Receptionist

The YWCA is recruiting a Receptionist. The Front Desk is the central point for internal and external communications for all departments, programs and events. A sound understanding of overall activity of the agency is essential. This is a position that requires strong customer service skills, as it works collaboratively with staff and volunteers to provide the best possible information and assistance.

• Greet and provide assistance to incoming visitors
( r" H5 i6 _2 q3 o• Answer multi line telephone system( [; q$ e& N* E0 v" R4 `
• Receive and distribute mail and deliveries X# T* F, s; H4 d
• Arrange courier services for all departments7 q) p# H9 [' l6 I. d
• Oversee Y-Knit program; provide support to its volunteers. m1 N. V$ \4 Z0 m9 j

• Receive sort and distribute mail and packages; post outgoing mail
+ U4 t# A$ ~$ ^8 l3 z% b• Sort and distribute mail and deliveries
6 r6 T, \1 O G• Provide clerical support (e.g. word processing, data entry, photocopying, faxing, e-mailing, printing labels, mail-outs, and filing) to all departments of the agency
) k9 ^3 f/ s7 P- c• Update and maintain databases as assigned, including those for Fund Development and Administration% Y4 Z% W& u. {( n
• Assist with task management for administrative volunteers
2 l0 u( P _- e1 {- M• Create monthly staff bulletin and prepare for distribution
% M& _2 k: Q; S6 a• Assist Business department with weekly bank deposit and processing payments $ k1 \: s+ t8 h# C( M
• Assemble and forward information packets as requested3 y" L/ N, o4 H: n

• Accept and process registrations for participants or attendees at various special events and staff training

• Assist YoWoChAs Outdoor Education Registration as required9 a% k% ~; {% j! A/ m( T

Qualifications:# \3 w- \4 A) a: q3 E9 O4 U7 k0 L. F& K
3 q( \ ?( Z$ o) x• Minimum 2 years office experience in areas related to office reception, and office procedures
% t" B1 t$ g7 z S( q2 `, b• Experience and proficiency in Microsoft Office including Word, Excel, and PowerPoint.2 o2 Z7 {1 H& d" q) P: e
• Skill in Desktop publishing is an asset
