' t# w! ~! r0 N) ^% c5 i; ~' zThe duties of the Operations Manager - SU Venues are diverse and  
. M% v* U0 ?* c5 j- w$ u! bextensive, and are targeted at the all round smooth operation and  
* O: r+ M9 K, h. v, d, Bfinancial and operational success of the Horowitz Theatre as well as  
( _3 |! a. B( Tthe logistical organization and smooth rental of the additional  
1 y: l* o1 e. G- B! n2 N+ n8 \venues within the realm of the Students´ Union.  In the light of that  
" g0 ~4 P7 t6 V) Y; K; O7 Pbreadth and complexity, it is not possible to fully define or  . h( ]" {+ h" ~2 b
describe all roles and responsibilities in a document of this kind.   
& z0 ?$ H+ a' R8 y2 {; z* qHowever, the main roles and responsibilities of the Operations

a.   To ensure, at all times, that the venues listed below meet the  + `5 O: N% ^" d+ s. U3 X4 b* Y
appropriate standards, requirements and needs, and contributes in a  , ^( `9 S- ^! q" v" v
positive way to the smooth operation and success of the individual  ( H& r$ h# Z) r9 _7 Z2 ~9 `
renter.

·     To plan the capital and supply expenditures to meet the  ) j7 `' S( {% b) m. Q% g/ R2 N1 u
production and facility requirements.

( y! F& @3 N# ^4 ^$ Jsafety regulations and building policies.

) M. v. S; p; e/ m( d2 t$ b1 m% z2.        Marketing and Promotion. c1 B; j2 @* r# F  b7 }

a.   To develop and implement a marketing plan for the venues that  + h+ g: G5 c1 L) B+ y- y! O
focuses upon advertising and promoting the venue to faculty,  . i1 p8 y2 E# u' R
students, and internal and external clients on an on-going basis.  
: Y" b1 A5 [4 c0 {  W) rThis strategy will include implementing and/or delegating the following:
( E$ V1 h- Q  @, P: R/ w+ j2 o·     To develop and maintain promotional materials, the Horowitz  3 `$ c+ f8 O' H+ D
Theatre and SU Venues home page, newspaper and other advertising; to  ' m- T( b: P' ?( V
take advantage of other internal and external advertising  
6 ^! p* j, G2 T9 y* F$ T2 `opportunities; and to develop press releases and other promotional  * [  b7 k; l3 N" x: G
literature on an ongoing basis.
. E3 W( f6 M2 v7 m6 t·     To coordinate tours of the venues for potential renters.7 s) T* r  K  w' e2 j' ~
·     To promote upcoming events in the Horowitz Theatre through the  . e1 O8 u4 P! z. W9 M3 H
use of the Horowitz Theatre Home Page and the SU Events Calendar./ X% M0 n& }% S2 x' Z  `1 E& K
·     To develop new external clients for the venues.; v% v9 G: d9 {  [; Y% B( U* V9 m

