The Operations Manager - Venues and Programming will operate with a

The duties of the Operations Manager - SU Venues are diverse and  6 b" x/ T: S  d( u6 c* F
extensive, and are targeted at the all round smooth operation and  ) q; @+ a/ o# M! w
financial and operational success of the Horowitz Theatre as well as  ' u% i* z. c% @; S5 L- c, |% Z# Q
the logistical organization and smooth rental of the additional  
3 x+ P$ U2 d, P  ~venues within the realm of the Students´ Union.  In the light of that  
4 I* f" D; Z9 N- y  e" x5 f( kbreadth and complexity, it is not possible to fully define or  9 ~, Y7 J6 r7 u+ y6 L7 V+ H: h6 j
describe all roles and responsibilities in a document of this kind.   ! ?. i. v7 L1 y- ^1 h
However, the main roles and responsibilities of the Operations  + M- r6 G( ]0 `9 Q1 A0 A

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  
, H+ R) s1 S" ]/ wappropriate standards, requirements and needs, and contributes in a  : ?0 |* I# [; A
positive way to the smooth operation and success of the individual

·     Myer Horowitz Theatre# a8 T5 D; e. y3 M' s1 @4 R
·     Dinwoodie Lounge+ U- X* e" N3 _) [+ U7 w$ J$ q2 T

b.   This includes, but is not limited to, the following:
" U/ z( J) `1 f) U. P+ h% G·     To plan the capital and supply expenditures to meet the  4 q" x$ h- z- w  U
production and facility requirements.
$ m8 j6 y. p. P·     To ensure the day-to-day compliance of the venues with existing  # p& Q6 G% {  q: X
safety regulations and building policies.+ _7 ]* r2 l# v0 h; b, Y1 K0 C, u  s
To ensure that the maximum potential of renters is met.

& e8 Q* F5 Q3 U6 V9 d% Y2.        Marketing and Promotion

1 c& v  F" |( F6 Ra.   To develop and implement a marketing plan for the venues that  
. B3 _* ~& F# `: pfocuses upon advertising and promoting the venue to faculty,  
' Z; l* o* V6 k( m$ Y: M6 [( Ostudents, and internal and external clients on an on-going basis.  ; m( ~) J: |$ k! F& }4 Y% R
This strategy will include implementing and/or delegating the following:+ ^; G, h$ E4 r8 Z* P2 b) \
·     To develop and maintain promotional materials, the Horowitz  
4 g& _3 r* J  h) }Theatre and SU Venues home page, newspaper and other advertising; to  
$ e# N3 o& U& [& r. f7 jtake advantage of other internal and external advertising  : \$ \+ T7 \3 C1 H
opportunities; and to develop press releases and other promotional  
; p+ `% Y& Y' zliterature on an ongoing basis.& b  G! d  t; B' }1 R" Q
·     To coordinate tours of the venues for potential renters.
( b7 O1 u8 b% n2 E& b( T& ~7 C+ r* S) r·     To promote upcoming events in the Horowitz Theatre through the  ! E7 e3 B6 v7 c$ J5 q) M$ @5 B, Q7 s
use of the Horowitz Theatre Home Page and the SU Events Calendar.5 R% H9 z2 S" m, z
·     To develop new external clients for the venues.

