/ Y" G) s2 M" y% qThe duties of the Operations Manager - SU Venues are diverse and  
7 [/ t: p2 P& `% S+ Yextensive, and are targeted at the all round smooth operation and  
9 {1 G2 v9 [  D  X8 M( bfinancial and operational success of the Horowitz Theatre as well as  / c! [) H+ e! e" d: X& I: Q
the logistical organization and smooth rental of the additional  + f( r9 w8 |9 f
venues within the realm of the Students´ Union.  In the light of that  0 [2 m0 l* j1 k; O% i( r& W
breadth and complexity, it is not possible to fully define or  
$ G9 c( S9 u5 [' Wdescribe all roles and responsibilities in a document of this kind.   
+ _/ z! L, d( {However, the main roles and responsibilities of the Operations

a.   To ensure, at all times, that the venues listed below meet the  " a; i/ X0 O) ?0 T! `
appropriate standards, requirements and needs, and contributes in a  
/ J  b1 m! \# R8 b/ [positive way to the smooth operation and success of the individual  ' o. Y# L4 V: {/ V3 K& R. M* I4 p
renter.

4 ]( C  f- l& A1 |6 X·     To plan the capital and supply expenditures to meet the

To ensure that the maximum potential of renters is met., ?  f0 p% ?. N  i$ G

8 j1 Y1 l! R9 @2.        Marketing and Promotion
/ A! L  V; \: i% y8 k+ ^  j
0 u; i) K! [  na.   To develop and implement a marketing plan for the venues that  9 X: W$ U1 g* c+ v4 @* X
focuses upon advertising and promoting the venue to faculty,  
8 P( C# @3 B, r0 @7 @students, and internal and external clients on an on-going basis.  0 {+ P: B- S- i
This strategy will include implementing and/or delegating the following:2 }* w: O* B5 b9 f$ M4 _
·     To develop and maintain promotional materials, the Horowitz  
6 o" m. O! \0 G9 {( q4 CTheatre and SU Venues home page, newspaper and other advertising; to  3 w2 M5 ]% U. `
take advantage of other internal and external advertising  8 m: G# V& k7 x
opportunities; and to develop press releases and other promotional  
2 P8 ~1 a+ M, [0 |literature on an ongoing basis.
( m4 O  v3 e) b% M& B7 z·     To coordinate tours of the venues for potential renters.$ v# H4 j+ _/ o# v
·     To promote upcoming events in the Horowitz Theatre through the  7 E$ ~: H6 e" k+ t% ^  w& B
use of the Horowitz Theatre Home Page and the SU Events Calendar.5 m3 s2 L6 b- P# q" O1 t
·     To develop new external clients for the venues.$ J3 I8 r1 L% T

