The duties of the Operations Manager - SU Venues are diverse and  
+ ^/ ~7 l1 r  f* a! dextensive, and are targeted at the all round smooth operation and  - q/ U* i% A( [7 x' s2 Y) H
financial and operational success of the Horowitz Theatre as well as  
- c' V! }8 j4 O  U$ U8 P6 S  Nthe logistical organization and smooth rental of the additional  8 `9 D7 A: I( |* U3 N
venues within the realm of the Students´ Union.  In the light of that  5 C" t" ^1 c. C# b% E9 r
breadth and complexity, it is not possible to fully define or  
2 @4 i' i8 N$ E3 {9 ydescribe all roles and responsibilities in a document of this kind.   , d$ b7 k0 M! c. z
However, the main roles and responsibilities of the Operations  " i: M$ b. [1 ]7 l

a.   To ensure, at all times, that the venues listed below meet the  
% X- Y1 ^8 B! jappropriate standards, requirements and needs, and contributes in a  
6 r7 _5 `. J9 ]* N8 S: ?positive way to the smooth operation and success of the individual  
7 V1 Z0 F6 l3 j/ X+ ?/ c* Q5 Yrenter./ \, Y) O* r) j0 w  `6 S
·     Myer Horowitz Theatre9 h: \6 Q* i8 }
·     Dinwoodie Lounge
' }& M' \  z& j2 }1 D8 o7 g·     SUB Stage

b.   This includes, but is not limited to, the following:; ~; b. q) n, Y( s! A8 J- L
·     To plan the capital and supply expenditures to meet the  ; U$ R( [. x& U* Y; O
production and facility requirements.3 o2 g# q6 y9 f. _; x5 V
·     To ensure the day-to-day compliance of the venues with existing  ) j/ \* u1 A1 H( T# f6 j+ F
safety regulations and building policies.

1 n/ V; k! h2 Q2.        Marketing and Promotion
# \' p7 l# i1 Z# M2 f/ H$ c: E2 F/ P) F
a.   To develop and implement a marketing plan for the venues that  
& m' J  G; m  A5 t$ Ffocuses upon advertising and promoting the venue to faculty,  ; Q- i0 o0 @; w" d* B
students, and internal and external clients on an on-going basis.  / x5 k) P) u# C3 m' L
This strategy will include implementing and/or delegating the following:
+ h" ~4 t$ ~) @# j·     To develop and maintain promotional materials, the Horowitz  
+ B! A# I& f' q: ?$ l  d- ITheatre and SU Venues home page, newspaper and other advertising; to  
) c% C' r, Z/ {: ctake advantage of other internal and external advertising  
" [8 m  T, k1 p6 i' ?opportunities; and to develop press releases and other promotional  % o& L! }; E1 N& b; G
literature on an ongoing basis.
; _" V3 P4 X5 s: C* G0 h·     To coordinate tours of the venues for potential renters.
; ?+ V4 c6 [* ~8 B! K3 t6 C% s. G. R·     To promote upcoming events in the Horowitz Theatre through the  
7 S6 v) f' i- v- K& huse of the Horowitz Theatre Home Page and the SU Events Calendar.
+ c- d$ m7 X" ]2 a& H/ l·     To develop new external clients for the venues.
' s7 b$ ]) x6 s4 Y! ^+ [* J
+ ^/ u, y6 s" G/ b
& I2 O+ J' T" U1 J2 B2 @3.        Staff and Supervisory Roles and Responsibilities9 f" }9 Y, O# @7 B8 H4 @: E# J
/ X' t, D8 \; n
a.   To ensure, at all times, that the venues are adequately and cost-
( @1 p% c7 O+ b5 }0 I6 j" Jeffectively staffed, and that the staff utilized by or within the  1 @% O+ x  [6 @) O: k. s; p
venues meet the appropriate standards, requirements and needs, and  / x' z  B9 M* ~- T, a  j
contribute in a positive way to the smooth operation and success of  
7 p3 k9 o# W& d2 n0 A( othe renter´s events. This includes, but is not necessarily limited  
" w( E5 p7 X$ O  Y5 T. z; c+ |to, the following:1 I$ Q: c: ]$ m3 a, n/ y
·     To be responsible, under the direction of the Manager of Venues    S( G5 o& E; V" l5 G/ l
and Programming, for all staff issues including hiring, disciplining,  1 M6 {% u* G: H, ?3 l% S2 _
evaluating and terminating, as necessary.
