The Operations Manager - Venues and Programming will operate with a

The duties of the Operations Manager - SU Venues are diverse and  
9 V$ Y5 P  \  W" L; R" Mextensive, and are targeted at the all round smooth operation and  - U8 j1 @8 b1 M0 W9 j
financial and operational success of the Horowitz Theatre as well as  
- \" J- b# |  M# j' Q3 Q+ ?. Mthe logistical organization and smooth rental of the additional  
$ f9 B: g6 J5 @, E' U8 ~- ~- |venues within the realm of the Students´ Union.  In the light of that  
6 ~- u* U& O, p* u, qbreadth and complexity, it is not possible to fully define or  # t  X: R: w; q+ W- k& l$ O
describe all roles and responsibilities in a document of this kind.   8 g9 M8 c. e. ]9 H# J; B2 \: l/ R
However, the main roles and responsibilities of the Operations

a.   To ensure, at all times, that the venues listed below meet the  & }0 C  e/ {7 t! z' }7 O. W) Y- T2 l
appropriate standards, requirements and needs, and contributes in a  
6 H- i; n; c! `6 Vpositive way to the smooth operation and success of the individual  
( r- h$ z8 I2 h; grenter.7 w/ x$ r% h* a$ b
·     Myer Horowitz Theatre
/ @7 p2 ]9 Z8 i' i6 d; ?) L·     Dinwoodie Lounge  O/ x! N' J* T% r& U; H; Y

b.   This includes, but is not limited to, the following:7 h2 Y: B: Y0 @$ x
·     To plan the capital and supply expenditures to meet the

