Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.# ?! CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.% C: _8 ]8 S2 d" d! [7 n, N

: ]6 z) O, S) r& [) j• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.
" j$ b; s0 i' j; l  N& g4 V9 H+ s4 ]$ \
• Complete data entry in various programs.
! I( X, m- Q* z% v% W$ H% q, u4 j/ J, T. x' |5 F' Q3 q$ K; F
• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.# b7 `2 U* P$ g1 F5 }  S* C% e

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.( C' s' R) ~* z

• Meet weekly with Program Managers to define priorities.  w8 `) U) C( `. H* g. `) Q& P

7 D4 j7 Q; v% u4 c/ ^/ @, v* X• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.7 A% l* Z" H3 S5 I+ Z5 U: v2 V

% ]$ p, ?( G' a3 Y, x1 Z• Manage mail outs for fund development or education purposes with support of Program Managers.3 d/ M9 t) [; e5 b& j! K) ]% c

• Support maintenance of Human Resources records and the development of employee handbook.3 m. @% T$ Q/ t9 v4 f, c5 Q* D

2 ~( z: y% y% d* c5 e• Perform financial administrative duties as required.

Key program support duties

International Projects and Public Engagement/Communications:& o5 n+ E* c6 g. x% P- F

• Maintain inventory of communication materials.
" S/ `3 i; e# o* J
  M- C( `9 V& p* Z* F• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.& ]5 w9 B+ K% H) _, S) k

4 W6 F- Z) B0 o) Q• Support management of online publicity and communication tools.# O3 N* l+ ]6 U* x* f+ u  I) _

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.  ~: I- S1 O  R% {+ g% d. Y8 X

Fund Development

8 m" ?8 o8 X8 u• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts., G2 O1 m! K0 l- S6 O

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
# Z2 b# w2 J: I4 ?0 g' ?  Z/ q% e3 u6 K0 Q8 F
• Support logistical work required for CFCA’s Annual General Meeting. h: m* B- |. N8 u

• Assist in administrative tasks related to donor recognition and event reconciliation as required.! ]  W" e0 u; g! F6 F9 N

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.1 D3 k7 ?  B" ]5 H" @  ?