* L+ z& c* V% A: _3.        Staff and Supervisory Roles and Responsibilities
% V5 w7 n) Z8 w' N) @+ G* P% k" u' L6 S/ d
a.   To ensure, at all times, that the venues are adequately and cost- 3 C1 v: P8 Y8 O8 c& t& r
effectively staffed, and that the staff utilized by or within the  
* u( O* L5 ]  c9 K0 M% P1 ?venues meet the appropriate standards, requirements and needs, and  1 ]# Y; E' _1 v/ E/ ?% x) w
contribute in a positive way to the smooth operation and success of  # h+ }1 _7 U  f% M
the renter´s events. This includes, but is not necessarily limited  
7 {1 E! ]+ z1 h, |3 |9 Z2 r7 u; Oto, the following:
7 I* i8 l! n: e' \: v( m% m' t·     To be responsible, under the direction of the Manager of Venues    C. ~$ _: D- ]0 l: w( a
and Programming, for all staff issues including hiring, disciplining,  
0 V* L- C: b- \5 v4 F' Y" Hevaluating and terminating, as necessary.0 K5 L6 r4 f: ?# y$ ]/ t* t
To ensure that the Horowitz Theatre is adequately supervised at  
0 X' H) ^8 g9 y' [all times, this includes the development and implementation of such  ) E! {" f7 b. G
schedules and rosters as may be necessary to ensure the effective and  ; A: r, V3 m) i0 y
cost-effective supervision of the venues at all times during which it  ( L% ^8 O% N" Y7 r9 O- ^0 Y1 a
is in operation or needs to be in operation.
5 I" j2 D8 ^2 Z·     To work with the Technical Director, when necessary, to ensure  . _9 u! h9 O- m) N( ~6 w0 j
that an adequate and appropriate level of part-time staff exists to  
1 K- W6 M# `" Z$ U* a, kfacilitate the smooth operation of the venues and to ensure all  , A5 W& w/ y1 `2 r6 q+ Q  f: |
renters needs are met.6 r! G/ L9 e( \
·     To work with the Technical Director to ensure that the skills  
% y2 _- X) ^4 w+ Iand attitudes of all subordinate staff are appropriate in light of  
6 N- i7 D2 F  s4 l  Jthe roles they must perform. This includes providing adequate and  
  F8 p* _+ r* M: b. O6 R( D# [& \effective training (and re-training) in all applicable and  
2 Y% Y9 M& c3 A" dappropriate areas, and ensuring that the Policy and Procedures manual  
6 U% w4 ^5 `+ zis kep up-to-date at all times.2 F1 u* ]" J5 s$ ?8 ^
·     To ensure all staff are trained in and committed to providing  
  a* [& |1 n( ?* O2 _excellent customer service to all renters.% F. U$ J6 t- A7 e8 ^2 \
·     To work with the Technical Director to arrange staff  7 ?7 p! C+ }1 s. x( M
scheduling.  To handle payroll related matters, under the guidance  ! r7 c0 z# J3 y. A/ @# V
and direction of the Manager of Venues and Programming, concerning  ) T6 b* U# a  F3 q3 [
the staff of the venues./ I8 L, F( z) L/ u2 t, X5 m) {
·     Working with the Manager of Facilities and Operations to ensure  
2 E$ g/ c! k8 k4 d* V0 ]the appropriate setup/tear down of each venue.: ~- v' Y, i: B3 j6 S: u
·     Working with the Manager of Programming and Venues to ensure  
4 q4 _4 K8 Y  }4 g. ~0 {3 h+ i4 athat additional requests such as licensed receptions are arranged.3 ~, `! b2 F  D! Q1 S( H1 d
! J3 g& G( k* G" \' o9 Q9 }
# z2 w% y) z) x! V  f4 }& Y
4.          Overall Financial Performance
% S, T7 v8 x8 W5 _# J6 n2 ~! W
- D# D  l7 W1 U) Xa. To ensure, at all times, that the Financial and Administrative  
: |  \" `+ Y3 z9 h' a+ j" osystems and processes utilized by or within the venues meet the  
/ M! h) g$ X% ~; Q) _& Tappropriate standards, requirements and needs, and contribute in a  
+ B* D$ P) ^0 lpositive way to the smooth operation and success of the venues. This  
0 A* }' ]3 y; B6 pincludes, but is not necessarily limited to, the following:8 n8 N+ J! O2 @/ P3 Z8 d
To provide input and expertise in the formulation of appropriate  
: j& o: C& I) J) {& Soperating budgets covering the venues to the SU´s Manager of  & T4 m2 j0 l& y! B
Programming and Venues and to discuss and refine those budgets  ; k8 N  E0 X# U# c
Manager of Programming and Venues, and Manager of Finance &  6 o& _9 v! T5 T. x
Administration prior to their submission for final approval.
- J+ B2 A% `8 v8 Q- f5 L9 Y# j1 R0 D·  To manage the venues in a manner which adequately and effectively  
: g# M' }0 l' `/ e# E: @reflects the budgets approved for the venues and/or which reflects  & i! Z: E/ F4 K
the best interests of the venues and the Students´ Union.& W. n; y+ a8 U+ h& F
·  To function as the key player in the submission of financial and  
0 n* c) \4 H5 ~& ]* K- P! E" uadministrative documentation covering the venues to be used in the  
) x' H6 ?. m6 E- d8 g/ z# M( C, s; xcompilation of monthly and annual financial statements, and such  
+ k' o* i$ f1 s0 cother reports as may be necessary.
- L$ U$ m# _3 {' h/ C( h, P·  To discuss those financial statements and other reports, together  # x+ M: G7 T& X* X* D' n- S( S
with all financial and administrative procedures, with the SU´s  
# b, i8 b3 c1 B* V; TManager of Programming and Venues and Manager of Finance &  , n# y& {7 W1 \5 o
Administration with a view to determining and implementing action  
- l  {' u1 u7 u  U/ waimed at improving the financial and/or functional effectiveness of  
! e5 |$ @9 ~' t  Z9 l" [. m8 M5 |the Horowitz Theatre.
# @) L5 B# @2 i) f7 c2 E* {·  To ensure the existence of adequate, effective and accurate job  
/ r1 N# F7 ?) p" i* jcosting systems to be used in connection with the determination and  2 ]# `; ~; d* ]
