The YWCA is recruiting a Receptionist. The Front Desk is the central point for internal and external communications for all departments, programs and events. A sound understanding of overall activity of the agency is essential. This is a position that requires strong customer service skills, as it works collaboratively with staff and volunteers to provide the best possible information and assistance.

Reception

• Answer multi line telephone system8 h$ P$ N. |: ^7 I; [4 Z3 ?
• Receive and distribute mail and deliveries
O! d" T& G! b6 n• Arrange courier services for all departments
% b" s, F0 ^; f4 Q• Oversee Y-Knit program; provide support to its volunteers5 I0 G/ X2 f3 ]( B, e

Administration
1 H4 I. l" N% s9 Q7 \• Receive sort and distribute mail and packages; post outgoing mail
# ]: ?9 i- `& O9 S v# m: i* p• Sort and distribute mail and deliveries
) ~) d2 j0 l7 D- a% T6 c0 @+ d8 T' m• Provide clerical support (e.g. word processing, data entry, photocopying, faxing, e-mailing, printing labels, mail-outs, and filing) to all departments of the agency
! C" R0 M* C4 I# Y3 X• Update and maintain databases as assigned, including those for Fund Development and Administration" o7 @1 z2 p# i9 }7 T' [& t) i& Y
• Assist with task management for administrative volunteers
) Z- p4 V" Z6 r' @6 P• Create monthly staff bulletin and prepare for distribution( g5 A/ q4 v# M8 b5 L0 ^
• Assist Business department with weekly bank deposit and processing payments ( d% G8 Z' u3 z9 X# O7 U9 f
• Assemble and forward information packets as requested

• Minimum 2 years office experience in areas related to office reception, and office procedures% y6 W2 P5 V# b) x! O
• Experience and proficiency in Microsoft Office including Word, Excel, and PowerPoint.8 t; i0 E0 ]' w3 b) @) ^
• Skill in Desktop publishing is an asset

• Mindful of need for accuracy, detail and discretion
