ROLES AND RESPONSIBILITIES
* b  w2 ^$ u, F. @* CThe duties of the Operations Manager - SU Venues are diverse and  , f" H- l* H& ?0 c) L- K
extensive, and are targeted at the all round smooth operation and  6 K4 e# f+ i0 @5 {+ @
financial and operational success of the Horowitz Theatre as well as  & ~2 j8 O; f$ n/ u- r; h" o0 B" S' q
the logistical organization and smooth rental of the additional  
7 m0 }, P7 d$ @6 [# ^venues within the realm of the Students´ Union.  In the light of that  
6 f1 S" A. ~" \5 Mbreadth and complexity, it is not possible to fully define or  0 a* ~, Q- {3 H. o" u5 J
describe all roles and responsibilities in a document of this kind.   
& P5 J$ U4 |+ |! n) b: s$ zHowever, the main roles and responsibilities of the Operations

appropriate standards, requirements and needs, and contributes in a  
" ]7 H" h0 W4 T5 ]positive way to the smooth operation and success of the individual    D+ ]$ F% G7 o' }9 d% y! e2 z

·     Myer Horowitz Theatre
3 Q: J" t( Y: ^6 _9 O* `8 o·     Dinwoodie Lounge( \3 Y- E6 f& T7 z& g' I" X
·     SUB Stage

b.   This includes, but is not limited to, the following:
+ q! m5 u3 `) _# t- Y9 S+ z·     To plan the capital and supply expenditures to meet the  
4 M( m6 W. O$ d/ x+ Uproduction and facility requirements.+ @, e2 q7 Y# G
·     To ensure the day-to-day compliance of the venues with existing  0 |& q+ @) |9 g- l/ ], c2 I$ d
safety regulations and building policies.8 ?! |' v% `1 A$ K& X; R
To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
/ {( ^" G2 T# A  r: j; c$ ?  L
& `. e5 H5 I3 D- pa.   To develop and implement a marketing plan for the venues that  
, K$ Z" m$ v% Q- M$ k& U( pfocuses upon advertising and promoting the venue to faculty,  ! T# {$ @( r/ B* {4 Q
students, and internal and external clients on an on-going basis.  
. ^# x) w1 S+ h4 O1 bThis strategy will include implementing and/or delegating the following:6 N* u- ^. t# |7 ]! s7 }& J
·     To develop and maintain promotional materials, the Horowitz  1 C1 J# C" |7 M; U4 Z
Theatre and SU Venues home page, newspaper and other advertising; to  
5 T& X% }  C- N3 r" y0 Stake advantage of other internal and external advertising  
2 a& t: O* S/ b4 M  g3 lopportunities; and to develop press releases and other promotional  7 m$ d0 U2 r* A9 j0 I
literature on an ongoing basis.# i& \& a$ s2 b7 K# X. w, S; o
·     To coordinate tours of the venues for potential renters.. H' F$ k4 L- b  Y* y5 W
·     To promote upcoming events in the Horowitz Theatre through the  
3 D: T& M2 |0 E) Yuse of the Horowitz Theatre Home Page and the SU Events Calendar.5 ?" G4 v- {* @& q+ ^0 v
·     To develop new external clients for the venues.

2 k. m: e/ h" G9 e: l+ c: b3 G3.        Staff and Supervisory Roles and Responsibilities* d# `4 b5 C; `4 Q7 j) a6 h

a.   To ensure, at all times, that the venues are adequately and cost-
: l8 J2 w/ M1 R# u) \effectively staffed, and that the staff utilized by or within the  1 I. A- L; n" B
venues meet the appropriate standards, requirements and needs, and  % Q7 Q6 A. j: y8 Z# L/ T3 N3 [  f; I
contribute in a positive way to the smooth operation and success of  
! d, L/ V# ]" I/ z5 wthe renter´s events. This includes, but is not necessarily limited  , r8 L+ X! w. B2 |2 d, D& a. e5 N) [
to, the following:
- O* l0 ]9 ]+ i, y5 A·     To be responsible, under the direction of the Manager of Venues  
, B0 G/ v, \* ^4 g- Nand Programming, for all staff issues including hiring, disciplining,  
* r2 b0 Y# T. x7 Mevaluating and terminating, as necessary.1 r$ U) D% F* ?5 `; l
To ensure that the Horowitz Theatre is adequately supervised at  
$ g6 x0 C7 K- T1 iall times, this includes the development and implementation of such  2 l- o2 ?! K) N: c
schedules and rosters as may be necessary to ensure the effective and  ) I0 f( T# z4 u$ y2 G- i4 f, i* F1 x) i! Y
cost-effective supervision of the venues at all times during which it  + S) `6 i1 X/ H
is in operation or needs to be in operation.
: `! ^) a8 C  e* T2 I/ ^# k; H·     To work with the Technical Director, when necessary, to ensure  # d' n- b" o8 t
that an adequate and appropriate level of part-time staff exists to  
8 L. A: q: B$ J# g( w+ T7 Xfacilitate the smooth operation of the venues and to ensure all  
' F6 R: N+ M" O$ t' brenters needs are met.
7 ^! @% C- D! Q·     To work with the Technical Director to ensure that the skills  - {! x8 z6 O' u7 G7 e- S
and attitudes of all subordinate staff are appropriate in light of  
% ?: H! w8 Z8 V" H5 ]0 {* @; tthe roles they must perform. This includes providing adequate and  ! k8 n% w' u/ i* G/ b
effective training (and re-training) in all applicable and  - Z( p) I0 G" w7 q0 d; V
appropriate areas, and ensuring that the Policy and Procedures manual  
/ n" K/ Y6 x( m6 t7 yis kep up-to-date at all times.
7 s+ {0 V; q9 Q( o1 E·     To ensure all staff are trained in and committed to providing  ! v' g6 ~+ @0 |) _
excellent customer service to all renters.
) k& t  x  W: K5 _6 p·     To work with the Technical Director to arrange staff  
/ h. j1 V7 m1 r) {8 F, uscheduling.  To handle payroll related matters, under the guidance  
; Q0 N5 \) H8 m+ _and direction of the Manager of Venues and Programming, concerning  
/ e/ ?2 T# f0 D# T) I1 e% a# _! Fthe staff of the venues.
7 b0 \+ M. ]& V* t·     Working with the Manager of Facilities and Operations to ensure  , r* L8 J# L7 Y" p
the appropriate setup/tear down of each venue.
. ?# F. n$ N$ X' {6 c. g6 ?·     Working with the Manager of Programming and Venues to ensure  7 |3 y5 l* b' v1 M- W  L6 s7 T, |
that additional requests such as licensed receptions are arranged.

