direct line reporting relationship to the SU´s Manager of Programming  % `4 p2 [- v/ @
and Venues.

ROLES AND RESPONSIBILITIES
% o6 x# u# c) H) K0 e4 v0 S7 MThe duties of the Operations Manager - SU Venues are diverse and  7 V! e8 }! ?. U, D+ P4 r9 q
extensive, and are targeted at the all round smooth operation and  
! B6 t9 Y1 s) I. M/ m4 J1 afinancial and operational success of the Horowitz Theatre as well as  
6 p/ S9 T4 m% J& h( Kthe logistical organization and smooth rental of the additional  5 f' A$ @$ f' F, f; [3 J
venues within the realm of the Students´ Union.  In the light of that  
" B5 K2 r. d& I' e* y- {breadth and complexity, it is not possible to fully define or  5 M; r- a3 j4 K9 T
describe all roles and responsibilities in a document of this kind.   # i- _/ c) |# v1 P7 s9 H8 ^; u
However, the main roles and responsibilities of the Operations  
5 K# `1 J3 ^9 A: ?. iManager are as follows:

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  
5 g8 x) @& T% N' E4 Mappropriate standards, requirements and needs, and contributes in a  3 y# q; `9 X3 l, S/ V5 a
positive way to the smooth operation and success of the individual  
: f0 q) C' m9 U5 T0 @renter.

b.   This includes, but is not limited to, the following:

·     To ensure the day-to-day compliance of the venues with existing  ; A+ z, O+ o4 M: t. i

To ensure that the maximum potential of renters is met.! N  {3 e+ \0 N, f+ |5 j; k

2.        Marketing and Promotion! U1 x$ Z! K- }& c8 Y3 U: p
6 ~4 y: P5 X7 W, D
a.   To develop and implement a marketing plan for the venues that  2 j5 y4 k5 [* D' }/ j
focuses upon advertising and promoting the venue to faculty,  
9 J! v' n- e: @6 E) zstudents, and internal and external clients on an on-going basis.  ) R& v) `+ F$ K
This strategy will include implementing and/or delegating the following:+ G% H, H! ^* [" D3 w
·     To develop and maintain promotional materials, the Horowitz  
: m9 ]6 p# [/ A) x+ UTheatre and SU Venues home page, newspaper and other advertising; to  
6 W) ^) X" [, f/ ]6 Z+ u& i/ Z3 P  y% W0 Utake advantage of other internal and external advertising  7 H" v# k* j- |* L
opportunities; and to develop press releases and other promotional  ; O2 j# b& b: x7 W# F
literature on an ongoing basis.% s; Q5 w, m$ _1 H/ A
·     To coordinate tours of the venues for potential renters., Q+ }! X  v: e  i" u4 O9 M
·     To promote upcoming events in the Horowitz Theatre through the  / M. Y. I7 M# l7 S9 L( K
use of the Horowitz Theatre Home Page and the SU Events Calendar./ d% _8 V: W& U6 g8 s+ H, D# w
·     To develop new external clients for the venues.+ S! e; Q  U  }2 ~  A' j- f
/ @6 R9 e0 _% ?, h3 B2 [& M9 j" b

