financial and operational success of the Horowitz Theatre as well as : h1 V: W* K; f( h# o
the logistical organization and smooth rental of the additional
+ P; v# V+ g) K+ q$ gvenues within the realm of the Students´ Union. In the light of that

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that ; s9 W7 ~0 i( c; Z6 ]6 e
focuses upon advertising and promoting the venue to faculty,
; c4 F2 L. c; b4 t2 r0 e& Sstudents, and internal and external clients on an on-going basis. q5 F+ a0 O5 j- E
This strategy will include implementing and/or delegating the following:
3 E6 {$ \8 d& g+ F· To develop and maintain promotional materials, the Horowitz 3 v& s6 I0 O( x3 |0 w5 u* s7 a
Theatre and SU Venues home page, newspaper and other advertising; to
! ~4 S0 `/ u/ z* @$ n8 Z2 jtake advantage of other internal and external advertising
' A: z9 c2 P/ p2 i/ U+ W5 Fopportunities; and to develop press releases and other promotional & n- w9 d T8 W& y
literature on an ongoing basis.
9 ^: [! U k* O& a$ [· To coordinate tours of the venues for potential renters.
9 X- N" g- o: _* i8 m. C· To promote upcoming events in the Horowitz Theatre through the
$ S" A5 Y# x7 w1 l9 j$ a6 Luse of the Horowitz Theatre Home Page and the SU Events Calendar.4 W, W1 u: @$ p" U& N
· To develop new external clients for the venues.

! W- R: F3 l. l3. Staff and Supervisory Roles and Responsibilities

effectively staffed, and that the staff utilized by or within the
4 @1 e* R2 {* d; v5 Y8 x- avenues meet the appropriate standards, requirements and needs, and 2 B% s3 ^! z: g' x* {
contribute in a positive way to the smooth operation and success of 3 T, _; O+ {( a+ w/ [' n: k
the renter´s events. This includes, but is not necessarily limited

· To be responsible, under the direction of the Manager of Venues 5 E$ E: _* q, F. O! y U4 {8 _
and Programming, for all staff issues including hiring, disciplining, ( T- Y' e, ^! Y1 ~. N- U9 H% P+ n9 I
evaluating and terminating, as necessary./ R* O n: r4 N3 d3 g
To ensure that the Horowitz Theatre is adequately supervised at
+ l1 D, K9 x. t6 @2 V3 |) Sall times, this includes the development and implementation of such
6 L. @4 n% G! Yschedules and rosters as may be necessary to ensure the effective and
0 y$ g5 V" {9 d$ Lcost-effective supervision of the venues at all times during which it # _1 ]9 f( A8 G- F: _3 k4 B; u
is in operation or needs to be in operation.# ~2 a7 A1 l$ H/ D$ E! X2 d& J
· To work with the Technical Director, when necessary, to ensure * T0 j3 m" q0 h2 J) q5 S# z9 o% T+ [
that an adequate and appropriate level of part-time staff exists to
# w: N5 L+ G$ t; U1 d V- Bfacilitate the smooth operation of the venues and to ensure all
& w; R/ l. B7 ^( @renters needs are met.
& ~4 W4 w) A) }" o# x· To work with the Technical Director to ensure that the skills $ Q u& L' o6 z( D
and attitudes of all subordinate staff are appropriate in light of
3 O& U" s( K: L$ Qthe roles they must perform. This includes providing adequate and
7 u8 x/ W+ \ h5 }effective training (and re-training) in all applicable and
8 c, @0 O& E, q8 i1 _* u uappropriate areas, and ensuring that the Policy and Procedures manual
/ S3 z7 y- e! }+ Vis kep up-to-date at all times.
3 k5 ~; P4 q; r6 c1 n9 Y% s1 D· To ensure all staff are trained in and committed to providing
! `& [3 H- o/ L( K' Oexcellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance
& T0 k8 O0 Q7 { O x. ~# P. h" iand direction of the Manager of Venues and Programming, concerning

includes, but is not necessarily limited to, the following:

# r4 ~* j5 \* ?8 y9 u# y/ ZManager of Programming and Venues, and Manager of Finance &
& B( E1 M% q& w' [/ G1 K7 [Administration prior to their submission for final approval.
# x7 h5 p; v- w1 a7 _- Y/ h, i· To manage the venues in a manner which adequately and effectively
1 R7 W# `. _ r, }reflects the budgets approved for the venues and/or which reflects ) Z+ j/ c9 P# R$ b, ~
the best interests of the venues and the Students´ Union.& Y( r% Q$ f7 o
· To function as the key player in the submission of financial and

compilation of monthly and annual financial statements, and such 5 b9 |. L3 q0 `0 z

with all financial and administrative procedures, with the SU´s

" k# y+ O9 i' }& `: `) y7 S· To ensure the existence of adequate, effective and accurate job
" ?3 r* o8 @6 K) H2 L- D! rcosting systems to be used in connection with the determination and 4 [4 A7 y5 q) d& Z9 x. N1 J
setting of appropriate prices for rental and staffing rates for 4 r$ h* K, A! k/ h7 _' j7 x
events held in the Horowitz Theatre.

the billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial

contributes positively to the smooth operation and success of the

5. Overall Roles and Responsibilities/ t+ v/ T+ ^% x2 ~4 l& ]
a. To ensure, at all times, that the systems and processes used in
' H* H5 l2 W3 l& O0 R/ [renting the venues meet the appropriate standards, requirements and
$ E9 o- O9 }) O: \' Mneeds, and contribute to the smooth operation and success of the 4 F7 K/ N2 Q- p8 E/ d: `, g
venues. This includes, but is not limited to, the following:
! p# A, h% M' n5 G4 L' x& d R R0 ]3 w3 r/ s. M
· To recognize, develop and set in place such rental procedures as 1 d3 ~% e) P/ L* D5 @! N! |
may be necessary to ensure the smooth operation of the venues, this
7 n1 a( V% o+ Q, ^* h3 uis to include but not necessarily be limited to systems and processes
' {$ S* h1 T' G* ^. L* L' Rin the areas of contracts, inventory management, contract evaluation, & T O" o! q( b) Y
pricing, costing, equipment usage, rental/contract invoicing,
7 R- s- G8 V% A) Htogether with such other systems and procedures as may be necessary I5 G/ G- c* F* \) \- P; `
to ensure the smooth, secure, efficient, cost-effective and
4 [+ Z+ ~; q5 ^( jfunctionally-effective operation of the Horowitz Theatre.
( C/ A; e# H2 J6 g+ M! {· To recognize, develop and set in place such operational procedures 2 G7 d+ M2 r# D% v. `
as may be necessary to ensure the smooth, efficient and cost- $ N8 v+ P, M: a' X: r0 W2 N0 p R
effective operation of the venues.
/ F! Q0 h; ~6 u( A( Q0 {· To negotiate rental lease agreements (contracts) relating to
7 R, Q3 j" B3 s' M8 e/ S6 vdates, rates, staff and miscellaneous charges.
9 g9 \% J p2 a3 c· To ensure that adequate inventory is available at all times and
7 V* Q. G/ l2 h |$ p3 A# w$ {that such inventory is stored and issued in effective and secure ways.
2 X. ]2 |3 [, K; M' a# Y· To consult with renters as to facility issues in producing their 4 l! ^9 Z" P6 P4 r1 I/ n# ~' \
particular event in the venues.
+ {; } h) e$ K2 }1 L· To provide the venues on-site staff with such documentation and
8 @& o$ H6 o; t: M' \supporting information as it may need to effectively fulfill the ; o# a8 j4 x$ d0 \" V8 G' B
roles they are to perform to ensure the success of the renter´s event.9 x' I# m) C. X0 t1 }
· To produce quotes in respect to staffing costs for a particular
$ L y, I$ r K4 u3 Yrental with consultation with the Technical Director.. t# i: ^: h* D: D0 Y3 A% Y
· To ensure that all queries raised with the venues whether from the ' P; g n/ o. S
SU or renters, are promptly and effectively handled and adequately 1 I" W8 m0 r C3 X, ]
answered, and to ensure that such action as may be necessary in
h& T8 G3 P+ {( W8 U6 I/ C, Ffollow-up to such queries is taken in a timely manner.
j' i; M o$ q0 G' Q/ c To ensure that the venues and its capabilities are adequately, # y* y" D0 p7 X5 `
effectively and cost-effectively advertised and promoted, and that 5 P6 h4 S7 y. I
the cost of such endeavors does not exceed the budgetary provision 2 H/ `" N8 I8 a" Z+ j. X3 T
made for them unless prior approval is given by the Manager of - j9 A5 D: M$ R; `! _1 [

· To act as an informed and knowledgeable resource in the case of
$ Z8 a3 ]" ]3 \significant challenges and/or problems surrounding the tasks of ; q1 n+ e' u* [+ a% K- M
marketing, administration, operations, and any such other matters as - Z; A8 m. @; f) Q
may provide such challenges and/or problems., Q1 n& b% l. G: B9 V; J
· To attend such meetings as may be required to support the smooth

· To perform other job-related duties as may be required by the
