P  ^  B% zChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

2 ^3 e+ w  G( k- X/ s6 ^9 aCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

* p) ~" c! `) B, _/ w% b* U' y# x( K& S• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.1 o; s& v9 s$ L

% D( P' |% {5 {• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

# }8 u* a# R8 [* l2 l• Manage office technology software licensing and hardware maintenance.

8 w) @, d! b+ S; ^• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities./ c; h2 z) L" y0 z5 y

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.  |- _6 u/ H, G2 a, J& _2 u, ~2 c

Key program support duties

International Projects and Public Engagement/Communications:

# B9 ^! M+ n/ o7 n4 M• Maintain inventory of communication materials.2 J/ ]# C4 f3 u: i# L

7 u  @1 f. a' ~) z' K• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.$ @+ q/ s$ q1 A/ [3 O) R9 J

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA." |" q' R6 I! a& O! ]8 w7 B, s

  _! T$ ]. `9 R9 T6 o4 T1 K7 G8 Y• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

2 P& [6 z$ y) X) [• Compile information packages for fundraising and promotional purposes.1 N6 W0 ^+ O+ b- A

• Manage database and support distribution of print publications.

  J: N! f1 k7 y9 l* W8 B3 i5 n• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

% }* p" h" X0 U7 K+ z• Provide logistical support for key fundraising events such as silent auctions

8 H3 n+ a2 V7 R! _) J! u• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
) B/ U* E1 O' o' f
8 N* n3 d* `' w. Z7 v6 R- u+ h2 @• Coordinate volunteers for some fundraising events such as Casino and annual sales events.' w4 W8 V; o7 F( ?! i$ }- ^

• Support logistical work required for CFCA’s Annual General Meeting: A8 E5 h- e& ~% w) _- p$ U7 w0 o

( K& R/ ]6 b- ]; X. b" e" t* N( @" Q4 e• Assist in administrative tasks related to donor recognition and event reconciliation as required.+ n! I  O- y+ J# W: A/ T

) N  _, z$ F' s- A  Q( pSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

This position is Permanent part time (20 hours per week during regular office hours).
