direct line reporting relationship to the SU´s Manager of Programming

ROLES AND RESPONSIBILITIES
, q6 O* t' c5 [2 _% ~  Q* l8 pThe duties of the Operations Manager - SU Venues are diverse and  ; m9 S: X; q3 ^$ Y
extensive, and are targeted at the all round smooth operation and  
! r  G# m  o" F! R$ W* Kfinancial and operational success of the Horowitz Theatre as well as  
. J$ f  l  l, B& H- L- \0 W- o9 W  {the logistical organization and smooth rental of the additional  : N4 |, P, o5 m- I2 f; j% i
venues within the realm of the Students´ Union.  In the light of that  
" v7 o9 |4 Z. e7 V, F. s9 o* p% F1 obreadth and complexity, it is not possible to fully define or  
9 ?, _( u, W" G2 a7 x# w% Cdescribe all roles and responsibilities in a document of this kind.   
  \, x' [# u# F. J4 nHowever, the main roles and responsibilities of the Operations  4 y/ q3 z" K/ S& F! f, C" h, ~

1.        Space Roles and Responsibilities

% o% n% a5 ]$ v5 Ca.   To ensure, at all times, that the venues listed below meet the  ! W1 p' c0 A, J" A
appropriate standards, requirements and needs, and contributes in a  . s/ g. x2 ^. s
positive way to the smooth operation and success of the individual  
* G1 P' ?6 S& Z" ?# drenter.

b.   This includes, but is not limited to, the following:
2 j! M0 ~" J: t. v" J8 T( q6 t3 n·     To plan the capital and supply expenditures to meet the

·     To ensure the day-to-day compliance of the venues with existing  " R5 _+ i, i" U" L# ?4 Q3 a# O
safety regulations and building policies., H- ?. _0 |; a/ p& Y% z/ B0 P* B4 A
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion' I& z4 c# |, y; f

a.   To develop and implement a marketing plan for the venues that  
4 h& d" o5 f  u2 ~' M. Jfocuses upon advertising and promoting the venue to faculty,  4 z. N+ b% y8 m5 R
students, and internal and external clients on an on-going basis.  
  c* W9 K# X8 T8 m5 q. tThis strategy will include implementing and/or delegating the following:
9 x5 A$ y) j$ V: o: h2 F·     To develop and maintain promotional materials, the Horowitz  $ \) l) a$ {  L* Z
Theatre and SU Venues home page, newspaper and other advertising; to  
" T# Q3 d# V& U/ ^3 {" X" y9 U  Otake advantage of other internal and external advertising  
; t5 n3 a. P! U5 b. W# _opportunities; and to develop press releases and other promotional  9 j0 G2 j2 b  g& A8 Y2 ^: W2 P
literature on an ongoing basis.
) j3 N! g& y' E3 B% D  f·     To coordinate tours of the venues for potential renters.
! {- ~0 d6 U/ o·     To promote upcoming events in the Horowitz Theatre through the  
# b! H- @4 I$ g7 i3 w/ u8 \use of the Horowitz Theatre Home Page and the SU Events Calendar.8 `: \% P' e! ]* r( ?# L7 G
·     To develop new external clients for the venues.
, @$ }% o* ?$ |7 E9 s: P/ C$ y, E6 E3 Q; ]