3 i. ]% P8 e" i6 |3 m" E To ensure that the Horowitz Theatre is adequately supervised at  
; A9 m. S7 y7 I1 |& c! Nall times, this includes the development and implementation of such  
& V% [' C3 D6 @0 l: Mschedules and rosters as may be necessary to ensure the effective and  
- ], ]& M8 y% W. u( scost-effective supervision of the venues at all times during which it  6 U. R- y# `; i+ ^' F
is in operation or needs to be in operation.( z# d* n# s& y2 R  h8 `! l
·     To work with the Technical Director, when necessary, to ensure  . Q+ h/ w* N- h% ^+ K% \
that an adequate and appropriate level of part-time staff exists to  
! ~: ~8 S) U2 E% {7 U/ ?8 g: L. Bfacilitate the smooth operation of the venues and to ensure all  ( w- A* W: S9 w9 W0 I: ?
renters needs are met.1 L8 u# L1 h: N% q5 Z2 C! R$ l
·     To work with the Technical Director to ensure that the skills  % x: L) X; ~# f* y
and attitudes of all subordinate staff are appropriate in light of  6 D; i' _5 q4 X& o& a2 c/ w
the roles they must perform. This includes providing adequate and  / n8 z6 n  x5 L# [& _* x' e; `6 C
effective training (and re-training) in all applicable and  
# Q6 F1 ]2 g4 {' |+ a$ dappropriate areas, and ensuring that the Policy and Procedures manual  
5 p& s- u3 s: Nis kep up-to-date at all times.1 ~6 E' o2 k5 k2 {7 ~
·     To ensure all staff are trained in and committed to providing  
) v7 u/ S% l% D6 aexcellent customer service to all renters.
8 u% }8 H- \/ M7 F1 Z·     To work with the Technical Director to arrange staff  , i' x: L6 f4 ~) d$ e8 A/ i/ O; ^
scheduling.  To handle payroll related matters, under the guidance  
; s5 N' d  N- ^and direction of the Manager of Venues and Programming, concerning  
5 U2 I- X3 `6 y! ^1 G: Cthe staff of the venues." r2 b# F3 G8 p8 y1 Y& V& O* {
·     Working with the Manager of Facilities and Operations to ensure  7 [7 ^# w: h" Y% K5 c' F" C
the appropriate setup/tear down of each venue.
* ?4 L$ |  b+ y0 T3 r. {·     Working with the Manager of Programming and Venues to ensure  $ G- ~2 s% z( Z
that additional requests such as licensed receptions are arranged.

