and Venues.

" t3 `4 T# ~  F9 \, y3 WThe duties of the Operations Manager - SU Venues are diverse and  ' z0 U: D8 n0 |
extensive, and are targeted at the all round smooth operation and    q" F( E, y- @  ~
financial and operational success of the Horowitz Theatre as well as  
7 c* q- W! S% c9 O0 ythe logistical organization and smooth rental of the additional  
7 K. Y  V" Z! y% y( W( h- Nvenues within the realm of the Students´ Union.  In the light of that  
* [: c4 L: R, o6 z/ U9 U( `! H, ~3 F! ^- g! ^breadth and complexity, it is not possible to fully define or  
1 \6 W% ?7 |. d+ C& Cdescribe all roles and responsibilities in a document of this kind.   0 x' o" W+ g5 d. m  L
However, the main roles and responsibilities of the Operations  ! Y# D( H, J0 z; |; s8 n+ ~: E
Manager are as follows:

+ `0 F( v6 o7 O1 F  @2 \a.   To ensure, at all times, that the venues listed below meet the  
  s9 R. p' P* ]appropriate standards, requirements and needs, and contributes in a  $ g, c; H- O, `. k% g
positive way to the smooth operation and success of the individual

·     Myer Horowitz Theatre

$ U% |0 V# l6 ?5 i·     To plan the capital and supply expenditures to meet the  
: z# _) Q' ?3 I2 @% {production and facility requirements.
- ~" N0 Y3 r! h4 e7 o7 w( p·     To ensure the day-to-day compliance of the venues with existing

To ensure that the maximum potential of renters is met.- t; T& Q6 f! I4 K+ W

2.        Marketing and Promotion
2 V2 i& l) _# K+ n" W0 S/ Z8 z: e- ]. Z8 |. C( j
a.   To develop and implement a marketing plan for the venues that  
% D8 B' s, A6 y6 Tfocuses upon advertising and promoting the venue to faculty,  / K' F0 ^# i0 L
students, and internal and external clients on an on-going basis.  , A6 R2 O6 \* v- B( t9 M
This strategy will include implementing and/or delegating the following:0 Q  h. M5 `. R. K' B
·     To develop and maintain promotional materials, the Horowitz  
6 v, b% E, n. BTheatre and SU Venues home page, newspaper and other advertising; to  
+ Q; `4 B6 x  S3 P6 Z+ G/ g' Ltake advantage of other internal and external advertising  * y6 R2 N# C/ s, O
opportunities; and to develop press releases and other promotional  
* R/ R* F# k( }7 Q2 Nliterature on an ongoing basis.3 p  q) V! I7 |
·     To coordinate tours of the venues for potential renters.
  }  k# v8 G2 o·     To promote upcoming events in the Horowitz Theatre through the  
( h0 H3 c/ ?* Q% H& T- I0 Wuse of the Horowitz Theatre Home Page and the SU Events Calendar.) K( a& r. S7 g! A  R; H. k6 R
·     To develop new external clients for the venues.