' _9 n: i- E/ Q6 w0 \3.        Staff and Supervisory Roles and Responsibilities
8 k* j& n# W$ Q, N  N+ N% |/ S$ A+ F# m9 P
. c3 @6 w" R) l3 S) Ua.   To ensure, at all times, that the venues are adequately and cost- 4 Q1 Q# `$ z+ [9 |
effectively staffed, and that the staff utilized by or within the  ; d# G( k* K; U/ S1 I' @
venues meet the appropriate standards, requirements and needs, and  8 n" w5 U2 @; Y/ `$ e: B
contribute in a positive way to the smooth operation and success of  
1 n# Y; k& l; f" Q% @/ B! }the renter´s events. This includes, but is not necessarily limited  
/ r8 g% w6 N) m- l) jto, the following:" P' D* o  m: F; I
·     To be responsible, under the direction of the Manager of Venues  ( v; S- P, O) `0 \1 n4 t  d3 E8 x& C
and Programming, for all staff issues including hiring, disciplining,  ! L/ O. L# ]" J- X3 c
evaluating and terminating, as necessary.
% U1 U" g) [/ ? To ensure that the Horowitz Theatre is adequately supervised at  - b( a2 _$ U* z0 w* Z
all times, this includes the development and implementation of such  
7 @! _- H7 d0 Hschedules and rosters as may be necessary to ensure the effective and  ; n% j2 _) M+ A+ G
cost-effective supervision of the venues at all times during which it  1 W& D2 s: _) @% X& m( s( x
is in operation or needs to be in operation., z+ k$ V6 J; t  L* ~% o0 ]
·     To work with the Technical Director, when necessary, to ensure  8 i* s6 C* j' n2 ?/ i* N
that an adequate and appropriate level of part-time staff exists to  # F, W; o$ ~7 f$ ?
facilitate the smooth operation of the venues and to ensure all  
. g' L- ?0 h) Z# N# crenters needs are met.
  M1 N  l2 t  v5 m·     To work with the Technical Director to ensure that the skills  . S  ^" I4 ?% U% T
and attitudes of all subordinate staff are appropriate in light of  
7 M/ _, G1 Y- ^# m/ s4 xthe roles they must perform. This includes providing adequate and  
  }' O8 q+ A  p' p. `# o! l, {5 neffective training (and re-training) in all applicable and  * V8 ?" r8 @% `7 Z
appropriate areas, and ensuring that the Policy and Procedures manual  
6 Y+ v. Z( g) D6 n' Vis kep up-to-date at all times.
$ S. A+ S1 N) G' J·     To ensure all staff are trained in and committed to providing  
* p. b* b9 \6 z  L% dexcellent customer service to all renters.
+ L' ?# G: r3 J2 ^3 Q·     To work with the Technical Director to arrange staff  
* k- Y1 @9 y' j; {scheduling.  To handle payroll related matters, under the guidance  
* b( d6 s' E# A) \0 @/ G; \and direction of the Manager of Venues and Programming, concerning  
. U( ?# @/ U% wthe staff of the venues.
2 j1 e# w( I5 Z" D·     Working with the Manager of Facilities and Operations to ensure  
" ~0 `1 [8 c" x: |  |; zthe appropriate setup/tear down of each venue.
4 e" j% W! L  T4 ^- T' L4 J7 E& K·     Working with the Manager of Programming and Venues to ensure    Q3 c+ |) y1 c* k. X7 C/ H  x
that additional requests such as licensed receptions are arranged.6 `- u" m# \7 H# a+ x/ w

