The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.1 ~# @4 v! R1 H& {& I3 h# I$ e; Y

Job Responsibilities:

OPERATIONS; d9 D/ U' v2 u( u1 J% E
• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.% g1 ^8 X- z5 g& o" D6 {* Q1 j
• Assist in development and implementation of policies and procedures for volunteer services.
{4 v- W# o: D; E4 u, c# ]• Maintain the volunteer files and update the database using Raisers Edge
4 M. i& x8 N. y9 k' l1 I• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.1 ^' b& J$ N: u$ T; x% S" v& X/ @
• Develop and implement a comprehensive volunteer recognition program.7 _; T5 e/ M- |
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.. r4 l4 _" F1 T/ V# Y0 J) G
• Identify and implement best practices in regards to volunteer development.! W' u: C7 X6 `, ]+ e! M2 S) E B+ b
• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
, z* O' y. J2 o2 R• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required, u! m9 e, m+ E3 ^- o% _7 L

• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO- a- }' P. s" w4 y( S! i+ ]8 j
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up$ ?4 D# r5 a) ~* z/ A2 h- u- T" G# L

. ?/ U$ q+ w9 {7 j1 K• Develop and maintain job descriptions for each volunteer position
% e# V' m6 X6 {# M+ ]• Maintain secure volunteers files in accordance with privacy legislation: p, M! y0 u( {& x' J1 y
• Provide feedback on volunteers’ performance, as appropriate
0 n' `8 p$ }! ~1 h/ X• Ensure Human Resource policies and procedures are adhered to within the department6 p- j, {* \; g. K" A" ?
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required 2 c0 ` E( P1 d7 ] U( l
• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency3 A3 i1 @& l6 j+ [& ^0 X
• Develop resource and orientation materials for Volunteer Services- X) |. e5 N d
• Maintain monthly and yearly volunteer statistics for reporting purposes+ d( h5 e! S$ n$ i
• Prepare a regular monthly program report2 {" V* M% l( |2 ]) ?

• Ensure the program operates within approved budget and be familiar with potential variances
1 ]5 z# W7 A0 Z$ K% H• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required( r& K: U# U8 M$ f, y- x

INTERNAL/EXTERNAL RELATIONS) a- i; ]" I0 p x5 U& X
• Act as liaison to the Y-Knit group of volunteers0 j7 P; c: D! ~* `7 c
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
0 U u! ?9 _/ {- Q9 f# F/ J6 y• Follow up with correspondence to outside agency volunteers as appropriate
6 {3 U/ |3 `2 M* Y" |0 f• Attend external functions such as volunteer fairs, trade shows, and special events as required3 ~: C' A& i6 [

Qualifications:$ G9 q! Y) b8 O+ z
1 ~1 R( ~# O4 c1 I y. ?. `• Minimum 2 years experience in Volunteer Coordination
1 l) a3 F m- f5 N$ M$ i4 q• Excellent organizational skills and multi-tasking ability
_4 M+ T `3 a/ c4 o) l• Demonstrated superior volunteer supervision skills, O- Q4 V( A& @" _3 t. m
• Collaborative working style and excellent interpersonal skills
. z1 t% @8 }, _5 ]3 K: X, d. m3 l( p• Ability to work to meet deadlines and to work under pressure
7 _( \! L$ ^8 y' f( l• Ability to work in a team-based environment, with cross-functional work teams on projects

• Knowledge of Raisers Edge software would be beneficial 7 h. \# H$ u! X$ z
