The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

7 f" S: A( H# jThis is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.* O5 w3 T+ p, [$ A8 V

Job Responsibilities:+ ?2 l2 s& Z! h: x8 H* w3 [

  X8 ~8 ?2 _- _) POPERATIONS
! K) u; m* W* V; h: \2 z•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
' D8 c7 e: E; i" X9 k) G•        Assist in development and implementation of policies and procedures for volunteer services.7 J5 \2 r4 @/ E9 G: |# _. k
•        Maintain the volunteer files and update the database using Raisers Edge+ e' S7 h6 q; f9 i- U, g$ q
•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
6 M& n) E5 _1 w9 s! q! w•        Develop and implement a comprehensive volunteer recognition program.
7 a& k/ e! I$ y- A6 n) ]# T) L/ y•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.! p9 }( U$ J: Y( ~! s0 a) |
•        Identify and implement best practices in regards to volunteer development.* i' q0 r' S& T* T" Q& _; g6 E
•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
7 l% B- q5 F5 J9 t•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

SPECIAL EVENT PLANNING
" S4 e, o  r2 y  ?* c( a" ^# z6 E" a•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO) q4 g8 p# m; d+ p
•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up8 I' I$ r7 B( f3 I0 Z
! _& B. P  @+ J/ [
ADMINISTRATION, |$ x# X% g8 |. K4 a: p5 @
•        Develop and maintain job descriptions for each volunteer position2 ~# F: l; Z% F; J
•        Maintain secure volunteers files in accordance with privacy legislation
  m  w3 m: p" ~" O  \•        Provide feedback on volunteers’ performance, as appropriate9 I% b) P9 Q) ?1 K8 I7 Q
•        Ensure Human Resource policies and procedures are adhered to within the department* s) x# r- A% H( n  _' g; h- z  x4 ^
•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
7 N$ ^! Y4 ~6 m2 Z•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
2 H, a, ^+ Z5 A0 y' P7 F•        Develop resource and orientation materials for Volunteer Services  `# p0 G, Q" o
•        Maintain monthly and yearly volunteer statistics for reporting purposes

FINANCE
% `2 z) @* [+ A- C# Y! y- |•        Ensure the program operates within approved budget and be familiar with potential variances8 W* Y2 w( {: M3 @' |
•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required
2 G1 r9 w. _* ~/ U$ U8 i$ V# k5 B% {$ q* H( w
INTERNAL/EXTERNAL RELATIONS( ]  _2 B0 t5 C7 J  O
•        Act as liaison to the Y-Knit group of volunteers6 q/ s$ h% p. i! d/ W/ m' p
•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)- M3 L# p" ~2 [5 S5 ]' H3 U6 J
•        Follow up with correspondence to outside agency volunteers as appropriate % {& z% R) y4 |7 t8 j
•        Attend external functions such as volunteer fairs, trade shows, and special events as required
& e9 R. G, `1 F! I
" {6 c+ G1 b; D2 E+ C* \# H1 gQualifications:
% K4 l8 {8 f/ C+ a# e' V8 i5 }& Z+ q  M( O8 ]! d
•        Minimum 2 years experience in Volunteer Coordination" R% [# E9 J6 b( S$ k% ]; D
•        Excellent organizational skills and multi-tasking ability
- g3 W& }# N9 @4 F# J, P6 J$ m•        Demonstrated superior volunteer supervision skills& d; h" Z9 e2 X# J+ V2 `4 u
•        Collaborative working style and excellent interpersonal skills
/ B, o6 V% h1 p! c•        Ability to work to meet deadlines and to work under pressure
; V3 e: E$ d( _  G: i9 d8 d•        Ability to work in a team-based environment, with cross-functional work teams on projects
/ r- U0 D. o/ V# V/ N: Q+ k: S: D# X•        Sound judgment and ability to maintain confidentiality
7 c$ C" ~/ [( U! v  y7 ?7 g3 }: ~' }•        Knowledge of Raisers Edge software would be beneficial
