. o! M6 t- M8 o! L3 _1 X" XThe duties of the Operations Manager - SU Venues are diverse and  
% y+ w- p" X7 \0 \5 mextensive, and are targeted at the all round smooth operation and  2 O! X+ d" o; L+ ?1 }6 _# a2 a/ G6 b6 W
financial and operational success of the Horowitz Theatre as well as  / f% h- R4 H' s, C2 u# F- O
the logistical organization and smooth rental of the additional  
: x9 {  K  i( |$ tvenues within the realm of the Students´ Union.  In the light of that  6 d7 n: p3 G: w: z$ U8 P
breadth and complexity, it is not possible to fully define or  0 D8 p7 t# x) T( Y7 _0 [
describe all roles and responsibilities in a document of this kind.   
: H) {- L( L& y7 B0 |" b; WHowever, the main roles and responsibilities of the Operations  3 w% i/ B3 i: c4 v& m/ I
Manager are as follows:

a.   To ensure, at all times, that the venues listed below meet the  
. `: B; @# ]: f1 S- M: `7 I8 j4 Nappropriate standards, requirements and needs, and contributes in a  
6 Y" R& i* m  R2 [positive way to the smooth operation and success of the individual  ' Y  w2 @* X7 o8 _) \

·     Myer Horowitz Theatre
9 J. @; s0 y0 g1 W' V·     Dinwoodie Lounge

: ]5 Z- d4 o2 y·     To plan the capital and supply expenditures to meet the  
" ^* H/ l1 B2 ]1 wproduction and facility requirements.
! o: ]* s+ P' W+ \2 k4 k4 w·     To ensure the day-to-day compliance of the venues with existing

To ensure that the maximum potential of renters is met.

5 u5 l  a6 ?. h5 Q7 P/ \2.        Marketing and Promotion
/ e& @3 x5 v# m& R1 O
2 e$ G* l  F+ T. V) s2 O& ?/ v) r3 ^a.   To develop and implement a marketing plan for the venues that  ! Q/ w3 h$ t5 Q
focuses upon advertising and promoting the venue to faculty,  
8 \! C: u1 n9 d9 w1 Rstudents, and internal and external clients on an on-going basis.  
: z9 R4 k# r* ~" zThis strategy will include implementing and/or delegating the following:
- L$ j8 P( Z9 T$ A·     To develop and maintain promotional materials, the Horowitz  
6 m  Q1 o- w; XTheatre and SU Venues home page, newspaper and other advertising; to  
, D  ^3 ^. o/ T3 E3 wtake advantage of other internal and external advertising  $ ?+ m2 P" F9 i6 a
opportunities; and to develop press releases and other promotional  ) g# ]$ _5 A: c0 Q
literature on an ongoing basis.3 k# l$ G" b( e
·     To coordinate tours of the venues for potential renters.
( z) `8 J- a- O·     To promote upcoming events in the Horowitz Theatre through the  ; \! x, O4 z* w# k/ U1 `
use of the Horowitz Theatre Home Page and the SU Events Calendar.; S& E& |2 y" X- i
·     To develop new external clients for the venues.