6 d+ i$ r; |3 s, Y" r; u3.        Staff and Supervisory Roles and Responsibilities
6 O( G& s$ Y0 ?: L6 z0 ?/ X* I+ ]2 v% f8 U( U
a.   To ensure, at all times, that the venues are adequately and cost-
, g6 v+ T8 I$ h9 x9 teffectively staffed, and that the staff utilized by or within the  ' g0 |+ a4 M8 V# x
venues meet the appropriate standards, requirements and needs, and  
% `8 @1 z" U9 R; G+ ~' q! ~: Icontribute in a positive way to the smooth operation and success of  # T. E7 X1 }7 m4 @! G$ q% U
the renter´s events. This includes, but is not necessarily limited  ( z( ^3 O: {5 z
to, the following:& t: V3 J. G/ S& P. s. L1 q
·     To be responsible, under the direction of the Manager of Venues  5 w# g* J% y; f% h1 @  j* L, D2 I
and Programming, for all staff issues including hiring, disciplining,  ; z7 E. [' X0 j: E; f. `/ q0 W5 y1 ?* i) W
evaluating and terminating, as necessary.
3 \7 P% ~' J$ h# h- D7 k3 y; J To ensure that the Horowitz Theatre is adequately supervised at  
1 h9 ~/ B8 G6 l0 g' \all times, this includes the development and implementation of such  
. v# I3 Z1 o1 c) qschedules and rosters as may be necessary to ensure the effective and  
4 j6 [7 {* u! P2 v5 [, {" v/ Q# mcost-effective supervision of the venues at all times during which it  " F2 [; H9 |4 L$ y* b
is in operation or needs to be in operation.
$ e' ]. U9 {+ O, h·     To work with the Technical Director, when necessary, to ensure  ( A" T/ h5 q; E! j: s5 y  C
that an adequate and appropriate level of part-time staff exists to  1 q0 p$ I  J& a2 e4 a" }: {$ T
facilitate the smooth operation of the venues and to ensure all  
4 i# d9 z% b# ]( [5 Z3 M- nrenters needs are met.
: [, Y+ B9 d9 G7 N7 _·     To work with the Technical Director to ensure that the skills  ! M& U6 f6 Y% `; c5 X
and attitudes of all subordinate staff are appropriate in light of  5 M; ~+ w. D' Z- f8 K9 m4 s* Y
the roles they must perform. This includes providing adequate and  
( p2 }; A4 j# reffective training (and re-training) in all applicable and  3 J' S5 `9 z% M  L
appropriate areas, and ensuring that the Policy and Procedures manual  + ~3 Q4 o+ B5 `. N
is kep up-to-date at all times.1 Y: R4 N, @7 a6 k4 S4 y
·     To ensure all staff are trained in and committed to providing  
7 i3 R5 {  X0 h4 @5 V2 Xexcellent customer service to all renters.
4 s: E! Z, `- n  ?+ Q! k" U·     To work with the Technical Director to arrange staff  
" u  N6 K. P- a: U$ F/ Ascheduling.  To handle payroll related matters, under the guidance  : z3 S5 t- w: X* d' n
and direction of the Manager of Venues and Programming, concerning  
* [" y6 Q' Q5 I6 W/ Ythe staff of the venues.
) {( n# u( g$ C·     Working with the Manager of Facilities and Operations to ensure  
: B3 s* a- ?7 n5 a6 |the appropriate setup/tear down of each venue.1 z2 }+ T  h3 u/ i3 \
·     Working with the Manager of Programming and Venues to ensure  
1 M2 I( B* @9 n9 ]9 Q; Wthat additional requests such as licensed receptions are arranged.! i8 u! h! d$ ~9 i

) Y) `6 p7 f# t/ o$ K/ `4.          Overall Financial Performance
) \: i/ \# C2 n- @4 E0 a! i0 G. P: S
a. To ensure, at all times, that the Financial and Administrative  ' x3 d8 l0 P' H5 Q- K/ d
systems and processes utilized by or within the venues meet the  
  b2 r0 w5 W% e4 {6 u- Tappropriate standards, requirements and needs, and contribute in a  2 d+ h4 D  y, n
positive way to the smooth operation and success of the venues. This  
: L* q/ o, K6 c5 D1 c6 Fincludes, but is not necessarily limited to, the following:
2 m" N( V4 y5 Y To provide input and expertise in the formulation of appropriate  
" \1 t2 o7 o1 F. E) _- z0 \operating budgets covering the venues to the SU´s Manager of  ( p! j2 |: i, @* d! @3 N3 C
Programming and Venues and to discuss and refine those budgets  
; r% Q' w* o! I5 X' D: iManager of Programming and Venues, and Manager of Finance &  $ h* O4 P- {! E$ \( ~; w
Administration prior to their submission for final approval.
- q' P4 g$ _8 F·  To manage the venues in a manner which adequately and effectively  # g$ @% I; w8 S
reflects the budgets approved for the venues and/or which reflects  0 Q. z  J) c9 K+ H0 s: w! X; }
the best interests of the venues and the Students´ Union./ u+ [' @+ Y1 [$ U3 ]" ?
·  To function as the key player in the submission of financial and  * v% \( `) A; C* ~8 K! ~
administrative documentation covering the venues to be used in the  + Y$ D6 b2 q0 @8 O+ l+ x
compilation of monthly and annual financial statements, and such  
7 ^7 n4 u0 V4 L; A# Iother reports as may be necessary.
3 Y0 U5 S/ C" N·  To discuss those financial statements and other reports, together  ! ]% G6 U: i) [% e; v6 Z% Q! N
with all financial and administrative procedures, with the SU´s  * t- G/ }! p* A& {7 g; F# e7 U
Manager of Programming and Venues and Manager of Finance &  
' ^0 i& t9 Y5 E) U3 xAdministration with a view to determining and implementing action  ; t( M1 M5 D8 x) b7 [5 X. l# V& a
aimed at improving the financial and/or functional effectiveness of  
' N9 p3 m; ^* T$ d" H5 Vthe Horowitz Theatre.
4 O( c" y* R/ d4 J$ S2 l$ x6 ?- }, r·  To ensure the existence of adequate, effective and accurate job  
' o1 n, |, m3 Z% l0 n! a" q! Ycosting systems to be used in connection with the determination and  
) j' Q/ `  A. C( q0 `& l: m4 t) nsetting of appropriate prices for rental and staffing rates for  % R6 ?8 v" I2 q7 [& \
events held in the Horowitz Theatre.5 i4 L7 _$ `5 |% ^# h
·  To develop accurate documentation to be used in connection with  
8 B4 H. J' c; x7 L) M3 cthe billing clients, and to forward such documentation in a timely  ) H( a& u7 {1 @: |, t
manner to the Accounting Department.7 u0 E5 E8 ~6 a8 t2 t0 {+ V
·  To recognize, address and handle all matters relating to financial  7 d0 n% Q0 l: J  V8 K& e8 F* ^+ S
and administrative procedures and systems in a manner which reflects  $ o3 G2 x/ S, c2 N1 _
the requirements of the SU´s Manager of Programming and Venues and  
; ^/ |' u1 U5 VManager of Finance and Administration, and in a manner which  ! z3 a7 Z2 f5 @- \1 A2 v
contributes positively to the smooth operation and success of the  
9 [1 I; Y. f- e! Ivenues.

