direct line reporting relationship to the SU´s Manager of Programming

The duties of the Operations Manager - SU Venues are diverse and  
  m; p7 ^$ q( s- R3 aextensive, and are targeted at the all round smooth operation and  " s  x7 i( z0 o- T; J3 b
financial and operational success of the Horowitz Theatre as well as  
  e6 }1 ?. p$ G7 Uthe logistical organization and smooth rental of the additional  
8 [9 \4 H% L6 h& yvenues within the realm of the Students´ Union.  In the light of that  7 J, `0 j" B! q5 l% E' ?0 v
breadth and complexity, it is not possible to fully define or  & R( Y! n- f6 Y' x
describe all roles and responsibilities in a document of this kind.   
9 W' S+ W5 L" k5 \) PHowever, the main roles and responsibilities of the Operations  
8 I/ r& f1 s, {5 y0 sManager are as follows:% L4 O1 D6 ~8 E0 n- w

1.        Space Roles and Responsibilities

/ E/ W: _  R) d! aa.   To ensure, at all times, that the venues listed below meet the  
$ g3 A; ?9 }5 p. r8 Mappropriate standards, requirements and needs, and contributes in a  6 ~* ~9 o8 I3 E9 D1 s/ W
positive way to the smooth operation and success of the individual  3 R- {; F' m* ]" ?2 C( y, @. U

·     Myer Horowitz Theatre

b.   This includes, but is not limited to, the following:
& q+ Y1 H5 g. O/ U* F1 y·     To plan the capital and supply expenditures to meet the  / a8 c; H  H' @! [, [$ T

·     To ensure the day-to-day compliance of the venues with existing

To ensure that the maximum potential of renters is met.3 s  c8 [5 S: U: ~' w" |8 R2 Z

% z! F4 G6 o0 e. Q* b( c" u7 B2.        Marketing and Promotion
0 q' e3 @/ A4 {- Y) ]1 ~
, k& M1 h6 }) e# P, M/ s( Xa.   To develop and implement a marketing plan for the venues that  
+ D& P1 W, C8 E. _' \focuses upon advertising and promoting the venue to faculty,  / W0 [" ^9 j) f: n% ~! i, L
students, and internal and external clients on an on-going basis.  
% |! L* S$ h) C& s3 WThis strategy will include implementing and/or delegating the following:
) |- Z( m4 M6 L; n  }2 ?* t·     To develop and maintain promotional materials, the Horowitz  0 A; g3 J4 Q! B; ~4 K7 y
Theatre and SU Venues home page, newspaper and other advertising; to  . q2 N3 ^* ~( @* k. P) n6 U5 Z/ C
take advantage of other internal and external advertising  & N; a: q: c$ e6 b- q" J
opportunities; and to develop press releases and other promotional  4 |+ o8 }1 q$ N( H' g
literature on an ongoing basis.: g, j- }( j3 C; P+ }' e0 E6 J
·     To coordinate tours of the venues for potential renters.+ ^$ E( ]: {$ k7 K* ^0 H( h# x
·     To promote upcoming events in the Horowitz Theatre through the  8 x+ B" T$ ?5 |# h2 n
use of the Horowitz Theatre Home Page and the SU Events Calendar.
' ~4 {/ h" |7 T9 v* N·     To develop new external clients for the venues.% W/ B% o: x7 \! U. V2 o, ]