, \  R: U1 O) o8 v  q3.        Staff and Supervisory Roles and Responsibilities
8 k  F$ A% L0 z( O: M4 N
5 R& t  A3 S) u: R* D, Ea.   To ensure, at all times, that the venues are adequately and cost-
  |0 y/ |3 z3 V+ }# ?2 t/ Leffectively staffed, and that the staff utilized by or within the  
$ ^9 j4 E& ?6 n0 A/ Bvenues meet the appropriate standards, requirements and needs, and  ' m* s) w- B. m4 Y  ~$ U" ~
contribute in a positive way to the smooth operation and success of  
4 ~0 @- a' g- [6 f4 sthe renter´s events. This includes, but is not necessarily limited  
5 f4 E' q( v: u  r0 ^$ H# Pto, the following:- n( f3 V7 W. J: }; D
·     To be responsible, under the direction of the Manager of Venues  
5 U! |( C8 e9 @+ j  ]" n" nand Programming, for all staff issues including hiring, disciplining,  ) u7 s: j8 |: \3 M8 T
evaluating and terminating, as necessary.* g! ^; O* O. s, x
To ensure that the Horowitz Theatre is adequately supervised at  
% `9 ^4 V  {) hall times, this includes the development and implementation of such  
" b. X) j/ G( b2 M* Z0 a; sschedules and rosters as may be necessary to ensure the effective and  8 W, D8 {2 Q, X/ q# P' F6 d# Y
cost-effective supervision of the venues at all times during which it  ; N7 T/ _( h/ m/ d+ @" H
is in operation or needs to be in operation.6 {7 W6 p  R8 ~6 }5 c
·     To work with the Technical Director, when necessary, to ensure  6 r; U+ S, d0 [! P$ h1 b
that an adequate and appropriate level of part-time staff exists to  
0 n4 e) |" u# J) x  Z5 Efacilitate the smooth operation of the venues and to ensure all  ; Z: _$ I3 j$ d3 ^: j
renters needs are met.
# q" q# r& A) W3 |8 t  F) a  ]·     To work with the Technical Director to ensure that the skills  ) e1 z4 I  F( b* x  E2 t, n; S
and attitudes of all subordinate staff are appropriate in light of  
6 N# P/ u7 v0 P0 C9 O$ Y5 Q2 C8 Cthe roles they must perform. This includes providing adequate and  
9 D& p* ^/ g- ~effective training (and re-training) in all applicable and  9 Y& v0 |3 ~% a. Y) l8 [
appropriate areas, and ensuring that the Policy and Procedures manual  
) k# v( ^0 V* o, v5 O, R. Ais kep up-to-date at all times.
% B1 p7 T  Y3 S9 n8 D  X# Q·     To ensure all staff are trained in and committed to providing  
) R4 h$ s. i2 {2 Z4 V' fexcellent customer service to all renters.( D' [% ~4 b6 S3 G
·     To work with the Technical Director to arrange staff  6 p4 w$ _$ \' x. M' \* r& W5 B
scheduling.  To handle payroll related matters, under the guidance  
! F. ~; x" R; S3 oand direction of the Manager of Venues and Programming, concerning  " J# }0 Z) e' B, i0 `2 U% f5 K
the staff of the venues.
7 i5 g0 O  W( K0 X+ k, z0 i·     Working with the Manager of Facilities and Operations to ensure  
! l0 P, q* o! d: \the appropriate setup/tear down of each venue.* i; @5 ]. |* j# q' W
·     Working with the Manager of Programming and Venues to ensure  
+ o4 m1 l3 I, @- V$ y9 s$ }. tthat additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance& T7 _5 L6 ]' I; `7 _( \