# F/ r5 z( M" Z2 z2 f- c# A3.        Staff and Supervisory Roles and Responsibilities
& l2 m1 W7 }* t; z
' C! s! O! f+ s7 k; \( m1 qa.   To ensure, at all times, that the venues are adequately and cost- 1 |% l7 h) u, G3 T3 K9 T
effectively staffed, and that the staff utilized by or within the  
: E/ [* z, n0 q4 _# Gvenues meet the appropriate standards, requirements and needs, and  
, b& ^+ s" G' V* i1 ncontribute in a positive way to the smooth operation and success of  " @' o, ~  I" o/ J1 _( s. D* c
the renter´s events. This includes, but is not necessarily limited  
) R+ X: o% r8 Vto, the following:* q- ]- X# m$ h, J
·     To be responsible, under the direction of the Manager of Venues  
0 O1 R+ I7 g: c9 S4 J# Pand Programming, for all staff issues including hiring, disciplining,  
- ]4 w6 q9 t& q; \  l& [' D) c: w$ |evaluating and terminating, as necessary.: T" @0 k# t! \( k- p1 x+ L  }, h
To ensure that the Horowitz Theatre is adequately supervised at  9 C/ ?9 L' w+ ^( k$ a( ?7 o
all times, this includes the development and implementation of such  
7 K1 c+ |* r  gschedules and rosters as may be necessary to ensure the effective and  * g0 Z  y3 k9 R1 a4 F
cost-effective supervision of the venues at all times during which it  " F3 B& {; C% K- K0 V  q1 k
is in operation or needs to be in operation.
+ E0 M  f( b9 [- L6 w' ~( f2 W·     To work with the Technical Director, when necessary, to ensure  ! G6 R; `/ D' `5 c" W8 o
that an adequate and appropriate level of part-time staff exists to  7 I4 B) B2 ]" y( b+ [- i6 Y
facilitate the smooth operation of the venues and to ensure all  
9 k; |$ o* G8 R9 C8 C# H, O3 Erenters needs are met.
6 Y$ A( X/ s! p$ S! p·     To work with the Technical Director to ensure that the skills  : {1 z; H* K+ Y7 J0 E( B3 |4 \3 T5 t
and attitudes of all subordinate staff are appropriate in light of  , Q5 t7 n) H6 ~! v  {$ `" Y
the roles they must perform. This includes providing adequate and  
; V) d: x$ y9 j5 Q5 d3 a8 @effective training (and re-training) in all applicable and  
5 ?) O6 b% M5 T) U! Aappropriate areas, and ensuring that the Policy and Procedures manual  / Q) E: v4 Q% `* |' G4 q
is kep up-to-date at all times.
9 m& h( p# u9 B" r# F0 L·     To ensure all staff are trained in and committed to providing  2 C; W: Q6 M0 R
excellent customer service to all renters.
& w4 G9 v; H6 S6 b·     To work with the Technical Director to arrange staff  
, k( x( ?" I$ N" T! i  K1 pscheduling.  To handle payroll related matters, under the guidance  
0 S( }; n2 H: Z1 S! g% _and direction of the Manager of Venues and Programming, concerning  
! k) |  }7 `* s" rthe staff of the venues.
% s0 \! u3 F3 K. |3 Z3 y·     Working with the Manager of Facilities and Operations to ensure  
0 s1 {0 i- o' p* S  q2 |the appropriate setup/tear down of each venue.: l8 t% }7 x: Q8 [. Y2 v- [" p# I$ o
·     Working with the Manager of Programming and Venues to ensure  
6 B6 B. Q1 y/ l0 k9 c% e) L5 Xthat additional requests such as licensed receptions are arranged./ o$ m2 F; @' O