. Q' d, W4 V5 w- f- s# \' N4 T$ ]4.          Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative  
5 @5 Q1 ^4 c2 p# z: p, Usystems and processes utilized by or within the venues meet the  . y" O* l$ z8 a" R3 m9 p- P' Q  ]
appropriate standards, requirements and needs, and contribute in a  ! Q0 ?4 k# U& b: b
positive way to the smooth operation and success of the venues. This  3 V5 |+ P4 U' K. [! t2 C+ i
includes, but is not necessarily limited to, the following:
9 Z. m- r; e6 \! C6 f To provide input and expertise in the formulation of appropriate  1 N5 ?0 _7 ^( p# i
operating budgets covering the venues to the SU´s Manager of  9 ]- X; U5 c# Q$ E; h% }0 q
Programming and Venues and to discuss and refine those budgets  
9 v2 r, e5 L3 {! R4 l" ~Manager of Programming and Venues, and Manager of Finance &  $ q. `. r4 ]- V( y
Administration prior to their submission for final approval./ Z* ~3 n# X& L
·  To manage the venues in a manner which adequately and effectively  3 ~4 i( O5 V( g2 u5 ^( m
reflects the budgets approved for the venues and/or which reflects  
! c. s1 _: J3 i% kthe best interests of the venues and the Students´ Union.9 o6 Q% @( G' y1 U6 l6 |  r" \
·  To function as the key player in the submission of financial and  6 }( _* g4 ?9 r3 {
administrative documentation covering the venues to be used in the  
  l! G0 a8 e* u( c" w9 v( S* W: scompilation of monthly and annual financial statements, and such  ! y! c0 {: i* @1 l  a& ^- m8 ^
other reports as may be necessary.' {0 f9 z) ^1 `9 l
·  To discuss those financial statements and other reports, together  ; ?; Q, C3 C6 h/ F& T& V
with all financial and administrative procedures, with the SU´s  
7 ]% E0 i: I. B1 JManager of Programming and Venues and Manager of Finance &  
. @1 H! Q4 \: ?; y7 h- ^0 [Administration with a view to determining and implementing action  
$ b. M3 E# t7 s, y3 O6 q0 K9 zaimed at improving the financial and/or functional effectiveness of  ! f* t# p! c2 V2 \, V  k/ J- G
the Horowitz Theatre.0 L' q/ K! ]" Z' S
·  To ensure the existence of adequate, effective and accurate job  - g0 z) [- V  j2 d9 `
costing systems to be used in connection with the determination and  / U, Q0 u1 O7 T4 T! v, N, }
setting of appropriate prices for rental and staffing rates for  3 R' [+ Z8 P6 [5 u
events held in the Horowitz Theatre.
# Q5 I3 G9 n1 d·  To develop accurate documentation to be used in connection with  
3 g6 P! D/ R0 O' x8 s  }% F# uthe billing clients, and to forward such documentation in a timely  
, b. s+ ]. Z3 K: ]manner to the Accounting Department.
/ J5 j5 V; s3 S4 o! R·  To recognize, address and handle all matters relating to financial  
: {1 V* c* ?7 m8 x$ uand administrative procedures and systems in a manner which reflects  
* q& i. C9 q% Bthe requirements of the SU´s Manager of Programming and Venues and  . e4 A& I! O3 s6 A. x! s
Manager of Finance and Administration, and in a manner which  
/ E" Q$ [$ y8 Y. L' wcontributes positively to the smooth operation and success of the  
! y& M! V5 }  \$ ivenues.
( T+ O( C  N# f% O* r! }' M* [' w& q$ e+ f3 n+ e
5.          Overall Roles and Responsibilities
4 Y# g; g# n* `' Z! |a.   To ensure, at all times, that the systems and processes used in  
0 X2 I& h( \) }3 B; G& M* vrenting the venues meet the appropriate standards, requirements and  
& W2 o9 o) U$ o4 Aneeds, and contribute to the smooth operation and success of the  
8 l+ N( r- l! r2 Q) y2 pvenues. This includes, but is not limited to, the following:
! ]/ `1 M9 O) a/ K/ E( ~2 O; [" |- j: `
·  To recognize, develop and set in place such rental procedures as  
) @  r5 t, L* [may be necessary to ensure the smooth operation of the venues, this  0 o% G$ c# x0 {. ~
is to include but not necessarily be limited to systems and processes  
$ W' F4 {3 g$ `' A% j' {% Y: ]in the areas of contracts, inventory management, contract evaluation,  ) {( p  M8 N8 V) ?' s6 B, N4 s
pricing, costing, equipment usage, rental/contract invoicing,  
, j5 ~6 p5 s- p- Btogether with such other systems and procedures as may be necessary    O( c3 L; e9 c1 ~/ Y0 y6 E* B
to ensure the smooth, secure, efficient, cost-effective and  3 E. e" g$ N! |0 a
functionally-effective operation of the Horowitz Theatre.