a. To ensure, at all times, that the Financial and Administrative  
. e7 c5 v  w3 |/ q/ s' `8 P& Lsystems and processes utilized by or within the venues meet the  # p$ @9 Z7 j9 B9 f0 d; T! v3 O" E
appropriate standards, requirements and needs, and contribute in a    l3 \% K/ Y8 r5 ?/ Q8 U* `
positive way to the smooth operation and success of the venues. This  # ]. _, H$ G; n  |, h% V2 k
includes, but is not necessarily limited to, the following:
4 H& J' n* Y( o To provide input and expertise in the formulation of appropriate  
6 ^4 F0 L' S4 p' S( q" Qoperating budgets covering the venues to the SU´s Manager of  
' u: x" l  y  C+ f; g+ y5 QProgramming and Venues and to discuss and refine those budgets  & m0 ~4 K7 k: B7 ^
Manager of Programming and Venues, and Manager of Finance &  3 [( z' z# L+ R
Administration prior to their submission for final approval.
/ }0 E( F4 D5 c6 l/ q% Y·  To manage the venues in a manner which adequately and effectively  
4 U% e. F3 f& z1 B8 U6 qreflects the budgets approved for the venues and/or which reflects  
0 o; {7 l2 p* E4 P0 n2 I$ r* K8 hthe best interests of the venues and the Students´ Union.
1 u. I  G6 ^4 f* w: K·  To function as the key player in the submission of financial and  
0 y4 x$ B( s3 r* i9 j6 eadministrative documentation covering the venues to be used in the  
0 q3 V% [- e+ z9 P# V: Y# ?compilation of monthly and annual financial statements, and such  
4 ^2 A: N/ ~) b  I) Q. B- K. {other reports as may be necessary.% b. k- O. o3 a% w
·  To discuss those financial statements and other reports, together  # U8 a5 M6 G- `; ]
with all financial and administrative procedures, with the SU´s  
8 s+ i: h0 p: B- I) ?Manager of Programming and Venues and Manager of Finance &  
; [/ d/ t) @9 Q# J  |Administration with a view to determining and implementing action  ! K; B$ U7 z% l3 Y; A
aimed at improving the financial and/or functional effectiveness of  
: h3 j; L: r4 W* gthe Horowitz Theatre.. P1 X6 ~; ?# H% Y4 c& R
·  To ensure the existence of adequate, effective and accurate job  9 T# `. a( ^5 T4 z. V. I/ n
costing systems to be used in connection with the determination and  
- v( o2 z1 w% H& m5 J3 Msetting of appropriate prices for rental and staffing rates for  
5 @- t" @1 I% S' |& V# |1 N* }events held in the Horowitz Theatre.
0 @- d. ~7 [% L& G% D5 g·  To develop accurate documentation to be used in connection with  
2 l5 y4 Y  v8 y% [8 g7 a# \" ~the billing clients, and to forward such documentation in a timely  ' L& u# o  I+ e( S
manner to the Accounting Department.7 E) M& h0 J1 V: U. \
·  To recognize, address and handle all matters relating to financial  % w  G# ^. P: }5 `. K: K
and administrative procedures and systems in a manner which reflects  
% x8 A; k' I/ S2 L+ X* ^: kthe requirements of the SU´s Manager of Programming and Venues and  
6 B: h6 I/ w3 Z# HManager of Finance and Administration, and in a manner which  & W! [* E! Z# o- ^9 h/ K% z9 x) x- h; e
contributes positively to the smooth operation and success of the  
/ O) t2 K! i& k$ R' Hvenues.
' L( y% n, o6 ]$ A6 G' S! `
4 q- Z  g2 I! R+ A& f+ H1 w5.          Overall Roles and Responsibilities
4 k' i- ]$ I8 z' e) ^a.   To ensure, at all times, that the systems and processes used in  
& _' r( j; T; X1 qrenting the venues meet the appropriate standards, requirements and  
+ U5 r6 f+ P$ N' ]3 f* eneeds, and contribute to the smooth operation and success of the  
: _  H- n1 ?& {9 ]' fvenues. This includes, but is not limited to, the following:
) k4 J% c0 p6 z9 S3 l$ }% N
6 r/ }9 }  O  }3 R. d1 F·  To recognize, develop and set in place such rental procedures as  ; _' {/ y/ i1 C# `4 g
may be necessary to ensure the smooth operation of the venues, this  
% b/ @# k; u1 z2 g7 w2 ]is to include but not necessarily be limited to systems and processes  
