i& r$ [) w To provide input and expertise in the formulation of appropriate
/ c; P3 k+ P9 P8 o/ f' F- F Z1 Toperating budgets covering the venues to the SU´s Manager of 1 e9 H' k7 A) m3 J
Programming and Venues and to discuss and refine those budgets $ G7 L* n7 x" |, E: k4 ~

Administration prior to their submission for final approval.

reflects the budgets approved for the venues and/or which reflects
) k5 X! ]& l; _; j! bthe best interests of the venues and the Students´ Union.7 {4 ~& o( J( `
· To function as the key player in the submission of financial and
( a0 v3 j1 z+ R& jadministrative documentation covering the venues to be used in the
8 I% H5 m2 R* N- ^6 }compilation of monthly and annual financial statements, and such
- [8 [2 U7 q% I& Sother reports as may be necessary.

aimed at improving the financial and/or functional effectiveness of

· To ensure the existence of adequate, effective and accurate job

· To develop accurate documentation to be used in connection with

· To recognize, address and handle all matters relating to financial

5. Overall Roles and Responsibilities

· To recognize, develop and set in place such rental procedures as . h0 M" G1 }4 \* s5 I
may be necessary to ensure the smooth operation of the venues, this

in the areas of contracts, inventory management, contract evaluation,
; ~: t1 N, }+ z& Lpricing, costing, equipment usage, rental/contract invoicing, ; H5 c8 x ^& v9 e: h# x
together with such other systems and procedures as may be necessary
{9 e- U+ G4 Z, @0 {to ensure the smooth, secure, efficient, cost-effective and U% ]* w3 R! r3 c) _4 c
functionally-effective operation of the Horowitz Theatre.7 j% U! E9 u$ N- T/ e
· To recognize, develop and set in place such operational procedures
# z$ ~: c/ i, w7 z2 G: }' s8 eas may be necessary to ensure the smooth, efficient and cost-

· To negotiate rental lease agreements (contracts) relating to
% T3 Z+ q8 G* c/ J- N. pdates, rates, staff and miscellaneous charges.: j$ U* I: `5 V5 U3 `! u7 J1 X( E$ E
· To ensure that adequate inventory is available at all times and ! Z$ F& S w+ X+ p1 D; C
that such inventory is stored and issued in effective and secure ways." g8 `) m* m" P8 M, ]8 e+ p
· To consult with renters as to facility issues in producing their

· To provide the venues on-site staff with such documentation and

roles they are to perform to ensure the success of the renter´s event.

, [0 e: x# M9 q- q$ u) Mrental with consultation with the Technical Director.
3 L$ g% c y8 u2 |1 Z9 N4 b· To ensure that all queries raised with the venues whether from the 9 ?4 @5 ^; [6 t+ I3 J1 i8 Q
SU or renters, are promptly and effectively handled and adequately
, c2 |9 r8 [9 h3 b% S A6 m- T% ~' `answered, and to ensure that such action as may be necessary in
: H7 V( K# {" X) a; T& s- gfollow-up to such queries is taken in a timely manner.4 B( j3 d- j9 t# g2 |& z5 a
To ensure that the venues and its capabilities are adequately,
8 G- O/ }' n! ]8 G$ o: Geffectively and cost-effectively advertised and promoted, and that . V+ n8 ]. i. T# z6 ^! w
the cost of such endeavors does not exceed the budgetary provision / N9 N' Q$ A3 B) e+ w
made for them unless prior approval is given by the Manager of
: t: ~1 H* c8 F4 S0 oProgramming and Venues.+ Z# D2 B# b- l+ y* S$ S2 }1 ?+ \0 C
· To act as an informed and knowledgeable resource in the case of
$ b5 u3 q. b/ O" I) F3 vsignificant challenges and/or problems surrounding the tasks of : y; j% N& P, s3 G' @5 R! P
marketing, administration, operations, and any such other matters as * `0 K2 O; I5 \6 Z5 T

· To attend such meetings as may be required to support the smooth / p* v8 E9 J2 j$ F6 w P+ k8 ^# K* P
operation of the venues or the Students´ Union as a whole.
