The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. • Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
! ?7 @* P8 ]3 }• Assist in development and implementation of policies and procedures for volunteer services.7 L1 G4 l n2 K
• Maintain the volunteer files and update the database using Raisers Edge
; [, G, ?$ C# f4 [* D$ E• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills., ~8 y* }6 ^8 y& x. g
• Develop and implement a comprehensive volunteer recognition program.
% j# q7 I }6 z, D8 u1 b& q; P5 R• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.0 M# V; v- |/ z
• Identify and implement best practices in regards to volunteer development.$ {1 A7 ~7 k/ u% K, \" [' @# u" e8 s
• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities9 k" f# v' s9 u; ]
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

• Develop and maintain job descriptions for each volunteer position; p% l7 {" b! G
• Maintain secure volunteers files in accordance with privacy legislation9 a' n4 H' p; {
• Provide feedback on volunteers’ performance, as appropriate
5 g& E1 w% Z7 h9 j$ k• Ensure Human Resource policies and procedures are adhered to within the department9 s1 e: {- e* C4 N+ }
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required / |6 E' V7 H- r" m! c
• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency3 a. u: @5 j* j% h
• Develop resource and orientation materials for Volunteer Services$ _( w9 h) [' w$ K0 L/ S
• Maintain monthly and yearly volunteer statistics for reporting purposes8 B6 a- g5 l& s! x- ]+ H
• Prepare a regular monthly program report. O0 Z+ n) `6 W4 H! G# |# ?0 F! V

• Ensure the program operates within approved budget and be familiar with potential variances+ b$ e( S% {6 ^8 }$ ~
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

( {& o; g4 m% D, F9 a2 oINTERNAL/EXTERNAL RELATIONS( i9 J- V" @6 k2 T; B: J8 f; r
• Act as liaison to the Y-Knit group of volunteers
7 K4 w/ Q; h/ `: U+ t5 X$ j• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
1 [ b- B3 w( u% ^ |0 s• Follow up with correspondence to outside agency volunteers as appropriate ' D0 O+ c( J$ ~6 a- l! j/ Y0 \
• Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:

• Minimum 2 years experience in Volunteer Coordination) p; K/ |3 w2 |( T2 S2 Y P m
• Excellent organizational skills and multi-tasking ability/ p2 x' O7 @# Y0 A M# t7 {
• Demonstrated superior volunteer supervision skills
* j" \+ c- x# v! j, ]; I• Collaborative working style and excellent interpersonal skills 2 O9 K3 Y( G8 P( u, G- f
• Ability to work to meet deadlines and to work under pressure8 @- } O% [8 _; l( l( h% r
• Ability to work in a team-based environment, with cross-functional work teams on projects $ C& U* f+ B& J- e2 s) j" W" l
• Sound judgment and ability to maintain confidentiality