' Y7 S: }3 B: [in the areas of contracts, inventory management, contract evaluation,  
6 \$ ~: {7 n9 R* y; Opricing, costing, equipment usage, rental/contract invoicing,  
  e! n6 c  B8 [7 T" utogether with such other systems and procedures as may be necessary  
# e8 F% q  L0 L+ R' X1 M9 A' uto ensure the smooth, secure, efficient, cost-effective and  
7 f( n; t& q, `functionally-effective operation of the Horowitz Theatre.
) G% s+ g- v- C·  To recognize, develop and set in place such operational procedures  + I& o: S% ?7 V, m: T$ R1 Z
as may be necessary to ensure the smooth, efficient and cost-
8 _5 K, i% b# f1 S! H6 O+ S" R( ceffective operation of the venues.
' k0 ^3 _; P; L! p) V  s·  To negotiate rental lease agreements (contracts) relating to  8 C+ ]! ]0 W# a$ l7 M8 F, c
dates, rates, staff and miscellaneous charges.3 C2 o' n  O4 y/ M, C: A) N& Q4 P
·  To ensure that adequate inventory is available at all times and  
) d0 W* s. y! c; qthat such inventory is stored and issued in effective and secure ways.
& S8 i0 Z8 k1 V* L7 {·  To consult with renters as to facility issues in producing their  ' B8 ]4 Z* m3 N; s  J& y
particular event in the venues.- u0 k% f' E# h8 s6 ?3 U
·  To provide the venues on-site staff with such documentation and  
; c, N7 [, o: q: K$ `! Xsupporting information as it may need to effectively fulfill the  
( m/ q; z! _; x8 froles they are to perform to ensure the success of the renter´s event.
, n8 U- h8 a( }; Z' f% h·  To produce quotes in respect to staffing costs for a particular  . D7 _0 t% e! b' d1 q$ F
rental with consultation with the Technical Director.0 n6 V  @% Q5 s& ^$ ^
·  To ensure that all queries raised with the venues whether from the  
4 T7 n$ `" _, C% h" H" VSU or renters, are promptly and effectively handled and adequately  4 q  S0 `2 K9 n
answered, and to ensure that such action as may be necessary in  
; ^% w8 S; U! D: N1 e1 g  nfollow-up to such queries is taken in a timely manner.1 z3 ~* ^0 H4 ~1 y" ~. J8 N
To ensure that the venues and its capabilities are adequately,  
( k" n/ L1 s' B8 N- \; reffectively and cost-effectively advertised and promoted, and that  * J. r: w/ b8 \7 N4 v  m7 G# e
the cost of such endeavors does not exceed the budgetary provision  
( ]- r% d% h$ `. Q  r' ~" c( `. Nmade for them unless prior approval is given by the Manager of  ) O$ u5 M" m$ S; e
Programming and Venues.- |5 I7 p  n+ U
·  To act as an informed and knowledgeable resource in the case of  
$ O% I3 P3 M& j% M* }$ Z$ \$ x  Vsignificant challenges and/or problems surrounding the tasks of  
$ a  x  a1 `7 dmarketing, administration, operations, and any such other matters as  ; a& c4 l% l. R) b, V
may provide such challenges and/or problems.
; Q( p. O6 [& E% A/ B* X, @5 W·  To attend such meetings as may be required to support the smooth  
  U2 \1 M1 S& \0 G" D, E* L" Doperation of the venues or the Students´ Union as a whole.: Y' a  z( n! m+ B
·  To perform other job-related duties as may be required by the  ! T5 H; ~5 p0 q! [0 m- d# ~
Manager of Programming and Venues in order to ensure the smooth and  
: e8 T& W7 q0 U: b, g3 d, Xsecure operation of the venues.% l) \8 d  N) f9 \1 S) s8 j# C
·  To recognize, address and handle all matters relating to overall  
. t* C, b" W2 W1 |  E4 V7 R7 }operations in a manner which reflects the requirements of the SU´s  0 U, f7 x0 B) ^% H* D
Manager of Programming and Venues, and Manager of Finance and  7 p6 c: v' X( j
Administration, and in a manner which contributes positively to the  1 m1 y# |/ a5 Z
smooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:
% b2 m( W2 S. o+ _. E- j" l+ k1)             Minimum two years related post secondary education, or  
* K# B! V7 v$ C/ G1 Tan acceptable combination of education and experience.
; |' T2 C; K# G' n' X6 g2)             Supervisory experience.