3.        Staff and Supervisory Roles and Responsibilities9 q' b6 W! z( v3 @1 H

7 g( x- q; f  P1 D, ^& Q( ua.   To ensure, at all times, that the venues are adequately and cost- 1 _8 i4 d. h, X) D2 K
effectively staffed, and that the staff utilized by or within the  
2 Y. t! ^. ?& A  ^6 svenues meet the appropriate standards, requirements and needs, and  
1 @6 f7 J# D; Rcontribute in a positive way to the smooth operation and success of  3 W/ f* b5 e* I
the renter´s events. This includes, but is not necessarily limited  6 N1 {$ q* j; }" ?4 |1 D" Y# p
to, the following:
" h- x" @# @/ d3 X7 |·     To be responsible, under the direction of the Manager of Venues  
. L  g3 M8 A7 H7 b1 Pand Programming, for all staff issues including hiring, disciplining,  # s' z. L4 a, k- \) ~
evaluating and terminating, as necessary.) s  T, @3 l/ _% L
To ensure that the Horowitz Theatre is adequately supervised at  , |4 y. w* ?, Y( U
all times, this includes the development and implementation of such  0 \4 |0 _* j, l: z2 j: i6 s  M1 _: a
schedules and rosters as may be necessary to ensure the effective and  
" b8 u5 b3 V" a; }4 j9 L5 Ncost-effective supervision of the venues at all times during which it  4 D; ]9 [6 Y% r/ K3 ~& g, N$ M
is in operation or needs to be in operation.
! V  x. H5 w5 G" y5 \·     To work with the Technical Director, when necessary, to ensure  - ^# k5 ]& Z6 l$ }
that an adequate and appropriate level of part-time staff exists to  ! X# t% h6 N1 w! @2 Q! m
facilitate the smooth operation of the venues and to ensure all  
% h' J. h* C1 {, k& N% D( Qrenters needs are met.3 p5 o& p! m1 x/ o. y
·     To work with the Technical Director to ensure that the skills  
1 I/ @! W6 p1 U" f5 Oand attitudes of all subordinate staff are appropriate in light of  $ A' ~% @% m1 G  e5 Y
the roles they must perform. This includes providing adequate and  . R5 S3 P1 t, n6 u, h
effective training (and re-training) in all applicable and  ) g) X; q9 h* }' E1 n! z
appropriate areas, and ensuring that the Policy and Procedures manual  
' A9 J1 g. v4 z2 x$ g2 t2 [. ?is kep up-to-date at all times.
$ t, H* ~  |, C' `- O·     To ensure all staff are trained in and committed to providing  - [" t- o5 J1 Y! p& T
excellent customer service to all renters.
; a7 N: b8 V1 D+ s* m& v% o·     To work with the Technical Director to arrange staff  7 T. X) s4 R6 C9 c- u2 Q
scheduling.  To handle payroll related matters, under the guidance  : L: J! [& ~- s' o) O. o* J# n
and direction of the Manager of Venues and Programming, concerning  
, c! u. ?9 u  a5 m2 o! Z. G3 }  Dthe staff of the venues.
! V2 B, T5 Q$ Q$ K·     Working with the Manager of Facilities and Operations to ensure  ( Z3 r/ |/ a" ^; r: X
the appropriate setup/tear down of each venue.
, o+ _" }5 g( [8 j9 F·     Working with the Manager of Programming and Venues to ensure  
" z. T, }) {, e/ ^5 ?) g# Mthat additional requests such as licensed receptions are arranged.9 O! Y3 s5 R6 Z# G* T; ~$ k; ?# G' D