a.   To ensure, at all times, that the systems and processes used in  ( d$ X4 W3 E% L) @
renting the venues meet the appropriate standards, requirements and  : |0 }1 X- v  n, A/ D
needs, and contribute to the smooth operation and success of the  
- a) |  e; T: jvenues. This includes, but is not limited to, the following:% g6 r( I5 ~# Z- y
$ u5 P( ]7 ^8 x- r  d( N
·  To recognize, develop and set in place such rental procedures as  
: A, U9 c% v, {- H# dmay be necessary to ensure the smooth operation of the venues, this  
% r  ], l1 U+ d; j0 z# F& b; z, tis to include but not necessarily be limited to systems and processes  
2 d. m& m4 U" ]" [5 |in the areas of contracts, inventory management, contract evaluation,  ! I3 ^+ g5 z; r* M- `7 }, J1 I
pricing, costing, equipment usage, rental/contract invoicing,  2 E" |6 q4 Q' d5 i, a* l+ K) b& f
together with such other systems and procedures as may be necessary  
" \" S8 e  ^1 ]* `# H) j! Xto ensure the smooth, secure, efficient, cost-effective and  % V- j7 b1 E" `; k  s! q6 P7 u# t1 G
functionally-effective operation of the Horowitz Theatre.
% x4 F3 Z! {9 o. O·  To recognize, develop and set in place such operational procedures  8 k. `4 G! ^) ~' Y
as may be necessary to ensure the smooth, efficient and cost- . ]* l7 X. r+ |1 H0 k& Q
effective operation of the venues.; ~4 `/ A/ c9 z' d$ {$ v
·  To negotiate rental lease agreements (contracts) relating to  
4 `9 K) U! X) j8 K' S# u& X6 Pdates, rates, staff and miscellaneous charges.; b* Z! y1 z) d. H" Z
·  To ensure that adequate inventory is available at all times and  
8 a2 ~; V# \% G0 R* {+ ^( Hthat such inventory is stored and issued in effective and secure ways./ i5 Y0 c( E/ m0 t9 w6 R% J9 u
·  To consult with renters as to facility issues in producing their  - N/ K  ^0 g# w
particular event in the venues.! D! {+ x: ]$ c  G1 ^
·  To provide the venues on-site staff with such documentation and  
. {# S. X( f* C" |& D$ Z; Isupporting information as it may need to effectively fulfill the  
# `. t) T) ]9 W7 k3 |% u! C3 b! Q" jroles they are to perform to ensure the success of the renter´s event.1 G  M8 [0 _6 G# p
·  To produce quotes in respect to staffing costs for a particular  
( m/ i7 v6 a8 K. I) \& L, U' N% s' Trental with consultation with the Technical Director.
3 u* ^+ [+ a1 A6 Y·  To ensure that all queries raised with the venues whether from the  
3 n+ Q, f) q7 Z6 \; ^SU or renters, are promptly and effectively handled and adequately  0 \. O! f6 H* a& ^& p" q5 y
answered, and to ensure that such action as may be necessary in  
# |1 L7 _+ `% E5 U: Jfollow-up to such queries is taken in a timely manner.
* Y/ f* [) n- ^ To ensure that the venues and its capabilities are adequately,  ( g; S1 o/ I& A! _9 u/ u: q
effectively and cost-effectively advertised and promoted, and that  - W  `! q( D" v: Y5 v
the cost of such endeavors does not exceed the budgetary provision  7 w1 a& ?  q" `4 V6 s7 I
made for them unless prior approval is given by the Manager of  
5 ^6 |5 h: s+ P0 Q9 OProgramming and Venues.* D2 e& w9 \+ g' E  f
·  To act as an informed and knowledgeable resource in the case of  , Z; z' {: P# C% O% \9 N% Y
significant challenges and/or problems surrounding the tasks of  0 x6 P/ S3 I! I. a& z
marketing, administration, operations, and any such other matters as  8 h. \) a6 P- b8 R( m: S$ k4 \, i
may provide such challenges and/or problems.( K% v1 p8 L  I% H
·  To attend such meetings as may be required to support the smooth  
4 \9 @. p0 x: A+ e+ f7 X+ D7 hoperation of the venues or the Students´ Union as a whole.

Manager of Programming and Venues in order to ensure the smooth and  2 [( U4 ?* W. r" U0 ^0 ^

·  To recognize, address and handle all matters relating to overall  9 ~! b% o) [: l: f

Manager of Programming and Venues, and Manager of Finance and

2)             Supervisory experience.
