financial and operational success of the Horowitz Theatre as well as

* i. a4 T6 V% j. _venues within the realm of the Students´ Union. In the light of that

positive way to the smooth operation and success of the individual

· To ensure the day-to-day compliance of the venues with existing

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that
9 V! I2 L7 ~7 U7 X0 P( x) jfocuses upon advertising and promoting the venue to faculty, 5 T/ U5 i- f- n( S" P' U* j- b! | m4 Q
students, and internal and external clients on an on-going basis.
+ z \2 e! f2 x% T& eThis strategy will include implementing and/or delegating the following:/ D7 ]8 I- P' \- g T& M
· To develop and maintain promotional materials, the Horowitz 1 d. v2 n5 F( F8 @' k/ c
Theatre and SU Venues home page, newspaper and other advertising; to
' E! o4 L, x6 v* Etake advantage of other internal and external advertising 6 \& B2 s# {9 A- N$ i% g" ^3 G
opportunities; and to develop press releases and other promotional
, N( ^& V, j" M+ a" y0 }5 Dliterature on an ongoing basis.( w/ ]+ k/ [1 k c0 e
· To coordinate tours of the venues for potential renters.
~! I) M! A" X· To promote upcoming events in the Horowitz Theatre through the $ o, J6 k1 S4 Z t% d8 y3 _
use of the Horowitz Theatre Home Page and the SU Events Calendar.3 @% e+ g( W- \5 N( ^. n2 Q
· To develop new external clients for the venues.

1 D, H$ t# c% c0 v0 E$ q/ q3. Staff and Supervisory Roles and Responsibilities
# y& f4 r; z6 L( v# r( z! |# m% _4 l; f
a. To ensure, at all times, that the venues are adequately and cost-
5 b# a0 d' t5 s4 m% N' ^ beffectively staffed, and that the staff utilized by or within the
" @; H( P0 t! I6 w. R8 @venues meet the appropriate standards, requirements and needs, and ! M2 F' |* R! S0 @
contribute in a positive way to the smooth operation and success of 4 h/ R# h& D1 }$ I* J7 b
the renter´s events. This includes, but is not necessarily limited 5 z/ ]! k) F/ {6 b- g+ M: }2 `
to, the following:
* r9 W0 J. P p/ q5 K· To be responsible, under the direction of the Manager of Venues + J- R4 y2 ?3 t5 v {, t. n
and Programming, for all staff issues including hiring, disciplining, " t% l" m0 Z, t$ t7 u
evaluating and terminating, as necessary.# V2 h% Z# I3 d" o) d( q4 v
To ensure that the Horowitz Theatre is adequately supervised at - u. [4 S$ }# g9 s& p: a4 r
all times, this includes the development and implementation of such ; P1 `7 T7 M4 R, m6 ]: Y, l2 n# \
schedules and rosters as may be necessary to ensure the effective and 2 L" E& F+ b# b D- x; O
cost-effective supervision of the venues at all times during which it ( [: u2 ?, v3 l! D% g
is in operation or needs to be in operation.
6 p2 ~' {+ o! f3 _# \0 x· To work with the Technical Director, when necessary, to ensure
. e( |3 T5 j S" A& r, b4 sthat an adequate and appropriate level of part-time staff exists to
* s" V% o: F; q3 g" Q8 W7 o$ C' nfacilitate the smooth operation of the venues and to ensure all
! [9 r: u2 o- O; l" l3 c, q! q: Z3 Irenters needs are met.
( Y; H/ W- g1 N9 E· To work with the Technical Director to ensure that the skills
/ m; R/ v/ r5 R Uand attitudes of all subordinate staff are appropriate in light of 0 ^1 y `+ V2 f0 V2 k# V
the roles they must perform. This includes providing adequate and
$ ]' x, q/ x0 T4 feffective training (and re-training) in all applicable and & J& A7 k- [* @) l
appropriate areas, and ensuring that the Policy and Procedures manual ( `* W. q0 g4 {2 h* ~: m4 }
is kep up-to-date at all times.
: |* R" l4 m& Z· To ensure all staff are trained in and committed to providing
8 N/ R4 H; p+ Qexcellent customer service to all renters.
. ^" h2 P' I& L5 z* W· To work with the Technical Director to arrange staff ! B. Y, g: z% O4 s e6 f
scheduling. To handle payroll related matters, under the guidance
) \2 F1 N% K2 Uand direction of the Manager of Venues and Programming, concerning ! F, F' ~! R2 N* @
the staff of the venues.