To ensure that the maximum potential of renters is met.! s& D2 t; M2 P( n( |# O

2.        Marketing and Promotion

: x+ K2 Q# s- W2 ra.   To develop and implement a marketing plan for the venues that  / h. `% Y" I8 W9 f( P! _
focuses upon advertising and promoting the venue to faculty,    Y  `% ^8 A6 \7 n( C9 s
students, and internal and external clients on an on-going basis.  
  X& x4 e8 i0 N7 \$ s& cThis strategy will include implementing and/or delegating the following:
' l  C: j; f$ J0 ^/ p* P·     To develop and maintain promotional materials, the Horowitz  
! v  ]7 S& b* |; {Theatre and SU Venues home page, newspaper and other advertising; to  6 I7 a; E6 X9 j, Y; ~9 X3 x+ E: ]
take advantage of other internal and external advertising  - N* @' Q( h% B% P
opportunities; and to develop press releases and other promotional  
7 O3 O  Y6 U4 `6 A1 j8 @) H% C4 uliterature on an ongoing basis.
+ C) n8 j# Y' P/ U* |·     To coordinate tours of the venues for potential renters.& u+ u5 ^+ t8 z+ F9 d9 F
·     To promote upcoming events in the Horowitz Theatre through the  
3 o, `- v6 h8 tuse of the Horowitz Theatre Home Page and the SU Events Calendar.; U6 m2 f3 m( S0 o/ f+ Z; J& B
·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities
3 f, F* b/ L$ V; Z& m% @1 `. P7 z3 _
a.   To ensure, at all times, that the venues are adequately and cost-
* k* \- R& a7 r5 {+ aeffectively staffed, and that the staff utilized by or within the  
& q" I7 _3 Y. S1 Z$ Evenues meet the appropriate standards, requirements and needs, and  
0 c, j1 {) C; D4 _5 B% B- gcontribute in a positive way to the smooth operation and success of  * n! a. F$ Z, r7 b8 j( j
the renter´s events. This includes, but is not necessarily limited  
" y6 [1 O5 w! L/ @4 Y6 \  nto, the following:' g' r( u  |$ z" E. u0 H2 L( n
·     To be responsible, under the direction of the Manager of Venues  & u1 k4 J$ g# y# L- i
and Programming, for all staff issues including hiring, disciplining,  5 w2 r% Y, i( j! O- {+ m1 K% ~
evaluating and terminating, as necessary.( m5 u2 H4 u4 I# _9 Q* |) K+ y
To ensure that the Horowitz Theatre is adequately supervised at  
* ?: t  N9 Z% p) R4 I% mall times, this includes the development and implementation of such  5 F, k1 v2 v- ]$ }
schedules and rosters as may be necessary to ensure the effective and  . ~  u7 J; Z: S2 W% q7 d( h, ]
cost-effective supervision of the venues at all times during which it  
5 N* k1 e4 Z2 f! c2 [; c  q7 yis in operation or needs to be in operation.& j4 _$ g( j3 [( j& t
·     To work with the Technical Director, when necessary, to ensure  & ^! Q" Q# N( B% d
that an adequate and appropriate level of part-time staff exists to  
2 M, l4 n, K8 n# Efacilitate the smooth operation of the venues and to ensure all  
3 L9 ~' I$ A7 qrenters needs are met.
+ D9 K1 _, E9 w0 j0 d1 c5 i+ u·     To work with the Technical Director to ensure that the skills  
# b3 P) ~! L0 {, X9 p& U( @and attitudes of all subordinate staff are appropriate in light of  
% L9 Q" @& W3 b! M# kthe roles they must perform. This includes providing adequate and  
- a- ^) m& b8 c+ |8 Ueffective training (and re-training) in all applicable and  ; @  @: ]6 Y0 D9 ^) `1 C
appropriate areas, and ensuring that the Policy and Procedures manual  ' `$ Y9 U. Z" ]& D
is kep up-to-date at all times.2 N% r9 V: b+ O' {
·     To ensure all staff are trained in and committed to providing  
- r& w5 i2 H9 m" Yexcellent customer service to all renters.
* A' G" M8 T  c·     To work with the Technical Director to arrange staff  
5 ?& O  J4 W8 w1 _; wscheduling.  To handle payroll related matters, under the guidance  : V" o+ t3 x" `' i, L
and direction of the Manager of Venues and Programming, concerning  
0 z5 ~; K4 D/ k4 D$ N9 Athe staff of the venues.8 a$ |# D: M4 v8 p* Z  `, `
·     Working with the Manager of Facilities and Operations to ensure  4 {6 ~& T. E! I9 E4 }' x$ T
the appropriate setup/tear down of each venue.
* T1 b7 A% m) `4 Z; Q·     Working with the Manager of Programming and Venues to ensure  
* k1 M3 z' X3 S2 U# \! L$ Jthat additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance
7 y0 C! p! n+ p2 J$ z% Q3 Y2 k. w$ ^3 M/ o
a. To ensure, at all times, that the Financial and Administrative  
& y5 N9 o3 A3 I( P) xsystems and processes utilized by or within the venues meet the  ; }# \- T! o8 z$ x0 u: X2 V3 ^
appropriate standards, requirements and needs, and contribute in a  % z* `  h  g# V( w
positive way to the smooth operation and success of the venues. This  ; m, E$ f6 ~/ j% E
includes, but is not necessarily limited to, the following:
! ^& H# }! r" F! A/ f To provide input and expertise in the formulation of appropriate  
* g* A1 s# o4 m0 S3 H/ w0 f0 I  Ioperating budgets covering the venues to the SU´s Manager of  + L" e5 j, c' W* J, X1 m/ O
Programming and Venues and to discuss and refine those budgets  
9 I- S1 D4 O* z1 C; R/ n$ a- _/ ]7 XManager of Programming and Venues, and Manager of Finance &  * }  P1 i" `, M+ Q' `
Administration prior to their submission for final approval.
1 x" B/ K3 T( [7 k. ?! p( C·  To manage the venues in a manner which adequately and effectively  
3 t$ _0 U9 B% Breflects the budgets approved for the venues and/or which reflects  ; {# k# a  M* z! s, Y% X3 s0 Q) ^
the best interests of the venues and the Students´ Union.
- t/ G( V; Q$ n2 L·  To function as the key player in the submission of financial and  
' p3 {( i' o. J6 D8 Qadministrative documentation covering the venues to be used in the  ! A+ j6 v' s+ v* T$ a. G0 D
compilation of monthly and annual financial statements, and such  
  R8 n) @* \6 T4 h( ~: i$ wother reports as may be necessary.
7 M- }% x! R+ ^% ~2 G- q% V# k6 X, t·  To discuss those financial statements and other reports, together  
2 y: K: t) x  e8 T* twith all financial and administrative procedures, with the SU´s  
5 ]* C( N! W: Y8 e9 _) N0 p# yManager of Programming and Venues and Manager of Finance &  8 S2 N/ ]4 S) Q: \9 @* E4 m0 G
Administration with a view to determining and implementing action  . y3 y' N$ B9 _; ^" S$ A0 P' y( ?
aimed at improving the financial and/or functional effectiveness of  # E2 w4 ]% a, O+ D" @
the Horowitz Theatre.
2 C: V( i: `' q3 C' x2 t" J+ Y·  To ensure the existence of adequate, effective and accurate job  5 {5 o0 u9 ?6 e- d" q0 z) ?
costing systems to be used in connection with the determination and  
; S. z6 \1 E3 t- fsetting of appropriate prices for rental and staffing rates for  : e9 w/ b- n# i" _8 R
events held in the Horowitz Theatre.
; ?) U9 T1 D" X/ x  Q5 \5 O·  To develop accurate documentation to be used in connection with  ; y! w7 r, G$ E( I2 }" @
the billing clients, and to forward such documentation in a timely  
1 j7 ?7 ]  V2 c: Lmanner to the Accounting Department.! j5 D5 z5 ~  U6 y) N
·  To recognize, address and handle all matters relating to financial  0 T- }4 {  a+ b9 D. m3 v
and administrative procedures and systems in a manner which reflects  
) _9 Q2 k( h0 I* b1 f; Nthe requirements of the SU´s Manager of Programming and Venues and  ) O5 a& O) N  c* |7 I
Manager of Finance and Administration, and in a manner which  
! G" u* P0 _- R) a' \& Vcontributes positively to the smooth operation and success of the  : w) l5 y0 K7 W- Z) v
venues.7 F" p! p4 X- i# b! u; R' b5 o
  v& S) j/ C+ M- h' s$ r& Y; S( e
5.          Overall Roles and Responsibilities
! q+ b  O4 E4 G, va.   To ensure, at all times, that the systems and processes used in  ) G9 Z( u& S- n$ i' C) u
renting the venues meet the appropriate standards, requirements and  2 C+ ^, O) S+ a
needs, and contribute to the smooth operation and success of the  
6 n" j$ G/ _7 V) [9 M& g  evenues. This includes, but is not limited to, the following:* M# o: C( J/ n, y4 b