# m- M: C, E# @( v3.        Staff and Supervisory Roles and Responsibilities
6 s* y: F. y- {& j1 b: j* f" \( m1 W5 v/ r! A/ x/ a
a.   To ensure, at all times, that the venues are adequately and cost- 1 h5 e+ D  s8 u4 I0 ~/ E
effectively staffed, and that the staff utilized by or within the  
3 d! e, [; s" h0 u, u, E% Dvenues meet the appropriate standards, requirements and needs, and  
0 Y  P1 |. M* W  c3 y% H4 \9 E% |3 Fcontribute in a positive way to the smooth operation and success of  1 t2 x4 j+ ?5 s* j7 k% c3 i
the renter´s events. This includes, but is not necessarily limited  
7 _; H9 @5 v6 Q9 D+ S/ |" Pto, the following:6 a' [' U4 r' ]+ i' Y
·     To be responsible, under the direction of the Manager of Venues  
% u4 T' z- a0 x! R* A4 A( S. iand Programming, for all staff issues including hiring, disciplining,  : a+ O, z; }, ?% J6 M
evaluating and terminating, as necessary.+ u$ e" \7 H$ ]# Z" d! D
To ensure that the Horowitz Theatre is adequately supervised at  
# y/ s% ~) E' @( d/ |, |& ?+ _8 Dall times, this includes the development and implementation of such  ; q9 Z5 w) P+ l5 @
schedules and rosters as may be necessary to ensure the effective and  - y% D( `% q" i0 t' F0 _. a% k$ x
cost-effective supervision of the venues at all times during which it  
6 s9 x* X% p3 E2 E' i1 Mis in operation or needs to be in operation.
& {, h' |, @5 w, {·     To work with the Technical Director, when necessary, to ensure  
, F' P- c! h5 r3 Nthat an adequate and appropriate level of part-time staff exists to  
( i5 ]4 w0 R+ @  G9 Rfacilitate the smooth operation of the venues and to ensure all  ; o4 E- \5 w4 d5 e' B5 j& c
renters needs are met.
- W! V- S0 M% ~( y5 M- Y3 C6 {6 n·     To work with the Technical Director to ensure that the skills  ) M$ J' }% D- T7 X. B0 ?
and attitudes of all subordinate staff are appropriate in light of  
9 z; J% B& s5 a, S* N  Q* Athe roles they must perform. This includes providing adequate and  1 T9 i5 c! S: C, n) A9 |  Z' S5 i5 ]
effective training (and re-training) in all applicable and  4 ]  s8 Q6 `9 x' k" k9 F; j
appropriate areas, and ensuring that the Policy and Procedures manual  
, U3 s8 F) r, l+ Q& e! j5 c# ~is kep up-to-date at all times.( ^4 S' V6 [, Y6 o- c9 L# [
·     To ensure all staff are trained in and committed to providing  
9 {. ~$ z# V$ V; k; D) Rexcellent customer service to all renters.6 N) L% {# w! d9 Z. ?& X
·     To work with the Technical Director to arrange staff  
$ n; i3 ^0 `+ \- h- e4 {) S1 b! Xscheduling.  To handle payroll related matters, under the guidance  2 @7 ~/ o, v2 g- k* S8 h) l; J
and direction of the Manager of Venues and Programming, concerning  
4 K0 T4 W7 f) Uthe staff of the venues.
& E' c& o4 g  s0 G3 c·     Working with the Manager of Facilities and Operations to ensure  
/ M; R7 T0 K- D8 Cthe appropriate setup/tear down of each venue.7 E$ @" p* {) J! x
·     Working with the Manager of Programming and Venues to ensure  
3 E  X3 \5 W5 }8 T: i9 H& N& ?that additional requests such as licensed receptions are arranged., e5 R" e4 D6 B, y! g: ]9 k

