Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.1 s- ^5 d' B2 X- D# q( i: |; @

: q* \* a" Q$ kCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.0 E# T, B0 z# \

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.
& ]. j4 m% b) ^0 p# k5 u
$ J' q( C8 g0 l: \) b• Complete data entry in various programs.8 O$ p( x/ E3 ^) w& N- q

8 L* `. C9 B6 F" W6 A5 {% V! \- r2 L• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.# K; v" E6 L9 E* V3 h

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual." ]+ K6 n, E: J  M7 F6 X- T

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.) C5 s! T' l) \) K

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Manage mail outs for fund development or education purposes with support of Program Managers.* ~7 T9 W6 T  {" J

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.
" T* s) t7 V7 A( o4 e& r8 {, M3 B& }+ Y3 L
• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.7 h8 E, Y' j1 k0 m' h

# m! e$ A; I( @, J; N& S• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.+ Q0 t/ A$ P/ D. j/ G1 d( C

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.1 p6 D, H8 G! j: E( ]9 Y6 y

• Compile information packages for fundraising and promotional purposes.

9 b( A8 z3 J1 i( H0 \• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.( v* E/ W$ M  N  g! W$ j' M) H

• Provide logistical support for key fundraising events such as silent auctions

6 r  Y" J4 j- K4 ~4 O• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.) Spanish language abilities are an asset.

Term:

This position is Permanent part time (20 hours per week during regular office hours).