0 ?2 _; I5 @1 B  a+ V·  To recognize, develop and set in place such operational procedures  % U% K. t+ j# p9 D
as may be necessary to ensure the smooth, efficient and cost- * z$ s9 y: g$ k, P
effective operation of the venues.
4 f8 k- e  j. U8 P1 P' N$ l6 x3 X·  To negotiate rental lease agreements (contracts) relating to  
4 C  w/ D5 S: b. ^dates, rates, staff and miscellaneous charges.) u$ N, l! ?8 m
·  To ensure that adequate inventory is available at all times and  
4 G* R# e" m9 ~3 y+ nthat such inventory is stored and issued in effective and secure ways.0 A/ G, p6 n4 H( i: v8 I
·  To consult with renters as to facility issues in producing their  2 p" M' Z( T8 i4 E  _) F
particular event in the venues.
3 R/ r& d7 t; k  n0 |! s- x·  To provide the venues on-site staff with such documentation and  2 Q6 m( `" H$ S: p. I
supporting information as it may need to effectively fulfill the  
. ]' @4 |! Z0 h' C* G7 ]roles they are to perform to ensure the success of the renter´s event.
: \  M6 [7 y8 Y·  To produce quotes in respect to staffing costs for a particular  
! Y$ p& L. [0 T, d7 e0 e! Zrental with consultation with the Technical Director.
( u% k" Y1 B3 Y·  To ensure that all queries raised with the venues whether from the  ) t; \6 V3 {; j" t, K9 h1 X
SU or renters, are promptly and effectively handled and adequately  
& O0 [& p6 [3 X, j  }6 c+ m- _& Banswered, and to ensure that such action as may be necessary in  ' O* H% _& J9 r8 y2 J& l; g
follow-up to such queries is taken in a timely manner.; d: g) g$ p8 O% e9 I* @* b
To ensure that the venues and its capabilities are adequately,  * {8 x9 P! |* x- h3 \# c! Z' I! P2 Y
effectively and cost-effectively advertised and promoted, and that  
+ e: C& C9 h* m; M8 ?9 Vthe cost of such endeavors does not exceed the budgetary provision  2 Z5 ~8 n* j# U( Y% n; d. e
made for them unless prior approval is given by the Manager of  8 A" ^  Z7 Y7 G1 m& Q' S- g
Programming and Venues.! S: Q) b4 P* _
·  To act as an informed and knowledgeable resource in the case of  
' W' `/ }4 d8 |1 z' d- E) nsignificant challenges and/or problems surrounding the tasks of  
1 P- D, l/ T- W& I, z0 emarketing, administration, operations, and any such other matters as  
- u4 b% w8 K/ p( b. U; }0 Y. N1 nmay provide such challenges and/or problems.
# G4 S) U) d9 H  |' }" O. ^2 M·  To attend such meetings as may be required to support the smooth  
4 M+ \3 P( i4 A( Boperation of the venues or the Students´ Union as a whole.
# i7 r- h* W+ {4 H5 b·  To perform other job-related duties as may be required by the  $ h0 k1 \  K" t- r
Manager of Programming and Venues in order to ensure the smooth and  ( D. L  R. I% E: @* c# w
secure operation of the venues.8 V* {& C# ^& _) d+ _# M
·  To recognize, address and handle all matters relating to overall  ! ^& `+ T( D; Q9 Y* b# \, }2 Z: I
operations in a manner which reflects the requirements of the SU´s  1 i! Z1 H4 H3 l) L' P  {" c
Manager of Programming and Venues, and Manager of Finance and  
( K# ^) ^: S2 ^% }* \Administration, and in a manner which contributes positively to the  $ [3 a# g, e3 J" l, }' \# v