3 s# ~2 Y4 t% Z·  To recognize, develop and set in place such rental procedures as  
1 d) q3 x, B# j4 V: zmay be necessary to ensure the smooth operation of the venues, this  , Q: ^; l/ O* x4 @
is to include but not necessarily be limited to systems and processes  
. i5 Z# F5 J# c- fin the areas of contracts, inventory management, contract evaluation,  
3 ]+ _+ M* _, x- rpricing, costing, equipment usage, rental/contract invoicing,    t2 ~6 k& d- B# u
together with such other systems and procedures as may be necessary  
8 g) ], k& ]& _& H6 a6 |+ Oto ensure the smooth, secure, efficient, cost-effective and  
& x# R; _9 o( x0 F/ A* ~  k2 S1 Hfunctionally-effective operation of the Horowitz Theatre.
; X0 Y9 J$ z" M2 a& [3 N, Y# f·  To recognize, develop and set in place such operational procedures  
. {1 @# i: l, e  r0 _as may be necessary to ensure the smooth, efficient and cost-
( E& n! r1 v7 j! Z- G# }0 ]effective operation of the venues.: M% ^" [  W5 N# r% P8 D* f
·  To negotiate rental lease agreements (contracts) relating to  2 U8 y/ L- E# I; u3 [
dates, rates, staff and miscellaneous charges.0 ^+ S5 p- m1 D4 a& k( S+ T! v% J
·  To ensure that adequate inventory is available at all times and  
& h, f4 r5 {2 A4 |8 Lthat such inventory is stored and issued in effective and secure ways.0 l! U; M! \6 p% z) g$ e  L  L
·  To consult with renters as to facility issues in producing their  + J' d: w: G/ t; K( v
particular event in the venues.
, p' y3 E6 f% d( s·  To provide the venues on-site staff with such documentation and  $ r+ ]6 C; w4 b
supporting information as it may need to effectively fulfill the  5 w3 k3 U1 v, n& M
roles they are to perform to ensure the success of the renter´s event.
% a0 J" G) {' y& e·  To produce quotes in respect to staffing costs for a particular  9 v2 f" g2 e7 s" u' q$ X
rental with consultation with the Technical Director./ b+ f) X1 I  K1 ^9 C2 C0 I: Y
·  To ensure that all queries raised with the venues whether from the  
  I( G% r2 M& k  S# h& O& t  }: dSU or renters, are promptly and effectively handled and adequately  
8 M. o! X. @8 Y( v* m1 M7 Kanswered, and to ensure that such action as may be necessary in  
% {4 V; E* K. S( m1 _+ {' a8 rfollow-up to such queries is taken in a timely manner.
  M7 I( J% \- @1 |; A To ensure that the venues and its capabilities are adequately,  
& ^# ?' m4 v4 n! _( p0 y1 _+ R$ C  L! Geffectively and cost-effectively advertised and promoted, and that  / q$ I! b% ]6 ]- Z
the cost of such endeavors does not exceed the budgetary provision  
! M+ \/ Y3 ?0 fmade for them unless prior approval is given by the Manager of  ( b2 C) T0 [. i
Programming and Venues.
1 [+ F3 @. n1 C7 f7 u·  To act as an informed and knowledgeable resource in the case of  " ^7 P: e$ ~- V! j# \
significant challenges and/or problems surrounding the tasks of  + C9 Z) y: d4 Y9 f1 `
marketing, administration, operations, and any such other matters as  
; f2 y8 Q, |( {3 L0 R3 Pmay provide such challenges and/or problems.
6 u' I4 X6 ^6 U; w·  To attend such meetings as may be required to support the smooth  6 E) }  a# _8 {0 H
operation of the venues or the Students´ Union as a whole.. ?; I. l& J9 k. [* v* k
·  To perform other job-related duties as may be required by the  1 U* n& l$ C" }, j/ i0 Z
Manager of Programming and Venues in order to ensure the smooth and  8 ?# t& o, c" x% ~* F) w; ]) I( e) Y

·  To recognize, address and handle all matters relating to overall  
# E# T+ w: l& V& Coperations in a manner which reflects the requirements of the SU´s  ( z% R# H, ~* p2 O+ p& ~
Manager of Programming and Venues, and Manager of Finance and  
* G1 w8 T# _! S8 _* E9 H2 O' ~0 JAdministration, and in a manner which contributes positively to the  
: F  f# E+ w) @! N' gsmooth operation and success of the Horowitz Theatre.

an acceptable combination of education and experience.