setting of appropriate prices for rental and staffing rates for  # n( V2 Q* `4 L! q+ T/ V3 p
events held in the Horowitz Theatre.
" c& J6 _; G2 j6 f6 V·  To develop accurate documentation to be used in connection with  
7 c; U' L5 ~! F7 y7 z. w1 tthe billing clients, and to forward such documentation in a timely  
! k$ {/ @0 l/ d0 I8 S  `- g* fmanner to the Accounting Department.9 U' n) y4 `4 b# u! ^! P8 Y
·  To recognize, address and handle all matters relating to financial  
/ L* ~) q9 V+ }+ {$ m" x2 p  Pand administrative procedures and systems in a manner which reflects  
0 V- N, l0 K3 ]the requirements of the SU´s Manager of Programming and Venues and  
3 {' c4 g- p  U; y7 v/ ?Manager of Finance and Administration, and in a manner which  8 \4 g6 n  m6 e$ P/ ~/ t8 Q
contributes positively to the smooth operation and success of the  ! C# |8 @/ K2 L: |
venues.
/ p9 g/ v) \! v5 J, Z" r/ X+ v" t9 T! ]/ r
5.          Overall Roles and Responsibilities- @7 ^& o) w) ]- x# T( H8 S
a.   To ensure, at all times, that the systems and processes used in  $ U/ a. V! U( [) J  v$ \. U
renting the venues meet the appropriate standards, requirements and  
# y7 U* Y7 \& @/ V4 Hneeds, and contribute to the smooth operation and success of the  
$ |- J# w  E; B6 h4 Xvenues. This includes, but is not limited to, the following:
1 Z$ y5 q4 {- C" a+ N# G% g" E* ~
& O: G$ p& R' A·  To recognize, develop and set in place such rental procedures as  5 {, D" {9 J5 P4 J& _. A! J# a
may be necessary to ensure the smooth operation of the venues, this  
4 m- o' s8 V1 @6 dis to include but not necessarily be limited to systems and processes  ( A3 n0 Z4 d8 H% q) L' ^7 a4 L
in the areas of contracts, inventory management, contract evaluation,  , D% M! H8 h& t' I5 }
pricing, costing, equipment usage, rental/contract invoicing,  
* P0 j& N# M' H4 {together with such other systems and procedures as may be necessary  
3 r' y; |2 P/ Z4 Vto ensure the smooth, secure, efficient, cost-effective and  ! l3 y2 @( p0 }) i8 B( V
functionally-effective operation of the Horowitz Theatre.
" y( B0 z: J$ v6 r- M·  To recognize, develop and set in place such operational procedures  
* o; ^6 O. `, oas may be necessary to ensure the smooth, efficient and cost-
. H# ~/ [$ [1 v& beffective operation of the venues.
, C, l7 Z! x: h0 l4 R·  To negotiate rental lease agreements (contracts) relating to  0 M$ d3 H8 I: H* y, i+ Q
dates, rates, staff and miscellaneous charges.
- z6 s; d, e( ]" [- I' x; ~4 ]·  To ensure that adequate inventory is available at all times and  6 h/ R! R+ D  f- p3 Y4 i
that such inventory is stored and issued in effective and secure ways.
) G* u" O* ?# i; g2 J8 y$ l/ R( [·  To consult with renters as to facility issues in producing their  
2 f% L1 E; D5 E5 U  i2 xparticular event in the venues.
* p/ _/ t! V4 a* W: U9 y# I·  To provide the venues on-site staff with such documentation and  % B% v$ f1 a# A( d+ r
supporting information as it may need to effectively fulfill the  
# o/ O8 M& U4 |# P1 o6 l' |roles they are to perform to ensure the success of the renter´s event.
& b3 K, u' B" x" h·  To produce quotes in respect to staffing costs for a particular  
* n. f! U8 `, ?3 p; B5 Mrental with consultation with the Technical Director.
/ S* P. X& Z8 H' g·  To ensure that all queries raised with the venues whether from the  3 k+ l4 y7 n9 y  R7 J3 l3 i' Q
SU or renters, are promptly and effectively handled and adequately  
& x5 Z* c$ S9 uanswered, and to ensure that such action as may be necessary in  8 [; l" k: S7 _- v; D: }+ B# o
follow-up to such queries is taken in a timely manner.
( G1 w7 l( F* P5 E To ensure that the venues and its capabilities are adequately,  
5 A  ^' c' X' z- c$ b4 eeffectively and cost-effectively advertised and promoted, and that  
9 c8 `7 W9 q3 q0 Y) |' Vthe cost of such endeavors does not exceed the budgetary provision  4 `7 _3 f2 m: p
made for them unless prior approval is given by the Manager of  - R# U# ^- W- _+ }" H5 R/ N
Programming and Venues.0 Q2 C8 _. M5 N  `  D: p
·  To act as an informed and knowledgeable resource in the case of  4 R8 L- `& |' `; j& n% \
significant challenges and/or problems surrounding the tasks of  1 [$ G7 s- P1 _1 V5 V* L
marketing, administration, operations, and any such other matters as  & m5 B! m4 o1 x4 M% `  M
may provide such challenges and/or problems.* j- E7 ]7 G0 _
·  To attend such meetings as may be required to support the smooth  
4 {+ U/ }/ q5 s$ J+ Coperation of the venues or the Students´ Union as a whole.
- O  {8 L; c3 L7 T# w1 }( U' r3 E·  To perform other job-related duties as may be required by the  
$ z! H; P, ^3 Z; s6 ]( t. ?Manager of Programming and Venues in order to ensure the smooth and  ) b. X* D4 S9 F5 Z4 Z8 J
secure operation of the venues.

operations in a manner which reflects the requirements of the SU´s  1 g5 i# I. {7 l( u
Manager of Programming and Venues, and Manager of Finance and  3 {+ l# x1 N0 V  F: |+ E3 H# {
Administration, and in a manner which contributes positively to the

1)             Minimum two years related post secondary education, or  ( M. ]" u( l9 a' I, a
an acceptable combination of education and experience.+ j% c' _% M: R" A* [& S+ I3 W9 O
2)             Supervisory experience.
7 y& B5 a% ?$ _5 g  n3)             Ability to create new initiatives with little or no
