the logistical organization and smooth rental of the additional

2. Marketing and Promotion

& `. e5 H5 I3 D- pa. To develop and implement a marketing plan for the venues that
, K$ Z" m$ v% Q- M$ k& U( pfocuses upon advertising and promoting the venue to faculty, ! T# {$ @( r/ B* {4 Q
students, and internal and external clients on an on-going basis.
. ^# x) w1 S+ h4 O1 bThis strategy will include implementing and/or delegating the following:6 N* u- ^. t# |7 ]! s7 }& J
· To develop and maintain promotional materials, the Horowitz 1 C1 J# C" |7 M; U4 Z
Theatre and SU Venues home page, newspaper and other advertising; to
5 T& X% } C- N3 r" y0 Stake advantage of other internal and external advertising
2 a& t: O* S/ b4 M g3 lopportunities; and to develop press releases and other promotional 7 m$ d0 U2 r* A9 j0 I
literature on an ongoing basis.# i& \& a$ s2 b7 K# X. w, S; o
· To coordinate tours of the venues for potential renters.. H' F$ k4 L- b Y* y5 W
· To promote upcoming events in the Horowitz Theatre through the

· To develop new external clients for the venues.

2 k. m: e/ h" G9 e: l+ c: b3 G3. Staff and Supervisory Roles and Responsibilities* d# `4 b5 C; `4 Q7 j) a6 h

a. To ensure, at all times, that the venues are adequately and cost-
: l8 J2 w/ M1 R# u) \effectively staffed, and that the staff utilized by or within the 1 I. A- L; n" B
venues meet the appropriate standards, requirements and needs, and % Q7 Q6 A. j: y8 Z# L/ T3 N3 [ f; I
contribute in a positive way to the smooth operation and success of
! d, L/ V# ]" I/ z5 wthe renter´s events. This includes, but is not necessarily limited , r8 L+ X! w. B2 |2 d, D& a. e5 N) [
to, the following:
- O* l0 ]9 ]+ i, y5 A· To be responsible, under the direction of the Manager of Venues
, B0 G/ v, \* ^4 g- Nand Programming, for all staff issues including hiring, disciplining,
* r2 b0 Y# T. x7 Mevaluating and terminating, as necessary.1 r$ U) D% F* ?5 `; l
To ensure that the Horowitz Theatre is adequately supervised at
$ g6 x0 C7 K- T1 iall times, this includes the development and implementation of such 2 l- o2 ?! K) N: c
schedules and rosters as may be necessary to ensure the effective and ) I0 f( T# z4 u$ y2 G- i4 f, i* F1 x) i! Y
cost-effective supervision of the venues at all times during which it + S) `6 i1 X/ H
is in operation or needs to be in operation.
: `! ^) a8 C e* T2 I/ ^# k; H· To work with the Technical Director, when necessary, to ensure # d' n- b" o8 t
that an adequate and appropriate level of part-time staff exists to
8 L. A: q: B$ J# g( w+ T7 Xfacilitate the smooth operation of the venues and to ensure all
' F6 R: N+ M" O$ t' brenters needs are met.
7 ^! @% C- D! Q· To work with the Technical Director to ensure that the skills - {! x8 z6 O' u7 G7 e- S
and attitudes of all subordinate staff are appropriate in light of
% ?: H! w8 Z8 V" H5 ]0 {* @; tthe roles they must perform. This includes providing adequate and ! k8 n% w' u/ i* G/ b
effective training (and re-training) in all applicable and - Z( p) I0 G" w7 q0 d; V
appropriate areas, and ensuring that the Policy and Procedures manual
/ n" K/ Y6 x( m6 t7 yis kep up-to-date at all times.
7 s+ {0 V; q9 Q( o1 E· To ensure all staff are trained in and committed to providing ! v' g6 ~+ @0 |) _
excellent customer service to all renters.
) k& t x W: K5 _6 p· To work with the Technical Director to arrange staff
/ h. j1 V7 m1 r) {8 F, uscheduling. To handle payroll related matters, under the guidance
; Q0 N5 \) H8 m+ _and direction of the Manager of Venues and Programming, concerning
/ e/ ?2 T# f0 D# T) I1 e% a# _! Fthe staff of the venues.

the appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.

positive way to the smooth operation and success of the venues. This

operating budgets covering the venues to the SU´s Manager of

Manager of Programming and Venues, and Manager of Finance &

· To manage the venues in a manner which adequately and effectively 5 V: A2 r, P$ M3 B5 {7 m1 t9 h
reflects the budgets approved for the venues and/or which reflects
4 m. @" t, \0 @, G1 Z o. ]( Fthe best interests of the venues and the Students´ Union.