4.          Overall Financial Performance
4 C) _* f2 c' k2 h/ p; p) r  i8 D' @- {4 v: b0 I
a. To ensure, at all times, that the Financial and Administrative  8 O( n' _$ F- ]$ _( j- Q+ S* _
systems and processes utilized by or within the venues meet the  
6 i% X1 U( L! Q( Cappropriate standards, requirements and needs, and contribute in a  - P& \! F. l5 t# i- ^) }) f
positive way to the smooth operation and success of the venues. This  
- E4 P  r- Q/ y# j  ?% f% F  @includes, but is not necessarily limited to, the following:: }! i5 \, I" A5 G/ H  H/ r, R
To provide input and expertise in the formulation of appropriate  
8 |; X# m- W+ E8 yoperating budgets covering the venues to the SU´s Manager of  
2 @5 k* `: @3 Y4 O% O1 W3 sProgramming and Venues and to discuss and refine those budgets    o  X6 G) R/ a
Manager of Programming and Venues, and Manager of Finance &  ' i2 N  H: x9 Y% H5 c: B1 @- K
Administration prior to their submission for final approval.' o: N& A4 p; m6 |4 f! d6 Z
·  To manage the venues in a manner which adequately and effectively  . W+ d+ X4 L" J9 o
reflects the budgets approved for the venues and/or which reflects  
  x5 H& `5 y! }- O9 R- Y4 A. [# pthe best interests of the venues and the Students´ Union.& Z4 L5 A: S8 Y6 z. Z( n4 [
·  To function as the key player in the submission of financial and  
  L) f6 f; S6 m; Q5 _& c. ~4 Xadministrative documentation covering the venues to be used in the  & W9 G" `* }  Y
compilation of monthly and annual financial statements, and such  
7 c3 d* b8 n  }/ ?% j( C5 o$ lother reports as may be necessary.2 v4 t4 g. i. z
·  To discuss those financial statements and other reports, together  
# C9 K. D6 N3 ~2 Iwith all financial and administrative procedures, with the SU´s  7 r8 N" \+ A6 M, K
Manager of Programming and Venues and Manager of Finance &  % X0 E- q- N2 Y9 j. m/ c  I" k
Administration with a view to determining and implementing action  
1 E: c. m' u0 Gaimed at improving the financial and/or functional effectiveness of  1 q' W' v- \  K* g' }9 V. {0 v9 f3 a5 U8 \
the Horowitz Theatre.3 `. Y( f3 G  I" b% v0 `
·  To ensure the existence of adequate, effective and accurate job  $ e0 ?# N9 `# F3 F
costing systems to be used in connection with the determination and  
9 u( \) K9 M2 L& q' Lsetting of appropriate prices for rental and staffing rates for  8 a) @& }7 |. M$ q
events held in the Horowitz Theatre.
; v! J/ A! R2 v·  To develop accurate documentation to be used in connection with  
7 ~5 O0 x# `& ^3 Ethe billing clients, and to forward such documentation in a timely  
3 e4 `' `0 W  X2 _& Smanner to the Accounting Department.2 u2 N7 B. Y# ^. I- y, z" H
·  To recognize, address and handle all matters relating to financial  0 b8 r* a3 i. z5 r1 I8 B$ d  u
and administrative procedures and systems in a manner which reflects  4 I" ~. J8 a+ Z* M, |
the requirements of the SU´s Manager of Programming and Venues and  6 _1 }: q/ `$ B8 g- W* {* i* E! W; k
Manager of Finance and Administration, and in a manner which  
3 s  j9 {& z# B# K+ z; m9 Q8 Fcontributes positively to the smooth operation and success of the  ) g. l  y0 u1 a: k
venues.
  H9 d4 a$ L$ O7 r$ [6 Y) e4 t' K
! Z9 u4 E( w* f  _5.          Overall Roles and Responsibilities
: l0 Y" Z0 l7 _6 Ea.   To ensure, at all times, that the systems and processes used in  
2 b6 F2 S3 T9 q0 x) Q6 Xrenting the venues meet the appropriate standards, requirements and  % f5 v/ f# I! S) n/ Y( \! t4 r
needs, and contribute to the smooth operation and success of the  
9 d, C( ^+ K, ], K1 F; Evenues. This includes, but is not limited to, the following:6 r8 x% {  J' B- d7 a' Z

