the logistical organization and smooth rental of the additional

breadth and complexity, it is not possible to fully define or

safety regulations and building policies.

focuses upon advertising and promoting the venue to faculty,
# q# P$ W2 u x: pstudents, and internal and external clients on an on-going basis.
+ w8 `: d! J. B/ f3 h: XThis strategy will include implementing and/or delegating the following:9 X m S+ L3 c0 q
· To develop and maintain promotional materials, the Horowitz . B# |8 u" H3 E" K
Theatre and SU Venues home page, newspaper and other advertising; to
2 b" s+ |* C& ^: g$ [# s& t4 Btake advantage of other internal and external advertising
! H) a* X# P- N' G2 `' h# Iopportunities; and to develop press releases and other promotional + ]2 b) L) @* `" D. q6 Z
literature on an ongoing basis.
+ b2 Z/ w' o$ H+ y K- ?' M5 H· To coordinate tours of the venues for potential renters.
; a9 G' ?; o" D· To promote upcoming events in the Horowitz Theatre through the # r' H& ? [+ x# p( Z/ J
use of the Horowitz Theatre Home Page and the SU Events Calendar.6 }" l# [3 k0 S) Y* Z4 |! n
· To develop new external clients for the venues.

3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost- - ?9 e. X& e# R( ~, u
effectively staffed, and that the staff utilized by or within the
_6 {: e8 f+ R/ Tvenues meet the appropriate standards, requirements and needs, and , c6 s% s6 Z) K; O3 ]! p! E' n
contribute in a positive way to the smooth operation and success of
) |0 Y( C1 u* F) d6 dthe renter´s events. This includes, but is not necessarily limited
! R" z5 `8 k" T* J4 mto, the following:3 F7 Q% w, r- e
· To be responsible, under the direction of the Manager of Venues 2 S/ @7 B. ]! A: f1 |( r
and Programming, for all staff issues including hiring, disciplining, : O7 V7 X: k, w% K
evaluating and terminating, as necessary.' U: i1 L+ z. b) A& B+ r7 o/ f
To ensure that the Horowitz Theatre is adequately supervised at , F) T! C2 `3 |6 r) I% g
all times, this includes the development and implementation of such 1 S$ ^. c5 ~8 T w1 J3 X; N3 P# U
schedules and rosters as may be necessary to ensure the effective and ( M5 Y. s9 F8 G) J0 R- \
cost-effective supervision of the venues at all times during which it
/ O# w/ R' C4 Q3 \is in operation or needs to be in operation.+ \" Q: Q' \' |' [8 I$ H
· To work with the Technical Director, when necessary, to ensure
' G. w2 \! F7 bthat an adequate and appropriate level of part-time staff exists to ; ]2 H$ R( n6 C: p# K. ^% r4 |
facilitate the smooth operation of the venues and to ensure all 6 I+ \% |6 |4 Q2 j* T( A8 m! O" }4 Y/ h
renters needs are met.3 V5 e# |/ [6 ^ A8 W \
· To work with the Technical Director to ensure that the skills ' n& W( C8 b/ Y" X
and attitudes of all subordinate staff are appropriate in light of " y7 S: J s- L8 W
the roles they must perform. This includes providing adequate and
c- f+ k; w. E$ w9 x2 [ jeffective training (and re-training) in all applicable and ; ^9 \( z+ d2 c8 C% g& a$ ?
appropriate areas, and ensuring that the Policy and Procedures manual
/ Y5 o. U- x( Y$ v m% `4 Cis kep up-to-date at all times.
! u" [0 P1 o: ^( Z/ J! t% P· To ensure all staff are trained in and committed to providing
% o& y/ Y2 j5 I- X! fexcellent customer service to all renters., t+ n! e7 \3 I7 b) Z* }
· To work with the Technical Director to arrange staff
+ Z) y. Z6 S7 j$ O2 O/ Uscheduling. To handle payroll related matters, under the guidance ( E9 m) O% ?. V
and direction of the Manager of Venues and Programming, concerning 2 H% K; S6 n" Q: X0 C0 x
the staff of the venues.

the appropriate setup/tear down of each venue.

a. To ensure, at all times, that the Financial and Administrative

appropriate standards, requirements and needs, and contribute in a

To provide input and expertise in the formulation of appropriate

Programming and Venues and to discuss and refine those budgets
2 J$ w4 J2 V& P9 Q& Q' JManager of Programming and Venues, and Manager of Finance &
% @/ v; b+ w# bAdministration prior to their submission for final approval.9 @' C; j& d \5 x: Q/ F: r' }0 }
· To manage the venues in a manner which adequately and effectively
; x8 j4 @& W2 e: Nreflects the budgets approved for the venues and/or which reflects
/ i0 M$ V0 z; S1 R% t7 @the best interests of the venues and the Students´ Union.
' Z8 g, B0 ~- k8 \: M4 G$ M( C( Y· To function as the key player in the submission of financial and ! w" O' N5 n2 F& r
administrative documentation covering the venues to be used in the
8 b8 l2 L3 h1 |% w; w( Jcompilation of monthly and annual financial statements, and such $ c5 @* j7 G: T& F# a8 L z7 B, m8 [
other reports as may be necessary.
. \6 L, R. Y( F0 M" t" t· To discuss those financial statements and other reports, together
7 g4 H, w4 [9 L! Gwith all financial and administrative procedures, with the SU´s
' C# C8 g9 b ?( G& HManager of Programming and Venues and Manager of Finance &
* M& m7 z% X; W; Y' \Administration with a view to determining and implementing action ) y" { g/ V9 |' J% J2 l& B) T
aimed at improving the financial and/or functional effectiveness of : j8 ]6 O& c0 p! {% k. N( @
the Horowitz Theatre.. f5 R4 d/ l/ W
· To ensure the existence of adequate, effective and accurate job
8 |- {, F7 _1 W" i( P, {costing systems to be used in connection with the determination and 8 B- {5 a' C. H% i( k- }
setting of appropriate prices for rental and staffing rates for 8 Z; t8 q: S) c* ?: z
events held in the Horowitz Theatre.; [. C/ i( l8 x% q7 A) q
· To develop accurate documentation to be used in connection with
# M) N- T* r3 ?: ^+ U: T; S, I. `the billing clients, and to forward such documentation in a timely 3 q, F, o4 z/ K4 f. V& y
manner to the Accounting Department.