4. Overall Financial Performance

0 w7 C+ N1 [+ ]% ^% jsystems and processes utilized by or within the venues meet the
4 I1 s n; X Z# _' g" Q3 B; d& oappropriate standards, requirements and needs, and contribute in a
9 l1 o# I1 d1 e% @2 G5 {; |$ Zpositive way to the smooth operation and success of the venues. This ) {; O m/ N" V |
includes, but is not necessarily limited to, the following:

6 m7 Y1 O8 S% Y, k' @operating budgets covering the venues to the SU´s Manager of
: K; u9 v5 y3 W o p; VProgramming and Venues and to discuss and refine those budgets 3 @. a1 I, l4 Z' y, ^) I
Manager of Programming and Venues, and Manager of Finance &
! Y& P# b6 Z4 F7 m5 KAdministration prior to their submission for final approval.
4 w) [+ A' s3 c5 ]· To manage the venues in a manner which adequately and effectively
6 ?* I: z6 g5 H- ~reflects the budgets approved for the venues and/or which reflects
5 I/ K5 H) F7 y7 n' Tthe best interests of the venues and the Students´ Union.
x0 b0 x0 i% {) ^· To function as the key player in the submission of financial and ' w" e2 s7 ?# B R- y2 e1 B# @5 x
administrative documentation covering the venues to be used in the 4 X4 `1 H% M: P; m9 v) K2 }% w
compilation of monthly and annual financial statements, and such
+ I( S, N1 Y. D K2 f4 e2 dother reports as may be necessary.

Administration with a view to determining and implementing action

- u A! r/ K. P5 E· To ensure the existence of adequate, effective and accurate job
. F7 s7 l% {& h9 }costing systems to be used in connection with the determination and 4 Z* M% p' M% U4 `
setting of appropriate prices for rental and staffing rates for 3 O9 P% K# {2 a6 h( y! j2 G, \
events held in the Horowitz Theatre.

the billing clients, and to forward such documentation in a timely ) F. g, f+ J# y2 [# r& d

· To recognize, address and handle all matters relating to financial ( G" f6 T1 g1 R/ z6 V2 O7 c3 H
and administrative procedures and systems in a manner which reflects

venues.

renting the venues meet the appropriate standards, requirements and

venues. This includes, but is not limited to, the following:6 D# y+ |( V: j' i2 S2 v5 c4 X
0 | B3 U: [9 b; R+ J· To recognize, develop and set in place such rental procedures as

is to include but not necessarily be limited to systems and processes * X$ V' X2 P3 T0 |9 S0 w# O0 ^
in the areas of contracts, inventory management, contract evaluation, ! R% r1 E, a: V% U
pricing, costing, equipment usage, rental/contract invoicing,
# \% t0 Z7 N7 p7 ?! ~2 ytogether with such other systems and procedures as may be necessary & n8 ^ u3 A. \2 m
to ensure the smooth, secure, efficient, cost-effective and
7 ^' H# s0 j& `- _% gfunctionally-effective operation of the Horowitz Theatre.# p3 O; a* f' J# k' `
· To recognize, develop and set in place such operational procedures
% H, o6 k/ W' X4 T0 a# l$ tas may be necessary to ensure the smooth, efficient and cost-
4 N/ I2 x$ ^2 x' @& h% feffective operation of the venues.
. z0 y; k9 x& h# u* v6 L· To negotiate rental lease agreements (contracts) relating to
6 m) s* s w D' S6 i! }( }dates, rates, staff and miscellaneous charges.. W5 g* I- d; D" Y
· To ensure that adequate inventory is available at all times and
4 g( A+ k+ s7 @) n# a, {. Wthat such inventory is stored and issued in effective and secure ways.* @1 ^, K2 ^7 p1 J2 v. W
· To consult with renters as to facility issues in producing their
% F- x2 \& J2 O9 mparticular event in the venues.
% O" ]) e7 y. E* `( b0 g· To provide the venues on-site staff with such documentation and . a- k0 V& v5 I Q8 t/ U
supporting information as it may need to effectively fulfill the
}$ ?! ?6 V% {' wroles they are to perform to ensure the success of the renter´s event. p, I& q4 Z; v4 h6 C$ X
· To produce quotes in respect to staffing costs for a particular : Z9 n0 h3 d9 P! m" f& Z+ Q
rental with consultation with the Technical Director.& w( o! X$ M& u% ~, [3 l/ a6 U
· To ensure that all queries raised with the venues whether from the ' U; I; C$ [3 j N8 @! S
SU or renters, are promptly and effectively handled and adequately
( c a' s) C" F% _" j, Oanswered, and to ensure that such action as may be necessary in
4 w5 b5 j l& d: c% g. @ pfollow-up to such queries is taken in a timely manner.
F3 y6 n; ^3 J- P4 M To ensure that the venues and its capabilities are adequately,
, s2 j2 O9 V# J2 Jeffectively and cost-effectively advertised and promoted, and that
) |' Y, m5 Z) V9 nthe cost of such endeavors does not exceed the budgetary provision k, x0 f" g H ~/ l |/ f6 C
made for them unless prior approval is given by the Manager of

· To act as an informed and knowledgeable resource in the case of
* y% g! o5 h/ `5 U8 isignificant challenges and/or problems surrounding the tasks of
+ W4 \$ K+ N% q% }+ y9 Jmarketing, administration, operations, and any such other matters as
+ ]( t7 U7 ~5 F$ z" U, bmay provide such challenges and/or problems.