4.          Overall Financial Performance4 n( G: L0 {- k2 J" I6 ?

a. To ensure, at all times, that the Financial and Administrative  
4 G2 [* n1 V3 P( V( R9 x/ z) osystems and processes utilized by or within the venues meet the  & l- \7 I6 n. {4 W% ~3 |
appropriate standards, requirements and needs, and contribute in a  6 G# T0 g5 a+ _, Z6 |/ n" @
positive way to the smooth operation and success of the venues. This  
5 F; l1 \* |" C- r3 q# Y; eincludes, but is not necessarily limited to, the following:
7 u7 Z! U% v, k1 w, C To provide input and expertise in the formulation of appropriate    o/ _4 K5 z( V; H7 B
operating budgets covering the venues to the SU´s Manager of  # f$ W7 {4 [3 W5 L1 ^
Programming and Venues and to discuss and refine those budgets  
; _2 u2 [) h8 W' TManager of Programming and Venues, and Manager of Finance &  7 R* l. d5 J1 r3 R& C4 V
Administration prior to their submission for final approval.
0 \8 I; k! Q' n, l, c3 g' r, V% q·  To manage the venues in a manner which adequately and effectively  ( R/ a0 Q* H" _
reflects the budgets approved for the venues and/or which reflects  
0 A, H& ~  r6 Athe best interests of the venues and the Students´ Union.0 i. y. u- N& ^1 A3 W, n  Z4 R
·  To function as the key player in the submission of financial and  
$ O& r/ }( ?3 j4 c! [  A5 B9 Madministrative documentation covering the venues to be used in the  7 t' U4 }3 A( U: Z
compilation of monthly and annual financial statements, and such  
4 g6 h6 @2 Z- bother reports as may be necessary.7 t% [$ l. _; t5 O  b# c$ _
·  To discuss those financial statements and other reports, together  , L" w/ t8 N) q9 m; ]
with all financial and administrative procedures, with the SU´s  4 b  p' c/ X6 D) F+ _
Manager of Programming and Venues and Manager of Finance &  
9 o* n# U( j# e8 y0 _* |" ~( QAdministration with a view to determining and implementing action  
2 K$ h& W/ f( R& {( m6 ^" ^1 Vaimed at improving the financial and/or functional effectiveness of  
: b; H8 s+ ]) _  _5 athe Horowitz Theatre.$ ?9 e7 X* a5 r
·  To ensure the existence of adequate, effective and accurate job  
; v/ M1 o  I6 h( e+ Gcosting systems to be used in connection with the determination and  # d/ K2 T: t& A
setting of appropriate prices for rental and staffing rates for  
+ r: u* T& t8 z  B5 E/ j8 ?( fevents held in the Horowitz Theatre.
& H  ?4 \+ h% g·  To develop accurate documentation to be used in connection with  
! J: u- ]4 \9 Q, Mthe billing clients, and to forward such documentation in a timely  
- g" r0 {& L  m7 }manner to the Accounting Department.- U" x6 q# w0 T8 ?
·  To recognize, address and handle all matters relating to financial  9 r, A! J2 c' I& R" W) f
and administrative procedures and systems in a manner which reflects  
, I- H; K  I4 ethe requirements of the SU´s Manager of Programming and Venues and  
- G( a' m( f6 D$ {! yManager of Finance and Administration, and in a manner which  ! u9 y' H: [% a! j7 Q8 F; W5 A. N- I
contributes positively to the smooth operation and success of the  
" v- V; @$ r2 Y, ]* @+ w  p  b8 }venues.

5.          Overall Roles and Responsibilities
5 v3 ?; H7 ]! y& t0 ]a.   To ensure, at all times, that the systems and processes used in  9 L+ g& p  c2 }5 H/ V
renting the venues meet the appropriate standards, requirements and  
7 G  x+ c8 M. E6 j) dneeds, and contribute to the smooth operation and success of the  " y  G  p# |) [2 N
venues. This includes, but is not limited to, the following:1 t7 J1 s' W) C3 `9 A" m; p  U

