Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.& b: Z8 g5 h/ D* R9 H9 {: f. CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.8 C8 M8 L" `7 K$ }

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.5 `( J8 Z9 I( X. Q o1 L9 h

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.6 H- v( t2 P/ n0 A4 q0 R

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Meet weekly with Program Managers to define priorities.& e( k' s4 [& D
4 f9 J# A& _& g# W0 X• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.7 Q: A$ s% a. K* u

• Support maintenance of Human Resources records and the development of employee handbook.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.; E; Z3 t( @1 G% @, H" ~ D9 `4 r: u
, G- o5 p( f, T• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.( l9 c; W8 S8 e- K
$ x+ p% b6 f9 v ?* h0 e. W, T$ \• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources." w4 G' H, M& W' m4 [

• Compile information packages for fundraising and promotional purposes.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.) _. y! r0 i8 R# t

5 n4 _/ h O# v. B; u$ u• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting% ^* W% F; g# \; {" ] n3 s

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