0 I; Y3 k$ @2 O7 Ra. To ensure, at all times, that the Financial and Administrative  
9 H0 k; S9 P9 M0 f6 Osystems and processes utilized by or within the venues meet the  
- v. H0 C3 j0 j- vappropriate standards, requirements and needs, and contribute in a  9 ?6 ~. u9 ~3 j/ Q
positive way to the smooth operation and success of the venues. This  
9 _3 A! O. s/ E5 S  p* G# Hincludes, but is not necessarily limited to, the following:
7 S% |  e7 E* R/ ^' A To provide input and expertise in the formulation of appropriate  ! `* T' X5 o" W: }0 L9 C, O; `
operating budgets covering the venues to the SU´s Manager of  
9 N: ]/ u5 K. S& e9 i0 pProgramming and Venues and to discuss and refine those budgets  3 t8 h+ f% E1 O2 ]2 }8 |
Manager of Programming and Venues, and Manager of Finance &  
0 F3 w  a% n0 g$ |- `% P, M/ VAdministration prior to their submission for final approval.0 V( v! f9 K+ D& L0 U
·  To manage the venues in a manner which adequately and effectively  5 V: A2 r, P$ M3 B5 {7 m1 t9 h
reflects the budgets approved for the venues and/or which reflects  
4 m. @" t, \0 @, G1 Z  o. ]( Fthe best interests of the venues and the Students´ Union.
2 k8 Y, V% j, P' [. U- m/ c·  To function as the key player in the submission of financial and  
+ U1 P6 |' n$ @7 V2 qadministrative documentation covering the venues to be used in the  " n5 m8 k; X' q& m' h
compilation of monthly and annual financial statements, and such  
+ k9 O: i: N% d& n! sother reports as may be necessary.- n- k+ I" f7 N7 V
·  To discuss those financial statements and other reports, together  
6 j: |6 m- `2 mwith all financial and administrative procedures, with the SU´s  . k+ Y( [* U5 o; G: k9 V
Manager of Programming and Venues and Manager of Finance &  
  H( S* D' }% x8 \# j+ m5 ^Administration with a view to determining and implementing action  
  D7 t6 D: j. Y1 |% P( Q/ j. Q& Jaimed at improving the financial and/or functional effectiveness of  
& g9 X" _0 k) J- g0 o3 ythe Horowitz Theatre.- e* t3 h# Q% A6 i  h. d2 H
·  To ensure the existence of adequate, effective and accurate job  / `  o9 s% k; w- P/ k
costing systems to be used in connection with the determination and  
: p4 f" [. u: U& V% Csetting of appropriate prices for rental and staffing rates for  ( \) n  [7 m" c' f+ C. M/ @) p" O, [
events held in the Horowitz Theatre.' v2 G5 u. X8 ^* @
·  To develop accurate documentation to be used in connection with  $ S4 C6 p+ @0 I
the billing clients, and to forward such documentation in a timely  ' |" X; G7 d0 J
manner to the Accounting Department.5 J5 q6 y( Y, u! t. O0 ^
·  To recognize, address and handle all matters relating to financial  
4 ~2 y/ Z8 g; c  P* _. K) Hand administrative procedures and systems in a manner which reflects  
, A" _: S& H; }the requirements of the SU´s Manager of Programming and Venues and  
  x/ Z" g) d7 K# j. I, J; CManager of Finance and Administration, and in a manner which  0 k7 P$ n* A' {+ P! w( X/ g$ r
contributes positively to the smooth operation and success of the  
( Q5 d1 E# H' [6 k) t, Qvenues.
: M% O% ]. S1 y3 A6 u3 A3 t0 \4 S$ |% ]$ d; P) U  K( Y8 Z
5.          Overall Roles and Responsibilities7 T8 {3 Q' J  x2 V' O# X$ N  q
a.   To ensure, at all times, that the systems and processes used in  
, X  e; v  s" Q. |  erenting the venues meet the appropriate standards, requirements and  
( N" \: Z- L% ]needs, and contribute to the smooth operation and success of the  : h" k% q* u8 O
venues. This includes, but is not limited to, the following:4 G4 H4 C: @1 C