4.          Overall Financial Performance5 B" X) @9 H4 V$ B1 o
" M6 p6 }: p* F% O7 o2 C6 J9 g9 n& l
a. To ensure, at all times, that the Financial and Administrative  
( N; y; f; R2 ?3 gsystems and processes utilized by or within the venues meet the  ) R" N+ @, w) D6 }0 ~5 c5 d# K, K0 e" a
appropriate standards, requirements and needs, and contribute in a  
5 y6 b/ G! J; c; l! G1 J' S/ Xpositive way to the smooth operation and success of the venues. This  
8 B7 v, G  g3 {( z9 e% vincludes, but is not necessarily limited to, the following:1 _9 v. z6 L8 c) t6 b
To provide input and expertise in the formulation of appropriate  
7 d/ W& `) H6 f9 ~& f8 c* k& d5 Ioperating budgets covering the venues to the SU´s Manager of  
6 G6 [0 j1 N, Y: w4 BProgramming and Venues and to discuss and refine those budgets  
8 D* d9 ?& V1 H. m/ ~+ L6 @+ yManager of Programming and Venues, and Manager of Finance &  ( B; M$ J2 A& m, W. ?- Y
Administration prior to their submission for final approval.
! Y; L2 }0 a  G7 d  N9 O& _9 V4 C·  To manage the venues in a manner which adequately and effectively  ; ]/ V' S6 e+ o; m
reflects the budgets approved for the venues and/or which reflects  ' U, Y- D1 g' q
the best interests of the venues and the Students´ Union.$ `3 K8 B: ]' N- k: s6 w1 k
·  To function as the key player in the submission of financial and  
: i$ F4 f: H9 R5 I* L: ~administrative documentation covering the venues to be used in the  . p  I; I# i9 L
compilation of monthly and annual financial statements, and such  
( r" i7 f$ Q9 z8 B( E, w( nother reports as may be necessary.
9 u; N; A+ L1 h' M8 {8 F1 O- l# Q: u* X·  To discuss those financial statements and other reports, together  
* |2 F% V. ]7 t/ Awith all financial and administrative procedures, with the SU´s  * s: Q5 p. Y5 ^) _
Manager of Programming and Venues and Manager of Finance &  
( N( q) I; e" `% b  _Administration with a view to determining and implementing action  / k& P' y9 `# R: ^1 p" n! I
aimed at improving the financial and/or functional effectiveness of  
; e/ d. {% A8 v% y& kthe Horowitz Theatre.5 P; `$ U, J7 `/ v" j: C6 y. H
·  To ensure the existence of adequate, effective and accurate job  
8 W3 U& s* q0 \costing systems to be used in connection with the determination and  
+ `- U- A3 u' `1 @3 L! H; w/ _: [* j; [setting of appropriate prices for rental and staffing rates for  7 j8 h9 N1 ^) u, W5 ^2 g5 k/ c
events held in the Horowitz Theatre.7 D! H5 r: k- G! W7 x
·  To develop accurate documentation to be used in connection with  
$ ?# c4 y& y" Q6 o$ v5 U5 vthe billing clients, and to forward such documentation in a timely  
, v. C/ ~) ?4 [manner to the Accounting Department.. m/ ~( V) I  h; _1 e
·  To recognize, address and handle all matters relating to financial  
5 `6 l1 V6 h0 X, M3 }and administrative procedures and systems in a manner which reflects  
3 s, N; n$ [$ ]$ Y- x$ t: xthe requirements of the SU´s Manager of Programming and Venues and  
1 J1 P0 p; @6 ~1 u. ~: I. v: oManager of Finance and Administration, and in a manner which  & W* M/ F! Y: C# r# I7 F
contributes positively to the smooth operation and success of the  * ?# P7 |: n- C" A
venues.
, q' V  d6 u( ]4 S: k* C- u* c9 `; f' Y% O: |2 s6 Y& p
5.          Overall Roles and Responsibilities
; ~2 Y9 V% C/ s$ r1 S, `% v0 Fa.   To ensure, at all times, that the systems and processes used in  
* l; G/ k* x  Z6 l" d, ]renting the venues meet the appropriate standards, requirements and  
) ?' t) s# w" y& a, l: `needs, and contribute to the smooth operation and success of the  
& y2 A- w' a* F* `4 w& `( F5 h* ]venues. This includes, but is not limited to, the following:0 k1 I% I: a' _3 B

