Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization., [2 Y8 W# b! i# v. 7 k7 P8 d& b# R( |% ICHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

! O" U6 i! Z2 ?+ i• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms." p" w2 p+ X0 N5 s. ]; y

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.( _. |0 \4 T! i0 H

5 z% _0 m: n% D- P• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

. v, N" k/ s1 g. g0 _1 h• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management., U2 D/ I7 {  N! Z

• Manage mail outs for fund development or education purposes with support of Program Managers." q; Z( ]$ i! E2 t2 ~2 `

• Support maintenance of Human Resources records and the development of employee handbook.% v5 Q' t; Q7 Q# h/ P% G* G9 a

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.9 N/ }( L3 d- l9 }; t2 ~

2 v+ ^2 @2 H( N( B, g9 H  y& ~• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

1 I2 _* W0 S8 B5 x& ?• Compile information packages for fundraising and promotional purposes.

7 Q8 ]% }6 {; l( R% V• Manage database and support distribution of print publications.

. }0 q8 \' n- Q• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions

& q6 ~4 b. _% f" F% D) k! e& S• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.( G! S9 D5 m4 o( r

4 s; a: C$ M4 U, r1 e( h1 P• Coordinate volunteers for some fundraising events such as Casino and annual sales events.# m" d' ~' D) z0 y* q, v. u

• Support logistical work required for CFCA’s Annual General Meeting: o) n& @! f2 o
& [& n+ v# m$ d/ P4 _
• Assist in administrative tasks related to donor recognition and event reconciliation as required.

! a- \8 D- @% i  @2 GSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.9 e4 e) g$ q) T) {5 {

This position is Permanent part time (20 hours per week during regular office hours).

2 m! A+ P; r. dStarting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