3 W6 Z/ B' ?$ F6 o/ ~·  To recognize, develop and set in place such rental procedures as  + N& d% i+ S4 |* f
may be necessary to ensure the smooth operation of the venues, this  " T/ V% J! c8 V/ f* @
is to include but not necessarily be limited to systems and processes  $ V3 p: w: O* d; C# a+ B7 I; P
in the areas of contracts, inventory management, contract evaluation,  
6 k. @5 k1 ]+ B# fpricing, costing, equipment usage, rental/contract invoicing,  0 a- i" k7 [  |; s+ V
together with such other systems and procedures as may be necessary  
. m$ l, a  |9 e, \8 cto ensure the smooth, secure, efficient, cost-effective and  
0 Z7 V% E' l8 {* a4 k) yfunctionally-effective operation of the Horowitz Theatre.
) s  I. N$ L) S0 q8 T·  To recognize, develop and set in place such operational procedures  ) G; G! F! ~4 l1 s8 I
as may be necessary to ensure the smooth, efficient and cost- ( p8 V' E- n7 C# `" W/ F
effective operation of the venues.
  f0 N& `- W& U·  To negotiate rental lease agreements (contracts) relating to  7 j$ s7 h0 \- Z% v9 ^
dates, rates, staff and miscellaneous charges.) E" ^, i2 o1 ?' y' _
·  To ensure that adequate inventory is available at all times and  8 `. u; H, I3 e& F- V9 _) W( N4 l( E
that such inventory is stored and issued in effective and secure ways.7 [1 O7 h. d( I% e" r+ d3 }5 ?& |& X4 t3 k
·  To consult with renters as to facility issues in producing their  ' G- Y6 t2 g, w- k5 R" C* d
particular event in the venues.1 R4 Z3 N  H2 S/ a& N0 D" d' @% `
·  To provide the venues on-site staff with such documentation and  
4 q5 ?6 y" |% P3 D1 k  W& Esupporting information as it may need to effectively fulfill the  ! I! B* P& `/ }. x6 h
roles they are to perform to ensure the success of the renter´s event.( k! s& H& `+ G6 e% Y: g' @, `" a
·  To produce quotes in respect to staffing costs for a particular  
$ C) b' D8 r% ~" {- g  N' Y* Lrental with consultation with the Technical Director.
, g$ F' f7 S4 M8 Z5 q·  To ensure that all queries raised with the venues whether from the  " T: H2 A. |1 l8 p
SU or renters, are promptly and effectively handled and adequately  2 {0 L! G. w, z1 X7 h3 C
answered, and to ensure that such action as may be necessary in  1 H7 u3 y' M3 W; D! ^- u" w, I
follow-up to such queries is taken in a timely manner.
7 ^, J  Z: v# _7 D+ q4 t To ensure that the venues and its capabilities are adequately,  7 I* v  q& m9 N  \0 ?
effectively and cost-effectively advertised and promoted, and that  2 q/ b! Q. ]7 I9 V
the cost of such endeavors does not exceed the budgetary provision  " o/ T6 {; [1 u0 e
made for them unless prior approval is given by the Manager of  1 q8 G( X" m9 B- I9 }5 `
Programming and Venues., t) N! N9 f6 }) b
·  To act as an informed and knowledgeable resource in the case of  : t8 w: R; }% s9 r
significant challenges and/or problems surrounding the tasks of  ( ?% U/ F5 }/ j. Y1 V7 ~+ ^
marketing, administration, operations, and any such other matters as  8 E( ?* l9 W' I' N  {
may provide such challenges and/or problems.
2 Y2 H/ o: L' E$ o/ L  s. X·  To attend such meetings as may be required to support the smooth  
( c) O% S5 y+ _3 T% ^" P% k% G. Ooperation of the venues or the Students´ Union as a whole.; k6 y, N4 N) l  n% q  Y: r
·  To perform other job-related duties as may be required by the  6 Z' i' a! f: p( ?9 d! _
Manager of Programming and Venues in order to ensure the smooth and  
( G3 Y7 y3 h6 `' ]$ |, r0 usecure operation of the venues.

+ T% p9 z' {! @2 p6 coperations in a manner which reflects the requirements of the SU´s

( U  C/ f; e0 Z$ @/ f% ~Administration, and in a manner which contributes positively to the

2)             Supervisory experience.