+ b0 \" o( K  ~3.        Staff and Supervisory Roles and Responsibilities3 d% o  o1 k$ a6 Z. C4 P' V5 v
' j( H/ y" X( X% Z, F$ O( l
a.   To ensure, at all times, that the venues are adequately and cost- : S/ @6 q% U0 Y% a2 ]5 m
effectively staffed, and that the staff utilized by or within the  2 J; ?8 r& L2 O; }! a
venues meet the appropriate standards, requirements and needs, and  
& @2 f1 r- d  {5 M# n% ycontribute in a positive way to the smooth operation and success of  ) J) ?% @9 A, E* M
the renter´s events. This includes, but is not necessarily limited  
7 Y1 n' k2 t: W0 |( Z! e) ?$ h* ito, the following:
) z9 E, f4 M! q·     To be responsible, under the direction of the Manager of Venues  
% Y$ K. i- Y- m2 m5 H2 ]and Programming, for all staff issues including hiring, disciplining,  ; c% J/ e8 |  h* v$ v8 G% c& s1 R
evaluating and terminating, as necessary.% I6 C3 t& S( U) O) _6 P" F) J
To ensure that the Horowitz Theatre is adequately supervised at  
+ _& k- C3 f0 o6 ?6 {: I; \5 Wall times, this includes the development and implementation of such  
+ V, j/ J* W3 Q# \9 K8 bschedules and rosters as may be necessary to ensure the effective and  ; E; `" I% M8 ~) ^  l5 |
cost-effective supervision of the venues at all times during which it  - A6 e2 A& K+ m; D$ p" y
is in operation or needs to be in operation.
+ s5 R* `- D6 R1 S  ^·     To work with the Technical Director, when necessary, to ensure  # A% `$ j: j9 M9 s, M# ]
that an adequate and appropriate level of part-time staff exists to  8 g* t) N" o1 N$ f% V
facilitate the smooth operation of the venues and to ensure all  8 P/ f" ?* l; U  X% }
renters needs are met.
1 y, p: V) d! v4 s( N# V2 g' C·     To work with the Technical Director to ensure that the skills  
( m: w1 y0 q2 |! k% S" d( vand attitudes of all subordinate staff are appropriate in light of  + Q2 ]0 g+ `8 a6 g) D& Y
the roles they must perform. This includes providing adequate and  
6 x: N8 n3 |0 V' ^8 t& beffective training (and re-training) in all applicable and  $ e" K/ u, W" e
appropriate areas, and ensuring that the Policy and Procedures manual  
2 f" i1 b/ k$ }, ~0 cis kep up-to-date at all times.
- T9 j6 W6 u. R# P/ b8 H# Y·     To ensure all staff are trained in and committed to providing  1 p" x. T" t5 g1 ?- u
excellent customer service to all renters.0 }0 u3 l4 J  `& l% j7 |
·     To work with the Technical Director to arrange staff  
! w7 w: W4 V  w* H0 c& l* Dscheduling.  To handle payroll related matters, under the guidance  - V# V  e  }' ]- S
and direction of the Manager of Venues and Programming, concerning  & K" N9 L, k4 @1 V/ q  O( x4 g# n
the staff of the venues.! s: j- _4 t" t6 F" Y! `' X  B5 G
·     Working with the Manager of Facilities and Operations to ensure  " O+ x- e. T, M/ M! k+ l
the appropriate setup/tear down of each venue.
: {$ g8 ]& M& n- \6 ^1 \3 P4 U·     Working with the Manager of Programming and Venues to ensure  
4 [: P; i6 L' S# }that additional requests such as licensed receptions are arranged.  N& \. L8 p/ R, R: s2 o4 }

1 n6 D" }/ y2 y4 Q4.          Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative  
/ d: o8 t$ Q. E- [& y7 G- isystems and processes utilized by or within the venues meet the  # ?2 _7 [) s) E7 U
appropriate standards, requirements and needs, and contribute in a  
% G. r& C3 G) O- r) t. M0 ^positive way to the smooth operation and success of the venues. This  ( X2 b( P( ]2 w" g! m! B( p! E4 Q
includes, but is not necessarily limited to, the following:
. S. |$ q# S) \6 s9 q0 A$ W. B- q To provide input and expertise in the formulation of appropriate  
$ z  q' j( H) U# toperating budgets covering the venues to the SU´s Manager of  
! w3 H) H! b5 T3 H+ s4 k& wProgramming and Venues and to discuss and refine those budgets  ( d5 @" e  I7 E) ^- R0 ~4 w
Manager of Programming and Venues, and Manager of Finance &  ; k. z" G2 b, b2 Y
Administration prior to their submission for final approval.) {' o0 @2 l6 a# v5 z8 S9 @
·  To manage the venues in a manner which adequately and effectively  
7 q# E# C6 D/ Y, f; Ureflects the budgets approved for the venues and/or which reflects  $ Z. b2 Z* O9 {8 l; n- s
the best interests of the venues and the Students´ Union.0 a: Q) I7 _, x; {) @
·  To function as the key player in the submission of financial and  3 `/ k% Q! m) g5 j, S
administrative documentation covering the venues to be used in the  
" w  ^! u$ D" g* Wcompilation of monthly and annual financial statements, and such  
. F, v( [6 O# |/ h/ T, v, qother reports as may be necessary.  k% P7 m( r) V7 r; h
·  To discuss those financial statements and other reports, together  3 v1 U$ Q, V3 ]- F' b2 d
with all financial and administrative procedures, with the SU´s  
8 v4 \& `% q& e: xManager of Programming and Venues and Manager of Finance &  
% C3 Z$ d. U- [; M# a! r' i  nAdministration with a view to determining and implementing action  
" c: E' o+ }6 ]. g  M% H5 Raimed at improving the financial and/or functional effectiveness of  # M$ m' c- t, D
the Horowitz Theatre.: N3 L" G, W- U
·  To ensure the existence of adequate, effective and accurate job  5 x' f- q, @# C. F" v
costing systems to be used in connection with the determination and  
+ M8 b7 F  t( E$ m/ D) O' N# gsetting of appropriate prices for rental and staffing rates for  1 V! o6 B. k9 r3 P
events held in the Horowitz Theatre.1 C4 k3 _$ p( W6 d& u& W
·  To develop accurate documentation to be used in connection with  
$ q8 V  j0 ~: Jthe billing clients, and to forward such documentation in a timely  4 ?# @# W# w$ N2 A- U! q( g
manner to the Accounting Department.
$ {" l) t3 n" Q+ D·  To recognize, address and handle all matters relating to financial  : k+ W* y! s/ G3 S
and administrative procedures and systems in a manner which reflects    y6 ^2 O. d' D  T
the requirements of the SU´s Manager of Programming and Venues and  2 I. B; U" [2 ^, y! \
Manager of Finance and Administration, and in a manner which  ' \% n/ K' `; W& I9 V$ H  a: r/ ?
contributes positively to the smooth operation and success of the  4 o/ q* l8 M4 t+ Q6 g