; l$ [3 _" g# t  J5 {·  To recognize, develop and set in place such rental procedures as  
% A7 h! R- G7 h& r% _& e9 g! fmay be necessary to ensure the smooth operation of the venues, this  
) n  _( [4 l$ n, r8 X+ gis to include but not necessarily be limited to systems and processes  
, {7 T' Z) [  N0 w  {. Cin the areas of contracts, inventory management, contract evaluation,  : `: q; g$ R. L, `
pricing, costing, equipment usage, rental/contract invoicing,  ; r. h5 O; s! p1 P8 p8 k
together with such other systems and procedures as may be necessary  
8 {5 q, b/ p' q; g% s+ d; }to ensure the smooth, secure, efficient, cost-effective and  
. h( T/ r* q; h/ o6 k3 ffunctionally-effective operation of the Horowitz Theatre.
& V3 J! D: S, U6 P2 E·  To recognize, develop and set in place such operational procedures  9 `- [" ?5 B3 J8 ]
as may be necessary to ensure the smooth, efficient and cost-
. ~3 B. G1 D+ Y! beffective operation of the venues.
) l4 x, R& Q; b7 \" s: W·  To negotiate rental lease agreements (contracts) relating to  
4 u/ @- X# f' Ydates, rates, staff and miscellaneous charges.
( d# f5 p8 ]8 D' l·  To ensure that adequate inventory is available at all times and  1 X7 S, e" h6 y
that such inventory is stored and issued in effective and secure ways.! [9 ~( @! t8 E# n8 a, g( G
·  To consult with renters as to facility issues in producing their  - r( n7 n' V$ \, G& u& p7 H
particular event in the venues.+ S! {3 c% f* S9 y9 n% ?
·  To provide the venues on-site staff with such documentation and  9 K: `6 ^& z/ A4 A
supporting information as it may need to effectively fulfill the  5 Q! a$ {5 X6 k1 Z2 G9 p
roles they are to perform to ensure the success of the renter´s event.
; @; R- W1 I7 C9 U: Y! H·  To produce quotes in respect to staffing costs for a particular  
/ R$ C$ I8 y& j: J$ Z" p% Zrental with consultation with the Technical Director.6 o" ?5 w6 K5 y  N% i% |" R
·  To ensure that all queries raised with the venues whether from the  
! b0 {  l) V$ ISU or renters, are promptly and effectively handled and adequately  
/ u$ F, m' y# `; H8 p5 l1 \/ [9 }answered, and to ensure that such action as may be necessary in  
+ u/ ^9 v3 V2 G, m+ Y4 |follow-up to such queries is taken in a timely manner./ n- Y% N8 t( [0 y$ s  y, J' |/ [
To ensure that the venues and its capabilities are adequately,  , q, |, {& I5 K: ]% i
effectively and cost-effectively advertised and promoted, and that  % K6 {& Z) o% t; W( a
the cost of such endeavors does not exceed the budgetary provision  
: n) ?1 l8 B7 wmade for them unless prior approval is given by the Manager of  
2 ]/ g. K: j/ ~, B; p" }  ]& wProgramming and Venues./ v2 V9 w2 M  H0 Q+ m
·  To act as an informed and knowledgeable resource in the case of  ( m. m/ i+ O0 {3 K" E, [
significant challenges and/or problems surrounding the tasks of  
/ f* P$ L  u/ L1 `4 Pmarketing, administration, operations, and any such other matters as  
! P1 x- e# m0 rmay provide such challenges and/or problems.& [1 y, W; Y* |3 T7 E4 |) ^! p9 I  ~
·  To attend such meetings as may be required to support the smooth  
, A# P3 e& K  \( h4 @operation of the venues or the Students´ Union as a whole.
7 i: M. @. A0 p( o% ?4 |·  To perform other job-related duties as may be required by the  
5 [- I( ?. E0 r( XManager of Programming and Venues in order to ensure the smooth and  , M* a5 H: R5 H$ `

·  To recognize, address and handle all matters relating to overall  ! D3 B# ^* u1 B7 F
operations in a manner which reflects the requirements of the SU´s  % V5 N8 I2 y, P6 s' ?
Manager of Programming and Venues, and Manager of Finance and

QUALIFICATIONS:+ M9 j! z% b9 M5 A5 o! `8 Z  z& b
1)             Minimum two years related post secondary education, or  
( S$ F6 A  _5 I, H/ ]) san acceptable combination of education and experience.& `; Y2 o+ T( U- g% z
2)             Supervisory experience.
( U2 m: @; N  P3 ]3)             Ability to create new initiatives with little or no  1 H8 v$ N1 B' |  ]6 ~

4)             High level of creativity