5 g0 h6 \  K8 ^2 Y& ra. To ensure, at all times, that the Financial and Administrative  
3 R, A/ D0 ]9 E6 lsystems and processes utilized by or within the venues meet the  3 w' d# \8 r  f  x. s, G5 `
appropriate standards, requirements and needs, and contribute in a  
0 @. y9 b% n- cpositive way to the smooth operation and success of the venues. This  
5 K' Q( M5 s* l, `9 }" fincludes, but is not necessarily limited to, the following:# h: U* p: l" m% c; J2 j+ ^
To provide input and expertise in the formulation of appropriate  
  d* J/ G  v  Aoperating budgets covering the venues to the SU´s Manager of  
3 I- t8 i$ v5 k+ }Programming and Venues and to discuss and refine those budgets  
3 z2 h7 R6 j1 `4 z# h5 yManager of Programming and Venues, and Manager of Finance &  
- @, K1 c) o  N! x+ CAdministration prior to their submission for final approval.! L! ]8 C+ {$ j% k* T% A
·  To manage the venues in a manner which adequately and effectively  
/ s: w$ W$ T% Q: areflects the budgets approved for the venues and/or which reflects  
% B! {( N' K; Pthe best interests of the venues and the Students´ Union.
+ n# @2 ?) O1 L& D1 e0 }# ]$ B·  To function as the key player in the submission of financial and  
0 X- m+ S& S  yadministrative documentation covering the venues to be used in the  
. K5 v- J% _) \% Ncompilation of monthly and annual financial statements, and such  0 Y  `2 H0 s$ p0 r2 y
other reports as may be necessary.
2 f3 ?, L1 H. C·  To discuss those financial statements and other reports, together  
) A& V5 f9 s8 Dwith all financial and administrative procedures, with the SU´s  7 w6 [. x, l  `
Manager of Programming and Venues and Manager of Finance &  
  u- c5 T$ o7 z- KAdministration with a view to determining and implementing action  
6 i9 |; G. ?  l, d- G6 @' zaimed at improving the financial and/or functional effectiveness of  
2 F( c  ]2 D" Rthe Horowitz Theatre.
( c9 V% T2 E* b·  To ensure the existence of adequate, effective and accurate job  
1 F( M2 t0 {$ C9 K* Zcosting systems to be used in connection with the determination and  ) X2 g1 s, D$ c
setting of appropriate prices for rental and staffing rates for  
8 R  N4 \4 [+ d2 s5 jevents held in the Horowitz Theatre.7 u: M4 a: K6 z; s+ _" d" \4 q0 [- Q
·  To develop accurate documentation to be used in connection with  * P4 ^. Q0 X- a- x/ I  J, `3 v( M
the billing clients, and to forward such documentation in a timely  
6 f1 J& d# m: S( @0 Imanner to the Accounting Department.9 C1 O) a/ s; @* K8 J3 I- s# K* a
·  To recognize, address and handle all matters relating to financial  
; E# P; v5 W/ e1 j9 Zand administrative procedures and systems in a manner which reflects  
4 F% Z, G/ S# u0 e+ m" Q, Rthe requirements of the SU´s Manager of Programming and Venues and  
, u% X) Z+ P$ g' @Manager of Finance and Administration, and in a manner which  
- M1 S# f5 x3 vcontributes positively to the smooth operation and success of the  
9 J8 D) r, y. n! a' ~. b& S4 P! @venues.
/ w9 q+ L* i9 v+ K. Y2 q* T4 b" ]) x  H/ K" A6 V+ b; Q" K
5.          Overall Roles and Responsibilities9 V! q/ {, i$ R. n
a.   To ensure, at all times, that the systems and processes used in  
  Z6 |: t/ u* x! k8 S3 Brenting the venues meet the appropriate standards, requirements and  4 u" `# K4 G) X
needs, and contribute to the smooth operation and success of the  
3 r# K, d, e" q8 x) Q: w$ s& Z2 pvenues. This includes, but is not limited to, the following:
$ n4 k, _; z6 e* N
+ `/ A/ ]5 Z9 y; f·  To recognize, develop and set in place such rental procedures as  $ K0 N4 h# \& u% t5 a* g% `
may be necessary to ensure the smooth operation of the venues, this  
, X2 R/ ?2 h! F( V7 S+ Jis to include but not necessarily be limited to systems and processes  
/ d4 l# K) y5 a1 \in the areas of contracts, inventory management, contract evaluation,  