$ T7 w  ?( t, U& o! h" ~2 j/ S( p·  To recognize, develop and set in place such rental procedures as  
/ o& ]! s% v: q+ f$ ]# j0 \" Cmay be necessary to ensure the smooth operation of the venues, this  , b( H5 E# p3 E' T7 G  q+ N
is to include but not necessarily be limited to systems and processes  
. {3 x+ @, V% z; l8 Sin the areas of contracts, inventory management, contract evaluation,  
" L* {" V/ O- n1 ^( o; cpricing, costing, equipment usage, rental/contract invoicing,  + L& M& n2 b1 u% @+ J3 \# t
together with such other systems and procedures as may be necessary  
4 q! G2 a4 D2 N" f0 ~2 e4 qto ensure the smooth, secure, efficient, cost-effective and  & I  x2 A% ~  r/ c3 c, N9 n4 z" i
functionally-effective operation of the Horowitz Theatre.
4 c( u# Z. g0 ?·  To recognize, develop and set in place such operational procedures  3 o# y' g; }* T0 }7 ?/ G2 a/ a
as may be necessary to ensure the smooth, efficient and cost-
: K" E" z. M0 r4 z9 F# K: `# i+ ceffective operation of the venues.
% u2 _3 N5 r9 W3 _·  To negotiate rental lease agreements (contracts) relating to  
- N: N/ g6 f, e( |. w* b8 mdates, rates, staff and miscellaneous charges.% V/ `( M# l! t: u' ]
·  To ensure that adequate inventory is available at all times and  
. _9 g% D! J# vthat such inventory is stored and issued in effective and secure ways.
; F% T& k: M  x, i·  To consult with renters as to facility issues in producing their  
! X; Y- @1 T4 Eparticular event in the venues.
9 H4 z6 G( i7 V3 Y. S4 Y$ |+ b3 {·  To provide the venues on-site staff with such documentation and  ( L3 V! x5 J- D& i! _0 S/ u4 N
supporting information as it may need to effectively fulfill the  0 J6 W. Y, G! R3 X* [6 f9 M
roles they are to perform to ensure the success of the renter´s event.1 @4 U/ q1 ]5 D: U
·  To produce quotes in respect to staffing costs for a particular  7 B/ S$ }  E6 ^; \8 ~* R- f( a
rental with consultation with the Technical Director.2 j! U9 n0 \. G5 @3 g# O+ G
·  To ensure that all queries raised with the venues whether from the  
. V# F4 e5 ~2 r* w- _SU or renters, are promptly and effectively handled and adequately  6 M- `2 \4 w+ B9 q/ m0 K
answered, and to ensure that such action as may be necessary in  4 b; J$ c8 A& K, W& b
follow-up to such queries is taken in a timely manner.
. ^( N! n+ D. m: ` To ensure that the venues and its capabilities are adequately,  # k! e# X3 x" v9 L+ x
effectively and cost-effectively advertised and promoted, and that  
! R5 Y- N' f9 l! Y9 ^! \the cost of such endeavors does not exceed the budgetary provision  
  q7 H# [3 b2 }made for them unless prior approval is given by the Manager of  9 q% H. `, l3 x2 R; K" k
Programming and Venues.# a) c; C8 Y4 [) L
·  To act as an informed and knowledgeable resource in the case of  
7 G2 s) K( ]' M# G! Esignificant challenges and/or problems surrounding the tasks of  
1 l1 C1 j1 [9 S; v8 C6 q/ dmarketing, administration, operations, and any such other matters as  & d6 c* Z: J# o: ?' L& ~
may provide such challenges and/or problems.
7 c5 H6 z. v- n! s! i6 w$ j& ^$ Y) E6 @! }·  To attend such meetings as may be required to support the smooth  + p' t4 [7 Z% Q, [2 b: _6 ]7 T
operation of the venues or the Students´ Union as a whole.! Z* l& Q: ~8 b4 O9 [6 j9 ?! @
·  To perform other job-related duties as may be required by the  
% }( \& D4 q1 W; lManager of Programming and Venues in order to ensure the smooth and  1 I; H; E# `% v' {) Z
secure operation of the venues.
: \8 d8 c; K& K·  To recognize, address and handle all matters relating to overall  
8 q+ U8 w" a. }% b: Z7 \operations in a manner which reflects the requirements of the SU´s  / U- u. S4 `) O4 W( v
Manager of Programming and Venues, and Manager of Finance and  * ^+ w( x; @- V! u+ S
Administration, and in a manner which contributes positively to the  * k* i5 \3 s& x/ E* Y, s
smooth operation and success of the Horowitz Theatre.* K" \9 u7 |0 d2 H: ~7 L, }

QUALIFICATIONS:& T* d( @! e9 m2 X
1)             Minimum two years related post secondary education, or  6 b( k+ ^3 r$ }* ]  c, H: }
an acceptable combination of education and experience.
1 o$ }8 p8 u! d' D2)             Supervisory experience.+ L' W1 F" n- s0 ~, {
3)             Ability to create new initiatives with little or no  
7 P( Y. l/ g6 I7 b8 n& esupervision.
