Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization." , B' ?3 o1 E& K' Y4 [CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.; @. h* N. K4 H& D! i) V( r

Key administrative duties:

; e& T0 x2 @+ G, f% a3 O: T• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.9 z' }$ x8 ^2 y5 S9 z

5 _2 W# V, D# y5 K$ E; J• Complete data entry in various programs.

, S7 d7 W+ T2 X• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

+ `; q+ R- O8 s1 _• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

Key program support duties

International Projects and Public Engagement/Communications:
! R" [  p& Y1 z1 y5 b! M# L8 y. J/ A1 ?/ w5 E; K5 H& n7 h
• Maintain inventory of communication materials.
/ {/ ?$ B: W( [  u1 c+ k
  L7 k) s# m0 [$ F) J• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.2 `* R5 c: ]+ _$ E) V
: a: {# o9 L3 u# }9 C% O/ k
• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.2 K, j; r% A/ z, D( y7 |

8 d6 y! E: k8 G  V4 i( E# H3 C• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources." D. h/ b3 ~9 {1 X, E, E( D7 _" ^

  }( X, e, \1 o* i8 I• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.+ ?; `6 l% a$ T4 h- f7 S

8 x6 a8 U1 T! H  Q; M1 I• Provide administrative support for public engagement events and mail outs.

  u) z! @( m  l& g• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions
  }4 V1 a% ?7 ~; q. ?  K8 U9 c* \/ t# R. s8 r7 X
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Support logistical work required for CFCA’s Annual General Meeting; {  t- l( `0 S7 `/ l4 c0 g

( ]. [& E6 ?' C) d7 y• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.* L7 z; m. d! f! v