1 \3 l+ ^$ _2 M; d% ppricing, costing, equipment usage, rental/contract invoicing,  " c0 j) J4 F6 f; P9 n
together with such other systems and procedures as may be necessary  
! K2 T3 S' ?8 {# g& {to ensure the smooth, secure, efficient, cost-effective and  " q  Y5 k' j9 \- y- N' H* O" p2 {
functionally-effective operation of the Horowitz Theatre.: X5 Y: v2 _8 n, u$ i  ?- V2 w
·  To recognize, develop and set in place such operational procedures  $ u. v. a  k1 R$ j0 B" x" ]% Z0 R
as may be necessary to ensure the smooth, efficient and cost-
1 d2 C" s' n, |' _0 j# ?# Xeffective operation of the venues.1 u7 w$ `8 {: J7 b- a! Y" f
·  To negotiate rental lease agreements (contracts) relating to  9 b( L2 \4 \* J9 P, T
dates, rates, staff and miscellaneous charges.
8 C/ H4 U( w. A·  To ensure that adequate inventory is available at all times and  
% \/ l+ U0 A+ T; m7 x" U, D: wthat such inventory is stored and issued in effective and secure ways.
, I! t# w! `3 L$ I3 W8 O6 I·  To consult with renters as to facility issues in producing their  
3 ]$ ]! ^/ Q5 e" z) E# pparticular event in the venues.
$ ]$ R- J+ H+ _$ f$ F8 i·  To provide the venues on-site staff with such documentation and  
3 `, g4 }% D* O* vsupporting information as it may need to effectively fulfill the  
, W* C$ s0 Q- l* i4 ^' q7 t2 j' Rroles they are to perform to ensure the success of the renter´s event.
6 T' V- p8 {# h9 q' K2 _·  To produce quotes in respect to staffing costs for a particular  
2 c  P+ P" x' i. Wrental with consultation with the Technical Director.8 e' |  |+ F: M! c0 I  ^+ h6 {2 k( p
·  To ensure that all queries raised with the venues whether from the  ! }/ e; ^) h5 S8 P/ M) U! I
SU or renters, are promptly and effectively handled and adequately  - i( S( R+ s- x% j$ O3 F/ J  `
answered, and to ensure that such action as may be necessary in    N3 I2 y7 R# g" Q2 T
follow-up to such queries is taken in a timely manner./ X* ~0 D0 A7 T3 H
To ensure that the venues and its capabilities are adequately,  
8 ?, Z5 h2 J" Feffectively and cost-effectively advertised and promoted, and that  - G. R7 c1 O# S5 @$ v" z
the cost of such endeavors does not exceed the budgetary provision  + m; X+ t$ w) v) ?- N, Z
made for them unless prior approval is given by the Manager of  / ?& a0 ]2 E; M  B& b; X
Programming and Venues.
5 z  s2 n' p5 ^  |1 ~·  To act as an informed and knowledgeable resource in the case of  % U+ @# R: \* G9 c
significant challenges and/or problems surrounding the tasks of  
9 j3 E- F0 t) M; S0 \9 ]9 E$ Mmarketing, administration, operations, and any such other matters as  
' L8 j: Q) ~& kmay provide such challenges and/or problems.
4 D2 b/ P: I1 \8 B·  To attend such meetings as may be required to support the smooth  
2 @& q% \1 m0 p( A7 o# t% coperation of the venues or the Students´ Union as a whole.9 H" y- ~- Q% X$ w( ?1 |3 A
·  To perform other job-related duties as may be required by the  ! D4 H  z5 Y4 U# I' a  p5 J7 C/ D
Manager of Programming and Venues in order to ensure the smooth and  
. V2 w) o, E, ]. d- T: Osecure operation of the venues.
- O+ j- l6 v9 d/ d1 @! Y) V2 ~·  To recognize, address and handle all matters relating to overall  : F0 a2 b1 F8 |8 O1 Z7 u
operations in a manner which reflects the requirements of the SU´s  
! B& @2 d) `5 A% yManager of Programming and Venues, and Manager of Finance and  ' z6 N8 V' u- s1 p0 k* p4 S
Administration, and in a manner which contributes positively to the  
$ S" a$ B1 c) ]0 v- k5 a! J6 asmooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:( p* M7 J/ l! T+ D4 X' I5 U, M  a
1)             Minimum two years related post secondary education, or  9 u. \% u& k" I+ B/ A9 u. o- Y
an acceptable combination of education and experience.
5 U9 }! A: ?& m* r' g2 q2 i2 R2)             Supervisory experience.
& D, z- B4 G9 M4 B7 T% o3)             Ability to create new initiatives with little or no