compilation of monthly and annual financial statements, and such

· To discuss those financial statements and other reports, together

costing systems to be used in connection with the determination and

events held in the Horowitz Theatre.' v2 G5 u. X8 ^* @
· To develop accurate documentation to be used in connection with $ S4 C6 p+ @0 I
the billing clients, and to forward such documentation in a timely ' |" X; G7 d0 J
manner to the Accounting Department.5 J5 q6 y( Y, u! t. O0 ^
· To recognize, address and handle all matters relating to financial
4 ~2 y/ Z8 g; c P* _. K) Hand administrative procedures and systems in a manner which reflects
, A" _: S& H; }the requirements of the SU´s Manager of Programming and Venues and

contributes positively to the smooth operation and success of the

5. Overall Roles and Responsibilities7 T8 {3 Q' J x2 V' O# X$ N q
a. To ensure, at all times, that the systems and processes used in
, X e; v s" Q. | erenting the venues meet the appropriate standards, requirements and
( N" \: Z- L% ]needs, and contribute to the smooth operation and success of the : h" k% q* u8 O
venues. This includes, but is not limited to, the following:4 G4 H4 C: @1 C
3 W6 Z/ B' ?$ F6 o/ ~· To recognize, develop and set in place such rental procedures as + N& d% i+ S4 |* f
may be necessary to ensure the smooth operation of the venues, this " T/ V% J! c8 V/ f* @
is to include but not necessarily be limited to systems and processes $ V3 p: w: O* d; C# a+ B7 I; P
in the areas of contracts, inventory management, contract evaluation,
6 k. @5 k1 ]+ B# fpricing, costing, equipment usage, rental/contract invoicing, 0 a- i" k7 [ |; s+ V
together with such other systems and procedures as may be necessary
. m$ l, a |9 e, \8 cto ensure the smooth, secure, efficient, cost-effective and
0 Z7 V% E' l8 {* a4 k) yfunctionally-effective operation of the Horowitz Theatre.
) s I. N$ L) S0 q8 T· To recognize, develop and set in place such operational procedures ) G; G! F! ~4 l1 s8 I
as may be necessary to ensure the smooth, efficient and cost- ( p8 V' E- n7 C# `" W/ F
effective operation of the venues.
f0 N& `- W& U· To negotiate rental lease agreements (contracts) relating to 7 j$ s7 h0 \- Z% v9 ^
dates, rates, staff and miscellaneous charges.) E" ^, i2 o1 ?' y' _
· To ensure that adequate inventory is available at all times and 8 `. u; H, I3 e& F- V9 _) W( N4 l( E
that such inventory is stored and issued in effective and secure ways.7 [1 O7 h. d( I% e" r+ d3 }5 ?& |& X4 t3 k
· To consult with renters as to facility issues in producing their ' G- Y6 t2 g, w- k5 R" C* d
particular event in the venues.1 R4 Z3 N H2 S/ a& N0 D" d' @% `
· To provide the venues on-site staff with such documentation and

roles they are to perform to ensure the success of the renter´s event.( k! s& H& `+ G6 e% Y: g' @, `" a
· To produce quotes in respect to staffing costs for a particular
$ C) b' D8 r% ~" {- g N' Y* Lrental with consultation with the Technical Director.
, g$ F' f7 S4 M8 Z5 q· To ensure that all queries raised with the venues whether from the " T: H2 A. |1 l8 p
SU or renters, are promptly and effectively handled and adequately 2 {0 L! G. w, z1 X7 h3 C
answered, and to ensure that such action as may be necessary in 1 H7 u3 y' M3 W; D! ^- u" w, I
follow-up to such queries is taken in a timely manner.
7 ^, J Z: v# _7 D+ q4 t To ensure that the venues and its capabilities are adequately, 7 I* v q& m9 N \0 ?
effectively and cost-effectively advertised and promoted, and that 2 q/ b! Q. ]7 I9 V
the cost of such endeavors does not exceed the budgetary provision " o/ T6 {; [1 u0 e
made for them unless prior approval is given by the Manager of 1 q8 G( X" m9 B- I9 }5 `

· To act as an informed and knowledgeable resource in the case of : t8 w: R; }% s9 r
significant challenges and/or problems surrounding the tasks of ( ?% U/ F5 }/ j. Y1 V7 ~+ ^
marketing, administration, operations, and any such other matters as 8 E( ?* l9 W' I' N {
may provide such challenges and/or problems.