. Y7 T6 W7 I, O! R5.          Overall Roles and Responsibilities
6 T9 J7 H" J* z: ra.   To ensure, at all times, that the systems and processes used in  7 i7 Z% J0 R! `: |* ?5 G
renting the venues meet the appropriate standards, requirements and  
5 ^! F+ v$ p' D  v' |2 S8 G3 f6 P" Sneeds, and contribute to the smooth operation and success of the  
# \: Q; N& q: n7 M% M  kvenues. This includes, but is not limited to, the following:+ W) D9 n9 t, J& r$ `. |

) p) }- @2 _% k7 q2 q·  To recognize, develop and set in place such rental procedures as  , P/ k3 H( H4 G! \1 @: L. K+ v
may be necessary to ensure the smooth operation of the venues, this  : [6 _% U% O' n( x: X2 ^
is to include but not necessarily be limited to systems and processes  
. F- T6 B9 a" N. `# {" u( m/ {in the areas of contracts, inventory management, contract evaluation,  / J4 Z1 g5 t+ Q( Y
pricing, costing, equipment usage, rental/contract invoicing,  
0 c1 K# s4 K( N2 ~together with such other systems and procedures as may be necessary  
) P, A8 y, n2 f. @& Bto ensure the smooth, secure, efficient, cost-effective and  ! Y* b) N- ?6 e8 \+ {# n; ^
functionally-effective operation of the Horowitz Theatre.
7 m9 f. t0 K* T9 G7 d/ U& H: `·  To recognize, develop and set in place such operational procedures  
7 c: F9 x0 C: ?: B; b6 `as may be necessary to ensure the smooth, efficient and cost- & b" I: Y1 _, k+ p
effective operation of the venues.8 r; s4 {  }( [) H# [; V% Y' ?
·  To negotiate rental lease agreements (contracts) relating to  
/ I8 D8 Q, s' f2 R  qdates, rates, staff and miscellaneous charges.- s: H2 U# R& V8 Z8 e
·  To ensure that adequate inventory is available at all times and  - X' K+ k  F6 J% z8 P$ g
that such inventory is stored and issued in effective and secure ways." ^" ^7 c3 d3 {  d' G6 u3 @1 E8 L) Q
·  To consult with renters as to facility issues in producing their  3 x& V7 N9 s: M- z
particular event in the venues.
  M: \* S1 J7 C4 n·  To provide the venues on-site staff with such documentation and  ) r# H+ M# j- C' d  C0 Z7 b
supporting information as it may need to effectively fulfill the  
6 `. w5 ~. P( x- `, Froles they are to perform to ensure the success of the renter´s event.
3 ^% g# ]5 F" u6 g  F" e·  To produce quotes in respect to staffing costs for a particular  
& i  }  B8 n% q* F# p) v, Trental with consultation with the Technical Director.
. R& T& f0 k4 R4 h7 {·  To ensure that all queries raised with the venues whether from the  2 ^( j6 o% R' \/ {
SU or renters, are promptly and effectively handled and adequately  
, u: X. H. Y- ~answered, and to ensure that such action as may be necessary in  
, n' u, @" Z+ `; f$ h! u6 Efollow-up to such queries is taken in a timely manner.
7 V) a6 A* j  C' h To ensure that the venues and its capabilities are adequately,  # q) W0 [+ R3 P6 {! p
effectively and cost-effectively advertised and promoted, and that  7 i( P. g# k8 n, x( z. z0 T+ f
the cost of such endeavors does not exceed the budgetary provision  
" d3 G7 Q$ N! P$ x( e+ h, j3 amade for them unless prior approval is given by the Manager of  ( S3 ]& \, I) K3 @/ t1 G/ m, g* y! F7 s
Programming and Venues.! q  R8 Q% I9 B' U* b
·  To act as an informed and knowledgeable resource in the case of  7 z- f3 U9 v; m  |/ G/ W/ Q
significant challenges and/or problems surrounding the tasks of  
6 H2 U' k! a: N+ {8 c  d' Imarketing, administration, operations, and any such other matters as  , o/ }: n: o. i% B/ f
may provide such challenges and/or problems.$ q: H( x' M4 o* z$ m; W# g
·  To attend such meetings as may be required to support the smooth  + O0 c4 B  O' K$ P
operation of the venues or the Students´ Union as a whole.

operations in a manner which reflects the requirements of the SU´s

1)             Minimum two years related post secondary education, or  # I" ?8 R) `5 C+ H/ I
an acceptable combination of education and experience.
