Job Duties / Responsibilities
* R, t& w1 ]  ^) Y0 z; o* i• Preparation of meeting agendas and taking minutes as required.8 c; |: s- b9 Q* p7 `, G2 j
• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.7 D% R* C: G8 ?8 ~
• SAP match reporting and monthly management
$ e( d6 ]' E! ^• Responsible for coordination and organization of office needs and supplies.* {& P( m3 k& Z& {# a5 g
• Organization of company functions/luncheons as required." S/ h- D, U3 Y, _/ U
• Coordinate network ID / requests for new hires, internal orientations.1 e# Y2 E- s( H8 Y6 t4 O  g
• Train new Visa card holders ¿ Visa Administrator.
( M9 g' O, o# H% N  L/ k) p$ S% M• Preparation of Monthly Visa Statements.5 h: I5 N, ^5 s$ t& F: y
• Order business cards as required.. ~% p0 k) G2 r8 j; k/ K9 {
• Maintain contact list, employee files (including expenses)" N5 M$ [  }4 @' |8 ~* T, e) w! j
• Prepare travel approvals, books accommodations / meeting rooms / luncheons.) w& V2 i& y; B+ a1 T1 m/ N
• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking.
* g, y8 x7 d: H0 p* D• Vacation relief for other administrative staff.  p6 u6 i) H* J, |
• Preparation, organization and record keeper for Maintenance Department training
; f) n; G% w: L) a% Y/ N7 ~0 H* ?9 Y0 O2 W! s6 F

Education / Experience
6 E: [" L/ @' m3 E0 M) p4 |! i• Grade 12 or equivalent
) x" N0 A* ~6 |5 s& X• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)
+ h9 J+ p- P6 t) E' r$ v• 3-5 years of related administrative experience
5 Y: ]5 _8 Y# q* n7 {( N• Keyboarding Skills ¿ 50 w.p.m or greater
4 K2 ~* [/ B( C' z4 V6 z7 U0 [% U• A high level of discretion, confidentiality, and reliability is essential.
7 h: I/ }- G" n- G& E9 Z0 |• Attention to detail is required. 9 C( K1 L) ]( m6 A3 ?6 r
• High level of customer service skills is a must.
" N0 y7 P0 l6 T, x- e) R• Good planning and co-ordination skills./ d7 A% Q4 J- f. x7 c7 P
• Shorthand/Word processing skills." b* a0 }8 r. X6 L
• Business Administration Diploma or relevant certificate would be considered an asset.+ ^: Y; _+ p) h
• Prior work experience with SAP is an asset.