( ?* {+ I0 |7 Y6 X5 M% j* I$ z$ h2 G·  To recognize, develop and set in place such rental procedures as  
/ Q( ?, V: ~: F6 }0 o/ ~4 Ymay be necessary to ensure the smooth operation of the venues, this  
( F5 }0 A  a4 u) j# }is to include but not necessarily be limited to systems and processes  ) q) P# s5 S/ y
in the areas of contracts, inventory management, contract evaluation,  
7 ?& ~4 f0 \# A4 C" Y, L0 l' t+ gpricing, costing, equipment usage, rental/contract invoicing,  
: l4 {, K& V( ctogether with such other systems and procedures as may be necessary  
' ]/ w! F  ?$ qto ensure the smooth, secure, efficient, cost-effective and  
) ~" w- K) f: P" Q+ _functionally-effective operation of the Horowitz Theatre.
" b! B  C; Q/ k) x& ^" w& o0 R, z·  To recognize, develop and set in place such operational procedures  
  @& q8 {8 S7 z5 L1 D0 A  bas may be necessary to ensure the smooth, efficient and cost- 4 G5 E$ |' g9 k# K
effective operation of the venues.& |- C- t* ^' ~+ }6 A- L+ @- g/ t
·  To negotiate rental lease agreements (contracts) relating to  
, {. d; W* h8 E- q7 g+ A% F1 Udates, rates, staff and miscellaneous charges.5 u8 `, G9 d. F' }0 H3 s
·  To ensure that adequate inventory is available at all times and  $ z# \! W. i3 A0 I# _
that such inventory is stored and issued in effective and secure ways.6 M5 X2 i( n8 L  q
·  To consult with renters as to facility issues in producing their  . l. E3 [" v5 B8 V7 `
particular event in the venues.  C9 w$ w) g8 p  N7 J2 D% K" |0 x
·  To provide the venues on-site staff with such documentation and  . Y! `- g+ K/ v$ Y! i
supporting information as it may need to effectively fulfill the  
# v3 i# W) A+ ~( w/ wroles they are to perform to ensure the success of the renter´s event.
+ ]. ]3 N: C5 a5 ?·  To produce quotes in respect to staffing costs for a particular  & c( n) p. f4 V" g$ D
rental with consultation with the Technical Director.) C7 J! `3 c9 V3 ^# f/ [: E
·  To ensure that all queries raised with the venues whether from the  
! _3 @4 H! ]* [. o& U$ OSU or renters, are promptly and effectively handled and adequately  
* ?7 Q2 D6 R& ?4 k- C) [! h) ~/ l4 {answered, and to ensure that such action as may be necessary in  6 T9 ]. m# e/ h* m% e7 S1 c
follow-up to such queries is taken in a timely manner.! j6 h$ H0 k# }: h5 t
To ensure that the venues and its capabilities are adequately,  
+ ~1 v* }3 Y1 k6 G! V0 Z2 i6 b. xeffectively and cost-effectively advertised and promoted, and that  
& Y( I2 |* y; X$ }( ^* othe cost of such endeavors does not exceed the budgetary provision  
7 G, Y/ U+ X: }' R% tmade for them unless prior approval is given by the Manager of  
( G' V2 U$ o2 a1 Z" D, RProgramming and Venues.
, r8 r4 H2 K& G+ O0 g4 Z% ^+ A·  To act as an informed and knowledgeable resource in the case of  
* q5 A% [" U% H7 u) \( c' f0 bsignificant challenges and/or problems surrounding the tasks of  
* b/ }: ^: s+ {. T( Smarketing, administration, operations, and any such other matters as  
$ ~7 s  @' U/ R2 L2 omay provide such challenges and/or problems.
- M2 @0 l* p+ N: X·  To attend such meetings as may be required to support the smooth  
1 d7 n' _) R9 moperation of the venues or the Students´ Union as a whole.8 @3 @2 v- G9 K7 W. z# \/ c; H
·  To perform other job-related duties as may be required by the  
1 z" [9 y/ \4 B+ s; y& }2 hManager of Programming and Venues in order to ensure the smooth and  ' p" G9 g: `+ t* N7 S: c; Z! X
secure operation of the venues.

) L8 h/ [$ `) j+ g' f1 |5 Foperations in a manner which reflects the requirements of the SU´s  : P6 S9 }& ]: N5 i; F8 l0 e1 M
Manager of Programming and Venues, and Manager of Finance and  
+ D6 c' P# J1 T# n% L5 A7 `Administration, and in a manner which contributes positively to the  , L3 T; |! ~# \  h/ K1 e0 H

1)             Minimum two years related post secondary education, or  ; i6 O6 L' @" O; I$ ~
an acceptable combination of education and experience.
6 X* [2 I. g7 u. Q6 R: `- \2)             Supervisory experience.+ H* g1 j7 _# t% n
3)             Ability to create new initiatives with little or no

4)             High level of creativity