and administrative procedures and systems in a manner which reflects 7 A" P) \/ i( N i' d
the requirements of the SU´s Manager of Programming and Venues and " ]' x: y; r$ _. u& r. B% g% e, X
Manager of Finance and Administration, and in a manner which $ y8 c1 z9 l# T$ Y
contributes positively to the smooth operation and success of the

5. Overall Roles and Responsibilities
* X1 x& J' O. N6 y4 T* fa. To ensure, at all times, that the systems and processes used in
" x+ ]: r3 S% ~5 p6 rrenting the venues meet the appropriate standards, requirements and
8 _. f3 u7 G0 C+ ]+ U( c3 Aneeds, and contribute to the smooth operation and success of the
+ ]7 \' ?+ [$ B& m8 A& |* O, nvenues. This includes, but is not limited to, the following:
& t; ~% H& `* k. @# ~; P/ J6 t% z, R! B
· To recognize, develop and set in place such rental procedures as
/ M& H$ t2 O5 a* C- l& m! p! rmay be necessary to ensure the smooth operation of the venues, this
+ Y4 p( @( [8 F# |+ N% } r! d- Vis to include but not necessarily be limited to systems and processes
n; B2 d! R( a$ s8 `( Y+ y R d' _in the areas of contracts, inventory management, contract evaluation,
# i- q. S& @" y4 ~pricing, costing, equipment usage, rental/contract invoicing, / T+ o8 G0 u3 h8 n1 g
together with such other systems and procedures as may be necessary
+ T- T# T- C1 d% c! Zto ensure the smooth, secure, efficient, cost-effective and
8 \. o0 F4 c& s7 O* rfunctionally-effective operation of the Horowitz Theatre.4 x/ v: B; m. x! T
· To recognize, develop and set in place such operational procedures # }% K! x5 W+ x' _! e) ?- G
as may be necessary to ensure the smooth, efficient and cost- 6 g' ^4 C h5 O6 C) K
effective operation of the venues.) `. j3 j& D3 ^) y
· To negotiate rental lease agreements (contracts) relating to 1 o9 ^/ l) v7 v
dates, rates, staff and miscellaneous charges.1 I7 K: G, P. `6 ], v- T2 `
· To ensure that adequate inventory is available at all times and
* M; s: d! @/ Y. }$ Dthat such inventory is stored and issued in effective and secure ways.9 g! m0 V0 o* U- l* M5 V3 \
· To consult with renters as to facility issues in producing their
, w7 [7 Y" `8 T! aparticular event in the venues.: N4 B- R" c' Y8 [
· To provide the venues on-site staff with such documentation and ) A* m$ J! i% Z) e
supporting information as it may need to effectively fulfill the
( \7 H+ y1 ^2 [. O$ ^) x; L. ~roles they are to perform to ensure the success of the renter´s event.
& T% c) X4 Y* r @) }· To produce quotes in respect to staffing costs for a particular
$ K( H: X2 V7 l, Irental with consultation with the Technical Director.
3 f, v" O0 ]0 ?· To ensure that all queries raised with the venues whether from the
& F, | r( `! _7 ySU or renters, are promptly and effectively handled and adequately
- r9 m( [: |" d! U: Ganswered, and to ensure that such action as may be necessary in
1 o8 W, J$ k ]$ t! Ffollow-up to such queries is taken in a timely manner.
3 ]0 y Y2 J/ { To ensure that the venues and its capabilities are adequately,
U. B& Y$ O4 B# L1 s/ o, J' y' {effectively and cost-effectively advertised and promoted, and that
7 z! j$ C! |. y; }. X, ~the cost of such endeavors does not exceed the budgetary provision 0 m& r9 M* }6 b4 i) X/ Q# ]4 j
made for them unless prior approval is given by the Manager of : B$ a; D* g2 i6 k- H6 ?

· To act as an informed and knowledgeable resource in the case of
! m' H% A, N- R- N8 u4 Ysignificant challenges and/or problems surrounding the tasks of + Q. b. W0 v( i* n
marketing, administration, operations, and any such other matters as , t; V3 m6 p2 r4 Q( J+ F
may provide such challenges and/or problems.
8 z) i4 m) o& g0 ^* h· To attend such meetings as may be required to support the smooth : ^9 ]1 a0 O2 `4 Z- p
operation of the venues or the Students´ Union as a whole.

1) Minimum two years related post secondary education, or
