Program and Administrative Assistant

5 o5 i( q. ~8 Q; lChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

! ~% g6 i0 W4 R# a4 m. \% _" uCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.9 p" L8 r$ B* F! Q

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.9 Q  k  J) O' ?- E: p

+ E9 @( m8 `' D# F• Complete data entry in various programs.

) e6 d9 E  \/ `3 {2 F• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.1 O5 U5 g0 j# R( ]3 s$ }7 Q

& i+ [+ S& r8 z. s• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

9 u2 w" s$ q$ j• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups." R# }8 t; |6 q/ ]( A

• Support effective internal communication by recording and distributing all meeting minutes.- L* Q1 F& |1 |4 q. S& V% z7 r% [

& ]) p. z; o5 q' T3 S• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Perform financial administrative duties as required.

Key program support duties

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling." j# C8 V$ X3 c+ e

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Compile information packages for fundraising and promotional purposes.7 m, b0 u( V$ m) G

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.* o9 [- U6 h5 g- P( ~* ]9 G/ B

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.; M9 p* T# n- t" J8 V/ S* R

• Provide logistical support for key fundraising events such as silent auctions, Y3 e6 k' G0 i% ~, ~

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

8 N' A# M0 D  B• Coordinate volunteers for some fundraising events such as Casino and annual sales events.& X  \8 Q) F1 T( [7 S2 x6 `

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required., b' I1 J0 w; f0 _8 G# Y5 p5 T

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.8 K% S1 v+ K3 o1 }0 h

Spanish language abilities are an asset.

This position is Permanent part time (20 hours per week during regular office hours).
